Main Duties and Tasks of Engineering and

Maintenance Department
 Preventive maintenance programme. 
 Carry out proposed renovation of guest rooms or public areas.
 Fire and Safety procedures.
 Any Emergency Procedures.
 Back-up System (Diesel Generator (DG) Sets and UPS Backup)
 Fire alarms and its monitoring.
 Fix any water leaks (isolation points).
 Maintenance calls logging and action.
 Ensure all types of equipment are checked regularly for proper and efficient operation
 Regular tests of fire prevention system.
 Maintenance request forms filled out for all equipment or areas in need of repair
 All guest requests are given priority.
 Any electricity and light failure.
 Emergency lighting.
 Plant and Equipment Planned Preventive Maintenance (PPM). 
 Hot water boiler check. 
 HVAC (Heating, ventilating and air conditioning) check.
 Cold water storage tanks.
 Water PH level monitoring for swimming pool and other water sources.
 All Lifts and Escalators.
 Bathroom exhaust fans.
 Swimming pool.
 Health club and Spa equipment.
 Monitor any external or 3rd party vendor maintenance jobs.
 Building structure.

 Meter reading.
 Maintenance and monitoring of solar panels.
 PABX and Telephone systems.
 Energy saving committee. 
 BMS (Building Management System) operation.

Job Description for Chief Engineer in hotels
POSITION TITLE: Chief Engineer (CE) / Engineering Manager

REPORTS TO: General Manager / Asst. General Manager

POSITION SUMMARY:

Responsible to manage all aspects of maintenance staff on a daily basis. Directs, coordinates
and performs routine, preventive and emergency interior / exterior maintenance and repairs to
obtain optimum efficiency and economy of hotel operations.

Directs the Engineering staff, accounting/budgeting, asset protection, inventory control and
human resources.

CHIEF ENGINEER DUTIES AND RESPONSIBILITIES:

 Familiar and complies with the hotels mission and standards in performing
maintenance activities.

 Maximise maintenance team potential with a balanced focus on operations, guests,


employee and owners satisfaction.

 Represents the engineering department during the daily HOD morning meetings. 

 Prioritise, plan, schedule assign and supervise the engineering department staff.

 Oversee the maintenance tasks, work orders and special projects ensuring timely and
accurate completion.

 Respond to guest's maintenance needs promptly and ensure guests receive


professional, efficient prompt and courteous service to hotel standards.

 Maintain the physical appearance and operational efficiency of the hotel including
physical. mechanical, electrical, plumbing etc.

 Installation & maintenance of all equipment related to HVAC, DG Sets, Water


treatment, Fire Safety etc.

 Ensure proper records are kept relating to all plant and equipment for the hotel
including repair and service records.

 Prepare reports as required by the Housekeeping Manager and General Manager.

 Ensure that stores have adequate stocks of materials, equipment and tools and are kept
in a clean and safe environment.

 Take responsibility for the cleanliness and safety aspects of all plant and mechanical
equipment rooms.
 Attend all Facility Management/Property meetings as required, passing on necessary
information to the maintenance team in regular junior staff meetings.

 Ensure the proper use and periodic maintenance of all equipment.

 Perform daily and weekly property document inspections.

 Ensure property, grounds, physical plant and work areas are maintained to standard
and that all safety equipment and conditions are to code.

 Establish and maintain department equipment and supply inventory levels appropriate
to property requirements

 Provide training to staff on supplies, inventory, maintenance and ordering procedures.

 Train engineering department staff on correct maintenance procedures and assists in


repairs as needed.

 Maintain, monitor and test hotel's emergency and security systems, features like Fire
Alarm, CCTV, baggage scanners etc.

 Discuss with GM / Owner / Department heads on  maintenance status and inspection


reports.

 Respond to corporate and management inquires.

 Develop, implement, and direct all emergency programs.

 Develop, implement and manage energy conservation programs for the property to
minimise expenses.

 Coordinate with the equipment suppliers for AMC and any outstanding issues.

 Ensure maintenance staff is wearing proper uniforms with name tag and upholds
hotels grooming and hygiene standards.

 Responsible for quality service, meeting/exceeding financial goals, short and long
term planning and day-to-day operations.

Job Description for Asst Manager Engineering
Position Title: Assistant Manager Engineering / Asst. Manager Maintenance

Reports To: Chief Engineer / General Manager

Position Summary:

As an Asst. Manager for the engineering department you would be assisting the Chief
Engineer on his day to day activities, Responsible for the proper operation and maintenance
of all machinery, equipment and engineering facilities.

Also to ensure that there is no breakdown of the engineering systems and inspect the working
condition of equipment and engineering systems and ensure that all standards are maintained
on regular basis.

Asst. Manager Engineering Duties and Responsibilities:

1. To assist the chief engineer in the day to day work and oversee the preventive
maintenance of all equipment.

2. To assume all the responsibilities and authority of the chief engineer in his absence.

3. To take regular training classes of Engineers and Staff.


4. To check all log books daily and take corrective measures accordingly.

5. To keep Chief Engineer informed of all the activities and incidence in the Engineering
Department.

6. To coordinate with the outside agencies or vendors for repair and maintenance work.

7. To check the quality of engineering goods procured by the organisation.

8. To obtain a thorough knowledge of firefighting appliances.

9. Able to represent engineering department on HOD meeting during the absence of


Chief engineer.

10. Able to take decisions in order to ensure successful operation.

11. Able to respond to emergencies in a timely manner.

12. Able to effectively perform vendor management.

13. Able to make quotation finalisation.

14. Monitor and record utility consumption and assist the Chief Engineer to maintain
efficiency.

15. Maintain history card for all the plant equipment.

16. Provide supervision and leadership to colleagues within his/her area of the Technical
Services Department.

17. Daily coordination of the Technical services department in his/her area of


responsibility.

18. Advise on the duty roster for his/her area of responsibility.

19. Should have good knowledge of Capex and Opex item.

20. Prepare reports, maintain inventories, and keep accurate records, order equipment and
supplies.

21. Ensure correct maintenance of all equipment in conjunction with the other user
departments.

22. Stay abreast with the technological advances in surveillance & safety of equipment.

23. Ensure that Operational problems are promptly brought to the attention of the
Technical Supervisor.

24. At regular intervals, inspect the working condition of equipment and engineering
systems and ensure that all standards are maintained.

25. Any other job or duties assigned by the management as and when required.

Prerequisites:
 General knowledge of Mechanical, Electrical, Plumbing, Kitchen and other trades.

 Proficient in Windows, PMS and MS Office applications

 Good knowledge of fire & life safety processes and procedures.

 Excellent command of English language (oral and written).

 Strong knowledge of mechanical or electrical services.

 Able to train, coach and develop team members.
