Exercise 3 - VLOOKUP function

Mr. Carlo Keizer, programme coordinator of ‘Management Studies’ at the University of

Groningen, has obtained the exam results of all his students for several courses. He wants to
specifically extract and analyse the exam result of class 13, the group that he teaches
himself. Unfortunately, the student numbers are mixed up due to the fact that the list is
sorted by exam results. He asks you to help him easily analyse the results. You help him with
the use of the VLOOKUP function, and with several basic statistical functions. The exam data
to be analyzed is captured within the EXCEL file “MA_Data_Exercise_3.xlsx”, which is
downloadable from Nestor.

1a) Extract the results for the students of class 13 for all four courses
1b) Calculate the class average, mean, mode, minimum, and maximum for each course to
analyse the results of class 13
1c) Spot the best and least performing student of class 13

HINTS:
1a) Vlookup function
Note: to call a function in Excel, an “=” sign has to be inserted before the function name

- VLOOKUP(lookup_value, table_array, column_index_number, [range_lookup])

The VLOOKUP function can be used when one needs to find things in a table or a
range by row. For example, to look up an exam result by the student number.
The function requires a number of inputs:
- lookup_value: the row or value you want to look up
- Table_array: the range in which you want to look up the value
- Column_index_number: the column number in the range containing the
return value
- [range_lookup]: do you want to find an exact match ([range_lookup] = FALSE)
or an approximate match ([range_lookup] = TRUE)? For this assignment, we
want to find an exact match.

1b/1c) AVERAGE, MEAN, MODE, MIN and MAX functions

- AVERAGE(number1, number2, …), MEAN(number1, number2, …), MODE(number1,
number2, …), MIN(number1, number2, …) and MAX(number1, number2, …)
The AVERAGE, MEAN, MODE, MIN and MAX functions can be used to take an
average, mean, most frequently occuring number, minimum and maximum
respectively of arguments number1, number2, etc.
Exercise 4 - Large data analyses

A sales manager of Amazon.com has hired you to analyse the company’s sales data in order
to paint a picture of the sales per country. The sales data to be analyzed is captured within
the EXCEL file “MA_Data_Exercise_6.xlsx”, which is downloadable from Nestor.

1) The sales manager expects you to help with several analyses of the data:
a) Determine the days for delivery, delivery month, delivery day, and weekday of each
order
b) Find out from which countries orders are received, categorised per continent
c) Derive continental statistics for the average days for delivery, average and total
order value, and average and total quantity
d) Find out what the average unit price per product category is

2) The sales manager desires a pivot table. This should contain:

a) The possibility to filter by delivery month, delivery day, and day of the week
b) Be ordered horizontally by country, product category, and transportation method
c) A representation of the sum of quantity, sum of order value, and average days for
delivery per horizontal category.

HINTS:
Note: to call a function in Excel, an “=” sign has to be inserted before the function name

1a) MONTH, DAY, WEEKDAY and VLOOKUP function

- MONTH(serial_number), DAY(serial_number), WEEKDAY(serial_number)
The MONTH, DAY and WEEKDAY functions can be used to find the month, day and
weekday respectively of a date represented by a serial number.
The function requires one input:
- Serial_number: the date of the month, day or weekday you are trying to find
- VLOOKUP(lookup_value, table_array, column_index_number, [range_lookup])
The VLOOKUP function can be used when one needs to find things in a table or a
range by row. For example, to look up an exam result by the student number.
The function requires a number of inputs:
- lookup_value: the row or value you want to look up
- Table_array: the range in which you want to look up the value
- Column_index_number: the column number in the range containing the
return value
- [range_lookup]: do you want to find an exact match ([range_lookup] = FALSE)
or an approximate match ([range_lookup] = TRUE)? For this assignment, we
want to find an exact match.
1b) FILTER function
The FILTER function can be used to filter with search. To use the function:
Select the Data tab, then click the Filter command. A drop-down arrow will appear in
the header cell for each column. …
1. Click the drop-down arrow for the column you want to filter. ...
2. The Filter menu will appear. ...
3. When you're done, click OK. ...
4. The worksheet will be filtered according to your search term.

1c/1d) DSUM and DAVERAGE function

DSUM(database, field, criteria) and DAVERAGE(database, field, criteria)
The DSUM and DAVERAGE functions can be used to take the sum or
average of records in a list or database that match conditions that you specify.
The functions require a number of inputs:
- Database: the range of cells that makes up the list or database
- Field: indicates which column is used in the function. Enter the column label
enclosed between double quotation marks, such as “Age”.
- Criteria: the range of cells that contains the conditions that you specify. You
can use any range for the criteria argument, as long as it includes at least one
column label and at least one cell below the column label in which you specify
a condition for the column.
