First of all, I would like to praise and thank God for His love and protection and get me through
many things in which I was able to attend the practical training at TACAIDS (Tanzania
Commission for AIDS). Also thanks my lovely parents for their contributions to give me basic
needs as a student.

I would like also to acknowledge the caring and conducive environment which I got from
TACAIDS. I was well trained and given work same as other workers which was in the
Organization without any discrimination, alike which all enable me to obtain the intended
objective for the entire eight weeks of the practical training.
Special thanks for the Head of department information system in organization Miss Irene
Charles, Mr. Yohana Malendaa and Mr. Arkram Swalehe both are ICT Officers at TACAIDS for
their assistance in making sure I understood the work done daily and the many new things they
have taught me regarding IT, and to all TACAIDS staffs for their friendly support and
cooperation during my work stay there and the University of Iringa for providing with such a
great learning opportunity through which competence, exposure and confidence to work as
system analysis has been developed.

EXECUTIVE SUMMARY

This report is aiming to give a summary of practical training performed over a period of 8 weeks
from 15th July to 13th September 2018 as a part of the fulfillments of the Diploma in Information
Technology Program.

The practical training took place at the Tanzania Commission for AIDS (TACAIDS) which is
located at Sokoine Drive and Luthuli Street. During my stay at TACAIDS, I worked with the
Management Information System Unit (MISU) team as the department of ICT. In this
department, the main tasks or activities were user support, computer maintenance and repair,
installation of setups, network and system administration. These responsibilities greatly improved
my analytical problem solving and communication between the ICT staffs on how to fix any ICT
problem.

Also, in each of these task that I mentioned above there are hardware and software facilities that
help me to accomplish the tasks that assigned from the supervisor.

Although there is the lesson learnt that I got from each task that help me to improve my work
ability related to ICT service. Also, there are challenges that I face during the field practical
training at the organization.

This field report is about the system analysis at TACAIDS and consist of four parties
Party one
Covers an introduction which includes background, organization structure, basic function of the
organization, mission and vision of organization and organization chart.

Party two
This it includes main body and duties that student assigned to perform or learn during practical
training to the different literatures reviewed in the preparation of the field.

Party three
This part includes purpose of study during training period, working experience and Importance of
field training to students whose perform exactly training

Party four
This part is about summaries, conclusion limitation to the study and recommendations in relation
to data interpretation versus objectives,

CHAPTER ONE
 
1.0 Introduction

Field practical training aims to enable the student to learn practically by applying theories and
training obtained in the lecture sessions. These enable students to come up with real nature
applied in information technology.
Therefore, according to the prospectus of College, students are supposed to attend practical
training for eight weeks. This chapter discusses the background information to organization
where is from up to now. Also explain the organization structure and organization chart at
TACAIDS

1.1 Background to the Organization

Tanzania is one of the countries hard hit by HIV/AIDS epidemic. Recent reports from the
Ministry of Health indicate that since the first 3 cases were reported in 1983 a total 118,713 cases
have been reported from health facilities in the country by the end of the year 1999. It is however
estimated that cumulatively about 600,000 have developed HIV/AIDS, and about 2 million
people have been infected with the HIV/AIDS virus.
The report also shows that 70.5 percent of new HIV infections are in the 25 - 49 age group and 15
percent in the 15 - 24 age group. About 72,000 newborn babies were infected with HIV in 1999.
It is estimated that there are over 600,000 orphans due to HIV/AIDS.

HIV/AIDS has now become the primary cause of death among adults in the country and is
decimating the most productive age group leaving behind misery, suffering and poverty.
HIV/AIDS epidemic is a big social and economic problem with devastating impact on national
development. It is against this background that President Benjamin William Mkapa in his New
Year Message on the 31st December 1999, called the epidemic "an extraordinary crisis that
requires extra-ordinary measures to deal with it.

The President's speech echoed the magnitude of the HIV/AIDS pandemic in Tanzania and the
need for a multi-sectorial approach in the fight against it. To affect that, on 1st December 2000,
the President announced the formation of the Tanzania Commission for AIDS.

Tacaids was first established by the announcement made by the President on 1 December 2000.
The other step taken to establish tacaids was by the enactment of a law establishing Tanzania
Commission for AIDS, Act No. 22 of 2001 by the Parliament. These steps were taken so as to
ensure that the Government of the United Republic of Tanzania has an institution that is legally
mandated to provide strategic leadership and to coordinate and strengthen efforts of all
stakeholders involved in the fight against HIV/AIDS.

1.2 Organization structure


The Tanzania Commission for AIDS (TACAIDS) is an Independent Department under the Prime
Minister's Office (PMO).
 The placement of the TACAIDS under PMO was necessitated by two reasons:

 The war against HIV/AIDS is a multi-sectorial intervention because it is covering


cultural, social, economic, political and technological processes. These require the
involvement and participation of many public and private stakeholders in developing strategic
framework and also in the implementation of the strategy.
 The critical task in this case therefore is to coordinate and mobilize all stakeholders. The
Prime Minister's Office is well placed for this role.

As such TACAIDS is a government institution which has broad representation drawn from many
stakeholders drawn from within and outside the public service including development partners.

1.3 Function of organization

 To formulate policy guidelines for the response of HIV/AIDS epidemic and management
of its consequences in mainland Tanzania

 To develop Strategic Framework for planning of all HIV/AIDS control programs and
activities within the overall national strategy.

 To foster national and international linkages among all stake holders through proper co-
ordination of all HIV/AIDS control programs and activities within the overall national
strategy

 To disseminate and share information on the HIV/AIDS epidemic and its consequences in
Tanzania and on the programs for its control

 To promote research, information sharing and documentation on HIV/AIDS prevention


and control

 To coordinate all activities related to the management of the HIV/AIDS epidemic in


Tanzania as per National Strategy

 To facilitate efforts to find a cure, promote access to treatment and care, and develop
vaccines

 To identify obstacles to the implementation of HIV/AIDS, prevention and control


policies, programed and ensure the implementation and attainment of programmers,
activities and targets.

 To perform such other activities and functions related to the prevention and control of
HIV/AIDS epidemic in Tanzania mainland as the commission may deem necessary,

 To promote all activities related to the prevention and control of HIV/AIDS epidemic in
particular regarding the following: -
Health care and counseling of HIV/AIDS patients
The welfare of the bereaved orphans and survivors of HIV/AIDS victims.
The handling of social, economic, cultural and legal issues related to the
Epidemic.

1.4 Mission and Vision of organization

 Vision
To have a society in which our children can grow up free from the threat of HIV/AIDS and
which cares for and support all those who are still infected and affected by HIV/AIDS.
 Mission
To provide strategic leadership and to coordinate the implementation of a
national multi-sectorial response to HIV/AIDS leading to the reduction of further infections
associated diseases and the adverse socio-economic effect of the epidemic.

CHAPTER TWO

2.0 Objective
To provide expertise and services on application of ICT to the Commission.
The core functions of the Management information system Unit are:

 Develop and Coordinate Integrated Management Information System for the


Commissions.
 Ensure that hardware and software are well maintained.
 Coordinate and provide support on procurement of software and hardware in the
Commission.
 Establish and coordinate use of Electronic communications;
 Carryout studies and propose areas of using IT as an instrument to improve service
delivery to the whole Commission.
 Development of HIV and AIDS related databases;
 Establish and maintain Local Area Network (LAN), WAN and website.
 Assist stakeholders on data management for proper coordination and data standardization.
 Conduct programming activities including system design documentation of procedures,
and operation of computer and peripheral equipment.
 Participate in vendor relationship as relates to selection, procurement installation and
maintenance of systems.
 Ensure that ICT infrastructure in TACAIDS is well planned, approved and has capability
for provision of Network and Internet services.
 Advise management on computer training for TACAIDS staff.
 Conduct system reviews and advise management on sustainability of existing, new or
modern hardware and software.

2.1 TASKS PERFORMED


Task is the role or assignment performed for specific purposes. The ICT department (MISU) of the
TACAIDS performs the different activities concerned with IT issues. These are as follows:

 Computer maintenance and repair


 Setups for example installation of printer drivers, configuration of computer, installation of

antivirus.
 Network Administration for example network configuration and troubleshooting.
 User Support
The following are details explanation of the tasks that I performed during my field training practical:

2.1.1 COMPUTER MAINTENANCE AND REPAIR


In this task I did many activities concerning with computer maintenance and repair in the
organization as follows;

2.1.1.1 REPLACEMENT OF HARDWARE SUCH AS CMOS BATTERY,


KEYBOARD, DISPLAY SCREEN.
For laptop or desktop computer in developing countries, hardware failure is a common problem.
This is due to the time of laptop used loose its performance. Before I replaced hardware, I should
make sure that they were truly dead. The following are the steps to accomplish it:

 I unplug the power battery from the back of the computer case then I removed it from the
laptop case.
 After that I found and unscrew all of the screws attaching the laptop case to the back of it
which hold the CMOS battery, display screen and keyboard.
 After that I replaced one after another so as the laptop work effectively as normal with the
new hardware then I screwed all the screws. In case of CMOS battery, I reset the time and
date of the computer.

2.1.1.2 HARDWARE USED


I used the tool kit box equipment e.g. Screw Driver, Flat Driver.

2.1.2 SOFTWARE USED


Actually, in this task there are no software that used in this task.

2.1.2.1 DIAGNOSIS OF LAPTOP MOTHERBOARD


In diagnose of motherboard laptop I checked different components of the motherboard by using
digital multimeter. In using digital multimeter, I checked the output voltage in each component.
The following are the steps that did during this task;

 I turned off the computer and turned it on again. I listened for any beeps or error messages
on screen and I wrote down what happens.
 I checked on the google through the browser so as to check what happen related to the

problem. After that I found that the error or beep sequence indicate a certain problem e.g.
power cord. I performed any diagnostics or troubleshooting steps that were recommended.
I continued to the next step if the problem continues.
 Then I checked different chip with the digital multimeter so as to measure the output
voltage of the chip.
 If the digital multimeter read the voltage assigned to the different chip, I conclude that the
chip is ok but if not read the chip dead.
2.1.2.2 HARDWARE USED
There are Digital Multimeter, Screw Driver, Flat Driver as the hardware I used.

2.1.3 SOFTWARE USED


In this task I used the web browser (Mozilla Firefox) as the software so as to check what indicate
in beep alarm.

2.1.3.1 REPAIRING OPERATING SYSTEM


In repairing operating system, sometime occurred when there was a problem of operating system
i.e. windows to start in the laptop or desktop effectively. So, what I did as an IT student to repair
the operating system. I turned on the laptop with continuous click boot button of the computer
then after that I selected the advanced options so as to get repair options. After I got it, I selected
the repair option without lose user files. The process proceeds until 100% after that the machine
restart with safe mode. After I finished this I installed the system software of the laptop because
when repairing the operating all system software’s that do not came with machine removed.

2.1.3.2 HARDWARE USED


In this task I used computer itself as the hardware.

2.2 SOFTWARE USED


In this task I used the operating system i.e. as the software.

2.2.1 INSTALLATION OF SETUPS


In the ICT department of the organization, I installed different setups that can support the
functionality of the system used by the organization like Installation of Operating System,
Installation of Printer and Scanner Drivers and Installation of Antivirus.

2.2.1.1 INSTALLATION OF OPERATING SYSTEM (WINDOWS 7)
In the installation of OS that I did to computer was due to the existing OS fail to boot. In the
processes or steps that I did to finish this task are as follows:

 I took and placed Windows 7 DVD which contains Windows 7 Setup into the DVD tray
and I boot the machine so as to configured the computer from the DVD via BIOS setup.
 After configure it Windows 7 will start loading so as to get installation menu. In the
installation menu first, I chose the language and the keyboard so as to be used in the
computer.
 After few minutes I got the Install menu. I clicked install for the installation process of the
Windows 7 to start.
 Then in the step that followed I accepted the license agreement and to decide whether I
want to Upgrade an existing installation or perform a Custom (advanced) installation,
which is basically creating a new copy of Windows.
 After that I did Partition so as choose where I want to install the Windows 7 and the
location that I choose to store my other files.
 After I choose the place that I want to install OS the installation start to this partition.
During the installation, computer may restart several times until the installation finished.
 After the installation processes finished the next step is user settings like create account
for user, activation for windows, configuration of updates and I set the time zone and
location.
2.2.1.2 HARDWARE USED
In this task I used computer itself, flash and CD as the hardware.

2.2.2 SOFTWARE USED


I used the window 7 setup contained in the CD or flash as the software.

2.2.2.1 INSTALLATION OF PRINTER DRIVERS


I used a bootable CD contain mxdwdrv.dll of the LaserJet M605 PCL 6 printer setup as driver
that identify functionality of printer with the association of computer used in the organization. I
took the CD then I inserted into the CD room in order to run the driver into the computer to be
installed in it.

I clicked install option then proceed the process until the Installation complete, After the
installation completed the drivers act as intermediate program between the printer and computer
used by staff in order to share some resources and perform another function in that organization.

2.2.2.2 HARDWARE USED


I used printer, computer and CD as the hardware for this task.

2.2.3 SOFTWARE USED


I used printer driver called mxdwrv.dll as the software for this task.

2.2.3.1 INSTALLATION OF ANTIVIRUS


In installation of antivirus the software that I used was Kaspersky that embedded in CD as a
setup.

So, what I did, I took the CD then I inserted into the DVD ROM so as to be run in the computer.

Then after inserted to the computer, I put the product key that can able me to run it successful
without any compromising. After put in the key, the program run hence installed to the computer
ready for its work.

So, I did this to the computers of TACAIDS to ensure that computers are secure from
vulnerabilities and malwares and malicious program so the system used by organization is not
compromised and function properly.

2.2.3.2 HARDWARE USED


I used computer itself and CD as the hardware for this task.

2.3. SOFTWARE USED


I used Kaspersky setup embed in the CD.

2.3.1 NETWORK ADMINISTRATION


Another task that I performed during my practical training was network administration like
troubleshooting the network problems to staff or users of using it. At this time most users complain
that they are not able to access the internet, so as IT student it was my task to check what the
problem it is.

2.3.1.1 INTERNET CONNECTION AND TROUBLESHOOTING


In this task mostly, it could be that the user has accidentally changed the IP address and so I had to
configure it again or sometimes it’s a new computer and so it has to be configured according to the
LAN settings of the building so that internet access is granted to that user.

Also, sometimes there was the problem at the server side, power cut or the server is down due to
network traffics or sometimes it’s just the users’ network cables were not connected as supposed to
be for one to connect to the internet. And so, it was my task to troubleshoot it and make sure that
everything works fine or ask for help from other IT staff where I got stuck.

2.3.1.2 HARDWARE USED


I used computer, ethernet cable and the server.

2.3.2 SOFTWARE USED


Actually, there are no task that I used this task.

2.3.2.1 LAN WIRELESS NETWORK TROUBLSHOOTING


In this task, I did by detect first the IP address by using ‘ping IP’ technique in the cmd.

If there is connection then I got the reply by saw the IP address of that system to be successfully
connected but if there is no connection, I saw the reply as the connection is failure as seen in the
diagram below:

2.3.2.2 HARDWARE USED


I used computer itself as the hardware.

2.4 SOFTWARE USED


I used command prompt i.e. CMD as the software to ping the IP address.
2.4.1 USER SUPPORT
In this task I helped the users of the organization in different activities related about computing
activities so as to accomplish their works in the daily activities.

The following are brief description of those tasks:

2.4.1.1 BACKUP AND RESTORATION OF DATA


I did the backing up of data from the computers whose operating system has corrupt also
restoration of data lost/hidden due to virus in the computer. In back of I use AOMEI back upper
and for restoration of files I use Hard Disk Drive.

2.4.1.2 HARDWARE USED


I used hard disk drive, flash, HDD Docking Station and computer itself.

2.4.2 SOFTWARE USED


I used AOMEI back up and I see my password as the software.

2.4.2.1 CONNECTION OF PROJECTOR WITH LAPTOP


In this task I help user to connect laptop and projector that used by the staffs during meeting
session. So, I did this by connect either VGA or HDMI port from the projector. Then after that I
searched for the source so as to enable the projection of computer to the projection screen.

2.4.2.2 HARDWARE USED


I used computer/laptop itself, projector and HDMI/VGA wires as the hardware.

2.4.3 SOFTWARE USED


In this task there are no software used.

2.4.3.1 PRINTER TROUBLESHOOTING


In this task I help user to check the printer problem if it is printing the documents or not. So, what
I did I check the ethernet cable if it is on or off, when it is off I connected again to ethernet port
but when It is on, I open the device management I remove printer. After that I added again by
using the hostname or IP address of the printer. Also, in case of wire problem, I took the USB
wire of the printer then I connected again directly to its port.

2.4.3.2 HARDWARE USED


I used computer, printer itself and USB wire as the hardware.

SOFTWARE USED
I used the printer driver installed in the computer/laptop as the software so as to troubleshoot
wireless printing by using IP address.

CHAPTER THREE

3.0 Purpose of the study during field

Before going for my field attachment, I expected to come across things that have never been
familiar with because I knew in school they do not consider most the working environments but
what they give most is technical skills to accomplish tasks in the organization.

 To apply my knowledge to real work

I expected to apply my theories in real work environment, I expected to apply all the things
concerning information system in the working places, I managed to apply many things like
networking, maintenance. Activities I applied my receiving, issuing, inspecting and recording
skills that got back at school. I applied most of my knowledge though some of my skills were not
put in to practical like ICT using international purpose of study during field.

 Develop my ability to solve problem

Before going for my practical training, I expected my field attachment to develop my ability to

large because it became a stage in the organization I was assigned works without any supervision
like preparation of short report and reports on consumption of fuel for specific periods of time.

3.1 Working experience


Among all the things I expected this was the last best thing I expected, experience matters in real
life situation, experience will help me during my further studies also during future employment
perspective. My practical did not give so much experience as the time was just eight weeks but
still I managed to become familiar to many things regarding ICT activities. I gained experience
though not to large extent.

3.2 Importance of field training to students whose perform exactly training


 Acquire new knowledge and practical experiences

My field work was relevant as I acquire new knowledge during my practical training, new things
like communication, adaption of working environment, team work. Also, I gained experience of
doing activities as I regularly did.

 Improved confidence in solving problem

I improved my confidence in solving problems during my practical work training because at first,
I was trained on how to do different activities then I was left to do some of things on my own,
thus made me confident that I can do things on my own, all I can say is my field work was
relevant because of the confidence that I developed during my practical training.

 Opportunity to relate with different people in the real-life situation

My practical training gave me the opportunity to relate different category of people that I will
meet in real life situation, it gave me opportunity to integrate with different people with different
attitudes and how to socialize with them. This was so important because when I complete my
studies I will have no problem in getting along with different people of different life status
without any problem.

 Improved appreciation of my profession and hence better working skills and ethics

Practical training provided me with more appreciation in my profession that, many things that I
learnt from my lectures I performed them practically. This amide me become competent, thus
afford to perform all information technology activities in any organization. My field Report was

CHAPTER FOUR
4.0 Recommendation

Eight weeks of practical training program period is not enough for students to transforms what is
acquired theoretically from lectures. I do recommend that practical training program should be
split into two years of study after end of second semester of first and second year of study. This
would be helpful to students for gained practical experience due to duration extension of the
programs.

4.1 Communication skills


In many organizations English language is used to a large extent as a medium of communication.
In working environment there are many terminologies which are used and students must be
familiar with them. But a Business communication skill covers few issues used in work
environment. I do recommend that communication in working environment should be placed in
Business Communication Skills syllabus

4.2 Involvement of Various Institutions in Teaching Process


UDBS should build a culture of inviting various institutions officially to offer some training,
seminars and workshops part of what is covered in lectures and not to leave the tasks to the
students’ Academic Association to handle the matter which usually based on career talk dialogue.
This will enable the students not only to understand but also to learn the demands of that
institution and strive to archives them which in turn will enhance their capacity build among the
students hence being able to fit in different organization. Also, arrangement for the study tours
for student to visit organization and company so as they can see this organization undertaking
their daily tasks practically.
4.3 Conclusion
The practical Training is very important program in learning because it exposes students to new
challenges necessary in their career goals. It’s a time when things taught theoretically are
practiced during this period. It enables students to practice the real working environment before
they to be employee or when they to be self-employee.

In this period students are exposed to their field of study like system analysis, These help
students to understand practically how their field of study is carried. These help students to
understand how to deal with people to work under minimal supervision and how to behave to
senior staff.

Also, practical training enables students to understand various fields other than those which
are within their career. Myself I learnt many thinks concerning social aspect at working
environment respect to each other a good work relationship and capability to work in
teamwork manner things which are not easy to learn in classes.

General I enjoyed working with this organization and managed to meet some of expectation.
The working environment was good such that I enjoyed every moment at TACAIDS. I am so
grateful to the organization because I have come out with more practical knowledge in
purchasing field and I think it will be a corner stone in my career.

Thus, practical training is very essential and should be carried on for students to be competent
in what they have been taught in the classes.
