Hotel  Information  System    
A.   Project  Description  
o   Project  Title  :  Hotel  Information  System  
o   Project  Purpose  :  To  facilitate  guest  reservation,  room  
management,  billing  information  and  provide  information  to  
different  user  group  to  manage  hotel  
o   Project  Description  :  
Hotel  Information  system  will  help  hotel  management  to  manage  
hotel  reservation,  room  management,  and  billing  management  
more  efficiently.  Guest  can  make  reservation  through  online  
application  system  and  hotel  staff  (receptionist,  restaurant  staff,  
house  keeper  and  hotel  manager)  can  monitor  room  usage,  billing  
information  and  accounting.  
Several  facilities  that  can  be  used  by  guest,  such  as  :

§   list  rooms  
§   rooms  types  
§   rooms  facilities  
§   room  services

o   User  Specifications:  Usage  by  User  group  
§   Guest  
§   Guest  can  make  a  reservation  using  Online  Web  
Application  
§   Guest  can  make  a  reservation  using  Call  Center  
§   Guest  search  room  types  and  enter  his/her  
information  (Name,  ID  Number,  Address,  Phone  
Number)  
§   Guest  entry  how  long  he/she  will  stay  
§   Receptions  
§   Receptionist  receives  reservation  information  from  
guest  and  insert  guest  information  (Name,  ID  
Number,  Address,  Phone  Number),  Room  Types  and  
how  long  he/she  will  stay  into  the  system  
application.  
§   Receptionist  accepts  guest    check-­‐‑in  by  searching  for  
guest  information  on  the  application  system  and  
mark    the  room  for  use.  
§   restaurant  staff  
§   Restaurant  staff  receive  meal  order  by  phone  from  
guest  and  insert  room  number,  list  order  and  total  
bill  into  the  system  application.  
§   Restaurant  staff  receive  meal  order  in  restaurant  
and  insert  room  number,  list  order  and  total  bill  into  
the  system  application.  
§   house  keeper  
§   House  keeper  receive  laundry  order  by  phone  from  
guest  and  insert  room  number,  laundry  list  and  total  
bill  into  the  system  application  
 
C.   Bussiness  Requirements:  Bussiness  Rules  
o   Guest  Reservation  
§   Guest  have  to  insert/give  their  ID  number,  Address,  Phone  
Number,  and  credit  card/debit  card  to  make  a  reservation    
§   Guest  have  to  book  room(s),  including  room  types  and  how  
many  rooms,  either  using  the  application  system  or  by  
phone  call  to  receptionist.  
o   FrontDesk  Confirmation  
o   Receptionist  can  checked-­‐‑in  guest  using  booking  
information  and  assign  room  to  the  guest  through  
application  system  
o   Initial  deposit  has  to  payed  by  guest  using  open  credit  card  
or  cash  deposit  
o   Ordering  Room  Service  
o   Guest  can  order  Laundry  service  from  house  keeping  ,  
house  keeper  will  entry  guest  room  number  and  total  
laundry  billing  including  total  clothing  pieces  
o   Guest  can  order  Meal  service  from  restaurant  and  deliver  it  
to  Guest  Room,  restaurant  staff  will  entry  guest  menu  order  
and  assign  to  guest  room  number  billing  
o   Breakfast/Lunch/Dinner  at  Restaurant  
o   Restaurant  staff  will  record  every  guest  who  take  breakfast  
meal  at  (06  –  10),  bill  charge  will  depend  on  guest  room  
packages,  wether  it  is  free  of  charge  or  not.  
o   Restauran  staff  will  record  every  guest  who  take  lunch  meal  
at  Lunch  (11    –  14)  time.  Restaurant  staff  entry  menu  order  
and  issued  billing  information.  
o   Restauran  staff  will  record  evert  guest  who  take  lunch  meal    
at  Dinner  (18  –  23)  time.  Restaurant  staff  entry  menu  order  
and  issued  billing  information  
o   Issued  billing  information  can  be  payed  directly  by  guest  or  
it  can  billed  to  room  number.  
o   Room  Facilites  
o   Phone  Usage  will  be  monitored  by  pbx  system  and  checked  
by  application  system  when  guest  want  to  leave  the  hotel.  
Phone  usage  bill  will  added  to  guest  room  number.  
o   Mini  Bar  used  by  guest  will  be  monitored  every  day  or  
whenever  guest  want  to  leave  the  hotel,  and  billed  to  guest  
room  number  
o   TV  Show  /  PPV  usage  will  be  monitored  by  TV  System  and  
billed  to  guest  room  number  
o   Internet  usage  will  be  monitored  by  internet  billing  
application  and  billed  to  the  hotel  application  system
