ProjectLibre is an open source, freely available project management


software system intended ultimately as a standalone replacement for
Microsoft Project.

Starting Up ProjectLibre
Select the Windows Flag bottom left corner of your screen.

Scroll to the right and locate ProjectLibre Application Icon and
Right Click and select pin to task bar. Either from the task bar
or Program Menu Click ProjectLibre Application Icon.

After Startup complete the ProjectLibre desktop looks like this.

The Tip of the Day Splash Screen provides two options Close and
Next Tip. Each tip provides useful advice on the functionality
or how-to for ProjectLibre.
Select the Close button.
The Welcome to ProjectLibre splash screen is displayed
providing two options:
Create Project
Open Project

Create a Project
Select the Create Project option shown on the Welcome to
ProjectLibre startup splash screen.
After clicking on ‘Create Project’ the New Project Dialog is
displayed.
To create a project requires some basic project details as seen
in the screen below.

You will need to enter the following information about your
project:
 at Project Name: type Bespoke Publications – Operation Re-Birth
 at Manager: type Your Name
 at Start Date: select the option list handle to use calendar
object or type the date using the entry mask of dd/mm/yy –
enter 22/05/17
 at Notes: type I can do this with no problems using
ProjectLibre!

Forward Scheduled: If ‘Forward Scheduled‘ is checked, then the
project’s end date changes according to the task finish dates
you enter. If ‘Forward Scheduled’ is unchecked, then you
indicate the project’s finish date/deadline. This means that
the project has a mandatory, non-negotiable, end date. And for
good reason, you may be managing a project involving a
scheduled event at a hotel.

Adding Tasks
After you enter your project details the ProjectLibre desktop
should be displayed like below.

You are now ready to create your first task.
As seen in the table above, type in the appropriate field, the
task’s ‘Name‘, ‘Duration‘ and ‘Start‘ – the finish date is then
calculated automatically.
Review Project Schedule Network Diagram that you previously
produced.
Identify the Project Milestones and Phases for the project:
 Project Name
 Fixed Completion Date if known
 Identify New Premises
 Report Selection of New Premises
 Prepare New Premises
 GO/No GO
 Up-Lift from Old Premises

 Set Down in New Premises

Select the Name field and type: Operation Rebirth


Press the TAB key
ProjectLibre will automatically calculate the Duration of 1 day.
ProjectLibre will automatically apply the Start Date entered in
the Create Project Entry From
ProjectLibre will automatically calculate the Finish Date based
on the calculated Duration and Start Date.

Select the Name field on the next row and type: Identify New
Premises
Press the TAB key
Select the Name field on the next row and type: Report ID New
Premises
Press the TAB key
Select the Name field on the next row and type: Prepare New
Premises

Go/No-Go
Press the TAB key

When the Indent option is applied the all selected entries now
have been configured as child tasks to Operation Rebirth as
illustrated below.

Saving a Project
Periodically throughout it is recommended that you save your
project.

Select the File Application Menu

Public Holidays during the period the will affect Project

 Bespoke Publications is closed during 22 December 2017 until 2
January 2018.
 Bespoke Publications does not normally trade outside of normal
trading hours (ie. Weekends and Public Holidays)
 Enterprise Environmental Factors (Lease Agreement) with
current tenancy expires Midday 5 February 2018. Lease
Agreement requires written 90 days’ notice of Occupancy
Intentions. Lease Agreement requires where the expiry date
falls on a public holiday, the Lessee is required to provide
vacant possession of the accommodation on the last working day
prior to the public holiday. Target vacation date by no later
than 2 February 2018.
 A further requirement to report if no suitable replacement
tenancy has been identified by Tenancy-6 months. Target
report date by no later than 4 August 2017
 A reporting requirement for the project includes issue of
go/no-go not less than 7 days prior to uplift. Target report
date by not later than 15 January 2018.
 Being the reporting requirements are points in time they have
been identified as project milestones both of which have
dependencies and are predecessors.

Project Calendar
The Project Calendar can be configured to use:
 Standard
 Night Shift
 24 Hour Working
The default calendar for projects is standard.
Setting the Project Base Calendar
To update the calendar setting go to File on the Program Menu,
then select the option Information.
The Project Information form will be displayed like below:

Selecting the Base Calendar option list handle will expose the
options available, highlight the applicable choice then select
Close to write the entry.

Change the Working Calendar


Should a requirement exist to have a Working Calendar that is
Project specific, then it is recommended that then an instance
of the Standard Calendar is copied and the copy is updated to
reflect the Project specific data.
In this example a copy of the Standard Calendar will be taken
and then the Gazetted Public Holidays, known block leave
periods for the project will be applied, then the calendar will
be applied to the Project.
To create a Project Specific Calendar setting go to File on the
Program Menu, then select the option Calendar. The Change
Working Calendar Form will be displayed as illustrated below:

From the Change Working Calendar Entry Form choose New.


The New Base Calendar dialog box will be displayed.
At the Name input field type: Operation Re-Birth.
Select Make a copy of the Calendar option and ensure Standard is
selected in the option list as displayed.

Focus is then reset the Change Work Calendar with the New
Calendar Operation Rebirth selected for configuration as
displayed.
Navigating around Changing Working Calendar
Changing Calendar Control View
The Calendar is advanced or retarded using the controls as
displayed. Retarding the Calendar Control using the Left Arrow
and advancing using the Right Arrow. The home control returns
the Calendar Control to the current date.

Setting Schedule Model Durations

Duration settings may be applied to the calendar through


selecting Options; settings include:
 Hours per day
 Hours per week
 Days per month
Values are changed by advancing or retarding the increment
control or typing the value required then selecting OK to apply
the settings.
The Duration settings is only applied to Schedule Model.

Setting Working Time


To apply Standard Working hours to Normal Working Days, on the
Calendar Control select the Start Date of the project in this
case 21 May 2017. Advance the Working Calendar to the
forecast conclusion period and engage the SHIFT Key and Select
the End Date in this case 30 June 2018. Note the borders
surrounding each highlighted date in the period May/June 2018
compare to the period July/August 2018.
Select the Use Default Option then Select OK

Setting Non-Working Time


To apply Non-Working Time (ie. Public Holidays / Leave) to the
Schedule Model, select the required date or date range. In
this case the Public Holiday (see Table 1.) in the Project
Schedule Date Range is 5 June 2017.
Select Non-Working Time Option
Select OK
As the date / date range is configured the Working Calendar
will highlight the Non-Working Dates in Red as displayed.

Repeat the process for the remaining Public Holidays listed in


Table 1. When all Non-Working time is applied the Working
Calendar will look similar to displayed.

Applying Updated Project Base Calendar


Once the Working Calendar for Operation Re-Birth has been
configured it must be applied to the project.
 From the Application File Menu Select the Information Option
 Open Base Calendar Option List and Select Operation Re-Birth
Option
Applying Phase Durations
According to the Project Charter and other Enterprise
Environment Factors plus Organisational Process Assets the
following is confirmed.

As Relocation Go-NoGo and New Tenancy Report are milestones these


are updated in similar process.

ticked)
Select Deadline: Set date to 4 August 2017

Applying Task Dependencies


Task have to be linked to apply Task Dependencies.

Adding Resources
The first task is to assemble a list of project resources that
are known to be required. Table 3. List of Primary Resources –
Project – Operation Re-Birth, provides a summary list.

Grouping Resources
In this example the resources will be grouped in like activities.
Select the Row ID 15, engage CTRL and then Row ID 16, select the
Indent Option from the Resource Menu.
Select the Row ID 13, engage CTRL and then Row ID 12, select the
Indent Option from the Resource Menu.
Select the Row ID 10, engage CTRL and then Row ID 9, 8, and 7,
select the Indent Option from the Resource Menu.
Select the Row ID 14, engage CTRL and then Row ID 11, 6, and 2,
select the Indent Option from the Resource Menu.

Configuring Resources
Resource configuration data needs now to be applied using the
data in Table 3: List of Primary Resources – Project – Operation
Re-Birth
Select Row ID 3 for Project Sponsor and select the Resource
Application Menu Information Option
General Settings
At the General Tab update as follows:
Initials: PS
E-mail Address: project.sponsor@bespoke.com.au
Group: Project Management
RBS: 1.1.1
Base Calendar: Select Operation Re-Birth from the Option List
Once updated the Resource Information Entry Form for Project
Sponsor at the General Tab will as displayed in Figure 32:

Costs Settings
Select the Costs Tab. Each Resource is able to be configured
for five (5) cost rates. Default Costs are recorded under Tab
A.
Update the Standard Rate to read $150 p/h
Leave Overtime Rate and Cost Per Use set to $0.00.
Select the Accrue At: option Prorated
Once updated the Resource Information Entry Form for Project
Sponsor at the Costs Tab will as displayed in Figure 33:

Resource Availability Settings


Select the Resource Availability Tab.
Update the Max Units to read 10% in accordance with Table 3:
List of Primary Resources – Project – Operation Re-Birth
Once updated the Resource Information Entry Form for Project
Sponsor at the Costs Tab will as displayed in Figure 34:

Using the processes described in Adding Tasks, create the child


tasks of Electrical, Painting and ICT under the Primary Task of
Prepare New Premises.
Right Click on Row ID 5 and select NEW
In the Name Cell of the new row type Electrical
Right Click on Row ID 6 and select NEW
In the Name Cell of the new row type Painting
Right Click on Row ID 7 and select NEW
In the Name Cell of the new row type Security
Right Click on Row ID 8 and select NEW
In the Name Cell of the new row type ICT
ProjectLibre will display Project Resources in Network Diagram

Select the Application Task Menu


Select Row ID 8, engage SHIFT and select Row ID 5 then select
Indent Option
The Work Activities of Electrical, Painting, Security, and ICT
have now been applied as Child Activities of Prepare New
Premises.
Applying Task Information
To complete the process the child activities for Electrical,
Painting, Security and ICT now need to be applied.
Using details in Table 4: Prepare New Premises Activity takeup
Child tasks for Electrical, Painting, Security and ICT.
Take up is performed as previous outlined in 9. Creating Child
Activities/Tasks.
Right Click on Row ID 6 and select NEW

Select Actual Finish: set the date using the calendar object
ProjectLibre will update the Actual Duration and Percent Complete
