ENGINEERING ON-THE-JOB TRAINING (OJT) POLICY AND


GUIDELINES

I. Nature and Objective

The Bachelor of Science in (Name of Program) program is designed to develop


engineers who possess the technical competence and ingenuity in the practice of
their profession. The program guarantees a certain breadth of knowledge of the
(Name of Program) Engineering discipline through a set of core courses. The
Commission on Higher Education requires to include the On-the-Job Training (OJT)
course in the Bachelor of Science in (Name of Program) curriculum to enhance,
modernize and elevate the level of effectiveness and relevance of (Name of Program)
engineering education. The OJT course ensures that the (Name of Discipline)
engineering graduates understand the nature of their special roles in society and the
impact of their works on the progress of civilization. Furthermore, the OJT course
provides students an opportunity to achieve a degree of knowledge compatible with
the needs of the industry.

Specifically, the OJT course of the Bachelor of Science in (Name of Program)


program aims to:

a. Train and orient the undergraduate Bachelor of Science in (Name of Program)


student about the work and his/her future career as (Name of Discipline)
engineer;
b. Hone the student’s knowledge and skills that are acquired in the classroom
through actual work application in order to become more responsive to the
demands of the (Name of Discipline) engineering profession;
c. Provide the student with an education that will allow him/her to be
immediately competitive in industry or in graduate work;
d. Provide opportunities to the student to perform practical applications and
hands-on work by going through the actual methodologies of a specific task
using the real tools, documents and latest trends and technology in the field
of (Name of Discipline) Engineering;

e. Instill to the student a sense of professional responsibility and social


awareness; and
f. Enable the student to work well whether independently or as part of a group.

II. General Requirements of the Undergraduate On-the-Job Training


Course

The following are the general requirements for the conduct of OJT course:

a. The student who will undergo an OJT must meet the following criteria:

i. The student must be at least 4th year;


ii. The student must have earned a minimum of 215 units;
iii. The student must have finished the following courses; (Write
prerequisite courses)

iv. The student must have attended the OJT orientation conducted by the
Department Head;
v. The student must be endorsed by the Department Head and accepted
by the industry/company partner; and
vi. The student must be officially enrolled in the OJT course.

b. The OJT course shall be taken during the Short Term. However, a student
shall be allowed to undergo OJT during the regular semester under the
following conditions:

i. The opening of the OJT course during a regular semester is subject to


the policy on the opening of off season courses; and
ii. The student shall be required to render at least ___ hours (or as
required by the PSG of the program) of on-the-job training.

iii. At the end of the training, the student shall be required to submit a final
narrative report of his/her experience together with a certificate of
completion and an evaluation of his/her performance from the host
company.

III. Procedures and Guidelines

A student who plans to undergo OJT must comply with the procedures and
guidelines enumerated below:

1. All probable OJT enrolees must first attend the orientation conducted by
the Department Head. The OJT orientation is held every second
semester. The primary purpose of the orientation is to discuss with the
students the objectives, requirements, procedures and guidelines of the
OJT course.
2. A list of recommended industries/companies is given to the students. A
student may opt to have his/her OJT in a company not included in the list
but subject to the approval of the Department Head. Once approved, the
company shall then be included in the official list.
3. The qualified student shall contact the company and inquire if there are
still available slots for OJT.
4. The qualified student then writes an Application Letter addressed to the
company/industry concerned. An Endorsement Letter from the
Department Head must be attached to the student’s application letter. The
student shall be responsible to follow up the status of his/her OJT
application.
5. Upon acceptance, the student must obtain a Letter of Acceptance from
the company and submit the same to the Department Head. In turn, the
Department Head coordinates with the company’s representative for
confirmation.
6. The student then obtains a copy of the Memorandum of Agreement (MOA)
from the Department Head. The student shall accomplish the MOA and
distribute the accomplished (notarized) MOA to concerned parties.
7. After the distribution of the MOA, the student may now enroll the OJT
course and start his/her training on the recommended date.
(IMPORTANT: NO STUDENT IS ALLOWED TO START OJT ON OR
BEFORE THE ACTUAL DATE OF ENROLMENT.)

8. The student shall document his/her daily work activities, make a weekly
accomplishment report to be signed by the company supervisor, compile
all the reports and submit to the Department Head on the last Saturday of
every month. The student shall keep all documents, reports, etc.
pertaining to his/her training for his/her final narrative report.
9. Upon completion of the OJT, the student shall ask the host company to
fill-out an Evaluation form. The evaluation form shall be mailed directly to
the Department Head or, if hand carried, shall be placed in a sealed
envelope with the signature of the company’s supervisor on the flap of the
envelope. The student shall obtain from the company a Certificate of
Completion.
10. The student shall submit a final narrative report to the Department Head
one week before the last day of encoding of final grades.

IV. Duties and Responsibilities of a Student-Trainee

Every student-trainee must perform his/her duties and responsibilities in order


to get the most out of the training opportunities from his/her host company. As
such, while undergoing training, every student-trainee must:

1. Abide by the rules and regulations of the host company;


2. Observe discipline and right conduct and behave in a professional
manner;
3. Show a positive and good attitude towards the company’s staff,
supervisors, fellow trainees and their works;
4. Complete tasks and other assignments on time with quality;
5. Observe punctuality and regular attendance in reporting to his/her
assigned duty;
6. Demonstrate initiative and drive in a quest to learn from the training;
7. Develop effective communication skills ; and
8. Apply analytical or technical skills to offer possible solutions to identified
problems in the company.

V. Duties and Responsibilities of the Partner Industry/Company

The Industry/Company partner has the very important role of providing a


student-trainee with a workplace that would help in the realization of the
objectives of the OJT course. Hence, the industry/company shall:

1. Ensure a safe working environment for the student undergoing OJT;


2. Clearly explain work assignments to the student/trainee to ensure that the
duties, role and responsibilities of the student are clearly defined and
outlined;
3. Designate a Training Supervisor who will mentor the student and check
that the OJT activities of the student are properly carried out;
4. Ensure that the student undertaking his/her training is given skill-specific
tasks where he/she can apply the theories, principles and ideas learned in
the school ;
5. Monitor the attendance of the student for the duration of the training;
6. Discuss with the Department Head important matters/issues that may
arise for the duration of the OJT;
7. Conduct an evaluation of the student’s overall performance based on the
agreed standards or requirements with the school and submit the signed
and sealed evaluation form to the Department Head; and
8. Issue a Certificate of Completion to the student upon the completion of
the OJT.

VI. Grading System

The final OJT grade of the student is based on the following criteria:

Final OJT Narrative Report 50%


Evaluation by the Industry/Company 50%

The final grade given to the student is computed based on the following
formula:

OJTFG=50+0. 5 ( 50 % NR+50 % EV )
Where: OJT FG = Final Grade; NR = Narrative Report; EV = Evaluation

A student who is not able to complete the requirements shall be given an


INCOMPLETE (INC) mark as the final grade.

Appendix IV – Memorandum of Agreement

MEMORANDUM OF AGREEMENT
(ENGINEERING OJT PROGRAM)

KNOW ALL MEN BY THESE PRESENTS:

This Memorandum of Agreement is made and entered into in the City of Baguio,
Philippines, this ______ day of ______________________________ by and between:

SAINT LOUIS UNIVERSITY, a Catholic university and autonomous higher education


institution duly organized and existing under and by virtue of the laws of the Philippines with
principal address at A. Bonifacio Street, Baguio City, represented herein by the Dean of the
School of Engineering and Architecture, DR. CYNTHIA L. POSADAS, and hereinafter
referred to as the UNIVERSITY,

(Name of Company), an institution duly organized and existing under and by virtue of the
laws of the Philippines with principal address at (Address of Company), represented by its
(Position, Name), and hereinafter referred to as the INSTITUTION,

WITNESSETH, THAT:

WHEREAS, the STUDENT has requested and sought the approval of the COMPANY to

hereto agree and stipulate as follows:

A. OBJECTIVE:

To provide the STUDENT the training necessary to his/her attainment of the degree of
Bachelor of Science in (Name of Program).

B. RESPONSIBILITIES:

The University shall have the following rights, duties and responsibilities:
1. Recommend students who will undergo OJT;
2. Designate a Program Coordinator who will coordinate with the INSTITUTION
particularly with regard to various necessary activities and to monitor the progress
of the STUDENT’s OJT;
3. Through its Program Coordinator, conduct an on-the-spot visit of the
INSTITUTION;
4. With the consent of the STUDENT, provide the INSTITUTION with the
STUDENT’s schedule of activities for the entire duration of his/her OJT;
5. Hold the INSTITUTION free and harmless from any complaint whatsoever for
any injuries or damages caused by the STUDENT’s willful or negligent act or
omission, or for any violations of this agreement.
6. Submit to the INSTITUTION the following documents:
a. Recommendation Letter from the Dean of SEA;
b. Consent/Waiver of Parent/Guardian;
c. Resume;
d. Medical Certificate Form; and
e. Evaluation Form

The Institution shall have the following rights, duties and responsibilities:

1. Accept and allow the STUDENT to undergo his/her OJT within its premises
subject to such reasonable rules and regulations that it may issue and make known
to the UNIVERSITY and the STUDENT.

2. Assign a supervisor or coordinator with whom the STUDENT shall regularly


consult about his/her activities in the INSTITUTION;

3. Disqualify or discontinue the OJT of the STUDENT, after due process, for
violation of its rules and regulations made known to both the UNIVERSITY and
STUDENT in the course of the OJT.

4. Provide a logbook to monitor the STUDENT and ensure his/her completion of the
______________________ (______) OJT hours.

5. Require the STUDENT to execute a Non-disclosure Agreement (NDA) with the


INSTITUTION.

6. Instruct the STUDENT and develop a training plan that includes competencies
needed to be satisfactorily skilled in the OJT position;

7. Select and deploy the STUDENT to the different operating areas of the
INSTITUTION. Specific assignments for the STUDENTS shall be the
INSTITUTION’s sole discretion which shall be subject to change upon written
notification to the designated program coordinator;

8. Accomplish the necessary forms required by the UNIVERSITY in connection


with the OJT program; and

9. Issue Certificate of Completion to the STUDENT who has successfully completed


the training.

C. MISCELLANEOUS PROVISIONS

1. It is expressly understood that there shall be no “employer-employee”,


“employer-apprentice” and/or “employer-learner” relationship between the
COMPANY and the STUDENT of the UNIVERSITY. Furthermore, this
Agreement shall not be deemed to constitute any promise of future employment to
the STUDENT. Finally, nothing in this Agreement and no actions taken by any
party pursuant to this Agreement shall constitute or be deemed to constitute an
employer-employee relationship, partnership or joint venture between and among
the parties hereto or between any party and officers and employees of the other.

2. The STUDENT shall be personally responsible for any and all liabilities for
injuries to persons or damages to properties caused by his/her intentional or
negligent acts or omissions while undertaking his/her OJT;

3. Records directly related to the OJT contract are subject to review, monitoring of
the UNIVERSITY within reasonable time, after notice;

4. The STUDENT shall abide by the INSTITUTION’S rules and regulations,


including those specifically imposed for the program;

5. The STUDENT hereby gives conformity to the terms and conditions of this
agreement and freely, voluntarily and unconditionally assumes all the duties,
responsibilities and obligations imposed upon his/her under it.

6. There shall be an orientation program to be conducted by the UNIVERSITY


prior to the start of the training program;

7. This Agreement may be terminated for convenience by either of the parties upon
prior written notice to the other. However, STUDENTS who are already
deployed shall be allowed to complete their training;

8. The INSTITUTION reserves its right to terminate the training of the STUDENT
on reasonable grounds after a written notice to the UNIVERSITY;

9. The UNIVERSITY may pull out any student from training on reasonable grounds
after a written notice to the INSTITUTION.

10. Certificate of Completion shall be issued only to a student who has completed the
required number of hours of training based on the recommendation of the
UNIVERSITY coordinator;

11. The UNIVERSITY agrees that any confidential information received by its
student-trainee shall be used only for the contemplated purpose, and shall not be
used for any other purpose or disclosed to any third party under any
circumstances whatsoever, except when authorized by the INSTITUTION;

12. The UNIVERSITY understands and agrees that all records and documents of the
INSTITUTION and all information, data, procedures or processes pertaining to
the business or affairs of the INSTITUTION are absolutely confidential and it
shall not disclose or divulge any such information or data to any person or entity
without the prior clearance of the INSTITUTION even after the termination of
this Agreement.

D. AMENDMENTS:

This AGREEMENT may be amended, modified or revised as the need arises to


fully achieve its objectives provided that the consent of the parties is obtained
therefor.

E. DURATION:

This Agreement takes effect this ________(Date)________ regardless of the date


of execution hereof. This shall continue until the end of the required OJT hours,
provided, however, that any provision of this agreement may be amended upon
written consent of the parties. Provided, furthermore, that both the UNIVERSITY and
STUDENT have the right to withdraw from the agreement upon written notice.
