Get started with navigator


v8.1.3

The navigator is the Workforce Central user interface. Individual navigators are created and customized
for specific groups of people. When users log on to the system, the navigator assigned to them opens.
Historically, many navigator components required browsers to support Adobe Media Flash player, which is
now being discontinued. With service release v8.1.3, most components that required Flash are now
available as Flash-free HTML components. Although the functionality of both the Flash-dependent and
HTML components is comparable, the new HTML components have also been updated for an improved
user experience.
To access the new HTML components, a migration event is run after installing v8.1.3 as described in the
Flash-to-HTML Migration Guide. This event automatically clones Flash-dependent components, creates
HTML Navigator Profiles, and updates users’ Display Profiles.
Some components do not have HTML replacements. Because of this, both HTML and Flash navigators are
available within the Workforce Central v8.1.3 environment until the Flash-removal process is completed. If
a navigator contains any components that do not have an HTML equivalent (such as the Staffing or Task
Management widgets), the navigator continues to depend on Flash. As such, an important requirement for
v8.1.3 users is that Flash-dependent components and v8.1.3 HTML components cannot be included in the
same navigator, which means that:
l HTML navigators can only contain HTML workspaces, widgets, and widget parts. They cannot contain
Flash or Java applet content. HTML navigators are managed with the HTML Manage Navigators
component.
l Flash-dependent navigators cannot include any of the new v8.1.3 HTML components. They can only
contain workspaces, widgets, and widget parts that were created before v8.1.3. Flash-dependent
navigators are managed with the original (Flash) Manage Navigators component.
Note: Flash and HTML components must be managed separately. If you change an HTML component,
the change is not reflected in the Flash component and if you change a Flash component, the change is
not reflected in the HTML component.

This document describe HTML Navigator components. For information about managing Flash-dependent
components, refer to the v8.1 Navigator Administrator Guide.

Naming conventions
Note: In v8.0.11, reliance on client-side Java was eliminated and all Java applets had Java-free
replacements. System-generated preconfigured widgets, workspaces, and templates were prefixed with
00 for example, 00Employee Template is the system-generated employee template. It is extremely
important that you copy these templates before modifying them. Do not change the names or directly edit
these system-generated widgets, workspaces, and navigators. If you edit them and subsequently assign
them to a user, any changes that you have made will be overwritten when you later apply a service pack.

The v8.1.3 migration event automatically clones most Flash-dependent workspaces, widgets, widget parts,
and templates to the HTML replacements and makes the following name changes:
l Cloned widgets, widget parts, and Navigator Profiles are renamed with an HTML suffix. The Flash
components retain their original name. For example, the cloned Calendar widget is named
CalendarHTML and the Flash-dependent widget name remains Calendar.
l For workspaces and navigators, the original Flash-dependent component is renamed with an FLX

suffix. New cloned workspaces and navigators use the original name. For example, the original
Manage My Department workspace is renamed Manage My DepartmentFLX and the cloned HTML
workspace is named Manage My Department.

Note: Navigator, workspace, widget, and widget part names cannot exceed 50 characters. Due to this
limitation, the migration event truncates the original name to 47 characters to accommodate the FLX
suffix or 46 characters to accommodate the HTML suffix.

Log on and log off
Most users, regardless of whether they are using an HTML navigator or a Flash-dependent navigator, use
the following URL to log on to the system:
http://WebServer/wfc/logon
where WebServer is the fully qualified domain name of the Workforce Central web server name and wfc
is the name of the default instance.
If the user’s Display Profile points to an HTML navigator, the HTML environment opens. If the user’s
Display Profile points to a Flash navigator, the Flash environment opens.
Some administrators need to manage both Flash-dependent and HTML components, so administrators with
super access can access two different URLs:
l http://WebServer/wfc/navigator/logon – To access Flash-dependent navigators
l http://WebServer/wfc/htmlnavigator/logon – To access HTML navigators

Note: Users logging on with Single Sign-On (SSO) are directed to the navigator defined in their Display
Profile. Users who can access both Flash and HTML navigators are directed to the HTML navigator. To
access the Flash navigator after logged in via SSO, the user must immediately open a new tab or browser
window and enter in the Flash URL. When the Flash navigator opens, close the HTML navigator and
start working in the Flash navigator.

The navigator includes a home workspace ( ) and one or more widgets. You can open other workspaces
and additional widgets. The workspaces and widgets you can access depend on your configuration.

About navigator

Each employee is assigned to a navigator, which provides their work area, and contains one or more
workspaces. Each workspace, in turn, contains widgets and widget parts, the components that enable
employees to do their work.
Manage Navigators
You use the HTML Manage Navigators component to manage your HTML navigator environment. You
can create or copy and modify workspaces, widgets, and widget parts in Manager Navigators. and include
them in navigators that you then assign to users through Navigator Profiles and Display Profiles.
In most cases, each user is assigned one navigator. The exception to this rule is the SuperUser account or
an administrator with super access. Two Navigator Profiles can be assigned to these users, one for Flash
content and the other for HTML content.

Note: You can create Mobile Navigators through the "Manage Mobile" option. For more information,
refer to the section Create Mobile Navigators on page 97

Access HTML navigator content as Superuser


To access Manage Navigators as Superuser or an administrator with super-access:
1. Enter the following URL in a browser:
http://WebServer/wfc/htmlnavigator/logon
where WebServer is the name of the web server and wfc is the name of the instance.
2. Log on as Super user or an administrator with super-access.
3. From the System Administration workspace, click the Add Workspace tab and select Manage
Navigators.

Access Flash-dependent navigator content as Superuser


1. Enter the following URL in a browser:

Widgets and widget parts
Widget parts, and widgets are the building blocks of workspaces and navigators. Navigators contain at
least one workspace, which contains at least one widget. Widgets can contain one or more widget parts.

Widgets
Widgets are the task engines in a navigator workspace. Widgets enable users to perform job-related tasks.
Some widgets contain widget parts, which are complementary or supporting information that is accessible
from within the widget. For example, Wizard widgets are constructed from Page widget parts and
Schedule widgets can contain Rule Violations, Schedule Coverage, or Metrics widget parts.
Widget names must be unique. Many of the widgets in previous Navigator releases have been replaced and
renamed. The new widgets are included in the Navigator templates. Widgets that were not replaced or
renamed are not in the templates, but exist as “Default” widgets and are included in the installation.
Widgets and templates that were migrated from Flash-dependent widgets have the HTML suffix, for
example, 00AuditsHTML, Default QuickLinksHTML, MyCalendarHTML.

Widget parts
Some widgets contain widget parts, which are complementary or supporting information that is accessible
from within the widget. For example, Wizard widgets are constructed from Page widget parts and
Schedule widgets can optionally contain Rule Violations, Schedule Coverage, or Metrics widget parts.
Widget and widget part names must be unique. You cannot save a widget or widget part that has the same
name as another widget or widget part. For widget parts that display a name, you can use a label if you
want users to access a widget that is customized for different users but displays the same name.

The following widgets are also not available as HTML, but the functionality of these widgets is available
elsewhere in the suite. You should reconfigure HTML widgets to include the functionality:
l Call List widget — Use the Staffing Assistant in the Schedule Planner instead of the Call List widget.
l Accruals — Use the Accruals add-on in the timecard instead of the Accruals widget.
l Flash Timecard (Employee Timecard) — Use the HTML timecard instead of the Flash timecard.
l Metrics widget — Use the Metrics add-on in Schedule Planner instead of the metrics widget.

l Flash Scheduling widget — Use the HTML Schedule Planner instead of the Flash Scheduling widget.
l Weather widget — Use the Single Link widget pointing to a preferred weather site instead of using
the Weather widget
l Time-Off widget — Use the functionality available in HTML Request Manager instead of using the
Time-Off widget.

Workspaces
A workspace is a collection of one or more widgets that are bound together for completing a task or solving
a specific business problem. For example, one workspace could include all the scheduling tools that a
manager needs and another could include all of the time-collection tools that the same manager needs.
Like widgets, each workspace name must be unique. There may be times, however, when you want users
to access a workspace that is customized for them but displays the same name to all users. You do this by
assigning the same label to the different workspaces.

Note: Workspaces that are migrated to HTML in v8.1.3 retain the same name as earlier versions. The
suffix FLX is added to the names of the Flash-dependent workspaces after running the migration event.

The user’s home workspace is displayed when the user logs on. If the navigator contains additional
workspaces, they are accessible from the Add Workspace tab , which is located to the right of the
last workspace tab. When the user opens a workspace from this tab, it is listed as a new tab.
Workspaces also can be configured to contain widgets within a Related Items pane. This pane provides
storage for additional widgets that might be important to the user, but were not configured to be visible on
the workspace by default.

Create and assign a super-access navigator


Each user is assigned a Display Profile which defines, among other things, a Navigator Profile that
identifies the navigators that can be accessed.
By default, the SuperUserHTML Navigator Profile contains access to two SuperUser navigator templates:
l 00SuperUser Navigator — Allows super-access to the HTML and Flash-dependent navigators
l 00SuperUser NavigatorFLX — Allows super-access to only the Flash-dependent navigator

You can log on with the Superuser account by entering the following URLs to access either the Flash-
dependent or HTML Superuser navigator:
l http://WebServer/wfc/navigator/logon — To access the Flash-dependent Superuser navigator
l http://WebServer/wfc/htmlnavigator/logon — To access the HTML Superuser navigator

However, Superuser is a system account and does not have any licenses and cannot access Employee Self
Service components or other items explicitly associated with Workforce Central, such as Accrual codes.
Because of this, you should create a super-access navigator so you can configure all navigator components.
The person who configures navigator components must have the appropriate licenses and access to all
functions of each widget. Access is specified in the function access profile. In general, the person who
configures navigator components needs:

To configure a person with access to super-access navigators that can access both Flash-dependent and
HTML components:
1. Open a browser window and enter the following URL:
http://WebServer/wfc/htmlnavigator/logon
where WebServer is the Workforce Central web server name, and wfc is the name of the default
instance.
2. Log on as SuperUser. This opens the Superuser Navigator, which displays the Administration
workspace, with QuickFind and Setup widgets.
If necessary, click the Maximize icon to expand the Setup widget to the full screen.
3. In Setup, select Display Preferences > Display Profile Building Blocks > Navigator Profiles.
a. In the Navigator Profiles Edit Page, enter a name and description.
b. Move Default Superuser Navigator and Default Superuser NavigatorFLXto the Selected box.
c. Click Save & Return. 
4. In Setup, select Display Preferences > Display Profiles.

If you don’t know the Display Profile of the person, select QuickFind, select the person's name
and then select the People Editor from the Go-To menu. In the People Editor, select Job

Configure widgets and


widget parts

Widgets are the task engines in the navigator view. Widgets enable users to complete job-related tasks,
such as entering hours in time stamp or the timecard, approving timecards and exceptions, and filling empty
shifts in the Scheduler. Before you build navigators, you create widgets and assign them to workspaces.
Some widgets contain widget parts, which are complementary or supporting information that is accessible
from within the widget. For example, Wizard widgets are constructed from Page widget parts and
Schedule widgets can contain Rule Violations, Schedule Coverage, or Metrics widget parts.
Create widgets
Use Manage Navigators to create widgets in one of the following ways:
l Create a widget
l Modify an installed or existing widget
Important: When you create widget names and descriptions, avoid using special characters
Some special characters, called reserved characters, cannot be used under any circumstances
because of their use in other areas of the product or by the operating system. The following characters
are suite-wide reserved characters. Never use these characters in widget names or descriptions:
l / (forward slash)
l # (pound or number sign)
l ; (semi-colon)

Create a widget
To create or modify widgets, do the following:
1. In Manage Navigators, select the Widget tab. Note that the name of widgets and templates that were
migrated from an earlier version of Workforce Central that relied on Flash include the HTML suffix.
For example, MyCalendar is now named MyCalendarHTML.
2. To create a widget, click New or select a widget and click Copy or Edit .
3. Complete the following common options:
oWidget Type — Select the widget type, such as Audit or Request Manager HTML.
o Name — Enter a unique name for the widget. It can be up to 50 characters long.

o Label — (Optional) By default, the widget name displays in the user’s workspace. If you want a
different name to display, enter a label here.
o Description — (Optional) Enter a description. The description can be up to 250 characters long.

4. Enter, change, or select the remaining widget options.


5. Click Save to return to the Widgets tab list.

Note: The Save button is not active until you select all required options.

Widget configuration options
Configuration options vary, depending on the widget. Several widgets, including Genie, People Editor,
Schedule Planner, and Timecard have icons above the widget grid. The icons provide access to associated
tasks.

Configure the appearance of icons


You can configure the appearance of the icons in one of two ways:
l Use a system setting
The setting, global.labelicon.display, on the Global Values tab in System Settings (Setup >
System Configuration > System Settings > Global Values) enables you to set the default appearance of
icons a widget's icon bar. Select one of the following:
o Label — Displays only the label
o Icon — Displays only the icon
o Label & Icon — Displays both the label and icon (default)
l Use the Display Options for Label and Icons option. When you create or edit certain widgets, this
option lets you define the default appearance of icons for the selected widget. Select one of the
following:
o Label — Displays only the label
o Icon — Displays only the icon
o Label & Icon — Displays both the label and icon (default)
o Default — This is the option selected in System Setttings.

Note: The setting you select when you add a widget or change a widget's preferences overrides the
system setting.

Create widget parts
Widget parts provide complementary or supporting information that is accessible from within a widget. For
example, Wizard widgets are constructed from Page widget parts and Schedule widgets can optionally
contain Rule Violations, Schedule Coverage, or Metrics widget parts.
When you create a widget part, you give it a name and, like widgets, each name must be unique. For
widget parts that display a name, use a label if you want users to access a widget that is customized for
different users but displays the same name. During installation, a number of widget parts are created. You
can copy and modify them to suit your specific needs.
Use Manage Navigators to create widget parts in one of the following ways:
l Create a widget part
l Modify a widget part

To create or modify a widget part:


1. In Manage Navigators, select the Widget Parts tab.
2. From the top drop-down area, select one of the following categories:
o Alert Category
o Alert Sub-category
o Audit Entity
o Calendar Widget Part
o Page
o Request Manager
o Request Manager Widget...
o Schedule Widget Part
o Time Entity
o Timecard Widget Parts
3. Click New or select a widget and click Copy or Edit .
4. Complete the common options.
oType — Select the widget part type, if more than one is available.
oName — Enter a unique name for the widget. It can be up to 50 characters long.
o Label — (Optional) By default, the widget Name displays in the user’s workspace. If you want a
different name to display, enter a label here.
o Description — (Optional) Enter a description. The description can be up to 250 characters long.

5. Enter or select the remaining widget parts options. The options available vary with the type of widget
part being used. See component-specific widget part descriptions.
6. Click Save to return to the Widget Parts tab.

Note: Some widgets and widget parts are related and require configuration to be used. For example, an
Alerts sub-category widget uses a Widget as a destination. That widget must be configured before it can
be selected in the Widget part. Also, when creating a Single Link widget, you must first specify within
that widget the types of alerts you may wish to link to that widget as a destination. This must be done
before configuring the alert subcategory.

Configure workspaces

A workspace is a collection of one or more widgets that enable users to complete a task or solve a specific
business problem. For example, one workspace could include all the scheduling tools that a manager needs
and another could include all of the time-collection tools that the same manager needs.
When you create a workspace, you give it a name. Like widgets, each workspace name must be unique.
There may be times, however, when you want users to access a workspace that is customized for them but
displays the same name to all users. You do this by assigning the same label to the different workspaces.
Workspace components
The user’s home workspace is displayed when the user logs on. It cannot be closed. If the navigator
contains additional workspaces, they are stored in the Add Workspace tab , which is located to the
right of the last workspace tab, in the user’s navigator. When the user selects a workspace from the drop-
down list, it is added as a tab in the action bar. If only one workspace is assigned in the user’s navigator,
the Add Workspace tab is not displayed.
Workspaces also can be configured to contain widgets within a Related Items pane. This pane provides
storage for additional widgets that may be important to the user, but were not configured to be visible on
the workspace by default.
Create workspaces
1. In Manage Navigators, click the Workspaces tab.
Note: Flash-dependent workspaces and workspace templates that were migrated from an earlier
version of Workforce Central and relied on Flash include the FLX suffix, but you can only view them
in the Flash-dependent Manage Navigators. HTML workspaces and workspace templates do not
contain a special suffix.
2. To create a workspace, click New . To use an existing workspace as the basis of a new workspace,
select the workspace from the Name column and click Copy .
3. In the Create or Edit Workspace area, provide the following information:
o Name — Enter a unique name for the workspace. It can be up to 50 characters long.
o Label — (Optional) By default, the workspace Name displays to the user. If you want a different
name to display, enter a label here.
o Description — (Optional) Enter a description. The description can be up to 250 characters long.
o Layout — Select a layout from the list.

4. Open Related Items By Default — The Related Items pane displays widgets that are active
(displayed in the workspace) and inactive (not displayed in the workspace). The Related Items pane is

closed by default. Select the check box to display the Related Items pane when users open the
workspace.
5. Workspace Context Available — Select this check box to set a single default context for the entire
workspace. This option should be used only when multiple widgets that accept a date range and
employee selection will be used within a workspace to make synchronizing multiple widgets easier.
The check box is selected by default. You can change the context in widgets.
Note: When workspace context is present and synchronized, the Reports single link widget is updated
with the selected employees list and the GoTo control is enabled. In Flash-dependent navigators, only
the HyperFind is available.
6. Widgets — Move the widgets that will appear in the workspace to the Selected box.
7. Visible Widgets — Select the widgets that will be active when the user logs on and move them to the
Selected box. You cannot select more widgets than the maximum allowed by the layout used. Widgets
that exceed the maximum are stored in the Related Items pane.
The order of widgets in the Selected box defines the order of widgets in the workspace, depending on
the layout selected. To change the order, click and drag widgets in the Selected box to the desired
order.
8. User Preference Editing — To give users the ability to modify their preferences on a per-widget
basis, move the applicable widgets from the Disabled user preference editing box to the Enabled
user preference editing box.
9. Shareable Widgets — A shareable widget is one that can be added to a social media application as a
static image when users click the Share icon ( ) in the widget Actions bar. If the shared widget is in
the primary view, the image is the full screen. If the shared widget is in the secondary view, only the
portion that appears in that view is displayed.
For example, a manager who has the Exceptions widget in the primary view can click the Share icon,
and the full screen appears on the her wall. She can add a comment asking employees about missing
punches.
Note: For the best results, use Flex-based widgets, such as Exceptions and Request Manager as
shareable widgets.
10. Click Save and then click Back to return to the main view.
Navigator templates contain a set of workspaces. You might also have workspaces from your existing
system. You can use these workspaces, edit them, or use them as the basis for another workspace.

Navigator templates include specific workspaces. You can copy the template and add workspaces. You
can also copy and modify workspaces within the template. Do not modify a template directly.

Configure navigators

A navigator is a browser view into Workforce Central that is customized for individual users. After you
create one or more workspaces, you create a navigator and assign workspaces to it. All navigators include
a home workspace that is displayed when the user first logs on.
Navigator components
Most navigators include:
l A Search widget that enables users to find employees by name or those that meet specific criteria from
the search Genie fields
l A home workspace that enables managers and employees to complete their most frequent tasks

l Additional workspaces (if available)

l Go To widgets and workspaces (if enabled in a user’s navigator)

Key components of a navigator are:


l Active bar― A horizontal area at the top of the navigator that displays the currently opened
workspaces as tabs.
l Add Workspace tab ― Repository of available workspaces located to the right of the last tab.
l Alerts ― Links, which appear as icons, to enable users to quickly view the type and number of tasks
or issues that they need to address.
The following navigator has a side-by-side column workspace called Administration. The workspace
includes additional widgets, which are listed on the Related Items pane.

Create navigators
You can copy and modify navigator templates, edit existing navigators, or create your own navigators as
follows:
1. Log on as a user with the rights to configure widgets, workspaces, and navigators and who has access
to the Superuser Navigator or a similar navigator.
If you do not have a navigator assigned to you, you can log on as Superuser. However, Superuser is a
system account and does not have any licenses and cannot access Employee Self Service components
or other items explicitly associated with Workforce Central, such as Accrual codes.
Because of this, you should create a navigator for yourself or the person responsible for configuring the
navigator components. See Create and assign a super-access navigator on page 17 for more
information.
2. If Manage Navigators is not in the primary view of the navigator, select it from the Add Workspaces
drop-down list..
3. Click the Navigators tab. Click New or select an existing navigator and click Edit .or Copy .
4. In the Create or Edit Navigator area, provide the following information:
Name — Enter a unique name for the navigator. It can be up to 50 characters long.
Description — (Optional) Enter a description. The description can be up to 250 characters long.
Home workspace — Select the workspace that opens when the user logs on.
Workspaces — Move the workspaces to be included in the navigator to the Selected box.
Note: Some widgets can only be in one of the workspaces in the navigator, including Timecard, My
Timecard, Reports, My Reports, Leave Cases, My Leave Cases, People Editor, Attendance Editor,
Actions, My Actions, My Calendar, and Weather.
Goto Workspaces — All of a navigator's workspaces are automatically added to the Goto Workspaces
Selected box. This allows users to move among those workspaces using the GoTo button. The
employee and date range context are carried into the selected workspace or widget.
Remove workspaces, such as the Support workspace, where context is not appropriate, from the
Selected box to deny access through the GoTo button.
Goto Widgets — All widgets from the navigator's workspaces are automatically added to the Selected
box. Remove those widgets that you do not want to appear in the Goto menu as receiver widgets.
Navigator Alerts — To include alerts, select an Alerts widget.
Navigator Settings — Select a Manage Navigator widget to display in the navigator. This is optional.
Typically, most users do not have access to Manage Navigators.
Navigator Search — Select the widget used to find specific employees or other data in the system.
The default Search widget is based on the default Search Genie. You can copy and modify the default
Search Genie and create a new Search widget.

Navigator Template - (Optional) This option controls the Navigator that is used in automatic
assignment of Navigators based on licensing. It does not have to be changed from system-provided
templates. If you select a navigator in this field, it overrides any previous navigator that was designated
for use in automatic assignments.
5. Click Save.

Assign a navigator to people
Use the People Editor to assign a navigator to people. If available, you can also use the Assign Navigators
wizard, which contains essentially the same steps as those in the following procedure, but enables you to
perform them within the wizard rather than accessing different places, such as Setup, in the application.

Tip: To identify a person’s Display Profile, you need to access the People Editor. One way to do this is
to select the person using QuickFind, then click Go To, and select People Editor.
In the People Editor, select the Job Assignment tab and then click the arrow to open the Access Profiles
page. Note the name of the Display Profile listed.

To assign a navigator:
1. Access Setup.
2. Select Display Preferences > Display Profile Building Blocks > Navigator Profiles.
a. Click New.
b. In the Navigator Profiles Edit Page, enter a name and description.
c. Move the navigator to the Selected box.
Note: You can include more than one navigator in a Navigator profile, but only the first one listed
is available to the user.
d. Click Save.
3. Select Display Preferences > Display Profiles.
a. Select the appropriate display profile and click Edit.
b. Select the Navigator Selections tab.
c. Select the appropriate Navigator Profile in the Navigator Profile drop-down list.
d. Click Save.
You can also use the Assign Navigators wizard, which contains the same steps in the previous procedure,
but enables you to access separate places in Setup within the wizard.

Assign new or modified Navigators as templates
You can use new or modified Navigators as templates, which will be assigned automatically to users based
on their license.

Note: The Global setting, global.navigator.default.assignment.enabled, must be


set to true to have Navigator templates automatically assigned. This setting is set to true by default.

To assign Navigators as templates, select the appropriate template in the Navigator Template drop-down
on the Create or Edit Navigator page in Manage Navigators.

Quick Links and Single Link


widgets

Quick Links let users access Workforce Central pages from within their navigator. A Quick Links widget
is similar to a Single Link widget except that a Quick Link widget can contain many links.
A Single Link HTML widget lets users access a Workforce Central page or a URL from within a
workspace with a single click.
Quick Links
Quick Links provide access to Workforce Central pages outside of their navigator.

Upgrade Note: The Quick Links available to you depend on whether you have a new installation of
navigator or have upgraded your existing system. New installations include only Quick Links. Upgrades
can include Quick Links and All Quick Links.

The links that appear in the Quick Links widget vary, depending on the user’s license and access rights.
The order in which they appear corresponds to the order in which they are listed when the Quick Links
widget is configured.

Depending on your requirements, you can create your own Quick Links or modify existing Quick Links
widgets. You can have one Quick Links widget that contains all of the possible Quick Links, or you can
have a number of smaller Quick Links widgets that each contain one or more links.

To create a Quick Links widget:
1. In Manage Navigators, select the Widgets tab.
2. Click New, or select a widget and click Copy or Edit.
3. In the Add or Edit Widget area, complete the common options Type, Name, Label, and Description.
The widget label is displayed in the user’s navigator.
4. In the Links section, use the arrows to expand folders. Select links, then move them into the Selected
box. You must expand the top level menu item to select any of the sub-menu items. (You must select
links within a folder, even if you select the tab name.)

Notes:
If you select all of the links listed, the system’s security mechanisms ensure that only pages to which
the end user has access appear in his or her navigator.

If you move a folder to Selected, the user must expand the folder to access links.

5. Select Show Go To Navigation to enable Go To functions for the Quick Links.


6. Select Show Back to List to display a Back to List button so the user can return to the list of Quick
Links.
7. Select Display External Links Outside of Navigator to open external links in a new browser tab or
window. Also, if the widget is minimized when an external link is minimized, it will be maximized.
8. Click Save to return to the Widget tab.

Single Links
A Single Link widget lets users access Workforce Central pages or a URL from within a workspace with
a single click. Because Single Links contain only one Workforce Central page, they behave like other
widgets:
l They have a primary and secondary view in the workspace.
l They can be called from an alert.

Note: Single Links can also be created as Page widget parts, which enables you to define single pages
as part of a wizard.

When you define a Single Links widget, you must select a Workforce Central page or enter a URL for the
primary view. For the secondary view, enter a URL, or leave it blank. If you leave the field blank, a
default view displays.
To create or modify a Single Link widget:
1. Open Manage Navigators and select the Widgets tab.
2. Click New or select an existing Single Link widget (listed in the Type column) and click Copy or
Edit . You can also double-click a widget to edit it.
3. Complete the widget common options: Type, Name, Label, and Description. See Create a widget on
page 22 for details.
4. Goto Control (Navigator) — Select to allow managers to navigate to other widgets from this widget
with selected employees. (GoTo Menu and Right Click Navigation are not supported.)
Note: When workspace context is present and synchronized, the Reports single link widget is updated
with the selected employees list and the GoTo control is enabled. In Flash-dependent navigators, only
the HyperFind is available.
5. Primary view — Select a link to display in the navigator’s primary view. Open or expand the folder
names to display the links.
Depending on the primary view link, the following additional fields might appear:
HyperFind — Select one of the HyperFinds listed. If you leave this blank, the widget uses the
o
default context parameters for the link.
o Time Frame — Select one of the time periods listed. If you leave this blank, the widget uses the
default context parameters for the link.
o People List — Select a list of people.

You can also enter a URL directly into the field.


6. Secondary view — Do one of the following:
o Select an External link or Favorite Report link to display in the navigator’s secondary view.
o Leave this blank. The default view will appear.

7. Relevant Alert Types — (Optional) Select one or more Alert types that can open this widget. When
you configure the selected Alert types, the widget will appear in the Widgets Receiving Alerts drop-
down list.
8. Select Show Back Button to display the back arrow that enables users to return to the main view.
9. Click Save and then click the back arrow to return to the main view.

v8.1.3 online help as a single widget and include it you your navigator environment.

Go To navigation

Go To navigation enables users to select people and time periods and then pass those people and time
periods to other widgets and workspaces for further action.
Using Go To navigation you can configure widgets for Go To control, then select people in a widget to
enable the Go To icon and function. Users can then navigate to another widget or workspace.
After you select the context (people, time period, show) use the Go To icon to :
l Navigate to a new widget or workspace with that context, and depending on the widget, navigate to
another widget or workspace with the same context or a modified context.
l Receive context from another widget, then navigate to another widget or workspace with that same
context. A context cannot originate in these widgets.
l Navigate to a widget or workspace with a selected context. They cannot navigate further.

Note: Users must have access to the widgets and workspaces that are used in Go To navigation. If a
user does not have access to a particular item, it does not show in the Go To menu or Go To options in
Manage Navigators.

Version 8.1 Navigator templates include a GoToLinks workspace that contains Audits, People Editor, and
the Rules Analysis report widgets. When you click one of these widgets in a Go To drop-down, a new
workspace opens. If available, you can click Go To from within the workspace to return to the widget.

Go To control
Go To control allows users with selected employees and a time period to navigate to a different widget or
workspace.

Users can navigate to widgets, such as Exceptions and Request Manager, as well as other workspaces.

Notes:
The only way users can access the Quick Leave Editor is through the Go To drop-down list.
If you select more than one employee and then go to another widget, the receiving widget might only
work with the first employee rather than allowing you to go through all the employees you selected.

Setup Go To controls
You can set up Go To controls in widgets and navigators.
l Many, but not all, widgets support Go To controls and enable you to select a Go To Control
(Navigator) check box.
l In navigators, you can select available Go to widgets and Go to Workspaces.

Note: Although you can select the Go To Control (Navigator) check box when you configure some
widgets, the system might not be able to navigate to the widgets, and they do not appear in the Go To
drop-down menu.

Set up Go To control in widgets


1. In Manage Navigators, click the Widgets tab.
2. Click New or select a widget and double-click or click Edit .
3. Select a Widget Type that supports Go To controls
Notes:
oIf you have selected the Go To option for the widget, it is also available in User Preferences.
oYou can modify the default navigation Go To setting for a widget.
4. Complete the widget options and select the Go To Control check box.
5. Click Save .
Notes:

o The list of widgets and workspaces is derived from the widgets and workspaces that are configured
for a user in the user’s Navigator Profile and Display Profile.
o The Go To control can be configured per widget.
o The contents of the Go To control drop-down are the same for all widgets and is controlled in
Navigator configuration.

Set up Go To sequences
You can configure the sequence of widgets and workspaces listed in the Go To drop-down in a user’s
assigned navigator. The sequence, which can be alphabetical or in most-frequently used groupings, shows
in every widget and workspace in a user’s assigned navigator.
Configure the Go To sequence in Manage Navigators. The following procedure applies when you are
configuring new navigators and editing existing navigators.
1. On the Add Workspaces drop-down, select Manage Navigators.
2. Click the Navigator tab.

3. Click New , or select a navigator and then click Edit .
4. Scroll to the Goto Widgets.
5. If needed, select the appropriate widgets and move them to the Selected box using the arrows. You can
select the widgets in alphabetical order, but the Go To Sequencing feature allows you to arrange them
after you move them to the Selected box.
6. Select a widget and move it to the appropriate place in an alphabetical list.

Set up Go To control in a navigator


1. In Manage Navigators, click the Navigators tab.
2. Click New or select a navigator and click Copy or Edit .
3. In the Add or Edit Navigator space, complete the necessary options.
4. Click Save .
Notes:
o All widgets and workspaces are moved into Selected when you are creating a navigator. Move
those that you do not want back to Available.

Create a Search widget

Search is a navigator-level feature for managers and administrators who need to retrieve people and their
information. Search is a type of widget. One search widget is allowed per navigator. You can use the
default search widget, copy and modify the default, or create a new search widget that meets the specific
needs of your users. Do not modify the default directly.
Configure the Search Genie
One search widget is allowed per navigator. One search Genie is allowed per search widget. One Genie
column set is allowed in a search Genie.
Use Setup and Manage Navigators to configure searches.

1. In Setup, select Display Preferences > Genie Building Blocks > Workforce Genies > Detail
Column Sets.
2. Select the columns needed for the search.

3. Create a Detail Genie (Display Preferences > Workforce Genies > Detail) using the column set that
you created.
4. Create a Genie Profile (Display Preferences > Display Profile Building Blocks > Workforce Genie
Profiles) that contains the Detail Genie that you created.

Create a search widget
In Manage Navigators, click the Widget tab.
1. Click New .
2. Select the Search widget type.
3. Enter a name and optionally, a label and description.
4. Select the Search Genie.
5. Optionally, select a HyperFind and Time Period.
Notes:
The HyperFind and time period options that you select here take precedence over the same fields
configured in the Search Genie.
The HyperFind that you select should be as expansive as possible. For example, use All Home and
Eligible to Transfer In rather than All Home and Transferred In, because more employees are
returned by the All Home and Eligible to Transfer In HyperFind.
Select Goto Control (Navigator), and then click Save .

Assign the Search widget to the manager’s navigator
Assuming that the navigators receiving a Search widget already exists, do the following:
1. In Manager Navigators, click the Navigator tab.
2. Select the navigator and double-click or click Edit.
3. In the Navigator Search option, select the Search widget, then click Save .
4. Create a Navigator Profile (Display Preferences > Display Profile Building Blocks > Navigator
Profiles) using the edited navigator.

Create a wizard

A wizard is a work flow widget that enables users to complete a task by guiding them through a sequence
of steps. Wizards contain widget parts called pages, where each page is a step in the wizard. There is an
optional, special type of page called Wizard Parameters, which can be used to set the context for the
wizard.
Pages and Wizard parameters can only be used with the wizard widget; they cannot be included directly in
a navigator or with other widgets. You can include up to 14 pages in each wizard.
To create a wizard:
l Create the Wizard Parameters page on page 58
l Define Page widget parts on page 60
l Create the wizard flow on page 61
l Use or modify existing wizards on page 64
Create the Wizard Parameters page
Use the Wizard Parameters page to define the set of conditions, such as time period, for the wizard pages
to use. Subsequent steps in the wizard use the context set in the Wizard Parameters page. If you need to
change the wizard context in subsequent pages, you must do so in the Wizard Parameters page.
To set up a Wizards Parameters page:
1. In Manage Navigators, select the Widget Parts tab.
2. Select Page and then click New .
3. Complete the following options on the Add Page.
Widget Part Type — Select Wizard Parameters.
Name — A unique name for the widget part; use up to 50 characters. A widget part name cannot be
the same as a widget name.
Label — (Optional) To have a different name display, enter a label here. If you do not enter a label,
the widget part name displays.
Description — (Optional) Description of the wizard; use up to 250 characters.
Instructions — (Optional) Step-by-step text that is helpful to your users. The instructions can be up to
2000 characters long and cannot contain any formatting except line breaks.
Options — Select the options to pass to subsequent steps in the wizard and move them to the Selected
box. Additional information may be required:
o If you select Time Period, also complete the Time Periods box.
o If you select People List, also complete the HyperFind for People List box.
o If you select HyperFind, note that the HyperFind content is only passed to pages that use Genies.

Time Periods — Sets the time period and passes it to each page within the wizard. If you select this
option, you must also select the type of time period in the Time Periods box (Pay Periods, Schedule
Periods, Relative Dates, Specific Date, or Range of Dates).
HyperFind for People List — Allows the user to select a list of people and pass it to subsequent
pages in the wizard.
HyperFinds for People List — If you selected People List in the Options box, select the appropriate
HyperFind. If you did not select People List, leave this blank.
4. Click Save and then click Back to return to the main view.
The context will be passed to each page in the wizard, but the page will only be updated based on the
context it supports. The following table identifies the contexts that can be passed to wizard steps:

Define Page widget parts
Before you can create a wizard, you must define the Page widget parts that make up the wizard. A number
of Page widget parts are defined by default. You can modify one of these or create your own.
1. In Manage Navigators, select the Widget Parts tab.
2. From the drop-down list, select Page.
3. To create a Page, click New , or select a page and click Copy or Edit .
4. In the Add Page space, provide the following information:
Type — Select the type of page to view in the wizard.
o Audit to create an Audit widget page
o Employee Calendar to create a Calendar widget page

o Exceptions to create an Exceptions widget page

o Genies to create a Geniess widget page

o Grant and Project Tracking to create a Grant and Project Tracking widget page

o People Editor to create a People Editor widget page

o Request Manager to create a Request Manager widget page

o Schedule Planner to create a Schedule Planner widget page

o Single Link to identify a Single Link page, which allows you to include an application page

o Timecard to create a Timecard widget page

o Timestamp to create a Timestamp widget page

o Wizard Parameters to select options for the wizard, such as Location and People, Time Periods,
and a HyperFind for the People List.
o Workload Planner

Name — Enter a unique name for the widget part. It can be up to 50 characters long. Note that a
widget part name cannot be the same as a widget name.
Label — (Optional) To have a different name display, enter a label here. If you do not enter a label,
the widget part name displays.
Description — (Optional) Enter a description. The description can be up to 250 characters long.
Instructions — (Optional) Enter step-by-step text that is helpful to your users. The instructions can be
up to 2000 characters long and cannot contain any formatting except line breaks.
5. Complete the options associated with the type of widget part you are creating. For example, if you are
creating a Calendar widget to display in a wizard, complete the Calendar options.
6. Select remaining options, which might include GoTo Control (Navigator) and Display Employee
Photos. (Not all Widget Part pages have these options.)
7. Click Save and then click the back arrow to return to the main view.
8. Repeat steps 3 through 6 to create all pages required by your wizard.

Create the wizard flow
After you define a Wizard Parameters page and other pages, you can assemble the wizard. Your wizard
can require users to complete each step in sequence or it can allow them to multitask and complete the
steps in any order. You can also set up the wizard so the steps are displayed as arrow-shaped boxes called
chevrons or as rectangular boxes called tabs.
To set up the wizard flow:
1. In Manage Navigators, select the Widgets tab.
2. Click New or select a widget and click Copy or Edit (or, double-click the name to edit).
Select it from the Name column and click Copy.
To change a widget, double-click the widget name or select it and click Edit.
3. In the Add or Edit Widget space, provide the following information:
Type — Select Wizard.
Name — Enter a unique name for the widget. It can be up to 50 characters long.
Label — (Optional) By default, the widget name displays in the user’s workspace. If you want a
different name to display, enter a label name here. The label is the name displayed in the user’s
navigator.
Description — (Optional) Enter a description. The description can be up to 250 characters long.
Select Widget Parts— Select the required Page widget parts. Drag them to in which they should
appear in the wizard.
Select Related Information — Choose from the list of folders that correspond to the tabs in the
classic user interface and links are listed within each folder.
Note: Although Classic Genies are available in related information, they are not recommended
because they are Java. No navigator native widgets are supported in related information
You must open, or expand, a folder to view the links. Options include:
o To maintain the folder/link hierarchy, hold down the Ctrl key and select a folder and links and move
them to the Selected box. If you select the folder only, no links are moved.
o To enable links without the folder/link hierarchy, select links and move them to the Selected box. To
select multiple links, hold down the Ctrl key.
o To create an empty folder, move a folder to the Selected box. No links are moved.

4. After moving folders and/or links, you can reorder them. A folder must be open to move a link to it.
Example
In the following example, the General folder was moved to the Selected box with three links and the
Timekeeping folder was moved with no links.

To display the contents of the General folder, click the arrow to open the folder:

To move the Reports link (currently in the General folder) to the Timekeeping folder:
Open the Timekeeping folder by clicking the arrow so it is pointing downward.
Click Reports and drag it to the Timekeeping folder.

Enforce Sequential Order — Select to require the user to complete each step in sequential order.
Clear the check box if the steps can be completed in any order. Sequential wizards end with a Done
button, meaning that the sequence is complete. Non-sequential wizards end with a Clear button, which
clears the contents and returns to the beginning of the wizard.
Use chevrons for navigation buttons — Select to display each step with a chevron, typically used to
denote sequential actions. Clear the check box to display the steps as tabs.
Pass Sub-selection — Select to display all levels of information selected in the Related Information
hierarchy. A configured wizard can support sub-selection within pages and be able to pass the context
to additional pages that are outside the wizard parameter pages. Click Save and then click the back
arrow to return to the main view.

For example, a manager uses the wizard that contains the employee summary and the schedule planner.
The manager first brings focus to the wizard, selects several employees and clicks the next step in the
wizard. The next wizard page is then updated based on the selections on the previous page.

When you install Workforce Central, sample wizards for managers are created. You can use these wizards
without changing them, or you can copy, rename, and modify them to create other wizards.

1. Click QuickFind.
a. Select the appropriate employee or employees.
b. Click the Go To icon, then select People Editor.
c. On the Job Assignment tab, expand the Access Profiles page.
d. Note the Display Profiles assigned to the employee or employees.
2. Click Navigator Profile.
a. To create a Navigator Profile, click New. (You can also select an existing navigator and click
Duplicate or Edit.)
b. Enter a name and description for the new profile.
c. Select a navigator and move it to the Selected box.
d. Click Save.
3. Click Display Profile.
a. Select the Display Profile that you identified in the first step of the wizard and click Edit.

Timecard Approval wizard
The Timecard Approval wizard includes the steps that a typical manager might use to approve the
timecards for his or her employees:
1. Select Pay Period — A Wizard Parameters wizard part that lets the manager set the Time Period and
HyperFind.
2. Punch Issues — An Exceptions widget part that displays five columns to let the manager manage
timecard exceptions for:
o Sign Off: Unexcused absence and missed punch exceptions
o Punches: Early in, early out, very early in, late in, late out, very late out, and short shift exceptions
o Breaks: Break out of sequence, bonus applied, long break, long total break, short break, and short
total break exceptions
o Core Hours: Core hours violations

o Excused Absence: Excused absences

3. Timecard — A timecard widget that allows you to resolve exceptions such as missed or late punches.
4. Approve Timecards — A Genies widget part that consists of the Approve Timecard Genies.
5. Group Edit Results for Approvals — A Single Link widget part that consists of the Group Edit
Results page.

Timecard Signoff wizard
The Timecard Signoff wizard includes the steps that a typical manager might use to sign off timecards for
his or her employees, perhaps after completing the Default Timecard Approval wizard.
1. Select Pay Period for Signoff — A Wizard Parameters wizard part that lets the manager set the Time
Period and HyperFind.
2. Signoff Issues — A Single Link widget part that consists of the SignOff Issues Genie
3. Group Edit Results for Signoffs — A Single Link widget part that consists of the Group Edit Results
page.
This wizard also includes Related Information links for Report Favorites.
Tip
To have a user’s favorite reports accessible from within the widget, the user must set up favorite reports.
To do this, you must make the reports accessible to the user as a Single Link or Quick Link widget. The
user can then do the following:
1. From the Reports list, the user selects a report and clicks Create Favorites.
2. In the Favorite Report area, the user gives the report a name, adds remarks, and sets a HyperFind
and/or time period, then clicks Save Favorite.
3. If additional reports are needed, the user repeats step 2.
When the user accesses the wizard, whatever reports he or she marked as favorites are accessible from
the Related Information drop-down list.

When you install Workforce Central v8.1, four preconfigured templates are provided for the following
roles:
l Employee template — Contains a single workspace that includes the widgets typically used by
employees. Users who only have a Workforce Employee license automatically access this template.
l Manager template — Contains the widgets and workspaces typically used by mangers. Users who

only have a Workforce Manager license automatically access this template.


l Manager and Employee template — Contains the widgets and workspaces from the Employee

template and Manager template. Users who have a Workforce Manager license and a Workforce
Employee license automatically access this template.
l System Administrator template — Contains the widgets and workspaces typically used by

administrators. In addition to administrator-specific content, it includes the same widgets and


workspaces as the Manager and Employee template, as well as Manage Navigators. Users who have a
Workforce Manager license and are assigned the SuperAccess function access profile automatically
access this template.
A SuperUser navigator is also preconfigured if you log on as SuperUser.
Users who do not already have a navigator assignment in their Display Profile automatically access one of
these templates based on their license. You can use these assignments to test your navigator content and
people assignments before you roll out the product to people in your organization. Key points include:
l Each of the four templates contain the widgets and workspaces typically used by each license type.
People must have the appropriate access rights to view the included widgets. For example, the
Timestamp widget is included in the Employee template if the employee has Timestamp time entry
access. If the employee does not have Timestamp time entry access, the Timestamp widget does not
appear in that person’s navigator.
l To modify templates, you must copy the preconfigured template, edit the copied navigator, and then
rename it. When you are satisfied with the content, assign it to users in their Display Profile. You can
also make it the new master template.

Configure navigators for


new environments

In a new Workforce Central environment, start with the templates that are automatically assigned based on
licensing. You can copy and modify the copies to test your configuration before you assign the permanent
navigators.

Note: If you do not want navigators to be assigned automatically, you can disable the assignments. Log
on to Workforce Central as an administrator and go to Setup > System Configuration > System
Settings. Click the Global Values tab and change the global.navigator.default.assignment.enabled to
false.

Step 1: Log on to the navigator user interface
In a new installation where no users are yet configured for the system, you need to log on as SuperUser to
start the configuration process. Enter the following in a browser:
http://webserver/wfc/navigator/logon
where webserver is the fully qualified domain name of the Workforce Central web server name, and
wfc is the name of the default instance.
Enter SuperUser as the user name and the appropriate password. If necessary, see your Kronos
Representative for the logon credentials. The SuperUser navigator template opens.

Notice that the navigator displays one workspace called Administration. This workspace is divided into
three sections:
l QuickFind — Used to locate people in the system
l Setup — Used to configure the system
l Related Items pane — Used to store inactive widgets: Assign Navigators wizard, Quick Links,
Workload Planner, and the Security Audit Export.

Step 2: Add people to the system
While logged in as SuperUser, add some people to the system. These people should be representative of
the types of users that your environment requires. At a minimum, add:
l An employee — Must have a Workforce Employee license
l A manager — Must have a Workforce Manager license
l A manager who is also an employee — Must have an Workforce Employee and Workforce Manager
license
l A system administrator with Superuser access — Must have a Workforce Manager license as well
as SuperAccess assigned as the Function Access Profile.
Although you can access many components while logged on as Superuser, Superuser is a system
account and does not have any licenses and cannot access certain components such as Employee Self
Service (for example, My Links and My Information). If you cannot access a component in the system,
you cannot create it in navigator.

Step 4: Modify and test navigators
Important: All system-generated preconfigured widgets, workspaces, and templates are prefixed with
00, for example, 00Employee Template is the system-generated employee template. It is extremely
important that you copy these templates before modifying them. Do not change the names or directly edit
these system-generated widgets, workspaces, and navigators. If you edit them and subsequently assign
them to a user, any changes that you have made will be overwritten when you later apply a service pack.

Decide which components you need in each of the four navigators. Use the templates as a base to create
the navigators that will ultimately be assigned to users in the Navigator Profile inside the Display Profile.
To modify a template:
1. Select Manage Navigators in the Workspace carousel.
2. Click the Navigators tab. Note that the names of the four system-generated templates begin with 00:
One template can be used as a basis to create multiple navigators, for example:
o Two different employee navigators
o Three different manager navigators with different mixes of strategic products

3. Select a template and click Copy.


4. Give the copied template a new name.
5. Modify the navigator as needed.
6. You can use the new navigator that you created by designating it as a Navigator template for automatic
assignment or you can assign it in the Navigator Profile of the Display Profile.
To make the copied template the template that is automatically assigned to employees according to
their license, click the Navigator Template drop-down list, and select the new template.

When finished, test each navigator by logging in as the appropriate user. For example, log on as someone

to Workforce Central as an administrator and go to Setup > System Configuration > System

Step 6: Assign navigators to people
When you are finished testing, you need to permanently assign navigators to people in your organization.
You can do this via an interface or you can use the Assign Navigators wizard.
1. Log on as an administrator.
2. Select Assign Navigators from the Related Links pane. The Assign Navigators wizard contains three
steps: Quick Find > Navigator Profile > Display Profile.
3. From the QuickFind step:
a. Press Enter or press the Find icon to dislay users.
b. Select the appropriate users.
4. Click the Navigator Profile step. View or create the Navigator Profile that you want to be assigned.
5. Click the Display Profile step. View or create the Display Profile that you want to be assigned and add
the Navigator Profile to the Display Profile.
6. From QuickFind, select the appropriate people and click People Editor from the GoTo link.
In the People Editor:
a. Select the Job Assignment tab and then select Access Profiles.
b. In the Display Profile drop-down list, select the appropriate Display Profile.
c. Click Save.
d. Repeat the process for all people selected.

Create Mobile Navigators

You can create Mobile Navigators that define what Mobile users can access from their devices running
Workforce Mobile. You can pick and choose the exact features and functions that your mobile users can
see. For example: you can choose to exclude modules from the Mobile home screen completely; show only
specific accrual totals; and set the default Date Range and HyperFind for different sets of users. You can
even change the icon labels and the order in which the icons display.
Preconfigured mobile navigators are installed and used by default. You can create new mobile navigators
and designate the new ones as the defaults. You can create additional mobile navigators and assign them to
users to control exactly what the user will see when logging into Kronos Mobile.

How a Mobile Navigator is assigned to a user


A Mobile Navigator is created and assigned to a user in the same way as a Desktop Navigator: the
navigator is part of a Navigator Profile that is assigned to a user in the user’s Display Profile.
The Display Profile now has an additional selection to assign a Mobile Navigator Profile.
The selected Mobile Navigator Profile contains the Mobile Navigator.
If a mobile user does not have a Mobile Navigator Profile assigned, the user sees the default navigators.

Steps to setting up and assigning Mobile Navigators


To create and assign Mobile Navigators in Workforce Central:
1. From the Add Workspace tab, select Manage Mobile.
2. For each Mobile workspace you want to create, follow the three steps below.
For example, you may want to create a Mobile Employee Workspace and a different Mobile Manager
Workspace - this would require you to create two Mobile Workspaces, two Mobile Navigators, and
two Navigator Profiles.
a. In Manage Mobile, create a new Mobile workspace containing Mobile Widget Parts and Widgets.
This is where you choose which mobile components to expose, the order in which they appear, and
the icon label text. You can also define the default time period and HyperFind here.
b. Create a new Mobile Navigator that contains the workspace you created in the previous step (a).
c. Create a Navigator Profile that contains the Mobile Navigator you created in the previous step (b).
3. The new Navigator Profile can then be associated with a Display Profile. (Under Navigator Selection,
there is a new selection for Mobile Navigator Profile).

Making Manage Mobile available to users


“Manage Mobile” is an option available in the Workforce Central workspaces carousel for properly
configured users (see the section below).
There is a drop-down item (Mobile Settings) in Manage Navigators > Navigators.
You need to set the drop-down to 00Manage Mobile for a user to be able to access the “Manage Mobile”
item in the Workforce Central workspaces carousel.
This item is already selected in the 00System Administrator Template navigator. For other (non-
administrator) users to access Manage Mobile, those users must have this Mobile Setting selected in their
navigator.

System-generated, preconfigured mobile templates (widgets, widget parts, workspaces, and navigators) are
available and all of these template names are prefixed with 00Mobile.
Note that if you were to set up a Mobile Navigator with the template settings and made no changes, it
would produce the exact Mobile experience you get without Mobile Configuration.

IMPORTANT!

Any component that is prefixed with 00Mobile should not be directly edited. Instead, you need to create a
copy of the item (be it widget part, widget, workspace, or navigator) and then edit the copy when
creating the new Mobile experience.

- Leaving the 00Mobile components intact ensures that you can revert back in the event that your setup is
unsatisfactory.

- The 00Mobile components are templates that are reloaded when you apply a service pack or if you
rerun silver data. Any changes made to the templates will be lost.

Mobile Navigator Templates
Three pre-loaded Mobile Navigators are designated as Mobile Templates. These templates serve as the
default Mobile Navigators; that is, if a mobile user does not have an assigned Mobile Navigator Profile, the
system uses the default mobile navigators for the user’s mobile experience.

Templates
l Mobile Template - The navigator designated as the template named “Mobile Template” is used by a
user that has both employee and manager licenses.
l Mobile Employee Template - The navigator designated as the template named “Mobile Employee
Template” is used by a user that has an employee license only.
l Mobile Manager Template - The navigator designated as the template named “Mobile Manager
Template” is used by a user that has a manager license only.

Default Navigators designated as Templates


Three Mobile Navigators come pre-loaded and assigned as templates. They are:
l 00Mobile Navigator - This is the pre-loaded navigator that is the designated Mobile Template. To see
the widgets contained in this navigator’s workspace, refer to Mobile Workspace on page 103.
l 00Mobile Employee Navigator - This is the pre-loaded navigator that is the designated Mobile

Employee Template. To see the widgets contained in this navigator’s workspace, refer to Mobile
Employee Workspace on page 104.
l 00Mobile Manager Navigator - This is the pre-loaded navigator that is the designated Mobile

Manager Template. To see the widgets contained in this navigator’s workspace, refer to Mobile
Manager Workspace on page 104.
You can set up new Mobile Navigators and designate any of them as Mobile Templates.

Configure and assign Mobile Navigators
The process of configuring the Mobile Navigator is the same as configuring a Desktop Navigator as
described in the Workforce Central Navigator Administrator Guide.
There is, however, one significant difference: Desktop Navigators typically contain multiple workspaces,
but a Mobile Navigator contains only one workspace. This workspace is the home screen that is visible to
your mobile users. You decide which widgets you need in the mobile workspace. You can use the default
system-generated templates as a basis to create the navigator that will ultimately be assigned to users.
All system-generated preconfigured mobile widgets, widget parts, workspaces, and navigators are prefixed
with 00Mobile. Do not change the names or directly edit these system-generated components! If you edit
them and subsequently assign them to a user, any changes that you have made will be overwritten when
you later apply a service pack or rerun silver data.

Note: Use “progressive testing” when creating new navigators. For example, after you copy a
template, test the results before you make additional changes. Once you are assured that the new
structure works as expected, introduce changes and test often. This way, if something is not working as
expected, you can easily revert back.

How to create a Mobile Workspace


1. In the Workforce Central workspace carousel, choose Manage Mobile.
2. In Manage Mobile, choose the Workspaces tab to see the existing Mobile Workspaces.
3. Click New to create a new workspace from scratch or select an existing workspace and click Copy.
4. In Create Workspace, set the details for the new workspace:
Name / Label / Description - choose logical names that will clearly identify this workspace.
o

Time Period - Choose the default time period that will display on the mobile device when using this
o
workspace.
o Show - Choose the default HyperFind that will display when using this workspace.

o Widgets - The Available column initially includes all widgets. Move widgets to the Selected column
to make them Visible Widgets.
o Visible Widgets - You can change to order of the selected widgets here. This will affect the order
in which the widgets display on the mobile device. IMPORTANT! Be aware that the order of
widgets can be affected by Alerts. Any widget that is configured with Alerts will be "at the top" of
the widgets on the device regardless of its place in this order.
5. Click Save. The new Workspace will appear in the list.

How to create a Mobile Navigator


1. In the Workforce Central workspace carousel, choose Manage Mobile.
2. In Manage Mobile, choose the Navigators tab to see the existing Mobile Navigators.
3. Click New to create a new navigator from scratch or select an existing navigator and click Copy.

4. In Create Navigator, set the details for the new navigator:

o Home Workspace - Choose the workspace that will display on the Mobile device when using this

o Navigator Alerts - Choose from the list of Mobile widgets of type = Alerts.

o Mobile Template - Leave this selection empty unless you want this Navigator to be one of the
templates. To make this navigator one of the templates, choose from the drop down.
5. Click Save. The new Navigator will appear in the list.

How to create a Navigator Profile for the Mobile Navigator


1. In the Workforce Central Setup, select Navigator Profiles.
2. Click New to create a new Profile from scratch or check the box on the left side of an existing Profile
and click Duplicate. The Navigator Profiles Editor appears, showing all available navigators (both
desktop navigators and mobile navigators) in the “available” column.
3. Enter a Name and Description for the profile.
4. Choose a single Mobile Navigator and move it to the Selected column.
Note: A Mobile Navigator Profile can only contain a single Mobile Navigator. Do not add additional
Mobile Navigators to a Mobile Navigator Profile.
5. Click Save.
The new Navigator Profile is created. This profile will now be selectable in Display Profiles > Navigator
Selections.

How to assign a Mobile Navigator to a Display Profile


1. In the Workforce Central Setup, select Display Profiles.
2. Click New to create a new Profile from scratch or check the box on the left side of an existing Profile
and click Duplicate.
3. In the Navigator Selection tab, choose a Mobile Navigator Profile from the drop-down.
Note: The Mobile Navigator Profile drop-down contains all Navigator Profiles, even non-Mobile ones.
If you attempt to select a profile that has non-mobile content here, you will not be allowed to Save.
4. Click Save.
The Mobile Navigator is now assigned to this Display Profile. A mobile user with this display profile will
see this Mobile Navigator on his mobile device.

Include Activities in a
Mobile Navigator

Mobile Navigators define what Mobile users can access from their devices running Workforce Mobile
& Workforce Tablet. This is explained in the section Create Mobile Navigators on page 97
You can set up the Mobile Navigator to include Activity Forms that can be accessed from the home screen
of the Workforce Mobile and Kronos Tablet apps. This is accomplished by setting up an Activities Widget
and including the widget in a Mobile Workspace that is part of a Mobile Navigator. The steps are as
follows (step by step procedures are contained in this section as well).
l Set up an Activities widget that contains a set of Activities ("Forms") in a prescribed order.
l Include the Activities Widget in a Mobile workspace. You can define where in the order of widgets the

Activities widget will reside. Note that a Mobile Workspace can only contain a single Activities
widget. The Activities widget can have any number of Activities forms.
l In the Mobile Navigator, select the Mobile workspace that contains the Activities widget.

With this Mobile Navigator, the Mobile user's home screen will include the Activities forms as separate
icons.

IMPORTANT!
There can only be one Activities widget in a Mobile workspace..

How to include Activity Forms in a Mobile Navigator

Creating a Mobile Activities Widget


1. From the Add Workspace /> tab, select Manage Mobile.
2. In Manage Mobile, choose the Widgets tab to see the existing widgets.
3. Click New to create a new widget from scratch (or select an existing widget and click Copy).
4. In the Add Widget editor, set the details for the new widget:
oWidget Type - choose Activities from the drop-down. This will expose the Activity Forms.
o Name / Label / Description - choose logical names that will clearly identify this widget.

o Forms - The Available column includes all available activity forms. Move forms to the Selected
column to make them part of this widget. You can set the display order of activities by dragging the
items in the Selected list.
5. Click Save. The new Widget will appear in the list.

Including an Activities widget in a Mobile Workspace


1. In the Workforce Central workspace carousel, choose Manage Mobile.
2. In Manage Mobile, choose the Workspaces tab to see the existing workspaces.
3. Click New to create a new workspace from scratch (or select an existing workspace and click Copy).
4. In the Create Workspace editor, set the details for the new workspace:
oName / Label / Description - Choose logical names that will clearly identify this workspace.

Configure v8.1.3 Online
Help

Starting with service release v8.1.3, updated online help is included in a zip file on the service release
installation kit. After installing the service pack, you can unzip the v8.1.3 help folder to a system within
your environment or unzip it within the Workforce Central environment and link to it within navigators.
To incorporate the updated help in your navigators, complete the following steps:
1. Extract the help system zip file to help folder within \\Kronos. For example, the v8.1.3 help would
be:
\\Kronos\help\help813
2. Log on to the system as SuperUser.
3. In the Administration workspace, open Setup and expand it to full screen.
4. Navigate to Display Preferences > Display Profile Building Blocks and open Custom URLs.
5. On the Custom URLs page, add a new row and enter the following information:
o Display Label — Enter the name of the URL
o URL — Enter:
http://ServerName/wfcstatic/help/ServicePackHelpName/en/wwhelp.htm
For example:
http://MyMachine/wfcstatic/help/Help813/en/wwhelp.htm
o Select the Display on the top Navigation Bar check box.
6. Click Save.
7. Go back to Setup and select Display Preferences > Display Profile Building Blocks and open
Custom URL Profiles.
a. Select a profile and click Edit.
b. On the Edit Custom URL Profile page, select the URL that you just created from the Available
URLs box and move it to the Selected URLs box.
c. Click Save & Return.
8. Sign out and sign back in again.
9. Open Manage Navigators.
a. Select the Widgets tab.
b. Click New and enter the following information on the Add Widgets page:
c. Widget Type — Select Single Link.
d. Name, Label and Description — Enter information to identify the help system.
e. Primary View — Expand My Links and select the help system.
f. (Optional) Secondary View — Expand My Links and select the help system.
g. Click Save .
10. In Manage Navigators, select the Workspaces tab and then select a workspace.
a. In the Widgets area, select the service pack help from the Available box and move it to the
Selected box.
b. If you want the widget to be visible, add it to the Selected box in the Visible Widgets area.
11. Sign out and sign back in again. The new help system is now visible.

Note: The original v8.1.0 help, which was delivered as a Single Link widget when you installed v8.1,
will still be on the system and you can continue to use it or remove it from navigators. If you roll back the
service release, the v8.1.3 help Single Link widget will remain, but so will the original v8.1.0 help so you
can decide which one to use.

Important: The names of properties files are case-sensitive. Create properties files exactly as shown in
this section, for example, custom_NAVIGATOR_strings.properties.

To help customize your navigators to your company’s specific requirements, you can do the following:
l Add your company's logo on page 114
l Configure the time period selector on page 115
l Change the timeframe name or time period on page 117
l Create custom URLs on page 120
Add your company's logo
By default, navigators display the Kronos logo in the upper left corner. To replace this with your
company’s logo:
1. Ensure that your logo is the following size:
o Width: 151 pixels
o Height: 52 pixels

o Horizontal resolution: 72 dpi

o Vertical resolution: 72 dpi

o Bit depth: 24

o Frame count: 1

2. To change the logo on the home page:


a. From the Workforce Central application server, navigate to:
\Kronos\wfc\applications\navigator\assets
b. Rename the customer_logo.png file, for example, customer_logo-old.png.
c. Add your logo file and rename it to customer_logo.png.
3. To change the logo on the logon page:
a. From the Workforce Central web server, navigate to:
\Kronos\wfc\applications\wpk\html\images\branding
b. Rename the customer_logo.png file, for example, customer_logo-old.png.
4. Refresh your navigator or sign out and log back in again to view the changed logo.

Note: You cannot change the logo in the bottom right corner of the navigator. To replace the Kronos logo
with your company's logo, do the following.

Metrics widgets are limited to 42 days; any custom time period that has more than 42 days is not
displayed
l The custom time period selections are not used by Wizard, Quick Links, Single Links, Accruals
Employee, Staffing, Timestamp, or Call List widgets.
l These dates are in English only.
You can change or delete custom selections or create additional selections.
Refer to this chart for appropriate use of alphanumeric characters and symbols used in the property files:

Change the timeframe name or time period
1. Create custom properties files to specify the name and time frame of time period selections. On your
application server, navigate to:
C:\Kronos\<instance>\applications\navigator\properties
2. To change the name of the time frame, open or create the file: custom_NAVIGATOR_
strings.properties (case-sensitive).
Define the name of the time frame for widgets by adding the following line to custom_
NAVIGATOR_strings.properties file:
com.kronos.wfc.ngui.CUSTOM_PERIOD#.name= x
for example: com.kronos.wfc.ngui.CUSTOM_PERIOD1.name=new_period name.
3. To change the time frame, open or create the file:

strings.properties file. The time periods are configured with a start and end date defined in
days relative to today (today = 0).

file when necessary, you must not change or remove custom time periods after they have been assigned
to widgets and used by your managers.

Create custom URLs
As the person responsible for setting up navigators, you can add custom URLs (also called external links)
to navigators so that users can access your company’s web site or other links outside of the system
environment.

Create the custom URL and assign it to a display profile


1. Access Setup > Display Preferences > Custom URLs.
2. Define a custom URL:
a. Click the add row icon to start a new row.
b. Enter a display label and URL, for example, Kronos for the display label and
http://www.kronos.com for the URL.
c. Select the appropriate check boxes.
d. Click Save.
3. Click the Back to link.
4. Add the URL to a Custom URL Profile:
a. Select Setup > Display Preferences > Custom URL Profiles.
b. Select the appropriate Custom URL Profile and click Edit or click New to create a Custom URL
Profile. If you are creating a new profile, give it a name and description.
c. Move the new URL to the Selected URLs box.
d. Click Save.
5. Click the Back to link.
6. If you created a Custom URL Profile, add it to a Display Profile. If you need to create a Display
Profile, refer to online Help.
a. Select Setup > Display Preferences > Display Profiles.
b. Select the appropriate profile and click Edit.
c. Select the Manager Selections tab.
d. In the Custom URL Profile drop-down list, select the Custom URL Profile you just defined.
e. Click Save.
7. Click the Back to link.

Create a custom URL widget
To create a custom URL widget:
1. Click and drag Manage Navigators to the center of the navigator
2. Select the Widgets tab.
3. Click New.
4. In the Add widget space, provide the following information:
Type — Select Single Link.
Name — Enter a unique name for the custom URL. This name can be up to 50 characters long.
Description — (Optional) Enter a description. The description, which only appears in Manage
Navigators, can be up to 250 characters long.
Links — From the Available box, select the custom URL that you just created and move it to the
Selected box. Note that it is listed as an “external” link.
Show Back to List — If you select this check box, a Back to List link appears in the navigator so the
user can return to the list of Quick Links.
5. Click Save and then click the back arrow to return to the main view.

Add the custom URL widget to a workspace


To add the custom URL link to a workspace:
1. Click the Workspaces tab.
2. Select a workspace and click Edit.
3. Select the custom URL widget that you just created from the Available box and move it to the Selected
box. The order of widgets in the Selected box defines the order of widgets in the workspace. To
change the order, click and drag the widgets in the Selected box to the desired order.
4. Refresh your browser or sign out and log back on to see the display of the URL.

Important: Some external URLs do not work well within frames and can take over your browser. If this
happens, delete the offending URL.

Widget integration

Workforce Central widgets are URL addressable, which means that you can access any Workforce
Central content directly using a URL. These URLs can be embedded into your company's intranet or
employee portal to provide an integrated user experience between your company's systems and Workforce
Central.
Use Widget integration to create URLs that enable users to access a specific widget from a Web page,
portal, or other construct. The integrated user interface presents a consistent, streamlined, and seamless
experience that is personalized to his or her requirements
For example, you could create a web page that contained a list of widgets that your employees frequently
use. Each widget would have an associated URL. When an employee clicks a link, the widget opens in a
full-screen display, without the confines of the workspace. The widget performs in the same way as it does
in the employee workspace.
To access a widget or group of widgets:
l Retrieve a list of widget IDs using a NAVIGATORURLLIST API request.
l A URL that provides a link to specific widgets to be used on a web page or other vehicle
l A Navigator Profile in the user’s Display Profile that contains the workspaces containing the allowed
widgets

Note: You must create a web page or other vehicle that provides access to the URLs that open the
widgets. Each URL contains the ID of one widget that the user can access.

Retrieve a list of widget IDs


During configuration, integration is accomplished through an API that provides a unique, system-generated
widget ID (WiID) for each widget. You must then map the WiIDs to URLs.
To retrieve the list of WiIDs, use the NAVIGATORURLLIST API. The following sample XML shows
the input and a portion of the output.

Create a URL for each widget


The URL for a widget contains the pathname for the widget and the widget ID:

l Only one valid widget ID is supported in each URL.
l Users must have access to the widget in a URL. Otherwise, an error message appears indicating no

builds the widget links must provide a log off link.

Controlling the size of the widget wrapper


To smoothly integrate the widget wrapper with other content on your web page, you can control the size of
the widget wrapper, and the appearance of horizontal and vertical scroll bars in the widget.
To control the size of the widget wrapper:
1. If the file does not already exist, create a custom_navigator.properties file in the
\Kronos\wfc\applications\navigator\properties folder.

2. Add the following entries to the custom_navigator.properties file:
a. com.kronos.wfc.ngui.wi.min.width=1000
This setting controls the width at which the horizontal scroll bars appear. With the sample width of
1000, horizontal scroll bars appear if the browser size is less that 1,000 pixels wide.
b. com.kronos.wfc.ngui.wi.min.height =700
This setting controls the height at which the vertical scroll bars appear. With the sample height of
700, vertical scroll bars appear if the browser size is less that 700 pixels high.
3. Restart the server.
