Subject : Emergency Financial Management of Marie Stopes Clinics during Coronavirus (COVID-19)

01. Petty Cash Management: It is to be advised that clinics petty cash will be reimbursed from the
clinical income but a statement of reimbursement of petty cash must be kept in the clinics and
a separate register must be maintained. Until banking system will be in fully operation this
system of reimbursement will be continued.
02. Income Deposit: If your clinic, s regular bank is not open , clinics managers are advised to
deposit in old bank account if it is open, it is not possible please try to deposit any MSB/MSCS
bank account near you, it is still not possible as a last resort you are advised to kept clinical
income into safe locker (Money Volt) but key will be in the hand of Manager only because
managers are ultimately responsible.
03. Referral Fees Payment: Referral fees will be paid through bKash payment by Head Office. You
are encouraged to pay all referrals by bKash. bKash is open in as normal course of business so
payment will not be interrupted.
04. Register: For reconciliation and good management Daily income register and petty cash
register will have to be updated regularly.
05. 3rd Party Payment: emergency 3rd party will be paid through BFTN where possible and other
cases we will have to pay through account payee cheque. Management has decided to
reimburse petty cash twice in a week.
06. Medicines: In case of emergency and if no alternative option then clinics can procure
medicines locally (Only for emergency purpose where not possible to send from Dhaka) and
paid from petty cash but must inform to the line managers and get approval through SMS.
07. Considering this situation, it is difficult to keep up the supply chain flow. It is advised to ensure
economic use (real need) and pass your requisition by thinking about other clinics need also.
