Title: Attendance and Flexible Timings Policy

1. Attendance Policy
1.1 Objective
To define employee’s daily attendance procedure and working hours.
1.2 Scope
All SMI employees including trainees, freelancers and third party employees.
1.3 Office Hours
Working days, timings and working hours of work locations will be as per
Annexure - I.
The lunch break will be as per Annexure - I.
1.4 Attendance
Biometric machines are installed at the entrances and first and last
impression will be taken as in-time and out-time for the attendance
purpose.
Every entry and exit to and from the office building has to be recorded
without exception.
1.5 Regularization of Attendance
To regularize attendance, OD/ Mis-punch / Leaves / Site Deputation /
Tours/ Trainings / Seminars/Work from home to be applied through ESS
(SAP) by the concerned employee.
Clubbing of OD / CL / Office Hours / mis-punch / trainings / seminars /
work from home for the day in any combination, working hours shall be
counted on actuals subject to a maximum of 8 Hours.
1.6 Weekly Working Hours
Employee will have to ensure that he / she is completing the weekly
working hours in the office as per Annexure - I. Any shortfall will have to
be compensated by working extra hours during the day / week.
Working less than 4 hours during the day will be considered as absent.
Working on weekly off days / holidays will not be counted towards
completion of weekly working hours.
Working beyond 19:00 hrs will not be counted towards the completion of
weekly working hours.

If any approved leave / holiday is falling during the week, the total working
hours will include the hours accounted by leave / holiday
1.7 Break Schedule
Employee will have to ensure that he/she is following the break schedule
of that particular location. The break duration will be as per Annexure - I.
1.8 Shortfall of working hours
In the event of shortfall in weekly working hours, deduction of casual
leave shall be made in the multiple of half day (up to 4 hours or part
thereof).
If for any reason Casual Leave is exhausted, subsequent time violations
may result in deduction of salary.
1.9 Attendance Regulations
Frequent / habitual late coming, will be considered as misconduct and
will be subject to disciplinary action.
If an employee is absent without sanction of leave / outdoor duty / tour
etc. on any day(s), he has to get his leave / outdoor duty / tour, etc.,
sanctioned on or before of 20th of current payroll month, failing which his
salary shall be deducted accordingly irrespective of leave balance in his
account.
1.10 Review of Policy
This policy will be reviewed as appropriate to ensure compliance from
time to time.
Management reserves the right to add / delete / modify this policy in part
or whole as deemed appropriate without any prior intimation.
This policy will be in force effective 1st February 2020.
This supersedes all previous circular / policy on the subject.

2. Flexible Timings
2.1 Objective
To mitigate the commuting constraints.
To provide comfort to the employees & their families.
To increase the staff morale and job satisfaction.
2.2 Scope
All SMI employees including trainees, freelancers and third party
employees.
Employees working in Manufacturing Plant & Service Workshop and
project sites will not be covered under this policy.
2.3 Flexible Working Hours:
The core office timings will be as per Annexure - I.
Half day Casual Leave shall be deducted in case an employee violates
core timings.
2.4 Review of Policy
This policy will be reviewed as appropriate to ensure compliance from
time to time.
Management reserves the right to add / delete / modify this policy in part
or whole as deemed appropriate without any prior intimation.
This policy will be in force effective 1st February 2020.
This supersedes all previous circular / policy on the subject.

Note:
1. The employees of office locations Gurugram/ Kolkata/ Pune are advised to take one tea break of 10 minutes each before lunch and post lunch at their
workstations.
2. For Bhubaneswar workshop, employees are advised to follow the local guidelines regarding tea break.
