INFORMATION MANAGEMENT PROPOSAL

Proposed Title: A Proposed Computerized Library Management System for San

Roque, Markina DEPED Library utilizing Barcode and Local Area Network (LAN)

based Technology.

Area of Investigation:

San Roque, Markina DEPED library system was established last year

2018 and are still using that system until now. However, we noticed that there are

still some room for improvement such as system security, user’s management

and different forms validations. This project “Upgrade of Computerized Library

Management System” is targeted towards the management of a modern library.

Proper management and audit books is possible through an easy to use interface

for the library staff.

Throughout the project the focus has been on presenting information and

comments in an easy and intelligible manner. The project is targeted to be useful

for both the library staff and also the borrowers. Modern techniques like

automatic data entry helpers and barcode scanners are used to minimize errors

in the system.

The purpose of this project is to enhance the existing system into a more

manageable library system as well as to facilitate staff or librarian in doing their

work effectively. This will give an opportunity to librarians to reduce mistakes that

always happen during the existing system. And also it will help us to better

understanding of the importance of a computerized library management system.

The proposed system will consist of the following modules:

Users Management

In this module, it will manage three types of users: the administrator,

staff/librarian and the visitor/borrowers. The administrator has the full access in

the system such utilizing the library system and administrating the different types

of users. While the staff/librarian is limited to data entry of books, registering and

monitoring of visitor/borrowers and the borrowed books. Furthermore, they

should have a valid username and password created by the administrator in

order to use the library system. Lastly, the visitor/borrowers should register first

to have an account for all the transactions inside the library. The system will get

necessary information such as name, address, birthdate, contact number, email

address and other information. After registering, the system will auto-generate an

identification number for the visitor/borrower, so that the next time he/she visit the

library, the visitor/borrower will only sign in his/her identification number for the

purpose of monitoring the visitors and all the transactions that will made inside

the library.

Book Management

The book management module will involve maintaining the database for

entering new books and inventorying the other books. When entering new books,

it will validate all the necessary information and check if it is already existing in

the database to avoid duplication of data. Additionally, the librarian and will be

able to search books by their title, author, subject category, as well as the

publication date. Each book will have a unique identification number and other

details including a rack number which will help to physically locate the book and

also the system will be able to read barcodes from books.

Barcode Generator

The barcode generator module will provide the system to create unique

codes in each book that will be encode in the system. This code will be attached

on books for easy retrieving of information.

Transaction Section Management

The transaction section management module will manage the lending and

returning of books. The system will be able to retrieve information like who took a

particular book or what are the books checked-out by a specific library member.

Specifically, the librarian will input the borrower’s identification number and the

system will automatically retrieve all the necessary information of the borrowers

and save it in another table of the database for monitoring the transactions.

Additionally, in this module, the system will also check the list of the books that

had been borrowed by the borrowers. If there is a book that has not been yet

returned on its due date/time by the borrowers, it will automatically detect and

give an alert message to the librarian. Lastly, the barcode reader can also be

used in this module.

Report Generation

In this module, several reports in different formats will be prepared and

submitted to the respective authorities. This reports will also serve as the backup

file of their database. The administrator and staff/librarian would be able to find

out the history, current borrowing, lost or damaged books and the summary of all

the transactions that has been made in the library system.

Help

This module will help the user and provide a nice tutorial about the system

or manuals, frequently asked questions (FAQs) and the rules and regulations of

the library system.

Software Development Tools to be used:

The proponents will use Microsoft Visual Studio Community 2019 to

create the interface design of the system and will use Visual Basic.Net as the

main programming language together with Microsoft Access 2016 that will serve

as the database. The proponents choose the Microsoft Visual studio and VB.net

because of the ease of use, drag and drop features of objects, and support

object-oriented programming that will make the system more efficient and lessen

the development period. While Microsoft Access is compatible to the said IDE

and programming language to be used by the proponents and also support

Structured Query Language (SQL) which is portable, well defined standards,

multiple data views and interactive language for communicating with the

database.
