PARTS OF BUSINESS LETTER

1. Letterhead
Most professional business letters include a letterhead which is
comprised of your name, address, phone number, and email
address.
2. Date
The date should be the day on which you completed the letter,
written in standard U.S. format (eg. October 28, 2017). It should
be written underneath the letterhead, or underneath the
address on the top left of the page.

3. Address
Write the recipient’s company name, address and zip code.
Include a job title if appropriate on the top left side underneath
the date.

4. The Greeting
Also called the salutation. The type of salutation depends on
your relationship with the recipient. It normally begins with the
word "Dear" and always includes the person's last name.

5. The Body Paragraphs

The body is where you explain why you’re writing. It’s the main
part of the business letter. Make sure the receiver knows who
you are and why you are writing.

6. The Complimentary Close

This short, polite closing ends always with a comma. It is either


at the left margin or its left edge is in the center, depending on
the Business Letter Style that you use. It begins at the same
column the heading does. Here are some examples:

 Sincerely,
 Sincerely yours,
 Respectfully yours,
 Cordially,
 Best wishes,

7. Signature and Writer’s identification


The signature is the last part of the letter. You should sign your
first and last names. The signature line may include a second
line for a title, if appropriate. The signature should start directly
above the first letter of the signature line in the space between
the close and the signature line.

8. Initials, Enclosures, Copies

Initials are to be included if someone other than the writer types


the letter. If you include other material in the letter, put
'Enclosure', 'Enc.', or ' Encs. ', as appropriate, two lines below
the last entry. Include a cc: if you are sending copies of the
letter to someone else.

1. Pengertian Letter (Surat)

‘A letter is a written message from one party to another containing information’


maksudnya Letter/ Surat adalah pesan tertulis dari salah satu pihak lain yang mengandung
informasi. Fungsinya mencakup lima hal: sarana pemberitahuan, permintaan, buah pikiran,
dan gagasan; alat bukti tertulis; alat pengingat; bukti historis; dan pedoman kerja.

Kinds of Letters :

1. Appeal Letter (also called a fundraising letter)

A form of sales letter (see #6), the appeal letter is written to persuade the reader to give a
financial gift to a worthy cause.

2. Business Letter

A business letter is a broad term for many kinds of correspondence used in conducting
business. It is sent from one party to another – whether from a company, organization,
customer, or individual – to another. The content may vary, ranging from requesting
information, providing information, requesting action, making an announcement, placing an
order, offering or terminating employment, confirming a sale or agreement, lodging a
complaint, or offering an apology. The style of letter varies, depending on its purpose, the
sender, and the recipient.

3. Cover Letter

A cover letter accompanies other documents - resume, application, or information packet -

4. Letter of Inquiry

A letter of inquiry (LOI) is regularly requested by foundations or government agencies prior


to submitting a complete grant application. The LOI provides an overview of the complete
grant application, allowing you outline the potential project, cost estimates, and projected
outcome.

5. Query Letter

A query letter is a proposal, sent to a publisher, agent, or editor from a writer, suggesting a
potential writing project.

6. Sales Letter

The grandaddy of appeal letters, this type of correspondence is written to persuade the reader
to buy a product or service. Sales letters can be short (a brief email or one printed page) or
quite long (an entire web site or several pages or even a packet in print.)
7. Thank You Letter

Of the various kinds of letters, thank letter is often shorter than others. Its sole purpose is to
express gratitude to the reader (whether an individual, organization, or company). Thank you
letters can be formal as when printed on letterhead or informal when handwritten on a note
card.

Writing letters – and writing them well – is a mainstay in daily communication, both in your
professional life and your personal life.

 Universality. You needn’t have special devices to send a letter (other than paper and pen) or
receive one (other than an address.)

Formal or Informal: Which Should You Choose for Your Letter?

A letter is written correspondence from one person or organization to another. It can take a
formal approach or an informal approach. To decide which style is appropriate for your letter,
identify your audience and the point of your letter.

Medium: How to Send Your Letter

You have three options: you can send a printed letter, an email, or a handwritten note. The
medium you choose for your letter follows the degree of formality.

Basic Letter Writing Format: Four Standard Layouts

A letter writing format is a standard layout – a widely-accepted way to organize a letter.


Business letters (including cover letters, appeal letters, acceptance letters, and resignation
letters) follow one of four basic formats.
Block Format

In this layout, set all parts of the letter flush against the left margin of the page: your contact
information, date, addressee information, greeting, letter body, closing, handwritten
signature, typed signature, and post script. Place a space in between each paragraph of the
body.

Modified Block Format (also called Semi-Block Format)

In the modified block format, heading and closing elements of the letter are indented to the
right side of the page: your contact information and the date at the top of the letter and the
letter closing, the handwritten signature, and typed signature at the end of the letter.

How far should you indent? Technically, that’s up to you. A favorite guideline is to indent to
the center of the page. You may choose to indent even further. Whatever you choose, keep in
mind these indentation rules:

 Indent so that heading and closing elements line up


 Don’t indent so far that individual elements of the content require more than one line
 Indent so that the letter’s format looks neat and presentable

Other parts of the letter are aligned to the left side of the page: addressee information, the
greeting, the letter body, and the post script. Place a space in between each paragraph of the
body.

Indented Format

In the indented format (as in the modified block layout) the heading and closing elements are
indented to the right half of the page, lining up evenly with one another: your contact
information, the date, the closing, signature, and typed signature. Other elements are aligned
flush to the left.

In addition, the first line of each paragraph of the letter body is indented.

Memorandum Format

This format is appropriate for memos and office correspondence. Letter heading elements are
placed flush left, labeled and followed by a colon, like this:

Date: insert the letter date


To: insert the addressee’s name. If there is more than one addressee is to receive the letter,
list recipients in alphabetical order.
From: insert your name and title, if appropriate.
Re: or Subject: insert the topic or purpose of the letter.

The letter body follows the heading elements. A memorandum letter writing format does not
require a closing, handwritten signature, typed signature, or postscript.

Types of Letter

Letter is an important symbol of human civilization. It has been used as a media of


exchanging information from the primitive age. Letter can be categorized into different types
based on formalities maintained, information contained, purpose of use etc. A comprehensive
classification of letter is shown below-
A detailed description of the above mentioned letters is given below successively-

 Formal Letter: The letter which is written according to the formal rules and
regulations of an organization is called formal letter. This type of letter always
maintains the formalities of the office strictly. Institutional and business letter fall in
this category.
 Informal or Personal Letter: The letter which does not follow any formal rule and
contains personal information is known as informal or personal letter. This type of
letter is written to relatives and friends for exchanging news or feelings or to seek
favors. The basis of writing personal letter is personal relationship.
 Business Letter: The letter which contains commercial information and is written
among business people is called business letter or commercial letter. Business letters
are formal, structured and non-personal. Commercial letter contains information
relating to trade inquiry, circular, order, complaint, claims, adjustment, collection
relating to trade inquiry, circular, order, complaint, claims, adjustment, collection etc.
 Official Letter: When letter is written containing the official information like rules,
regulations, facts and figures, activities, system, procedure etc. it is called official
letter. In other word, when a letter is written following the official decorum, it is
known as official letter. Officials use this type of letter to send official message to
other branches and offices. Official letter strictly follows the prescribed rules,
regulations, structure and style of the office.
 Social Letter: Letter that is written on any social occasion or purpose is called social
letter. Invitation letters for different programs, thanks letter, condolence letter,
congratulation letter etc. fall in the category of social letter. It is actually one kind of
personal letter.
 Report Letter: Letter that is prepared in the form of report or investigation and is
sent to the person, who has assigned it, is called report letter. In real sense, it is a short
report in the form of letter. The letter sent to the sales manager by the sales man on
every day’s sales volume in an example of report letter.
 Notice Letter: Notice letter is a letter that is sent to a person notifying or informing
him about any special topic.
 Circular Letter: A letter that circulates or announces the same information or
message to a large number of people at a time is called a circular letter or a circular.
Announce of new product, change of business address, retirement or admission of
partner etc. requires circulating the certain message. For this purpose circular letter is
written.
 Order Letter: When the quotation of the seller satisfies the queries of the prospective
buyer, he places order through an order letter. So, after granting the quotation, the
letter which the buyer writes to the supplier or seller, requesting him to deliver the
prescribed amount of goods is called an order letter.
 Complaint Letter: However efficient an organization may be in running a business,
everything does not go all the time according to plan. There will be some mistakes
and some accidents. Letters written to bring these mistakes to the notice of those who
must own the responsibility for them are called claim or complaint letters.
 Employment Letter: Letters which are written in case of employment are considered
as employment letter. Job application letter, appointment letter, joining letter,
promotion letter etc are examples of employment letters.

Beyond the above mentioned categories there are some other letters also such as bank letter,
public letter, level letter, increment letter, permission letter etc.

Personal Letter (Surat Pribadi)

Personal letter atau surat pribadi adalah surat yang berisi masalah atau kepentingan pribadi
seseorang. Umumnya personal letter akan menggunakan bahasa yang informal. Dalam
membuat surat pribadi kita bisa memperhatikan bagian – bagian surat pribadi berikut ini :

Heading : Umumnya berisi tanggal surat dan alamat pengirim.

Greeting : Sapaan bagi si penerima surat, biasa dikenal juga dengan istilah “salutation”,
misalnya “Dear Kiki”

Body : Isi surat yang menceritakan kepentingan pribadi orang tersebut.

Closing : Berisi salam penutup dari pengirim bagi penerima surat.

Signature and Name : Bagian tanda tangan dan nama pengirim juga bisa kita tambahkan
kedalam sebuah surat pribadi atau Personal Letter.

Social letter atau surat social adalah surat yang dibuat saat seseorang atau sebuah instansi
ingin mempererat hubungan antara keduanya. Dengan kata lain, social letter bertujuan untuk
mempererat hubungan antar individu atau instansi baik dalam kerjasama maupun silaturahmi
atau hubungan masyarakat. Jenis surat ini dapat juga dipakai antar kerabat atau teman dekat,
dan meskipun bersifat santai dan cenderung informal, namun dalam penulisannya masih
memperhatikan penggunaan tanda baca yang tepat.

Business Letter (Surat Bisnis)

Business Letter atau surat bisnis adalah surat yang digunakan dalam kegiatan – kegiatan yang
berhubungan dengan bisnis atau pekerjaan. Biasanya surat ini berfungsi sebagai media
