This Frequently Asked Question (FAQ) provides a broad range of information about your
upgrade to Office 365 and about the changes or features of interest associated with the four
services (Office ProPlus; OneDrive; Outlook – Exchange; Skype for Business) in our scope.

1. Why are we deploying Office 365?
With this upgrade to Office 365 Suite (O365) – including Office pro Plus, Outlook Exchange and Skype for
Business - you will get the always-latest versions of the Office software you have been using for years. In addition
you will benefit from improved features included in Microsoft’s next-generation services such as OneDrive. As
well, with the O365 upgrade SNC–Lavalin is:
o Ensuring that everyone across SNC – Lavalin uses the same version of this productivity suite;
o Setting the foundation for a robust collaboration platform (Skype, Yammer);
o Laying the ground for improved data management, leveraging on Cloud Capability.
By progressively delivering some of the tools included in the Microsoft 365 Suite – hosted in the Cloud - the O365
Project is addressing those needs.

2. What are the Office 365 Suite’s services included in this first delivery?
With the O365 Project, SNC–Lavalin is progressively delivering some of the services of the Microsoft Office 365
Suite (O365) including Office ProPlus, Outlook Exchange and Skype for Business. In addition you will benefit
from improved features included in Microsoft’s next-generation services such as OneDrive.

3. Who will benefit from Office 365?


Most of SNC–Lavalin employees will benefit from this upgrade to O365!
This upgrade does not apply to EDPM (Atkins legacy) employees who are already using the Office 365 suite. As
well two groups – Nuclear and Operation & Maintenance - totalling over 2 000 employees are not being upgraded
as they are operating on distinct IT platforms.

4. What is the roll out plan for the O365 Project?


The O365 Project will progressively deliver the Office 365 suite across SNC–Lavalin by Sector and Corporate
functions, starting in March 2019. The target for completion is by the end of the summer 2019. Each employee
will receive an email with the specific date of their upgrade and complementary information on the support
available.

5. How are O365 services deployed?


The O365 Project has to proceed with a “Two Steps” deployment approach to ensure a successful deployment.
o First – On the date of the upgrade (Day 0), the following Office Apps will be upgraded of on your
Desktop or Laptop.
o Office ProPlus
(2016 - Word, Excel, Power Point, OneNote, Publisher, Access)
o Skype for Business (New interface only)
o Outlook (New interface only)
Second – 3 weeks after the upgrade (Day 21) your connection to Cloud Capability will be activated so you can
access:
o Office Online
(Word, Excel, Power Point, OneNote)
o OneDrive
o Skype for Business (New functionality)
o Outlook (New functionality)
Note: SharePoint and Yammer will also be activated for future use
6. Why are we implementing the O365 Project progressively, by Sector / Corporate functions
and in “Two Steps”?
The progressive deployment strategy takes into account each sector / corporate function priorities and
constraints, including concurrent IT projects, blackout periods, etc. As for the “Two Steps” deployment approach it
is mandatory to address technical constraints and group activation prerequisite (ex. Shared agenda, etc.).
NOTE:
As soon as your FULL upgrade is completed, you will be able to use enhanced features such as sharing and real
times co-editing with the colleagues in your location and colleagues elsewhere that have already been migrated.
However, you will not be able to share documents or files with employees that have not yet been migrated.

7. Why are only some of the Office 365 Suite of services deployed?
Microsoft Office 365 is available in a variety of plans that can include a vast array of services. SNC–Lavalin’s
O365 Project is setting the foundation by upgrading some of its existing services to the Microsoft Office 365 Suite,
including Office pro Plus, OneDrive, Outlook Exchange and Skype for Business.
This first initiative is a stepping stone towards expanding our use of the Microsoft Office 365 Suite. Future
initiatives will leverage on other O365 services to improve your IT experience.

8. What is the difference between Microsoft Office 365, Office ProPlus, Office 2016 and Office
Online?
Office 365 is the latest suite of integrated services that Microsoft provides as part of the Enterprise Agreement
signed with SNC-Lavalin. Office 365 services included in the current deployment are: Office pro Plus, OneDrive,
Outlook Exchange and Skype for Business
Office ProPlus is the latest version of your Microsoft productivity software including Excel, Word, PowerPoint,
Access, OneNote and Publisher. It will eventually replace older versions of Microsoft Office installed on your
desktop or laptop computer. It is one of the services included in Office 365.
Office 201x (2013 or earlier versions) is your current Microsoft productivity software including Word, PowerPoint,
Excel, Outlook, OneNote, etc. It is being upgraded* by Office ProPlus.
Office Online provides a ‘light’ web versions of Word, Excel, PowerPoint, and OneNote. It offers most of the
Office ProPlus features, which is sufficient for everyday document creation and editing. In addition, it is accessible
on any web browser with an internet connection.

* NOTE: The current version of your Office productivity Suite (2007, 2010, 2013) will NOT be removed from your
PC/Laptop to ensure a smooth transition.

9. What does a service hosted in the cloud, such as Office 365, mean?
A service hosted in the cloud, such as Office 365, is provided over the Internet, rather than being hosted on a
physical server at SNC-Lavalin. Such a service enables SNC-Lavalin to access software, storage, compute and
other IT infrastructure elements without the burden of maintaining and upgrading them. For SNC-Lavalin
employees, the fact that Office 365 is hosted in the Cloud enables them to rely on the latest version of best-in-
class tools to address their Mobility, and Productivity needs.
If you use social media websites such as Facebook, Twitter, LinkedIn, you are already using applications hosted
in the “cloud”.
Although Microsoft 365 Suite is “hosted in the Cloud” some of its functionality is installed on your desktop (PC or
Laptop). This is why most services included in Office 365 (except Skype and sending / receiving emails using
Outlook – Exchange) can be operated without an internet connection.
10. Where are my Office O365 Services hosted?
Office 365 offers an integrated experience leveraging on both your PC/Laptop and on the WEB: With Office
ProPlus, OneDrive, Outlook Exchange and Skype for Business, your favourite applications are accessible on your
desktop (PC or Laptop) or on the WEB; and some applications, such as Excel or PowerPoint, offers a version on
your desktop and a “lightweight” version in the cloud to facilitate access from anywhere,

11. Why am I sometimes prompted to enter my credentials (User ID / Password) to access the
Office 365 Portal?
You can access Office 365 Portal whether you’re connected directly to SNC-Lavalin’s network or remotely.
However:
o If you are working in a SNC-Lavalin office and connected to the SNC-Lavalin network when using your
professional account, your access to Office 365 Portal will be transparent (no need to type in your
credentials).
o If you are working remotely and connected via an internet connection, you will be prompted for your
credentials.

12. Can I install Microsoft Office 365 on my personal devices?


Yes, you will be able to install Office 365 on up to fifteen devices (5 PC / 5 phones / 5 tablets), including your
personal (at no charge) desktop, laptop, or favourite mobile phone or tablet.
There is no additional licensing charge; however SNC-Lavalin is NOT responsible for any technical issue or
problem you may encounter. For personal support, please contact the relevant Microsoft/device manufacturer
technical support.

13. Can I continue using Microsoft Office 365 on my personal devices if I no longer work for
SNC-Lavalin?
No, once you are no longer with the company, you will have one extra month of service before it is deactivated.

– Office ProPlus & Office Online
14. What are the new features in Office ProPlus?
Office 365 ProPlus is the latest version of your Microsoft productivity software. It replaces* Office 2013, or older
versions. The new features include:
o Co-authoring of documents in real time and sharing documents in the cloud (via OneDrive for Business);
o New charts available in Word, Excel, and PowerPoint;
o Faster, easier ways to get data into Excel;
o Smart lookup in Word, PowerPoint and Excel;
o Access to Microsoft virtual support desk - “Tell me” - found in the top ribbon (You’ll find this support
available in Word, PowerPoint, Excel, Outlook, and Access)

15. How can I learn more on Office ProPlus key applications such as Word, PowerPoint, Excel,
OneNote or Access?

16. Does Office ProPlus work with previous versions of Office work files?
Yes, the Office 365 Suite including Office ProPlus and related tools are compatible with older versions of Office
such as Office 2013 or 2010.
Also note that the current version of your Office productivity Suite (2007, 2010, and 2013) will NOT be removed
from your PC/Laptop to facilitate the transition
17. How can I access Office ProPlus?
Office ProPlus has been installed directly onto your computer. Therefore, you can access Word, PowerPoint,
Excel, and Outlook, Publisher and Access directly from your desktop or laptop computer, just like you did with
your current version of Office. Simply go to: > All programs > Microsoft Office 2016

18. How can I access Office Online?


Office Online provides a “light” web version of Word, Excel, PowerPoint and OneNote. You can access these
online versions through the Microsoft Portal Visit https://www.office.com and enter your Login User ID (UPN
address as per email) and corporate password.

19. What is OneNote?


OneNote is software that is part of Office ProPlus for a paperless approach to information gathering and multi-
user collaboration. It gathers users' notes (typed or handwritten, if you have a touchscreen), drawings, screen
clippings and audio commentaries. Whether you’re at home or in the office, use OneNote to take notes that will
be automatically saved and synchronized so you don’t forget any of your thoughts and ideas.

20. What are the limitations of OneNote in Office Online?


OneNote Online is a Light version of OneNote installed on your PC or Laptop and is designed for basic notepad
text. However you’ll be unable to:
o Zoom
o Format Painter
o Insert Space
o Visualize Rule lines and page color
o Customize new Tags or use your custom tags
o Find Tags
o Mark Notes as read or unread or review edits by how recent they are or by author
o Use features for working with pictures, such as rotating or ordering in layers back-to-front
o Insert the current date and time
o Use linked notes.

21. What are the limitations of Word in Office Online?


With Word Online, you can create and change documents in Word in Office Online. However you’ll be unable to:
o Browse and start from professionally designed templates
o Use captions
o Use citations and bibliography
o Access advanced collaboration features, such as turning on Track Changes
o Document parts and themes, such as content controls and pre-formatted collections of color scheme
o Use Offline viewing and authoring
o Use Page layout tools- advanced
o Use Mail merge
o Use advanced printing features, such as printing markups and document properties
o Access advanced proofing tools, such as adding new words to the spell check dictionary, nor applying a
custom dictionary
o Access advanced rich media features, such as inserting a PowerPoint
o Create a Table of Contents. You can only view an existing table of content.
o Create a Table of Authority

22. What are the limitations of Excel in Office Online?


With Excel Online, you can create and edit Excel files. However you’ll be unable to:
o Work with Excel files larger than 10MB
o Apply conditional formatting (not view it)
o Use Office adding that are not from the Office Store
o Use Replace
o Use Smart Formatting
o Apply data validation to cells
o Apply smart/recommended formatting
o Use Freeze Panes
o Use external data connections.

23. What are the limitations of PowerPoint in Office Online?


PowerPoint Online, you can create and modify presentations, however, you’ll be unable to:
o Find and Replace
o Use PowerPoint Online animation effects
o Customize or broadcast slide show
o Access sophisticated picture formatting features
o Insert SharePoint online pictures. They are available only if it has been switched on by the SharePoint
administrator.
o Use WordArt
o Use Symbols

24. What is OneDrive for Business?
OneDrive for Business is your file hosting and synchronization service operated by Microsoft as part of its Office
365 suite of services. Think of OneDrive as your hard drive in the cloud. This Internet based storage platform
enables you to store & sync up to 1TB of data, and share work files in the cloud with the assurance that files are
backed up and always available from any device.

25. What is the difference between OneDrive and OneDrive for Business?
You may already use OneDrive for your personal needs as it offers basic storage space with sharing capabilities
in the cloud.
OneDrive for Business is an enterprise level cloud storage solution as part of the Office 365 suite used at SNC -
Lavalin. It provides the ability for document versioning, co-authoring (simultaneous access), document
management, etc. In addition, it provides up to 1TB of storage capacity versus 5GB for OneDrive.

26. How can I access OneDrive for Business?


OneDrive for Business is your own cloud storage device. Your storage location is accessible in many different
ways:
o When you are in your file (*.doc; *.xls, etc.)
o Via Windows Explorer on your desktop
o From the Microsoft Portal on the Web
o From your mobile device

27. Can I share documents using OneDrive for Business?


With OneDrive for Business, you can share documents with others, control who can view or edit them, and work
together at the same time. However the following guidelines must be applied:
o OneDrive for Business synchronization with SNC-Lavalin devices is allowed and provided upon request
o OneDrive for Business synchronization with non SNC-Lavalin devices is prohibited
o Personal OneDrive synchronization with SNC - Lavalin devices are prohibited
o SNC-Lavalin users will be able to grant access to their OneDrive for Business files to other SNC-Lavalin
users
o Co-Authoring using OneDrive will be allowed between SNC-Lavalin users
o Users will be able to share documents with external users (but NOT to anonymous users or users who
do not have a recognized business email)
o Although there is no restriction on the type of data that could be stored in OneDrive for Business, using
standardized solutions (File services, PDMC, CADD repository, etc.) for project data or any sensitive
data should be favoured

28. What workspace should I use to share my work files with external partners or clients?
Although there is no restriction on the type of data that can be stored in OneDrive for Business, business specific
or project files should be stored on the chosen Project repository (File services, PDMC, CADD repository, etc.).
As well, although it is not mandatory, your personal work files should be stored on OneDrive for Business

29. Is OneDrive for Business replacing my current storage location or personal drive?
Although OneDrive for Business is NOT replacing your current storage drive, it is the preferred alternative and it
should be used as your personal folder. You are allocated 1024.00 GB or 1 terabyte of available space on
OneDrive. Business specific or project files should remain in existing storage locations.
More detailed guidelines for the utilization of OneDrive for Business may be established at the sector or regional

30. Will my files on my current personal drives be migrated to OneDrive for Business?
No, it is your responsibility to migrate your work files from your current personal drive to OneDrive for Business.
This will not be done automatically.

31. Should I use OneDrive for Business instead of my current cloud storage service (Dropbox,
etc.)?
OneDrive for Business is the preferred storage solution at SNC-Lavalin. If you or your group is using a distinct
cloud storage service not supported by SNC–Lavalin, we urge you to transfer those files. With OneDrive for
Business, users benefit from functionalities that are NOT available with other cloud storage services such as
Dropbox or Google Drive. These include: increased collaboration and security within the SNC-Lavalin
environment; secured co-authoring (simultaneous document access management); document versioning, etc.

32. Can I set up OneDrive for Business on my mobile devices (Phone or tablet)?
Yes, setting up OneDrive for Business on your SNC–Lavalin controlled mobile device is allowed.

33. Are my files stored on OneDrive for Business secured?


Yes, the work files you save online using OneDrive for Business are stored on an encrypted server and can only
be accessed by signing in with your credentials.

34. How does CAD (Autodesk) work with OneDrive for Business?
It is NOT recommended to work on your CAD files via OneDrive, since a bad sync between your local and cloud
storage location could occur. It is recommended that you work on your CAD files using your (current) local folder.
35. What is the difference between uploading, syncing and sharing a file with OneDrive for
Business?
Uploading a file is the action of copying data to a central online (Cloud based) repository attached to the users’
accounts.
Syncing a file is the action of making exact replicas of the same data in two different locations. By default all
workstations save data to the c:drive before syncing it to the cloud. Users must be aware that syncing is possible
only between their SNC-Lavalin device/workstation and their online OneDrive Account.
Sharing a file is the action of giving others access to it with various options (View, edit, copy, etc.). To do so,
select the file or folder you want to share by selecting the circle in the upper corner of the item you want to share
or by right-click on it.

36. What are the limitations and restrictions when syncing files and folders with OneDrive for
Business?
Currently, OneDrive files or folder names do NOT support the following characters:
#, %, <, >, :, «, |, ?, *, /, \

37. What happens if I delete one of my files from OneDrive for Business?
When you delete files from OneDrive for Business, they are automatically moved to the Recycle Bin for 30 days.
However you can retrieve them within this 30-day period if the Recycle Bin has not been emptied.
Frequently Asked Questions (FAQ) – Outlook – Exchange
38. What is changing with our new Outlook – Exchange?
With your new Outlook – Exchange, you can still manage your emails in your mailbox, captures appointments
and meetings in your calendar, stay in touch with your contacts, or stay organized with tasks. The main difference
between your current Outlook and Outlook 365, besides some new features and improved capabilities, is behind
the scenes: Currently SNC–Lavalin email server is on premises, whereas with your new Outlook – Exchange,
which is part of the Office 365 suite of services, the email server is hosted in the cloud. The changes, from your
perspective, will therefore be minimal.

39. My Outlook – Exchange mailbox is slow to update since I installed Office 365. Is it normal?
When installing Office 365 for the first time, Outlook needs to index your mailbox (or, create a catalog /index that
is built from terms found in email messages). We recommend you allow time for the indexing (24 to 48 hours).
If you have a large mailbox, please allow for some time for this to be completed. Your mailbox and calendar are
still accessible during this process. However you may experience some slow performance.
To improve performance, it is recommended to regularly maintain your mailbox by archiving your emails or
emptying your recycle bin.

40. How much storage capacity do I now have with my new Outlook mailbox?
One of the main benefits of your new Outlook is the improved capability. Not only do you now have a 100GB
mailbox and unlimited archiving capability (available 3 weeks following upgrade to O365), but you can now send
messages up to 35MB in size.

41. Can I manage my mails more efficiently in Outlook - Exchange?


With Outlook - Exchange you will continue to be able to set up an automatic reply for contacts inside or outside
the company; tidy up the number of messages in your inbox; use categories, reminders and color to optimize your
email, calendar or contact use, or; create folders or use rules to organize your email.

42. Can I still manage my Contacts or Tasks in Outlook - Exchange?


Yes, with Outlook - Exchange you will be able to keep track of everyone you communicate with by creating and
editing contacts or creating Contact Groups to minimize your use of individual emails. You will also be able to
create tasks and to-do list to help you stay organized.

43. Can I continue managing my schedule efficiently with Outlook - Exchange?


Yes, with Outlook - Exchange your calendar features enable you to create appointments and meetings; schedule
online meetings; share your calendar, or; use calendar categories and reminders.

45. What has changed now that Lync – or your previous version of Skype - is Skype for
Business?
Lync is now Skype for Business, your improved communications and collaboration platform. You will recognize
all of the attributes you already use including presence, IM (Instant »Messaging), Online Voice or Video calls, and
online meetings with a fresh new interface including simplified controls and several new features to improve
manageability.

46. How can I learn more about Skype for Business?

47. Who can now use Skype for Business?


With the upgrade to Microsoft Office 365, the deployment of Skype for Business is extended to ALL SNC-Lavalin
employees in scope. The only exception will be for some Nuclear and Operation & Maintenance employees who
do not use Lync or Skype currently and are not being upgraded as they are operating on distinct IT platforms.

48. How do I “Chat” with Skype for Business?


With Skype for Business you can easily connect with your contacts in real time and on a moment’s notice with
instant messaging (IM). You can also find previous conversations by browsing into your past conversations logs.

49. Can I change my presence status or determine if my colleagues are available with Skype for
Business?
Yes, you can see if your co-workers are available via the indicator associated to each name, or change your own
status by clicking on the arrows, by your name, to set your presence or location manually

50. Can I manage my meetings more efficiently using Skype for Business?
Yes, not only can you easily join or organize a meeting with Skype for Business, but you can share documents,
add a file for all to access and even associate options to participants in terms of their level of interaction. You can
also record and play back sessions.

51. Can I join a meeting with Skype for Business using a land line?
No, this option will no longer be available with Skype for Business. It will, however, be possible to join a Skype
conference by following the link on your laptop or smart phone, or use your Skype App on your mobile. As for the
use of land lines in conference rooms, there are viable options that are presently being explored. The solution
will be communicated shortly.

52. Can I make a call to a regular phone number with Skype for Business?
No, for most current users of Lync – or your previous version of Skype – the option of calling a regular phone
number using Lync or Skype was not possible. With Skype for business the situation will remain and ALL SNC-
Lavalin Skype for Business users will NOT have this feature.

53. Are there features in Skype for Business that I could use to improve participation or
interactions in my Online meetings?
Yes, you can now use many neat features available in Skype for Business to improve participation or interactions
including the possibility to take a poll, use the whiteboard to collaborate, conduct a Q&A session, or use improved
video-based screen sharing options.

54. Can I continue managing my contacts using Skype for Business?


Yes, you can manage or add contacts, search for people and find relevant info contained on your contact’s card
