Impact of Communication technology in office

procedure & automation :-

Definition of communication technology:-

A process to store or deliver information using electronic and graphic means;
Processes include encoding, transmitting, receiving, storing, retrieving and decoding

History:-
 by some definitions, communication technology could have started about five thousand years ago
when the Sumerians invented writing; or perhaps two thousand years ago when the Chinese invented
paper. Soon after learning to write, people invented ways of storing information. Modern
telecommunication started in the early 1800s with the invention of the telegraph and continued with the
first electronic computer in 1946.

Information:-
Communication technology is absolutely an obligatory attribute of any company. But
ask any office staff member not included in information and telecommunication technologies –
a decision, the product uses the company? With your situation of a effective and smooth
procedure of telephony alternatives almost nobody can recommend you this technology. In
situation of problems, much more likely, the answer you obtain with colorful descriptions of
encounters from the use. So let’s distinguish – from that may depend on the superior results of
these decisions. Vogue of recent many years is becoming an active transition from traditional
telephony alternatives to alternatives dependant on IP-telephony. Practical experience tells us
that the business office cell phone system, IP-based telephony really effectively solve the
communication trouble companies. The introduction of IP-based infrastructure that provides
simultaneous and safe transmission of data, voice and video, actually boosts the usefulness of
enterprise processes of any dimension and at the same time reduces the total charge of
ownership of system infrastructure. The choice in favor of a decision is dependent on what key
are the needs for a communication system, and what voice programs and services essential to
solve enterprise concerns the customer. When selecting a platform special interest should be
compensated with your level of IT infrastructure of the corporation is ready to function with a
unique technology. Typically, systems built on IP-based platforms, put ahead greater needs for
quality of SCS (structured cabling), the parameters of the communication channels and
procedures QoS (Quality of Service) info networks. Thus, when selecting a solution should be
to focus on such key parameters as reliability, scalability, flexibility, functionality, the energy to
further modernize the checklist of supported interfaces, protocols and signaling, a checklist of
supported terminals and customer devices. to be certain the effective working of the solution
needs a legitimate method with your design of the system. PBX IP-based machine hardware
symbolize a unique class, therefore, the energy of this gear will depend on its performance. In
favor of IP-telephony is usually attributed, and effective utilization of personal computer
telephony – CTI (Computer Telephony Integration). CTI – a technology that is situated at the
intersection of technologies of communication and personal computer technologies. It features
an completely new options for solving quite a few problems. CTI technology helps you benefit
from personal computer technology (standards, flexibility, compatibility, painless to function
with and recognizable interface, etc.) for your management of traditional cell phone
connections. In addition, CTI technology allows utilizing ordinary cell phone as an extra
product with your computer. one unique of the main positive aspects of CTI – this is absolutely
an open system dependant on it, as the personal computer telephony standards-based CTI
system and therefore very easily changed, modified and extended. You also need to produce the
required solution elements required for just about any decision dependant on IP. These elements
contain a reliable system infrastructure, the chance to implement quality of support (especially
with your critical areas – QoS), ensuring the necessary level of security. if you would prefer to
function with wireless alternatives is usually deployed in wireless WiFi-network, which also has
the energy to support wireless IP-telephony and info transmission. The most widely used
proposals with your market place that meet the above parameters:

• Nortel Communication machine 1000Reshenie for corporations focused on similarly

traditional telephony and at the highly safe and highly reliable IP-telephony.

• Cisco Unified Communication Manager Reshenie to organize a collaborative cell phone

network, IP-based telephony, which can be put into use rather of or as well as traditional PBX,
implementing the notion of unified communications.

• Alcatel Omni PCX Enterprise Reshenie for coordinating sound of traditional telephony and
IP-telephony for substantial enterprises with 20 to 15,000 subscribers and more.

• Alcatel Omni PCX Office Reshenie for coordinating sound of traditional telephony and IP-
telephony for modest and medium-sized enterprises with five to 200 users.

• Nortel enterprise Communications Manager 50Reshenie telephony with ample options for
corporations with in between five to 50 users. with your situation of correct design and building
of telephony alternatives can improve efficiency, especially in businesses with extensive branch
system – the banking sector, insurance and telecommunications companies, etc. These
alternatives will improve the quality of support client calls and allocate the corporation among
competitors present much more favorable terms of service. But, otherwise, the decision will
provide a cell phone “hot spot” on the concerns with which the IT specialists will carry out a
“bitter struggle” with no wish of success.

Therefore, to possess the energy to minimize the likelihood of concerns in

designing and implementing telephony systems should seek the services of experts to enable
you to choose the proper solution and implement a telephony system given the existing
infrastructure development plans of the company, specialized needs and security as well as have
the energy to maintain quality and develop it further. When selecting an integrator is necessary,
first of all, pay interest with your engineering office staff of the company, the availability of
certified experts on products and services of top manufacturers of telecommunications
equipment, and also logistical base, permitting the corporation jobs at any level of complexity.
Professional consultants with your planning and implementation of integrated
telecommunications systems is done design work, which be sure safe and efficient procedure of
the constructed system and optimize the charge of its implementation and subsequent operation.
Technology to improve office communication

Technology is so advanced now that you can do just about anything. If your office is suffering
from lack of communication, then try incorporating technology into the mix. There are tons of
different gadgets and programs that you can use now to communicate throughout the entire
workplace.

If your office doesn't already have it, it should have some sort of wireless internet and be
networked together. Computers that are doing similar things that need to talk to each other
often, should be networked together so that they don't have to scramble around and get things in
a more complicated way. It makes everything run smoother and easier. Plus, the wireless
internet will allow anyone to work wherever they want to in the office. You won't have to pull
out a bunch of cords just for a presentation but can easily do it right from your laptop without
connecting to anything but the projector screen.

You can use Bluetooth to connect to other computers in your office. It allows you to send files
to another computer wirelessly. You don't have to have cords. The only drawback is that you
have to make sure that your computer is Bluetooth enabled. Some desktops don't have
Bluetooth so double check when you are buying one for your office.

Communication is essential in an office. Each person in your office should have their own email
address that they check often. It is a great way to let someone know about something or to ask
them something without having to get up and go talk to them. It is easy and simple.

If you need to know something right away, set up an instant messaging program in your office.
It can also connect to people who are far away either in another office in another town or to
someone who is on a business trip. The instant messaging system is just like email but faster,
they see it right away and can respond in the same place. You can also set up chats and have a
sort of business meeting if you want through a chat room. It is a great way to talk to a bunch of
people or just one other person if you want to.

Pad’s like Blackberry’s are another wonderful thing to have in your office. They allow you to
send emails, instant message, and use Bluetooth all in the same device. You can also make
phone calls with them. They are useful for business trips and for doing work and organizing
your schedule. They help employees who are constantly on the go and need to be connected to
the internet.

It is one of the oldest forms of technology, but phones are still very useful. You can set it up so
everyone in the office has an extension. Everyone should already have a phone, it is an easy
way to tell someone something and is something that you should already have in the office.

Encourage talking on the phone, instant message, or through email so that your employees
know what is going on at all times. Employees need to know about each other and what they are
doing so that people aren't doing things that others are doing and so each person can help others
by sharing the information they have gathered. These different forms of technology help to
encourage office communication and help make it easier for everyone.
Uses of information communication technology?
I suppose the good effects would be increased availability of information, an increase in the
range of methods of communication, a reduction in the price of communication, an increase in
productivity in certain areas, lower costs in distributing or publishing your work, the use of
computers and simulation in areas such as understanding the genome, or researching possible
cures for cancer which may be too complex to do without computer assistance.

Communication techniques:-
This paper covers two of the many distinctions among the different types
of communication techniques used in the business world. Formal letters are the
first type of communication that I have chosen to list as a communication technique
used in the business world. The second technique that I have chosen is emails. This
paper will cover the appropriate time to use each communication in our corporate
world.

Formal letters are the first choice in this paper. I believe that formal letters are used in a variety
of ways. I studied many different types of letters used in businesses and one formal letter that
would be appropriate for the writing of a formal letter would be that of an employee putting in a
notice to ask for a raise. I found that a formal letter would be more efficient for this type of
scenario because a formal letter would be more to the point as long as there are facts to support
the reason that the raise should be given to an individual.

The second of these two communication techniques used in the corporate environment would be
emails. In this age of information, I believe that emails are the most common of communication
used to pass information from one employee, company, or client to another. One scenario that I
came up with that would seem to appropriate this type of communication in the corporate world
is emailing a memo from a main office of a company to another office location within the same
company. There are many other reasons and ways to use emails in the corporate world and
transferring notes from one employee to another seems to be very common. An email seems
that it would only be appropriate in the corporate world as long as the email is concerning the
corporation.

Office Automation :
The term office automation refers to all tools and methods that are applied to office activities
which make it possible to process written, visual, and sound data in a computer-aided manner.

Office automation is intended to provide elements which make it possible to simplify, improve,
and automate the organisation of the activities of a company or a group of people (management
of administrative data, synchronisation of meetings, etc.).

Considering that company organizations require increased communication, today, office

automation is no longer limited to simply capturing handwritten notes. In particular, it also
includes the following activities:

• exchange of information
• management of administrative documents
• handling of numerical data
• meeting planning and management of work schedules
Office Automation is a general term that includes a wide range of applications of computer,
communication and information technologies in office environments. Though automation is in a
continual state of flux, the size of the market is huge, with annual investments measured in
billions of dollars. Automation has altered not only our work environment, but our very concept
of work.

The technology we see today had its start in the 1960s, when 3 clearly identifiable streams of
development became evident. The first was computing, where the earliest applications were
automated payroll and inventory-control systems. Other applications were also limited to the
processing of numerical data. These systems were usually operated only by programmers in the
data-processing division of the organization, who jealously guarded their computers and the
power their knowledge of the computer gave them. Nevertheless, the applications of computers
in organizational settings grew to include more and more kinds of data processing.

The second stream of technological development was in the area of text processing. In the mid-
1970s IBM introduced a product called the MCST - Magnetic Card Selectric Typewriter. This
device had a box crammed with electronic equipment. The operator would insert a specially
coated card the size and shape of a standard IBM punch card into a slot on the top of the box
and would type on the attached typewriter as usual. The card served as a memory device, on
which the text would be written in a code based on magnetized spots. Once it was entered, the
text could be edited and played back, causing a new copy to be typed out on the attached
typewriter. Compared to current word-processing systems, this one was primitive, but it
worked.

While the first 2 streams were centered around the processing of information in the office, the
third, COMMUNICATIONS TECHNOLOGY, focused on the movement of information from
one place to another. A wide range of techniques to achieve this end were introduced, from
telex and facsimile services to services using specially conditioned TELEPHONE lines and
others using sophisticated satellite links between distant points (see SATELLITE
COMMUNICATIONS). The industry today includes several types of coaxial cables, fiber optic
lines, cellular telephones, and packet-switched radio and telephone links.

The most dramatic shift for business in communications technology has been the Internet.
Increasing use of the Internet in the form of e-mail and websites is transforming the work
environment. The Internet has broken down traditional geographic barriers to communication,
opened up markets, and created an environment of almost instantaneous feedback. As the
government policy of convergence makes high-speed Internet the norm, businesses will rely
more and more on the Internet for their communication needs.

When the 3 technologies are incorporated into an office environment, many improvements
become possible, but they are mostly improvements in the speed with which work is done rather
than in the kind of work that is done. Office automation in the 1980s began a new trend - the
integration of previously separate capabilities into single powerful "work stations." Even the
most basic home office today contains, through the use of a single computer, the following
capabilities: word-processing and home publishing abilities; access to information previously
stored on files at other locations, together with the ability to communicate with other stations on
the Net or on other nets; electronic messaging systems, including any combination of text,
graphics and voice, connecting users to others on the same net or, through gateways, to people
on different nets in other places; activity-management systems, including time management,
project planning and scheduling, and electronic calendar capabilities. Information management
systems range from straightforward storage and retrieval systems, where the user does much of
the work of storing and retrieving, to sophisticated natural-language expert systems. These
provide assistance for people who deal with large volumes of diverse types of rapidly changing
information. Decision-support systems incorporate sophisticated programs on large databases
that allow the user to perform complex analyses in a way that improves the speed and quality of
decisions that are made.

Today, we continue to see major developments in several areas. The power of the computers
driving most technology continues to increase exponentially. Not only can computers process
and hold more information, but they also process this information with greater efficiency and
speed. More significantly, computers allow the individual to perform a multitude of tasks
almost simultaneously. For example, on a single computer a worker can be connected to several
websites at the same time, receive e-mail, and work on a number of different files. As well, the
cost of the technology continues to diminish to such an extent that computer literacy in the
workplace is now expected.

The Impact of Office Automation:

The computer is changing the office environment much like the automobile has changed the
city. Effectively integrated office automation systems may result in the restructuring of entire
organizations, with the emergence of new structural configurations and the elimination of
departments or entire divisions. The new information technologies have led to a large reduction
in the size of the average organization's middle ranks. Moreover, the workers who remain are no
longer tied to a centrally located office: telecommuting has become a new trend in the business
world. On the positive side, this trend enables individuals to work from the comfort of home; on
the negative side, this lack of a common office environment may contribute to the erosion of the
city core. The new technologies may also have the potential to strengthen the power of trans-
national corporations in Canada, contributing to the erosion of Canadian autonomy and
displacing many people whose jobs will be automated. In most organizations office automation
has been viewed as a means to computerize old procedures and to make employees more
productive, rather than to make the organization more effective.

There is a rising level of fear of the new technologies and the impact they will have on job
security and on the privacy of the individual (see COMPUTERS AND SOCIETY). There is
also concern that the Canadian ECONOMY will suffer greatly if Canadian organizations do not
develop and adapt to the new technologies. Whether or not Canadian industry will learn to use
information technologies to their advantage in the increasingly competitive world system
remains to be seen. It is safe to say, however, that the technologies will have a significant
impact on the working lives of millions of Canadians in the coming decades.

Office suite tools:

The term "office suite" refers to all software programs which make it possible to meet office
needs. In particular, an office suite therefore includes the following software programs:

• word processing
• a spreadsheet
• a presentation tool
• a database
• a scheduler
The main office suites are:
• AppleWorks
• Corel WordPerfect
• IBM/Lotus SmartSuite
• Microsoft Office
• Sun StarOffice
• OpenOffice (freeware)
