Project Coordinator - Operations, GARDENS, Lakeshore Campus – Up to 30 hours a week (2

Positions – Leading a number of sites)

The successful applicants will be responsible for overseeing the GARDENS pod project and the
Operation Site Coordinators and specific assigned garden sites. This applicant will have the ability
to understand the various project moving parts and connect with the team in order to plan and
coordinate the operation elements for the GARDENS Pod Project. Applicants will work on
developing the Pod Project, communicating with community stakeholders, updating social
media, scheduling the site coordinators for assigned pod sites, and planning all elements to
ensure the GARDENS Pod Project runs efficiently. This person will also support the training of the
site coordinators and develop tools to help in the planting, maintenance, harvest and collection
process.

Community and Stakeholder Relations


• Develop, track and update community pod site database
• Effectively communicate with site coordinators and the public about the Project
• Attend GARDENS community group meetings and potential promotional events
• Provide comprehensive updates to the GARDENS Advisory Council monthly meetings
(virtually)
• Complete assigned site plantings, maintenance and harvest schedules in partnership
with the Site Coordinators

Project Management and Logistics


• Develop critical path, timelines, production schedules, etc. for the project
• Store each pod site data, documents and findings in company’s system
• Develop online forms to track site coordinators and persons within the GARDENS
following Toronto Public Health Measures regarding covid-19
• Develop online training modules and present it for Site Coordinators (E.g. How to water,
How to harvest, etc.)
• Manage the combined data entry process and tracking of the produce harvested and
donated from all sites
• Connect with the Site Coordinators on a regular basis to support
• Schedule Site Coordinators weekly for watering and harvesting when applicable
• Update regularly the GARDENS social media and website platforms
• Monitor the progress of assigned Pod sites in person and remotely
• Develop the training materials for the site coordinators in partnership with the Event
Coordinator and Community Liaison
• Create a final combined report GARDENS Advisory Council from Site Coordinators’
inputs (detailing budget, recommendations and overall evaluation) with highlights,
improvements, and recommendations for future pod projects)
• Conduct weekly check-in with Event Coordinator and Community Liaison about project
updates, budget, highlights and challenges
• Develop a monitoring and evaluation framework for to complete at all levels for the
project
• Other tasks as required

Qualifications
• Must be a Canadian resident or permanent resident (as per Canada Summer Jobs
requirement)
• Must be willing to work up to 30 hours per week, as well as some work on the weekend
if required
• Interest in gardening or community development is an asset
• Must be Computer savvy and able to use software including Microsoft Office Suite
• Must be a team player - This is a collaboration and position will be most likely working
with one other person at the assigned pod sites
• Ability to make presentations to external partners and to the GARDENS Advisory Council
• Excellent verbal and written communication skills
• Experience working with a team and keeping people motivated
• Demonstrated high energy level and flexibility, pleasant persona coupled with sound
judgment; flexible, discreet and able to maintain confidential information, knowledge of
correct protocol for specific situations
• Good time management skills and the ability to work under tight deadlines
• Exceptional scheduling capabilities to maintain watering, harvest and donation
schedules and site coordinators
• An independent worker who is able to multi-task and juggle a variety of duties
• Ability to provide recommendations or suggestions for end of season reporting using
sound analytics and quantitative/qualitative data
• Valid driver license (and access to a vehicle) is an asset
