expectations. Instant Transport Solution Pvt. Ltd. is founded in 2004 by Rajbir Singh Chaudhary, an
ISO 9001:2015 (QMS) Certified. The Company had a humble beginning from a small venture with 2
trucks. The hard work, determination and endeavors of the founding fathers came to fruition enabling
INSTANT to become the most trusted names in the express transportation segment and further
transform into a leading express transport solutions provider company in India having a fleet of 500+
containerized trucks.

Drawbacks of the present system –


 Tracking is not integrated with the GPS system

There are GPS system for every truck, but due to the reason that the system is not linked with
the ERP system, there are cases of misrouting of the trucks which lead to extra cost.

 Payment history of the client is not displayed properly

The amount receivables and the amount payables of the clients are not displayed properly.
Because of this there can be issues with delays of the payments and receivables

 Maintenance cost tracking

The maintenance of the vehicles, tyre management and service of the vehicles are not tracked
in the present system.
 Safe driving record

Some companies ask for safe transportation. By the present system the speed of the vehicles
cannot be monitored on the real-time basis. Due to which the tracking of the condition of the
driver and the speed of the vehicle is very difficult

 Vehicle loading-unloading time tracking

In the present system, the loading and unloading time for the vehicles cannot be tracked. As
shown in the Exhibit 1, the Loading and unloading time is assumed to be 24 hours.

Factors to be considered before investing in software solution:


 Compatibility: Integration and compatibility between the current systems in use and the new
system needs to be considered to ensure smooth functioning and efficient data transfer between
the systems. The new system should not reduce the performance of the systems in use.
 Functionality: Efficiency of the system in providing the solution as per requirements. Setup
time required, additional features required for current ad future usage and the extra effort
required for handling the systems also needs to be considered.
 Price/Cost: The price of the new system as compared to the current system in relation to the
benefits being provided by the new system to be implemented. This factor depends on the
relative importance of the investment to the problems being addressed.
 Infrastructural Resources Requirements: The current resources used and additional resources
that would be required to use the software solution effectively. The utility of current
infrastructural resources like machines, space etc. needs to be looked upon.
 Human Resource capability: The technical capability of the human resources needs
consideration to understand the requirement of training to be given for usage of the software
solution.
 Security: The system would be handling all the data of the company which can be sensitive in
nature for the company, hence the system should be encrypted to provide data protection.
 Scalability and Flexibility: Flexibility of the new system for improvements and adjustments in
the future according to changes in technology.
New Trends –
Big data, the Internet of Things (IoT) and advanced analytics is transforming the way we live our lives
and conduct our businesses today. However, the logistics industry, though laden with immense
transformative potential from technology, has been a largely unorganised sector abound with several
problems – poor turnaround times, low reliability due to missed or delayed deliveries, shortage of truck
drivers and much more.

Following are some of the key supply chain related challenges –

Solutions –

Integrating of GPS and ERP software

It is mentioned in the case that the existing vehicles’ GPS data has not been utilized for real
time tracking of vehicles. Also, the data from different touch points like driver performance
data, cash receivables data, tire management data, and maintenance costs.

We propose to introduce an integrated ERP software that will receive inputs like processed
vehicles’ GPS data and other data related to payments and maintenance costs. The GPS on the
vehicles will be connected through an IoT framework and would help in real time tracking of
vehicles. The ERP software shall be customized to cater to our specific needs. For example,
the company is in dire need for a real time tracking system. The ERP software will come to
the rescue, as it will have a dashboard to see real time tracking of vehicles. In addition, the
integrated ERP software would provide dashboards for payments tracking, driver performance
tracking, and for tracking maintenance costs.

 The dashboard for real time tracking of vehicles will display location data of different
delivery vehicles and would help in mobilizing resources for on-time delivery of
vehicles to destinations. Further, FASTag will be provided on each vehicle to aid in real
time tracking of vehicles. The use of FASTags will also help to reduce the toll charges.
 The dashboard for payments will help in tracking payments from different customers
and help the company to use their leverage effectively and speedup payments from
them. This will help in improving the accounts receivables and, in turn, increase the
working capital with the company.
 Tracking of drivers’ performance has been an impending issue for the company. The
dashboard for driver performance tracking would help to track the performance of each
driver and would help to plan compensation and incentives for drivers. The
performance tracking would also help to determine working hours of drivers and, in
turn, help to determine overutilization and underutilization of drivers.
 Maintenance cost dashboard would help to keep a track of different cost related to tire
management (as there is no existing way to track the usage pattern of tires), fuel costs,
maintenance charges, etc.
Leveraging IoT:
The company can restructuring its supply chain management systems to distribute the supplies
evenly across the value chain and improve the speed to market using IoT. Now, majority of
companies use IoT in supply chain management, real time product tracking, warehouse and
distribution management, ambience control (heating, lighting), and also for customized
promotions. With the Internet of Things (IoT), we now have smart thermostats, appliances that
connect to the Internet, and a whole host of other physical objects that are online and
communicating with each other.

As a business organization looking for scaling retail operations and creating an integrated supply
chain, we want to leverage the following features of IoT in supply chain:

Tracking of Product –
Real-time monitoring and accurate tracking of the supply throughout the product life cycle using
location based services (Geofencing, telematics) is bound to help us to ensure timely and quality
delivery of services and improve customer satisfaction.

They have installed a pool of sensors in their vehicles like GPS sensor, Temperature sens or, Fuel
sensor etc. These sensors send multiple data signals every minute about the state of vehicles.
They process, store and analyse this data continuously to ensure proper functioning of systems
on the road.

As we can see in screenshots attached below, due to the GPS sensor they can track the exact
location of vehicles at any given time.

Apart from this whenever clients issue request of vehicle in any part of country then due to these
sensors, they can identify which vehicle is nearer to client warehouse location and without any
delay they planned vehicle in quickest time possible and also save extra fuel cost.
With the help of new dashboard we can prevent human intervention and can achieve real time tracking
system by vehicle number, client type, trip status, placement date, starting /End hub.
We can built a full proof IoT system to detect fuel theft, solving one of the most rampant problems
in the logistics industry. Similarly, managing the correct temperature in temperature -sensitive
shipments is very critical. Difference of a few degrees in temperature s ettings might change the
taste of Apple, or in case of pharmaceuticals it may render the medicine ineffective. How do we
then make our IoT systems intelligent enough that every product and consignment has their
respective temperature and reefer system properly set up? How do we correct manual errors and
create an easy way of making temperature change possible and reducing error impact time? The
answer is in building a two-way temperature control system for reefer trucks.
With Integration of GPS to ERP system , we can get real time tracking system and can eliminate
human intervention by getting payment history of clients, maintenance cost ,safe driving record
with just one click dashboard and we also suggest to implement FASTAG for all vehicles to solve
cash issues associated with hub supervisors for daily to daily operations.
