School Policies
Application & Coverage

These rules shall be applicable to the employees who are employed by JTK English
medium school in a regular /probation /contractual/temporary employment for
continuous six months or more duration.

Definition

In these rules, unless there is anything repugnant in the subject or context, the words
used will be defined as follows:

A] Regular employee means an employee who has satisfactorily completed his/her


period of probation in one or the other post and has been confirmed as prescribed.

B] Part Time spells of minimum four hours duration from the start of the working
day or before the end of the working day time.

C] Holiday means a day [s]declared by appropriate authority on which day to day


business of the school shall remain closed.

D] Academic Session means an academic period commencing from 1 st April in a


year and ending on 31st March in the subsequent year.

E] Teaching Employee means a person employed as Teachers /P.T.I.

F] Non-Teaching Employee means a person employed as Principal/Vice


Principal /Head Mistress or to do any work of
administrative/commercial/technical/librarian/services and ministerial nature and
or any other work of the school which is not a work of teaching nature

G] Competent Authority means a person in whom authority is vested in express or


implied manner for a purpose [s] or authority to sanction /refuse leave and or
recommend/consider encashment of leave.

H) Probation period would normally be for 6 months after which the employee may
be confirmed by the sanctioning authority based on the feedback taken from parents,
colleagues and students. In case of unsatisfactory performance, the probation period
may be extended to 12 months.

1. Entitlement of leave

The nature and quantum of leaves admissible to the employees will be as under:

1A. Casual Leave


a] Teaching and Non –Teaching employees shall be eligible for 10 days Casual
leave in an academic year.

b] Intervening weekly off, holidays shall not be counted as casual leave; Casual leave
can be pre-fixed or suffixed to a weekly –off day or holiday.

c] Normally, half –day Casual for first half or second half of the day shall be availed
with permission only.

d] Un availed Casual leave shall stand lapsed at the end of the academic year i.e.
Casual leave shall not be carried forward to the next year.

e] Restricted holiday as casual leave shall be availed on specified holidays as


declared in the calendar of the School, with the prior sanction of such leave by the
sanctioning authority.

1B Privilege Leave

a] The eligibility of Privilege leave shall be first time on completion of one year
service. Please note that 15 days of P.L . for Teaching & Non-teaching employees
shall be granted on each completed one year service. And thereafter, the privilege
leave shall be credited on the first day of the Academic year i.e. on 1 st April every
year on the aforesaid rate. Pro –rata leave shall be credited for part time service in an
academic year accordingly on 1st April.

b] Privilege leave shall not be availed for more than three times in an academic year.
However, competent authority may allow to avail P.L. for more than 03 times
considering sickness or any other extraordinary circumstances of a case.

c] The R.H. and C.L. shall not be combined with P.L.

d] Privilege leave shall be allowed to be accumulated maximum for 30 days at any


time and leave beyond that shall stand lapsed automatically unless leave beyond
accumulation limit is sanctioned for encashment.

e] Intervening weekly –off day and holiday shall be counted towards privilege leave
availed.

f] In the event of separation from employment of the Institute, an employee shall be


encashed the balance privilege leave in credit in his leave account.

g] To begin with, the privilege leave shall be credited to the account of the eligible
employees on 1st April, 2020[for the service in the academic session year 2020-21] and
thereafter as prescribed in the said rule.
1C) Maternity Leave

The eligibility of maternity leave to a woman employee shall be considered on


completion of one year service as per provision of statute/act applicable to the
institute. The maternity leave shall be availed by the concerned woman employee
after sanction of such leave by the competent authority, the maternity leave shall be
availed based on medical certificate, issued by a competent medical practitioner
confirming the pregnancy /conception......3 months

1D) Academic leave

Academic leave of absence from duty up to limit of 07 days in an academic year


may be sanctioned to a teaching employee by the competent authority for the
purpose of – conducting examination of a Recognized Institution /statutory board
,deliver academic lectures, to attend meeting of the Committee/ Board /faculties &
other academic bodies of the Boards , to inspect academic institutions affiliated to a
Board and for any other purpose which is deemed fit by the sanctioning
/competent authority to be of academic nature .The academic leave shall be granted
to a teaching employee where day- to- day teaching is not affected adversely in the
school.

2] Staff Child Concession

a) Teachers appointed at JTK English medium school Nandgaon are entitled to 100%
waiver on Tuition fee for maximum 2 children Also, the Security Deposit will be
waived. However, they will have to be charged for food and activities and they need
to pay the Registration Charges.

b) Books, Stationery & Uniform shall be from the school’s end.

c) 50% transport for staff children shall be charged, if utilizing such facility.

3) Holidays

At the beginning of each academic year, a calendar of holidays for the year shall be
notified. The calendar of holidays normally shall be based on the state govt.
directives including local Holidays of Nashik. The competent authority shall have
the right to amend the calendar of holidays at any time i.e. increase/decrease the
number of holidays and or declare holiday alternatively in place of holidays already
declared.

4) Vacation and Break


a) For teaching staff - Considering the status of study classes held and courses
completed, the teaching employees shall be given vacation/break of maximum 55
days in an academic year. The vacation/break for teaching employees shall be either
in fixed manner for all or in staggered manner in batches, depending on the
requirement of the school. Normally vacation /break shall be based on requirement
of studies and accordingly winter and festival occasion break and summer- vacation
shall be declared. The teaching employee who have performed duty for the whole
academic session of one year shall be considered for sanction of maximum 55 days
vacation /break in an academic year. Any teaching employee on vacation break may
be called for duty at any time and shall be allowed compensatory leave as stated
above para 3[e] in lieu of duty performed on vacation days .The decision of
sanctioning authority to sanction defray, curtail or cancel the vacation break at any
time shall be final &binding.

All teaching staff are expected to report on duty 7 days before the commencement of
the academic session and 2 days after the term ends for all academic purposes or as
mentioned in the Academic Calendar.

b) For Non- teaching staff – All admin. & office staff are expected to be present in
school in the vacation or long break However, 15 days leave in the summer vacation
and 7 days leave in the winter break can be granted at the discretion of the
Management. It is imperative to note that such leave must be taken in turn so that
office /managerial work does not suffer at any cost.

5) General Conditions for ‘Grant of Leave’

a] No leave can be claimed as a matter of right and can only be granted at the
convenience the administration/ sanctioning authority. The sanctioning authority
shall have the discretion to refuse, revise, curtail or revoke leave at any time as per
exigencies of service.

b] An employee normally shall apply leave by submitting prescribed leave


application form duly filled in to the sanctioning authority and shall not avail before
it is sanctioned. In case of genuine emergency or illness, the Casual leave may be
availed without prior permission, but the applicant must inform the sanctioning
authority that very day before the school time commences.

c] Except in emergency, application up to three days leave shall be made at least 24


hours before to the day from which leave is required and for more than three days
leave, the application for leave should be made 07 days before.

d] An employee shall furnish his address & telephone no.[ if any] during leave –
period in the leave application with the reason for taking leave.
e] The application for extension of leave shall be made normally by an employee in
such a manner that it reaches to the sanctioning authority one day before the expiry
of the sanctioned leave; request for extension of leave on sickness ground should be
made along with medical certificate of registered Medical practitioner. In such cases,
medical fitness certificate should also be submitted.

f] If an employee remains absent on expiry of sanctioned leave and such absence


exceeds 15 consecutive days, he shall be liable for disciplinary action for
unauthorised absence.

g] Encashment of privilege leave will be allowed where leave in credit is applied but
refused and cannot be granted due to exigencies of work and leave in credit is likely
to lapse.

6) Policy for Residential Staff

Residential Staff shall enjoy the following privileges but will be expected to perform
after school duties as per the directives of the Management:

a) Each residential flat is equipped with RO Water Facility.

b) Each flat, is provided with beds & mattress and maintenance is the responsibility
of the Staff Member.

c) Similarly, Electric bulbs/CFLs are in the first instance, provided by the School.
Replacements shall be the responsibility of the inmates.

d) To pay the Electricity bill shall be responsibility of the inmates.

e). An Estate Register is available at the Reception for all complaints/feedback


regarding Residential Apartments, Classrooms, Furniture, Electrical
fittings/Cleanliness etc which may be written. The Admin Manager shall look after
all Residential Complaints/necessities and the School Building related problems
after discussing with the Principal.

f)The PRO is responsible for maintaining this Register which shall be shown to the
Admin Manager for information, signatures & necessary action & then brought to
the notice of the Principal (after entry by Staff Member).

g) If you over stay in the staff quarters in the school campus after your last working
day at Suryodaya Global Academy, you will have to pay Rs. 800/- per day .

7) Discipline Policy
a) No staff member is allowed to leave the school during school hours (even in a free
period) without the Principal’s permission. Strict action will be taken on violation of
laid down rules.

b) Coming late (even 10 minutes) or going early (even 10 minutes) may be permitted
once in 3 months under special circumstances giving the cause in writing but a
repeat action shall be inclusive & the staff member automatically gets 1 day C.L. or
Leave without Pay [Principal’s discretion] without notification. For this a separate
form is available at the Front Office.

c) The use of Mobile Phones is strictly prohibited in the school (during school hours)
by teachers. Strict action will be taken on violation of the laid down rules.

d) Refusing to acknowledge a Letter/Memo from the Management/Principal or


any deputed authority is a major misconduct and shall not be acceptable. You are
welcome to differ but first must acknowledge the Letter/Memo and then give your
version in writing.

e) Please do not overwrite in the Staff Attendance register-over the Principal’s


remarks. You may request him/her to change it.

f) Insisting on Leave – not granted – tantamount to resignation Mid-session. Such


withdrawals shall attract forfeiture of security + the Notice Period Salary.

g) If no information/application is received – a staff is marked absent and 25%


penalty is charged apart from that day’s salary not being paid.

h) Teachers must send supervision sheets, failing which the day is marked absent or
LWP.

i) The annual increment shall not be claimed by you as a matter of right but will
depend upon the maintenance of high standard of discipline, good work, efficiency,
integrity, punctuality and regularity.

J) If any declaration or information furnished by you in your application proves to


be false or if you are found to have willfully suppressed any material information,
your services will be terminated without any notice or salary in lieu thereof.

K) No employee will use or disclose any of the School’s Confidential Information.


Violation of the above will be viewed seriously by Management and may possibly
also lead to termination of services.

l) You will not indulge or encourage any form of malpractice connected with the
examination either in this school or in other school. Strict action will be taken on
violation of the laid down rules.
m) You will not award any corporal punishment to any student entrusted to you. In
case of any such act committed by you, the Managing Committee/ Principal will
have to take necessary action against you.

n) You will not accept or demand any subscription/donation/contribution from any


one either for yourself or for any association of teacher/staff or students.

8) General Rules & Regulations

a)Experience Certificate is issued only after a week of the last working day.
Experience Certificate is issued only if a staff member completes the full academic
session.

b) All teaching staff will be required to deposit one month’s salary in 5 instalments
as Staff Security Deposit which will be refunded at the time of leaving services at
Suryodaya Global Academy.

c) Vacation Salary – is not paid to a new staff member in the year of joining but if
he/she continues in the subsequent year, the previous year’s vacation salary
shall be paid in July’s salary of the subsequent year.

d) Any reimbursement of school bills should be claimed within 7 days or such


bills shall not be accepted.

e) During Notice Period accounts shall be finalized only after the last working
day and such amount shall be credited in the bank on the due salary day.
Security deposit {if, to be released as per rules} is deposited in the Bank at the time of
the last salary paid (on due date of salary)

f) CTC (Cost to Company) is variable and changes from time to time according
to the facilities provided and as per price index. However, the organization tries
to stick to a basic figure for simplification.

g) Leave has to be sanctioned in writing on the prescribed leave Performa before


availing it OR absence would be marked which would result as LWP + 25%
deduction.

h) Salary shall be deposited directly in your Bank account between 5-7 of every
month.

i) In case you wish to resign due to any reason you should give one calendar
month’s notice in
writing in case of temporary appointment and three calendar months’ notice in case
of confirmed
service or payment in lieu of the notice period respectively. However it is expected
of you to complete
one academic year. In case of resignation in midsession employee is expected to
complete all the assigned task, failure to do so will deprive the employee of essential
documents and security deposit.

NOTE: All policies are available in the Principal’s Office. It is mandatory for all to
read and follow these in letter & spirit. It shall be assumed that within 15 days of
your joining the School, you have read & understood these policies. You may
approach the Principal for any clarification.

NOTE: The Management/Principal is free to amend rules from time to time


keeping in mind the wider interests of the School and in such cases only a circular
shall be issued.
