CHAPTER -1

Internship Proposal

The internship period was from 7 th February to 6th march 2018. The main objective of
internship was to collect experiences from the organization during the internship from the
perspective of a MBA student. The organization which I have selected was OYO ROOMS,
Chennai. I made an appointment with the Human Resources Manager Mr. Rubesh and he gave me
permission to do internship under his guidance. It will be great pleasures to do my internship at
OYO ROOMS .

I interacted with Mr. Rubesh he accepted my proposal and agreed to provide internship
training for me. He allowed me to work under his guidance.

I was provided with the rules and regulations of Oyo rooms and I began my work on 7 th
February after getting sanction from my college guide S. Rakesh Kumar.

OBJECTIVES OF INTERNSHIP

• To get a clear knowledge about how to Acquiring the hotel rooms.

• Study in detail about the Human Resource , Sales and Business Development department of
oyo rooms.

• To understand about recruitment practices in oyo rooms

• To perform the work assigned by the HR and Sales department.

The hospitality industry is a broad category of fields within service industry that includes
lodging, event planning, theme parks, transportation, cruise line, and additional fields within
the tourism industry. The hospitality industry is a multibillion-dollar industry that depends on
the availability of leisure time and disposable income. A hospitality unit such as a restaurant,
hotel, or an amusement park consists of multiple groups such as facility maintenance and
direct operations (servers, housekeepers, porters, kitchen workers, bartenders, management,
marketing, and human resources etc.).

Usage rate, or its inverse "vacancy rate", is an important variable for the hospitality industry.
Just as a factory owner would wish a productive asset to be in use as much as possible (as
opposed to having to pay fixed cost while the factory is not producing), so do restaurants,
hotels, and theme parks seek to maximize the number of customers they "process" in all
sectors. This led to formation of services with the aim to increase usage rate provided by hotel
consolidators. Information about required or offered products are brokered on business
networks used by vendors as well as purchasers.

In looking at various industries, "barriers to entry" by newcomers and competitive advantages


between current players are very important. Among other things, hospitality industry players
find advantage in old classics (location), initial and ongoing investment support (reflected in
the material upkeep of facilities and the luxuries located therein), and particular themes
adopted by the marketing arm of the organization in question (for example at theme
restaurants). Also very important are the characteristics of the personnel working in direct

contact with the customers. The authenticity, professionalism, and actual concern for the
happiness and well-being of the customers that is communicated by successful organizations
is a clear competitive advantage.

It provides standardized rooms at budget hotels with features such as an air condition,
complimentary breakfast and Wi-Fi with 24 hours customer service support number of guests
using OYO Rooms App for booking hotels has been increasing exponentially. Since, the
services are fully IT enabled guests can also order beverages and request room service through
the OYO Rooms app. Hotel owners who partner with OYO Rooms are connected via world’s
first tablet based property management App and become part of the OYO brand.

OYO Rooms had also launched its mobile app, which promised a hotel room booking in less
than 10 seconds , has now been the heart of what the company does , it has been able to
provide its customer with a seamless experience from booking to checkout.

The oyo rooms mobile app s also the worlds first personnel room service app that allows
guests staying at an oyo to order room service directly from their smart phones. The app has
already crossed more than 100000 downloads with in a month of its launch. Available on
android and 10s platforms , more than 15000 booking have been made through the oyo rooms
mobile app with in a week.

BUSINESS MODEL

OYO Rooms is an online aggregator of budget hotels. Oyo Rooms partners with hotels with the
aim of standardization on various measure in each room including free Wi- Fi and breakfast ,
flat screen television , Spotless white bed linen of a certain thread count, branded toiletries, 6
inch shower heads , a beverage tray and so on. The quality standards of rooms are audited
every few days so that the guests assured quality services of oyorooms .The per night costs of
Oyo budget stays range from Rs.999 to Rs.4000. In order to maintain consistency in quality
services. Oyo provides property owners with support such asa quality standardized supplies
and services training.

Initially Oyo rooms reaches out to prospective hotels to partner with them. However , as time
has charged due to technological advancement in general and mobile based apps in particular ,
a hotel owners can also reach out to oyo through the webpage. The oyo team then contacts the
hotel and audits the hotel to understand the charges needed to standardize the property as per
oyostandards , and other shares , other details of the partnership agreement.

The human resource department of oyo rooms handles a range of different functions within an
organization . The department is responsible for hiring and firing employees , training
workers , maintaining interoffice relationships and interpreting employment laws.The
department works diligently behind the scences to ensure an organization runs efficiently. The
primary function of HR department of oyo rooms is to oversee hiring and recruiting with in an
organizations.

SALES DEPARTMENT

Sales department is the direct link between a company’s products or services and its
customers. The first responsibility of a sales department is usually searching for and
identifying prospective customers .The next responsibility of the sales department is reaching
out to those potential clients and making contact. The sales representatives will identify the
needs of the client, and find out any relevant information for making a sales. Next the sales
department is responsible for delivering presentations and proposals that will convert the
customer. The sales representatives of oyo rooms sells their properties which is taken from BD.
They sell their properties to corporates, travel agencies and local vendors.

BUSINESS DEVELOPMENT DEPARTMENT

Business development combines sales and skills in managing relationships in order to create
growth and new for a company.The Business development team of OYO will go on and do
the tie ups with the hotels basically .The BD team go and speaks with hotel owners and they
will convert their rooms in to oyo.

TRANSFORMATION TEAM

The Transformation team work is that BD department get once hotel rooms, they will go and
just check all the specs are there in the rooms . Specs in the sence specification will check.
Which means they get sure that the room should be minimum 150 sqft and there should be king
size mattress and bathroom should be at least 40 sqft. And make sure that the rooms should be
comfortable.

OPERATION DEPARTMENT

The operation department of a company is responsible for smooth and profitable production.
The objectives of an operations department revolve around high – quality effective operations .
operation is fulfilling its objectives , the customers will be happy and the business will be
profitable.

FUNCTIONS OF OPERATION DEPARTMENT

 RUNNING EFFICIENTLY

Operation department does as much as it can with as little as it can, taking no more time than
necessary. Operations managers plan and supervise, fielding unanticipated situations and
anticipating outcomes that arise logically from existing groundwork and assumptions.
Operation department should know how may products get from the hotels and how much time
time this will take under ordinary circumstances. Operations managers should also be able to
shift gears and find the best possible replacement.

 ENSURING QUALITY

Operation department aims to make the highest quality products possible relative to the
circumstances and price your customer pay. The ops department should be make sure that the
rooms are clean , and make sure that all the specifications should be clear.

ORGANIZATIONAL STRUCTURE

Organization chart is pictorial or graphical presentation or arrangements of hierarchical position in


an organization.

Normally the positions are arranged in sequential order based on their authority and responsibility.
This is very helpful to understand the different position and its authority and responsibility in the
organization.

An organization structure consists of activities such as task allocation, co – ordination and


Supervision, which are directed towards the achievements of perspective through which
individual see their organization and environment. Organization is the formal decision making
framework by which job tasks are divided, grouped, and coordinated. Formalization is an
important aspects of structure.

It is the extent to which the units of the organization are explicitly defined and its policies,
procedures and goals are clearly stated. I t is the official organizations .Structure conceived and
built by top management. The formal organization can be seen and represented in chart form. An
organization chart displays the organization structure and shows job titles, lines of authority and
relationship between department.

CHAPTER -3

NATURE OF WORK UNDERTAKEN

As a part of my internship program I got an opportunity to work with OYO ROOMS at


Chennai. I have Started the program on 7th Feb 2018 as an Internship Trainee. The working
hours of the company is between 10.00 am – 6.30 pm .I have worked under the guidance of
Mr. Rubesh (HR Manager). The guide provided me company details, brochures, blog,
advertisement materials etc. I had undergone an orientation and induction program at the initial
day. The class was the details and idea about the task which I had to undertake. To begin with,
I was oriented with an introductory session, google sheets and email.

WORKS IN THE COMPANY


 Documentation and filing

The details of the candidates were documenting and filing

 Data base Updation and Profile Varification

The candidates data can be updated in the google sheet. The google sheet is the software
that visualize the data with charts , create pivot tables and add data filters. Daily more than
300 Candidates data are updated. This is the simplest way of identifying the details of the
selected candidates or rejected candidates from different hubs all over India.
The profile of the candidates are verifying and sort it according to their
qualification and experience.

 Conducting telephonic Interview

During my Internship I got an opportunity to conducting telephonic Interview. This is the


first Interview conducting by oyo rooms before face to face Interview. The telephonic
Interview is carried out for the purpose of collecting the more details of the candidates and
gain the knowledge of the candidates about oyo rooms. Daily I contacted 75 candidates

 Field work with Business development Team

The duty of the Business development team is to identifying the hotels and go on, do tie up
with them. Which means go and speak with the hotel vendors and convince them.

 Preparing offer releasing letter

Offer releasing letter is preparing for transmitting the selected candidates. I have prepared
offer releasing letter according to the number of the selected candidates. ALT app is used
by the company for preparing offer releasing letter. In offer letter contains designation of
the selected candidates, job role, time and date of joining

 Obtaining fresh candidates profiles through www. naukri.com and monster .com

The good profiles of the candidates are obtained through naukri.com and monster.com.
These are the sources normally used for hiring the employees.

CHAPTER – 4

AN AVERAGE DAY IN OYO ROOMS

In this internship it was a great experience to do various works related to the HR department in
OYO ROOMS. It was wonderful opportunity to know what is oyo rooms and its functions.
During the internship I have worked for the period of 28 days from the date of 7 th February. As
a part of internship I have to work from 10.00 am to 6.30 pm regularly. There was an
attendance register for internship trainees. The students were asked to be punctual and formal
in the organization. In the same way I also had to arrive at the organization before 10.00 am
and I had to sign the attendance register before 10.00am.The daily task was assigned to me by
the company guide Mr. Rubesh and also gave necessary instructions to perform the assigned
task.

As a part of internship program I have undertaken the work which is different in nature such
as filing, documenting, contacting the interviewees, conducting telephonic interview etc .
Anaverage day of my internship includes the various works allotted to me by HR department.
On the first day my company guide gave me an introduction about the organization and
explained about activities of OYO ROOMS.

Each day the first thing in the office was to meet my company guide to obtain the work for the
day, He would give instructions about the works in HR department. I was asked to complete
assigned job with the allotted time in addition to these work I prepare a small write up on that
particular work apart from the log book which I kept on understanding on regular basis for my
academic purpose.

CHAPTER – 6

LEARNING SUMMARIZATION

 I understood how to prepare offer releasing letter with the help of ‘ALT’ app. This app is
only used by oyo rooms for preparing offer releasing letter.

 I understood how to conduct a telephonic interview. Normally telephonic interview is


conducting with the objective to gain the details of the interviewee and it is do for the
purpose to know the knowledge of the interviewee about the company.

 Data of candidates were collected from the resume and I understood how to update their
details in to the google sheets. The purpose of updating the details of the candidates in the
google sheet is to know the headquarters , how many candidates were selected and rejected.

 I understood how to obtaining the fresh candidates profile through www.naukri.com and
www.monster.com. These are the sources normally used for hiring the employees.
Applicants through company email also can be considered.

 Learned the importance of field work. Field work in the sense go and meet up the various
hotel vendors and do the tie up with them and get business.

 One main thing that I have learned through this internship is time management skills as
well as self-motivation. When I first started I did not think that I was going to be able to
make myself work eight hours a day, six days a week. Once I realized what I had to do I
organized my day and work so that I was not overlapping or wasting my hours. I learned
that I needed to be organized and have questions ready for when it was the correct time
to get feedback. From this internship and time management I had to learn how to
motivate myself through being in the office for so many hours.
