Ellipse EAM Screen Personalisation


Ellipse EAM Screen Personalisation provides details of the processes and activities that are
available to personalise application screens to best suit your organisation. Details on managing
your personalised screens are also available.

Personalising Screens in Ellipse EAM


Ellipse EAM gives you the option to personalise application screens to best suit your
organisation.
Application screens can be personalised to display items that are most likely to be used, such as
adding fields, hiding fields, renaming fields, moving field groups and tabs, therefore making it
easier to quickly carry out tasks.
You can carry out the following personalisations:
 Add fields to an existing field group or tab
 Rename field groups
 Hide fields within a screen
 Delete fields, field groups or tabs
 Rename field labels
 Provide default values for fields
 Develop drop-down lists for input fields
 Re-order fields within a screen
MSECSD - Personalisations is used to manage personalisations. For more information, refer to
Maintaining Personalisations.
Note: Initial personalisation occurs at a user level, but can be changed using MSECSD.
If you have permissions to personalise a screen, the personalisation applies to you only. No
other user can view or access the personalised screen unless the System Administrator applies
the personalisation to users at district or system level.

Personalisation Screen - Toolbars and Fields


Personalised Screen Indicator
This icon displays in the top, right of an application screen and
indicates that the screen has been personalised.

Personalise a Screen
To personalise a screen:
1. Access the application to be personalised.
2. Select the ellipsis in the application toolbar and select Open Personalisation.
Ellipse EAM displays a screen preview on the left and the screen layout to the right of the
screen.

Screen Preview
Displays a screen preview of the application to be personalised.

Note: This is a display screen only, no data can be entered into the screen preview.

Screen Layout
The screen layout panel displays a tree structure containing all the components that make up
the application (such as, fields, field groups and tabs).

Note: Functions, Actions and Dialog Boxes are not included in the screen layout components.

Personalisation Screen Toolbar


The Personalisation toobar displays at the top of the Screen Layout panel and provides the
following functions:

Saves the personalisation.

Previews the personalisations in the screen representation on the left


of the screen.

Reverts to the original screen or the last saved personalisation (if one
exists).

Deletes the personalisation for the screen. The screen reverts to the
default screen layout.

Tree Structure
All available components (fields) associated with the application display in the tree structure.
This includes fields that are hidden from screen view. For example, fields which display only if a
specific module is installed or are set in the district and system controls.
Form displays at the top of the tree structure and represents the screen in its entirety. The
Form can be expanded to view all its associated components.
By selecting a component in the tree structure, the corresponding component in the screen
preview to the left of the screen is outlined.
On selection of a component in the tree structure, the properties of the component display in
the field settings to the right of the screen layout.

Field Group Settings


If the component can be personalised, an Add Custom Attribute button displays at the top of
the panel. Select the button to display the Add Custom Attribute dialog. The Add Custom dialog
allows you to add available attributes to the selected component as fields, and to change the
name of the field group.

Note: Only fields that are correctly defined as attributes in MSEATT can added to the field
group.

Field Settings
The properties that display in the field settings vary according to:
 the field selected
 the property types that are set up for the field
 whether the screen is a search or detail screen

Note: Only fields have properties.

The example below displays the properties for the Equipment Number input field in an update
screen.

The following fields display in the Field Settings:

Field Label The label of the field, field group or tab.

Mark Field Mandatory Select this check box to switch the field to mandatory or optional
when performing a search or creating/updating a record.

Hide Field Select this check box to hide the field.

Disable on Update Disable the selected field when the screen is in update mode.

Disable on Create Disable the selected field when the screen is in create mode.

Initial Value The default display of information in a field can be from either:
 An initial value provided as part of personalisation
 The default from a service call (this overrules the
personalised initial value if entered).

List Values List Values displays where:


 A field has a drop-down that displays a static list of values.
 The field is a input field (plain text field). A list of values can
be added to this text field.
 For more information, refer to Create List Values for Fields.

Move Component Positions


Use this activity to move the position of a component. This activity can be used if you want to
rearrange the order of components that display in the screen.
The following components can be moved:
 Fields
 Field Groups
 Tabs
Note: Columns within a grid cannot moved as part of Personalisation. Grid Settings are used
for this purpose. For more information, refer to Grid Features.

Activity Steps
1. From the application to be personalised,select the ellipsis in the application toolbar and
select Open Personalisation.
2. Expand the components in the tree structure until the required component displays.
3. Drag and drop the component to the required position.
A blue line indicates the position where the component will be dropped. The component is
highlighted yellow once the move is complete.

Note: If you are moving a field group or a tab, all the components belonging to the group or
tab are moved.

4. Select Submit to save the personalisation.

General - Modify Field Groups


There are multiple options when modifying field group properties.
You can:
 Rename a field group
 Add fields to a field group
Activity Steps
1. From the application to be personalised,select the ellipsis in the application toolbar and
select Open Personalisation.
2. Expand the components in the tree structure.
To rename a field group in an application:
1. Select the component to rename.
The properties of the component display in Field Settings.
2. Enter the new name for the component in Field Label.
3. Select Submit to save the personalisation.
The screen is updated to reflect the change.

To add a field:
1. Select the field group.
The properties of the component display in Field Settings.
2. Select Add Custom Attribute.
The Add Custom Attribute dialog displays.
3. Enter data in the following fields
Entity
Attribute
4. Click OK.
5. Select Submit to save the personalisation.

Modify Field Properties


There are multiple options when modifying field (component) properties.
You can:
 Rename a field
 Mark a field as mandatory
 Hide a field
 Disable the field on update (detail screen only)
 Disable the field on create (detail screen only)
 Add an initial (default) value for the field
 Add list values to a field (where available)
 Hide field list values (where available)
Activity Steps
1. From the application to be personalised,select the ellipsis in the application toolbar and
select Open Personalisation.
2. Expand the components in the tree structure.
To rename a field in an application:
1. Select the component to rename.
The properties of the component display in Field Settings.
2. Enter the new name for the component in Field Label.
3. Select Submit to save the personalisation.
The screen is updated to reflect the change.

To mark a field as mandatory:


1. Select the component to mark as mandatory.
The properties of the component display in Field Settings.
2. Select the Mark Field Mandatory check box or clear the check box to mark the field as
optional.
3. Select Submit to save the personalisation.
To hide a field:
1. Select the component to hide from the application screen.
The properties of the component display in Field Settings.
2. Select the Hide Field check box or clear the check box to make the component visible.
3. Select Submit to save the personalisation.
To disable a field on update:
1. Select the component to to disable from the update application screen.
The properties of the component display in Field Settings.
2. Select the Disable on Update check box or clear the check box to enable the component.
To disable a field on create:
1. Select the component to disable from the create application screen.
The properties of the component display in Field Settings.
2. Select the Disable on Create check box or clear the check box to enable the component.
3. Select Submit to save the personalisation.

To add an initial value for a field:


1. Select the component to set an initial value.
The properties of the component display in Field Settings.
2. Enter a value in the Initial Value field.
This value will display as default when the application is accessed.

Note: A default from a service call overrides the personalised initial value.
3. Select Submit to save the personalisation.
To add/show or hide list of values:
Refer to Personalisation Screen Layout »Field Settings.

Create List Values for Fields


List values can be added to fields without drop-downs. When a field is selected in the
personalisation screen layout tree structure, if a list can be added, the properties displays a List
Values. If list values cannot be added to the field, the List Values table is disabled.
List values display where:
 A field has a drop-down that displays a static list of values.
Personalisation allows you to show/hide any of the static values.

Note: New values cannot be added to the list.


 The field is a input field (plain text field). A list of values that are useful to you can be added
to this text field.
Note: The field character lengths differ depending on the characters set for the field.

On Preview or Submit, the field displays a drop-drop down with your specified values.

To show or hide a value:


1. Select the tick (show) or cross (hide) beside the value.

To add a list of values to a field:


1. Select the required field in the tree structure.
The properties for the field display in the Field Settings panel.
2. Enter a value in the text field beside the Add to List button.
3. Select Add to List.
The entered values display in the List of Values table.

4. Select Submit to save the personalisation.


Delete list value:
1. From the list values table, select Delete beside the value to remove.
2. Select Submit to save the personalisation.

Maintaining Personalisations
The MSECSD - Personalisation screen is used to manage your personalised screens.

Change the scope of a personalised screen
Personalised applications can be applied to all users at a system, district, position, global
profile or user (individual) level. These levels are referred to as Scope. The following is the order
of hierarchy for the scopes.
 User - The specified user sees the personalised screen as their default screen.
 District - Users logged into this district see the personalised screen as their default screen.
 System - Users using this system see the personalised screen as their default screen and
the original screen cannot be accessed by anyone other than the System Administrator.
 Position - Users logged in to this position see the personalised screen as their default
screen.
 Global Profile - Users belonging to this security global profile see the personalised screen as
their default screen.
Name a personalised screen
Personalised screens can be given a custom name so they can be easily identified. For example,
if you have multiple personalisations of a specific screen, the screens can be given a single
custom name so all users can readily identify the screen.

Note: When personalising related search and detail screens, ensure the screens refer to the
same MSE as part of the custom name.

Activate or deactivate a personalised screen


The personalised screen can be set to active or inactive. If the personalised screen is set to
active, the user group within the scope of the personalised application sees this screen as their
default screen. If it is set to inactive, the original screen is seen when it is accessed using
MSECSD.

Delete personalised screens


Personalised screens can be deleted if they are no longer used.

Upgrade personalised screens


When a new Ellipse EAM patch or release is deployed, if the application screen definitions have
changed, the personalisation may need to be upgraded to pick up changes from the patch or
release.

Export personalised screen definitions


Personalised screen definitions can be exported to a .JSON file. This exported file can be used to
import personalisations to another instance.

Import Personalised screen definitions


Previously exported .JSON files can be imported.

Copy existing personalised screens


A personalised screen can be copied to create a new screen similar to the existing screen. This
can be used to save time and avoid reapplying all personalisations.

Business Rules
The following business rules govern this process:
 The MSECSD - Personalisation screen can only be accessed and managed by the System
Administrator or an employee who has been given security access to manage
personalisations.

Copy a Personalised Screen


Use this activity to create a new personalised screen by copying an existing personalised
screen.

Note: This activity can only be carried out by the System Administrator or an employee who has
been given security access to manage personalisations.

Activity Steps
1. From MSECSD - Search Personalisation search results, select the required check box beside
the application name.
2. Select the Copy from the grid actions.
3. From the Copy dialog box, enter data in following fields:
Custom Name
Scope Type
Scope Value
Active
4. Click OK.
The copy is saved and displays when you perform a new search.

Name an Existing Personalised Screen


Use this activity to name an existing personalised screen.

Note: This activity can only be carried out by the System Administrator or an employee who has
been given security access to manage personalisations.

Activity Steps
1. From MSECSD - Search Personalisation search results, select the required check box beside
the application name.
2. Select Name Personalisation.
3. From the Name Personalisation dialog box, enter a Custom Name.
4. Click OK.

Modify Personalisation Scope Details


Use this activity to modify the Scope Type (User, District, System) or Scope Value (District or
User) for a personalised screen.

Note: This activity can only be carried out by the System Administrator or an employee who has
been given security access to manage personalisations.

Activity Steps
1. From MSECSD - Search Personalisation search results, select the required check box beside
the application name.
2. Select Change Scope.
3. From the Change Scope dialog box, modify the following fields:
Scope Type
Note: If System is selected, no scope value is required.
Scope Value
4. Click OK.

Activate or Deactivate a Personalised Screen


Use this activity to set a personalised screen to active or inactive.
You can activate or deactivate single or multiple personalised screens at any time.

Note: This activity can only be carried out by the System Administrator or an employee who has
been given security access to manage personalisations.

Activity Steps
1. From MSECSD - Search Personalisation search results, select the required check box beside
the application name.
2. Select Set Active.
3. From the Set Active dialog box, select or clear the Active Flag check box.
4. Click OK.

Delete a Personalised Screen


Use this activity to delete an existing personalised screen.

Note: This activity can only be carried out by the System Administrator or an employee who has
been given security access to manage personalisations.

Activity Steps
1. From MSECSD - Search Personalisation search results, select the required check box beside
the application name.
2. Click Delete.
A message displays prompting you to confirm the deletion.
3. Click Confirm.

Upgrade a Personalised Screen


Use this activity to upgrade an application for personalisation.
When a new Ellipse EAM patch or release is deployed, if the application screen definitions have
changed, the personalisation may need to be upgraded to pick up changes from the patch or
release. The upgrade action provides a mechanism to initiate an update so that the
personalised application has the latest fixes.

Note: Under some circumstances, it may not be possible to upgrade the application and it may
be necessary to manually upgrade the personalisation.

Activity Steps
1. From MSECSD - Search Personalisation search results, select the required check boxes
beside the application names.
Note: Applications which are upgradeable are checked in the Is Upgradeable column in the
grid.
2. Select Upgrade.
If the conditions are met, the applications are upgraded.

Use this activity to upgrade all available applications for personalisation.

Export Personalised Screen Definitions


Use this activity to export personalised screen definitions to a .JSON file. You can use this
exported file to import those personalisations to another instance using the Import
Personalised Screen Definitions activity.

Activity Steps
1. From MSECSD - Search Personalisation search results, select the required check boxes in the
grid.
2. Select Export.
The personalisations are downloaded as a .JSON file.
This file can be used to import those personalisations to another instance.

Import Personalised Screen Definitions


Use this activity to import Personalised Screen Definitions.
You can import selected personalisations exported from another instance.

Note: When importing screen definitions, the current system must have the same conditions as
the old system from where the definition was exported. This includes the same Ellipse EAM
version and custom attributes of the services as exported using MSEATT.

Activity Steps
1. From MSECSD - Search Personalisation, select Import.
2. Browse for the .JSON file previously exported using the Export Personalised Screen
Definitions activity.
3. Click OK.
The screen must be refreshed to see the imported screen definitions.

Maintaining Custom Attributes


The MSECAT - Custom Attribute Types screen is used to manage your customer-defined
attributes which can be types or service attributes. These attribute types, for example string,
boolean, list and so on which are relate to specific screen fields.
You can also create and maintain attributes for a service using MSEATT - Service Custom
Attributes.

Notes:
• Custom attributes definitions cannot be added to a personalised screen, although an existing
personalised screen with custom attributes will work from earlier versions that have been
upgraded.
• If custom attribute values have been assigned against data on an Ellipse EAM entity, the
custom attribute definition cannot be modified or deleted (values may become invalid), this
includes data that has been carried through from an earlier version or a different environment.

The standard functions available for managing custom attribute types include searching or
reviewing, creating, updating, and deleting.

Create Custom Attribute Type


Use this activity to create a new customer-defined attribute type for use when personalising a
screen.

Activity Steps
1. From MSECAT - Search Custom Attribute Types, select New.
2. From MSECAT - Create Custom Attribute Types, enter data in the following fields:
Name
Label
Data Type
3. Select Add to create a new grid row.
4. Perform one of the following steps:
a. If the Data Type is Integer/Decimal, enter data in the following additional fields:
Start Value
End Value
b. If the Data Type is Decimal, enter data in the additional field:
Scale
c. If the Data Type is String, enter data in the additional field:
Field Length
d. If the Data Type is List, a List Values tab displays.
1. Select Add.
2. Enter data in the following fields:
Sequence
Code
Description
5. Select Add in the Categories tab to add a custom category to the attribute type. This is
used to group an attribute type with other related attribute types.
6. Enter data in the Category Name field.
7. Select Add in the Validation tab to add a literal value to a customer-defined attribute type
for validation purposes.

Literal
Service Field (related to the Literal)
8. Click Submit..
The attribute type is added as a customer-defined type.

Update Custom Attribute Type


Use this activity to modify a customer-defined attribute type.

Activity Steps
1. From MSECAT - Search Custom Attribute Types search results, select the required item.
2. From MSECAT - Update Custom Attribute Types, modify custom attribute details as
required.
3. Click Submit.
The update is complete.

Delete Custom Attribute Type


Use this activity to delete a customer defined attribute type.

Note: The attribute cannot be deleted if it is in use.

Activity Steps
Delete custom attribute type from the search screen:
1. From MSECAT - Search Custom Attribute Types search results, select the required check
boxes against the items.
2. Click Delete.
3. Select Confirm to delete the custom attribute type.
Delete custom attribute type from the detail screen:
1. From MSECAT - Search Custom Attribute Types search results, select the required item.
2. From MSECAT - Update Custom Attribute Types, select Delete.
3. Select Confirm to delete the custom attribute type.

Create Custom Attribute for a Service


Use this activity to create custom attributes for a service.

Activity Steps
1. From MSEATT - Search Service Custom Attributes search results, select the required service.
From MSEATT - Update Service Custom Attributes, select Add.
2. Enter data in the following field:

Attribute Type
Multiplicity
3. Click Submit.
The customer-defined attribute type created for the service.

Maintain Custom Attributes for a Service


Use this activity to update or delete custom attributes for a service.

Activity Steps
1. From MSEATT - Search Service Custom Attributes search results, select the required service.
To update custom attribute details:
1. From MSEATT - Update Service Custom Attributes, update details in the following fields in
the grid.
Attribute Type
Multiplicity
2. Click Submit.
To a custom attribute associated with a service:
1. From MSEATT - Update Service Custom Attributes, select delete beside the attribute in the
grid.
Note: You cannot delete the attribute if it is already in use.
2. Click Submit.

Export Service Custom Attributes


Use this activity to export custom attributes for a service. The exported file can be used to
import to another instance.

Activity Steps
1. From MSEATT - Search Service Custom Attributes search results, select the required check
boxes in the grid.
2. Select Export.
The service custom attributes are downloaded.
This file can be used to import the service custom attributes to another instance.

Import Service Custom Attributes


Use this activity to import custom attributes for a service. The imported file can be used to
export the attributes to another instance.

Note: When importing custom attributes, the current system must have the same conditions as
the old system from where the attributes were exported. This includes the same Ellipse EAM

1. From MSEATT - Search Service Custom Attributes, select Import.
2. Browse for the previously exported file and select OK.
The screen must be refreshed to see the imported service custom attributes.

Dialog Box - Add Attribute


Use this dialog box to add a new field attribute to a service.

Attribute Name
The name of the field attribute to apply to the service.

Attribute Type
The type of attribute to apply to the field. This type needs to be previously defined in MSECAT
and can be a boolean, string, date or integer type.

Multiple Values
Select this check box to create a list of fields instead of a single field. A grid displays into which

Dialog Box - Change Scope


Use this dialog box to change the scope of users that will use the personalised screen.

Scope Type
The scope type. Valid options are:
 User - the specified user sees the personalised screen as their default screen.
 District - users logged into this district see the personalised screen as their default screen.
 System - users using this system see the personalised screen as their default screen and the
original screen cannot be accessed by anyone other than the system administrator.
 Position - users logged in to this position see the personalised screen as their default
screen.
 Global Profile - users belonging to this security global profile see the personalised screen as
their default screen.

Service Name
The name of the service you want to review.

MSEATT - Service Custom Attributes


Use this screen to create and maintain custom attributes for a service.

Service Name
The name of the service you want to review.

Service Type
The type of the service.
A sub-grouping within Service Name. If there is only one service type, then it has the same name
as the service name.

SUMMARY GRID
Name
The customer-defined name given to the field attribute to be used as part of customising
screens. This displays in the Service Attributes tab of the Personalisation panel.

Name
The customer defined Attribute Type name that defines the properties that are associated with
this field.
It displays under the Attributes tab in the Personalisation pane. For example, Distance
Travelled.
This name comes from MSECAT - Search Custom Attribute Types.

Multiplicity
If selected, more than one entry is valid for this field.
This field impacts how Service Attributes (fields) display in the create and update screens, but
not in the search screen.
In the search screen, the field displays as a single entry field, for example drop-down, check box,
text box, or entry box for the field types date, time, decimal and integer.
In the create and update screens, the field that has Multiplicity selected displays as a grid and
provides the ability to add multiple entries. Examples of this use could be:
 The addition of multiple dates to record that a task was performed on each of those dates.
 The selection of more than one value from a drop-down list to record a range of tasks that
were performed.

Note: Each field that has Multiplicity is independent of other fields and cannot be linked to
create a table of related column fields.

Functions and Actions


Function and Actions allow you to perform a command or task in an application. For more
information, refer to Ellipse EAM Application Toolbar.
 Submit - Validates and saves the data entered.
 Refresh - Reloads the original data. Any changes made since the last submit are lost.
 New Search - Returns to the Search screen and clears the search results and the search
criteria.

Use this screen to search and display a list of customer defined attribute types.

Name
The name given to the customer defined attribute type.

Label
This is the customer defined label given to the attribute type.

Category Name
The customer defined name that is used to group related attribute types.

MSECAT - Custom Attribute Types detail


Use this screen to define a customer attribute type, which is used to define a customer field in
the MSEATT - Service Custom Attributes detail screen.

Attribute Type
The attribute type name. Attribute types can be used when creating custom attributes.

Label
This is the customer defined label given to the attribute type.

Data Type
The attribute type's field data type, for example Date, Decimal, Integer, String, Timestamp, List
or Boolean.

Start Value
The start of the number range that defines the allowable data for the attribute type.

Note: This field only displays for Data Type - Integer or Decimal. Even though Integer values
show decimals, only the integer is used.

End Value
The end of the number range that defines the allowable data for the attribute type.

Note: This field only displays for Data Type - Integer or Decimal. Even though Integer values

Scale
The allowable variation between numbers of the decimal data type. It is an integer scale with a
minimum value of 1.

Note: This field only displays for Data Type - Decimal.

Field Length
The maximum number of characters allowable in the string field.

Validation tab
Service Name
The name of the service against which this attribute type is validated. This field is mandatory if
validation is required.

Service Operation
The type of operation against which this attribute type is validated. This field is mandatory if
validation is required.

Service Field
A reference to a service field that contains values against which the attribute type is validated.
This field is mandatory if validation is required.

Literal
This field provides the ability to input values that are used as part of the validation process.

Service Field
This is a service field that is associated with the literal, for example, District is associated with
the literal R100.

MSECSD - Search Personalisation


Use this screen to search for MSE applications that have been personalised. You can also copy,
name, delete, activate or deactivate personalised screens.
Scope details can also be changed using this screen.

Note: This screen can only be accessed by the system administrator or an employee who has
been given security access to manage personalisations.

Application Name
The name of the application. For example, MSE600.

Custom Name
A unique name for the personalised screen.

Screen Name
The name of the screen. For example, search, detail, review and so on.

to Download dialog box which displays to download the .JSON file.
 Change Scope - Opens the Dialog Box - Change Scope.
 Name Personalisation - Opens the Dialog Box - Name Personalisation.
 Set Active - Opens the Dialog Box - Set Active.
 Upgrade - Allows selected records from the Search Display Grid to be upgraded. The flow
displays one of the following messages:
 a successful merge
