Smart View User Guide

Dear colleagues,

This information is specifically addressed to users of Oracle Smart View for Office. This
documentation helps you configure Smart View and use its features in Microsoft Excel.

Smart View provides an interface for Hyperion with Excel. Most Hyperion content can be
accessed with Smart View so it is very useful controlling tool.

You are kindly requested to read these instructions carefully. If you need further advice,
please contact the Consolidation & Reporting team in Baar/Switzerland.

1. INSTALLATION
Please ask your local IT to support you with the installation. Maybe you need administrator
rights or the program can be installed to your machine remotely.

1.1 DOWNLOAD

The program is available for download in Hyperion itself. Click on Tools / Install / Smart View
and follow the download instructions.

After the installation of Smart View, open Excel. Normally Smart View appears without any
further action. If not, check the Excel add-in (and Com add-in) options.

1.2 SETTING PREFERENCES

Before you start, we ask you to set your preferences correctly. To do so, please proceed as
explained below.

Go to: Smart View / Options / Data Options and remove all tick marks under the heading
‘supress colums’. Save those settings as default using the ‘OK’-button with ‘Save as default
options’.

2. ESTABLISHING CONNECTIONS

2.1 SHARED CONNECTIONS

Shared connections allow opening web forms and financial reports in Excel as they are
available within Hyperion. To use this functionality, open options and update the shared
connections URL as follows:

2.2 PRIVATE CONNECTIONS

Private connections are needed when you create individual Excel worksheets that extract
data cell by cell from Hyperion. The most often used command is HS.GetValue.

There are two major Hyperion Applications: OpRep and FinRep. For each application an
individual connection needs to be created.

2.2.2 MODIFY PRIVATE CONNECTION

3. SMART VIEW DATA CAPTURE


A possibility to record data is to open the WDEF in Smart View and directly record the data in
Excel and submit it to HFM.

The WDEF will be opened in Excel. Once you are on a web data entry form, please make sure
that the point of view (POV) is correct before recording the data and press ‘refresh’.

After a short while, the report is updated with the new selection. You are now able to
directly record the data in Excel. The data is submitted back to Hyperion after pressing the
submit button. Within a WDEF, these functions are available:



  

 Submit Data: Save recorded figures


 Refresh: Updates the information in the WDEF
 Calculate / force calculate: Calculate sums and carry forward balances
 Cell text: To insert additional information for a single cell
 Instructions: Contains important information to the form

You can also switch to another WDEF directly in Smart View. To do this, go to the tab ‘Smart
View’ and click Panel. On the right-hand side the box will be opened. Choose now the folder
you need and double click on a WDEF to open it. E.g. open the folder SikaOpRep / Root /
Monthly / M_Actuals. Double click on report 01_Contruction_CG and wait for the form to
display.

Please make sure that as always, the point of view (POV) is correct before recording the data
and press ‘refresh’.

4. SMARTVIEW FORMULA IN EXCEL SHEET


To work with this feature, a private connections needs to be created as indicated in 2.2
above. You can retrieve all data, descriptions and text with the HS formulas and POV (Point
of View).

4.4 POV (POINT OF VIEW) – 12 DIMENSIONS:

Scenario; Year; Period; View; Entity; Account; Value; ICP; Custom1; Custom2; Custom3;

With these formulas and the correct POV you can create your own tailored reports in Excel.

As a starting point, we recommend using a template available on our Connections site. We


also provide a dimension overview in which you can see the correct POV to create certain
P&Ls and Sales reports.

Another way to get the correct POV for your reports is to check the respective web form for
the cell information of the account that you want to include in your report. See below an
example of Net Sales in the financial P&L:

To update your file with the new data, you have to refresh your file by pressing the refresh
button in your excel sheet.

Smart View, please do the following step to repair your links.
