Executive Summary

The internship report in a broad spectrum explains my experience in my hosting company.


The report explains the company’s vision, mission, work done, benefits of the internship and
recommendations for the company. Design and Engineering Systems (DES) is the leading
construction, engineering and infrastructure Development Company in Pakistan dealing with
the construction, renovation and fabrication of strongly paved roads, high rise and intricate
bridges and flyovers, heavy capacity dams and artistically designed airports. Besides, this
industry also has created a large number of jobs in the job market. Thousands of backward
linkage industries such as: Brick, Sand, Ceramic, Sanitary wears industry etc. have set up on
the base of real estate industries.

So, it is playing a great role in our national economy as it has a huge impact on the country’s
revenue collection. There are about five hundred real estate Companies in our country. All
the companies are not well recognized by the people. Many of the companies do not fulfill
their commitment. DES holds a strong vision and mission and it is striving to work hard
towards the better infrastructure of Pakistan. As we worked in the Human Resource
department, we learned how to deal with challenging situations.

The first responsibility I was assigned on this eight week of internship period was to assist
the trainer for the TTT program. Secondly, I was allotted the work of Budgets for the projects
Data Sheet Update and SPPS was the last task I was assigned during my Internship program.
As an intern, I realized that I was successful to gather a lot of significant learning experiences
which would be helpful in my future career. The HR department of DES offered me ample
space and opportunities, not only to learn but also to exhibit my skills as a HR team member.
I could use my theoretical knowledge of HR in real practice while participating in many
discussions. I was actively involved in the department meetings where I shared my
knowledge and views regarding the performance in HRD of Design and Engineering
Systems. I successfully completed all the assigned duties and handed them over to the senior
supervisor at the end of the internship. I thoroughly enjoyed the challenges that came along
every single day. I could also bring some minor improvisations during my internship which
were able to leave their marks. These lessons that I have learned will be a valuable one for
my future endeavors as well.

This dissertation would not have been possible without the guidance and the help of several
individuals who in one way or another contributed and extended their valuable assistance in
the preparation and completion of this study.

I would like to express my gratitude to Kinnaird College For Women for including internship
program as a three credit course which has provided an opportunity to gain practical working
experience in the organization.

My sincere gratitude to Ms. Madiha Nonari, Human Resource Development & Training
Manager for giving me a chance to do my internship in the HR Department of this
organization, Design and Engineering Systems. I am thankful to Mr. Ahsan Ahmed– Senior
Assistant and Mr. Syed Mohsin Shah – Senior from HRD for devoting time from their busy
schedule and explaining how work is being done in HRD and assigning me with various tasks
during these 8 weeks of internship period.

Introduction of Report (Objectivity)
Kinnaird College for Women is the conscientious learning center where students at different
levels prepare to meet the challenges and opportunities of the 21st century. It offers
undergraduate program of Bachelors of Business Administration (BBA) which requires the
students to complete a three credit hours of internship program. After the completion of
internship, the students are required to prepare a project report on a topic relevant to the work
they were assigned during the internship.

An intern has to prepare project report at the end of the internship period but the main
objective of the internship is to get the hands-on experience of the real world organization. It
also helps to develop the skills required to handle the day to day operations in an
organization. This will allow the students to be prepared for the upcoming corporate
challenges by experiencing real time working environment.

Upon subsequent research to find the best suitable organization to match both my major and
area of interest, I selected the DES engineering firm, one of the best infrastructure
Development Company in Pakistan This internship program was approved by the business
department of Kinnaird College for Women.

The Faculty of Management, has its ultimate objectives of preparing students for professional
pursuits of business, industry and government. The core objective of the internship is to fulfill
the requirement of the BBA program as prescribed by the Kinnaird. Apart from this, the
internship was completed with the objective of getting practical knowledge in the HR
department of DES.

More specifically, the objectives of the internship were as follows:

 To gain practical experience of the jobs carried out in the HR Department of Designs and
Engineering Systems (Pvt.) Ltd.
 To compare the theoretical knowledge of HR with the practical experiences carried out at
an Engineering firm.
 Clarify personal interests, skills, and competencies, and their implementation toward
development of career goals.
 To gain ideas from the experienced people working for HR department.
 To understand the challenges faced by the HR department.
 To understand the different types of training provided to the employees.
 Development of personal standards of professional and ethical behavior required in the
workplace.
 Assumption of responsibility for continued learning and professional development.

History of the organization


DES was found in 1998 and incorporated in 2007, DES is always on the crossroads for
seeking and creating novel and ingenious construction and fabrication layouts without casting
an extra dime on the budget. Timely completion and execution of the projects to provide
clients with unmatched satisfaction is the most cherished tradition at DES. Design and
Engineering Systems (DES) is the leading construction, engineering and infrastructure
Development Company in Pakistan dealing with the construction, renovation and fabrication
of strongly paved roads, high rise and intricate bridges and flyovers, heavy capacity dams and
artistically designed airports. For the past two decades, DES has been adding value to the
infrastructural framework of Pakistan by erecting state of the art buildings with the use of
cutting edge engineering technology and equipment within given time limits and budget
constraints. DES has set trends in the construction industry of Pakistan by coming up with
innovative and unprecedented structural designs and layouts, sustainable construction and
engineering techniques, efficient and the most advanced machinery and unexcelled project
management plans. DES takes pride in serving the nation and enjoying 100% ownership from
the citizens of Pakistan.
For about past three decades, DES have been striving humbly to create landmark
developments in construction industry in Pakistan. It has achieved unparalleled growth in the
recent years in terms of completed projects and client satisfaction. There are a number of high
class projects in the pipeline as well. DES values the hard work its workers put for it and pays
back by providing them with unmatched professional and personal growth. The journey is
going on and it will continue so in the times to come. DES is passionate to give iconic boom
to construction industry in Pakistan and aspire to be the trend setters and the benchmark for
others to follow.
DES provides services such as Oil and Gas pipelines, Bridge structures, Roads and
Pavements. It has its main office in Lahore Phase 6, whereas, a few offices in other cities
across Pakistan as well. It has almost 500 employees in the company.
 MISSION STATEMENT:
DES aims to set trends in the construction industry of Pakistan by coming up with innovative
and unprecedented structural designs and layouts, sustainable construction and engineering
techniques, efficient and the most advanced machinery and unexcelled project management
plans.

 VISION STATEMENT:

Our vision at “Engineering company” emphasizes who we are and reflects our core values,
and demonstrates the path we follow to ensure our customers are given high performance,
unmatched accountability, and the best satisfaction in the industry.
Management of the organization

DES is a private limited company and has 7 Board of Directors who’s names haven’t been
disclosed. However, the CEO of the company is Mr. Asim Tanveer who conducts all the
projects.
Other major employees of the Lahore branch include the following:

Departments of the organization

1) Production Department: This is the largest department, because it has hundreds of


workers, and dozens of team leaders. They do and oversee the work that happens on the
sight.
2) Financial Department: The financial department is responsible for management of the
company’s cash flow and ensuring there are sufficient funds available to meet the day to
day payments.
3) Human Resources Department: The H&R department is responsible for staff
recruitment and training, record keeping, compensation and benefits, insurance, and
employee relations.
4) Purchasing Department: Purchasing department’s main role is purchasing supplies and
materials used in the projects and company daily needs. They need to compare among
different suppliers and finding the items with correct prices and qualities.
5) Project Department: Project department is responsible for scheduling and managing for
each project. The project manager needs to decide the budget, assign employees and their
duties to complete the job, oversee the safety of workers. They need to make sure the
construction work can be well completed according to the contract.
6) Engineering Department: In general, the engineering department is responsible for the
planning of the construction project. This includes conducting surveys, engaging in
research, analyzing results, planning the construction and supporting all technical issues
during the project.
7) Marketing Department: The marketing department is responsible for market research,
marketing strategy, sales, advertising, promotion, pricing, product development, and
public relations activities.
8) IT Department: The information technology (IT) department plays a pivotal, although
often unappreciated, role in product development. This department provides the tools to
ensure every department receives information at the right time and at the right place.

DES is dealing with the construction, renovation and fabrication of strongly paved roads,
high rise and intricate bridges and flyovers, heavy capacity dams and artistically designed
airports.

1) Oil and Gas pipeline: DES  provide a wide range of oil  and gas pipe line  work
service es including; house site construction, driveway construction, landscaping,
drainage and trenching.

2) Bridge Structures: DES has decades of experience in bridge engineering, design and
consulting.  The company employs experts in the field of bridge building and offers a full
range of related services, including feasibility studies, bridge design and design review,
retrofitting, tender documents, site planning, flood and discharge forecasts and project
supervision.
3) Roads and Pavements:
We ensure the quality and extends the lifetime of your pavement systems through
effective testing, design, construction and maintenance. Our pavement engineering
services offer you specialized testing, design, construction and pavement maintenance to
ensure quality and extend the lifecycle of your systems.

Weekly Activities

Activity: Staff Product Purchase Scheme (SPPS), Medical Insurance Data Sheet Update,
Assist for "Train The Trainer (TTT)" training program.

The first responsibility I was assigned on this eight week of internship period was to assist the
trainer for the TTT program. Secondly, I was allotted the work of Medical Insurance Data
Sheet Update and Staff Benefit Program was the last task I was assigned during my
Internship program.

The HR Department deals with the management of people within the organization. The
department is responsible for attracting employees, designating them in their positions and
ensuring their performances. All the employees' record is retrieved from the System for Time
and Recording (STAR) and is updated every day. The attendance, annual leaves, casual
leaves, sick leaves, complimentary leaves etc. are also updated on a daily basis into the
system. There are various activities in the HRD that make the Senior Assistant and Senior
Supervisor occupied the entire day. HR also handles the Intra Department trainings,
Supervisor Trainings, TTT trainings and employee orientation & trainee orientation
programs. Medical Insurance file is updated once in every year. SPPS (Staff Product
Purchase Scheme) had its first ever commencement this year at my presence. In this scheme,
employees with at least a complete year of tenure could purchase any products listed by the
two dealers in an annual installment basis.

 TTT – Train The Trainer

This training is provided to the selected head / supervisor / executive of all the departments. It
is a three day workshop designed to teach each participant the effective methods and
techniques of training. Each trainee is provided with a full day of team building games and
lecture on how to train the employees / coworkers / subordinates. During this training, each
individual has to prepare a training module and provide training to the co-trainees where they
would share the ratings of their trainings. Day two and day three are used for these individual
practice trainings. Each trainee is required to provide three trainings to their subordinates of
their department within a month. After the completion of this training, HR department
monitors and ensures that the newly trained trainer provides his/her subordinates with the
training on a regular basis. I was principally responsible only in arranging all the required
resources for the trainings and assist the trainer. However, I also got an opportunity to attend
the training in my own initiative.

 Staff Product Purchase Scheme (SPPS)

This is an employee benefit program which started from this year, during my internship
period. I was responsible to coordinate with the staff members in order to fulfill the
preliminary requirements of those interested to sign up for the installment scheme. This
program was initiated by the HR Department and Employee Welfare Committee for
employees' benefit. SPPS is the best possible program for the employees who wish to buy
any product listed by two dealers on an annual installment basis. The products varied from a
small CFL tubes to 42" LED Television to 300L Refrigerators. The scheme received an
overwhelming response from employees and was very keen to have more of such programs in
future. There were however some basic requirements of the program. First, they had to be a
full time employee without any prior loans. Second, they should be a year less than the
retirement age. I was responsible in filling up the form for all the interested employees who
wanted to buy the product. After all the forms were filled up, they were taken to the Finance
Department for verification. The Finance Officer checked all the validity of the employee
data and signed the forms. The forms were forwarded to the Financial Controller for further
approval. The forms were then taken to Welfare Committee for second signature of approval.
At last the HR Managers signed the forms and completed the process of the first round of the
program.

 Medical Insurance Data Sheet Update

All the permanent employees are entitled for the Medical Insurance where an employee can
claim Rs. 50,000/- to Rs. 125,000/- per year based upon the employees' position in the
Organization. The medical insurance claim could be the reimbursement of the check up that
an employee or family members of the employee undergo. The claim document should be
attached with the claim form filled by the employee. The documents are collected weekly and
sent to the Finance Department for payment. The Medical Insurance Data Sheet is the record
which contains all the information required by the Finance Department to re-check the
document. I was responsible in updating the data sheet for all the employees. There were
around 500 employees in total where every data needed to be verified individually. The data
contained Name of Employee, Date of Birth of Employee, Marital Status, Name of Spouse,
Date of Birth of Spouse, Number of Children, Name of Children, Date of Birth of Children,
Name of Father, Date of Birth of Father, Name of Mother, Date of Birth of Mother, Address
and Contact Number.

 Outcome of the activities:

Based on my eight week term as an intern, I realized that I was successful to gather a lot of
significant learning experiences which would be helpful in my future career. The HR
department of DES offered me ample space and opportunities, not only to learn but also to
exhibit my skills as a HR team member. My contributions were well recognized by the
organization. I successfully completed all the assigned duties and handed them over to the
senior supervisor at the end of the internship. Medical Insurance Data Sheet Update was
completed successfully where I tried to update the data to the best of my knowledge.

SPPS was also successfully conducted and the satisfied employees ordered more products
than anticipated to fulfill their requirements. They also looked forward and requested for
more of such schemes. I also well assisted the TTT which gave my work a lot of
appreciations. My assistance to some of the presenters using slideshows and PowerPoint
proved to be a crucial support in many presentations.

 Human Resource Department

The Human Resource Department has broadly classified the functions into two topics of:

“What We Believe and What We Do.”

 What We Believe

We believe in professional hospitality service for profit. Our Human Resources philosophy is
to provide employee recruitment and retention programs which produce optimum employee
satisfaction and performance. We are enablers that support people in reaching their full
potential by giving managers and employees the tools to develop and succeed in their roles.

 What We Do

1. HR representatives initiate partnerships with all other construction firms to have an insight
of the market.

2. HR representatives have a coaching role to all employees. Thus, our role is always to go to
the source of the issue, while limiting our role as counselor.

3. The Corporate HR and Legal staff are resources to consult when confronted with issues, or
when outside feedback may be seen as beneficial.

4. HR Representatives should develop business strategies that are in alignment with the
company’s objectives, by focusing on all aspects of the human asset.

5. HR Representatives should be continuously improving the HR practices of DES, by


keeping a pulse of the organizational culture as well as being aware of what is current in our
industry.

Analysis:

During the eight weeks of internship period in the organization as an intern work under HR
Department and understand the corporate culture of a construction firm and also bring in
some fresh ideas to the department. My specialization in BBA being HR, for obvious reasons,
is that I took up internship in HRD. I was fortunate enough to have the program in such a
well staffed organization. I got to learn a lot from my internship at HRD.

Concluding remarks for analysis

The HR Department deals with the management of people within the organization. The
department is responsible for attracting employees, designating them in their positions and
ensuring their performances. There are various activities in the HRD that make the Senior
Assistant and Senior Supervisor occupied the entire day. HR also handles the Intra
Department trainings and Supervisor Trainings. The HR department had very cooperative
employees and a creative and interactive environment. All the internees were kept busy in
many entertaining tasks. I have gathered a lot of knowledge in those 8 weeks and I feel
myself capable for working in an organization in the future. And this eight week internship in
HRD of DES has honed by understanding of HR in practice. It gave me an important
exposure and an insider look of such a big organization. I could use my theoretical
knowledge of HR in real practice while participating in many discussions. I was actively
involved in the department meetings where I shared my knowledge and views regarding the
performance in HRD of design and engineering systems.
Observation about dilemma faced by organization

There was no such dilemma faced by Human Resource department. Whereas, talking about
the company as a whole, it gets to face many challenging situations. Many contractors partner
up for the projects, especially for the machinery. So, it is very difficult for the organization to
analyze the best among the alternatives and choose the one that is most beneficial for Design
and Engineering systems Pvt. ltd. These dilemmas are not usually opened up to the
employees. However, the heads of Project and Purchase department gather information about
each of them and conduct a meeting with the CEO of the company. I happened to have made
Power point slides for one of these meetings. Therefore, I got to know about the challenging
situations that a construction company has to face.
