REPORT WRITING

The question requires you to write a report which is a formal account of an event or situation.
The different types of reports are:
 Society/School Report
 Report to the Principal
 Police Report
 Book Report
 News Report

Guidelines in Writing a Report


First, you must know what report you are required to write.
Study the question to understand what type of report is asked for.
Read all the points given.
Organise them in a sequence.
You can add your own points.
Write your report in paragraphs or sections.
Use formal language and expressions.
Sign your report if required to.

A Society/School Report
A society or school report is a formal report of what took place in the society or club in the year.
It is usually an annual report of activities and plans for the following year.
Guidelines and Techniques
First, write down the heading of your society report.
Mention the name of the society in the heading.
Write your report in paragraphs or sections.
Each section can start with a subheading.
Provide all necessary information in your report.
Mention the names of the people involved.
Sign the report at the end of it.
Write down your name and designation.

B Report to the Principal


A report to the principal is a formal account of an incident which happened in school. The
purpose is for the principal to carry out an investigation and take action. The report is addressed
to the school principal.
Guidelines and Techniques
The first part of such a report is as follows:

Subject: __________
Date: ________
Address it to the person receiving it. If it is the principal, write down the name as well.
-On the next line regarding from whom, write down vour name the sender.
-The next two lines are on the subject and date of the report.
-You can write in sections or paragraphs.
-Usually a report is written in the past tense.
-End your report with a clear ending. It can be making an inference or suggestion.
-You have to sign your report on the left-hand side.

C Police Report
A police report is a report made by an eyewitness of an incident that has happened. It is a report
made to the police to help in their investigation. It can be a burglary or robbery or an accident.
Guidelines and Techniques
The report must be written in the format of a police report.
Give all the necessary details as required.
Use the points given.
You can elaborate on the points.
Use simple and clear language.
Give headings for the different sections.
Sign at the end of the report.
You have to write down your name and identity card number.

D News Report
A newspaper report is an account of an incident or event that is of public interest. That means it
should be newsworthy News reports are reported daily by reporters who have been sent to take
down information of the event.
Guidelines and Techniques
Follow the structure of a news report.
Start with a headline for your news report.
In your first line, state the type of event.
Give all the necessary details such as time, place and what happened.
Use direct speech when quoting speeches or witnesses’ reports.
Use the past tense to describe the events.
Refer to witnesses or people by their names and ages.
There is no need to sign the report.

E Book Review/Report
A book report is a review of a book you have read. It should include the title of the book, the
story plot or synopsis and themes of the book. The review can include comments about the
characters and your response to the book.
Guidelines and Techniques
Use the format of a book review or report.
First, write the title of the book.
Then, write the name of the author.
Then, write a short synopsis of the book.
Mention the names of the main characters.
Highlight the exciting events of the story.
Comment about the themes and values portrayed in the book.
Give your response towards the book and support it with arguments.

Discovery Week - Pulau Redang By Science Society

For Discovery Week by Science Society this year, 125 students and 6 teachers went to Pulau
Redang. The activities included fishing, snorkelling, diving, playing rugby and volleyball,
badminton on the beach and just sitting back and relaxing to the sound of the waves.
We arrived at the resort at noon. After lunch, we were sent to our designated chalets. We had a
quick bath and gathered outside for a lesson on how to make the rods for line fishing. A good
many of us learnt that the secret to catching something is the quality of bait. The squids we were
given proved particularly effective.

Fishing is a tough job. There were a ridiculous number of knots to be tied and it was all so
complicated. We could smell the salty odour of the waves as the resdess tide continuously
pounded on our ankles. Slowly but surely, we made our way to the water front and swung our
rods out to the sea. The calm weather was very welcoming as we patiendy stood, waiting! The
first one came after a long wait. We all dropped our rods into the water. While waiting, we also
learnt that patience really is a virtue,especially when it comes to fishing. The fishing activity
and relaxation time among teachers and friends were much appreciated by all, especially after
finishing our final exams. The variety of activities provided ensured that we were never bored.
Each one of us tried different activities and we made many new friends from different year
groups.

We were lucky to see some beautiful coral and some amazing marine life.
As we say goodbye to the island resort, we would also like to say goodbye to some friends at the
end of another academic year. Thanks also to the teachers for helping us have such a fun
Discovery Week. Without a doubt, going to Pulau Redang was a worthwhile trip. It was full of
fun, adventure and self-discovery.

The event started at 1.30 p.m. with speeches from the outgoing President, Steve Lim. He thanked his
committee for their assistance in making 2011 a successful year. This was followed by performances by
our very own talented Cerians as well as interesting slide shows about global warming throughout the
event.
At 3.30 p.m., the new committee board of the Interact Club of Sri Ceriah, Kuala Lumpur was installed.
Puan Aminah gave a speech of encouraging words and reminded the new committee of the club motto
‘Service Above Self’.
The new committee board members took their oath and expressed gratitude to be given the opportunity
to serve as members of the Interact Board Committee.

Challenge Trophy for Best Club Service Award


In conjunction with the installation of the new committee, District Governor AP Ravi graced the special
award ceremony. He presented the Interact Club of Sri Ceriah Kuala Lumpur the Challenge Trophy for
Best Club Service Award for 2010- 2011.
Many representatives from the Interact Club of neighbouring schools as well as ex-Cherians were present
to support thisauspicious occasion.
In his address, District Governor AP Ravi gave a speech which he re-enforced the benefits of the Interact
where members learn the importance of developing skills, demonstrating helpfulness and respect for
others advancing international understanding and goodwill.

It was a bright Sunday morning on 22 April 2012 when 20 members of the Social Society set out
by school bus to Taman Cheras for a good cause: to visit the orphans in Rumah Sayang. The
Teacher-Advisors who accompanied these caring students were Jenny Ling and John Khoo.
The school bus arrived at the venue at about 10 a.m. The Matron, Mrs Edwards, was there to
welcome us. The orphans had lined up in the hall waiting for us. The welcome we received from
them was very warm and touching.
We started off with an ice-breaking session. Then, we taught them how to make paper cranes
which were stuffed into a lovely glass bottle. It was a lot of fun especially towards the end. As for
performances, we witnessed one the orphans, June, dancing to a hip-hop song and 7-year-old
Barry sang a Japanese song.
The children were really adorable. There was a little boy named Rick, who stuck to June and
liked sitting on her lap. There were other volunteers there on that day too. There was one group
of people who gave them haircut?. Another group of volunteers gave them tuition lesson?.
The trip ended with a lot of hugs, goodbyes and a huge group picture. Overall, it was a great and
enjoyable experience and I think some of us are already thinking of visiting them again soon.

Science Workshop — Know Your Both'
A workshop related to the science topic ‘Know Your Body' was held on 18 May 2012. The
science workshop was anexperience of a lifetime. In fact, it was a bucketful of fun. It made us
understand how precious our body is and how we must take care of it to live a healthy and happy life.
The workshop participants were divided into 4 groups consisting of eight members each. We
were assigned to accomplish two activities. They were:
1. Body Mapping
The students in this group were instructed to trace one of their group member’s body onto joined sheets of
brown paper. From there, they drew the external body The other group drew an internal body map. They
made it scientific and educational by labelling the sketch. Both groups exhibited good skills.
The facilitator, Mr Choo, made jokes while they did the drawings.
2. Role-playing
After the body mapping, Mr Choo gave the third and fourth groups a specific topic and instructed them to
compose a role-play on that topic. Some of the suggested topics were:
(i) AIDS — the definition and prevention of HIV/ AIDS
(ii) Effects of a healthy diet on our body
(iii) How boys and girls change during puberty
(iv) Plastic surgery
(v) Heart Diseases

First, each group was given a topic and guidelines to prepare an activity in twenty minutes. Then, the
groups had to present their activity in ten minutes to the rest of the students. Their performances were
informative and interesting. After each performance, a short explanation was given by Mr Choo. This was
to increase our knowledge and understanding.
On the whole, the time that we spent at the workshop was educational and entertaining.
The attendees were kept actively involved. Everyone agreed that it was a great workshop indeed.

Launch of Recycling Campaign
From 6-9 July 2012, SMK Danau organised a recycling campaign for the residents of the
neighbouring housing estates. The main objective of this campaign was to create awareness
among the residents on the importance of recycling. In addition, we also aimed to inform the
public about our school recycling project and collection centre in our school.
The launching ceremony was held in the school hall on 6 July. Attendees and visitors started
coming in at 5.00 p.m. and registered at the entrance of the school hall. When everyone was
present, the recycling campaign began at 5.30 p.m.
Our programme started with the opening speech by Mr David Tan, Chairman of KRT Danau. It
was followed with a speech by our school principal, Mr Tang Ah Phong.
According to Mr Tan, the amount of garbage in our country had increased to about 15 tonnes per
day. After the speech, he launched our Recycling Campaign. This was followed by a talk by the
Enforcement Officer from the Town Council using a Power Point presentation. He told us the
reasons why we should recycle and also listed the items that can be recycled and those that
cannot.
Later, our school teacher, Puan Faridah, and Head Prefect, Sean Ong, gave a short briefing
about our school recycling activities. The ceremony ended with light refreshments of tea and
sandwiches sponsored by KRT Danau at about 7.00 p.m.

punching each other’s faces. The girls who were seated nearby got scared and started screaming.

I tried to stop them fighting. Meanwhile, the class monitor of Form Four Alpha, Lee Meng
Meng, ran to call the Disciplinary Teacher. The teacher, Encik Ahmad, came in and warned the

One of the boys, Fred, was hurt in his head. It was bleeding profusely. Encik Ahmad helped
him to his car to take him to the clinic. Kenny borrowed a book and got out of the library. The
Chief Librarian, Lily Soo, requested the students to be quiet and continue their reading.

How the accident occurred

along the busy street and could not stop when the traffic light turned red. The driver
applied the emergency brake but still hit me. I was hit on my left leg and left arm.
Injuries
I fell on the road. My left leg and arm were badly injured by the fall I was bleeding and I
could not stand properly. The driver did not get down from his car. Instead, he quickly
drove off. A kind couple in a van stopped and drove me to the hospital where I was
treated for my injuries.

is a Chinese man in his 20s.
Driver’s fault
The driver was to be blamed for the accident. I appreciate that he be traced by the

Flood Causes Loss of RM5m
Klang, Mon: Continuous heavy rain during a rainstorm the whole of Saturday night
caused flash floods yesterday morning. This resulted in a loss of over RM5m by six
factories in the new Bayang Industrial area.
The loss was due to damage to machinery and products of the factories. The floodwater
was at its highest at 5 a.m.
Manian Subra, 52, owner of Subb Rubber factory estimated his loss to be RM800 000.
He added, “All my machines and stock of rubber are damaged. Some of our rubber
products which have yet to be packed and delivered are damaged too. It’s going to take
my company a long time to recover from these losses.”
All the six factories are located next to monsoon drains. The flood was aggravated by
the overflowing of the clogged monsoon drains.
This prompted a spokesman from the Town Council to say, “We will clear all the clogged
drains to prevent future flooding. There are also plans to widen and deepen the rivers in
the neighbouring towns and villages.”The town council officers visited Bayang Industrial
area after the floodwater had subsided.
Meanwhile, the factories have been closed for repair. One of the factory owners, Tan Ah
Seng, 41, said, “We are seeking the Trade Ministry’s assistance. Besides the huge losses,
we need to incur heavy expenses on repair and stocking up of goods again.” Tan is the
owner of GGC Garment Products.

Residents Cry ‘Water Please’
Petaling Jaya, Mon: Occupants of about 400 houses in Section 12 are crying out for
their water woes to be solved.
They claim that they have been facing water problems for over a year, with the problem
becoming worse in the past three months. In fact, the situation has reached
an intolerable level.
One of the residents, Sam Ding, 38, said, “The residents here can’t take anymore of this
water problem. We’ve been complaining about no water every day for one year. The
situation now is getting really unbearable. We’re going crazy.”
His wife, Amy Ding, 34, added, “This is a case of enough is enough. How long more can
we take this? “
A resident staying in Jade Towers, Sarimah Ali, 40, echoes the same frustration. “We
always suffer water cuts in the morning. We might be cooking or showering or washing.
Then the water supply is suddenly cut off without warning. And we are without a drop of
water.”
Most of the residents complained that for the past three months, the water supply would
stop early in the morning and onlyresume in the afternoon. When reconnected, the
water pressure was very low.
The Water Board officers were not available for comment when contacted. Meanwhile,
the residents will be making visits to the Water Board headquarters to request for
immediate attention to their water problem.

Parking rates to increase by 50% to 80% from May 1


Malacca, Fri: The Town Council just announced a 50% to 80% increase in parking
rates effective May 1. However, he stressed that only long-term rates are affected, the
hourly rates will remain the same.
The long-term rates include daily, monthly and special lots. A spokesman, Raman
Said, 41, from the Town Council said, “This is the first increase since the introduction of
the coupon parking system in the town in the late 1990s. The increase is needed to cover
the increasing costs which the Town Council has to bear to provide infrastructure and
enforcement.”
He added, “We have received approval from the state government to raise parking rates
last year but decided to enforce it only this year. These are the new rates. For the daily
coupon, it will be RM2.50 (previously RM2), monthly rate RM65 (previously RM50)
and special parking lots RM120 (previously RM90). The hourly parking rate remains at
50 sen an hour.”
His assistant, Annuar Mas, 45, said that the hourly parking rate is still very cheap. He
added, “We hope the people will cooperate with us regarding the parking fee hike. The
good part is the Town Council will be able to deliver better services.”
The people are warned that the Town Council would be going all out to nab and
book offenders for parking on illegal parking lots to avoid paying. Fines will be
imposed for such offences, some as high as RM300.

Baby-for-sale Syndicate Crushed
Kuantan, Thurs: The police have successfully carried out investigation and arrest of a
baby-for-sale syndicate. The syndicate has been carrying out their baby sale business
for a year. First, they smuggled teenaged girls from villages in the country as well as
from outside the country for the purpose of bearing babies. The newlv-borns are then
sold to couples who are eager to adopt babies.
Activities of the syndicate were exposed when 15 young pregnant women and babies
were discovered in an old building in Kampung Hamdan. The babies are aged between
four days and one year old.
Inspector Karim, Officer-in-charge of the operations, said, “Five months ago, we set up a
special task force to carry out investigations on the syndicate. I am happv to say we
have been successful in what we set out to do. We have seized 50 babies already. The
babies are to be handed over to their new parents. It is believed that a male baby would
fetch up to RN125 000 and a female baby RM15 000.
He also said that the babies had been sent to hospital for a medical examination. They
would be handed over to the Ministry of Welfare later.
The Welfare Officer, Peggy Soon, advised couples who had adopted babies in the last
two years to contact the police to find out the status of their babies.
She added, “These people must approach proper authorities
for advice. My advice to those intending to adopt babies is to
be exercise caution.”
