Course Overview

Course Description
Bentley Data Manager is a powerful relational database management tool for
storing, creating, and customizing project instrumentation, equipment, piping,
and valve data. Bentley Data Manager is the ideal tool for plant engineering,
maintenance, and operation departments.

Bentley Data Manager provides quick and easy access to the Bentley project data
and provides quick, easily-modified reports in a standard format.

Target Audience
This course is designed for engineers, designers, and drafters who are using the
AutoPLANT software and will need to access the data within their projects.

Prerequisites
The student needs to have a working knowledge and at least six months
experience using either AutoPLANT or Microstation.

Course Objectives
After completing this course, you will be able to:
• Log in to Data Manager and use the Data Manager interface.
• Create, edit, and delete tags, and view a tag's properties.
• Sort and filter data displayed in a Data Manager view.

Installing the Training Project

Installing the Training Project


Prior to creating a project P&ID, a project must be created. A project has been
provided for your convenience. You will need to unzip this project onto the drive
of your choice. The exercise below installs the project onto the C:\ drive.

 Exercise 1: Installing the Training Project.


1 Make sure all AutoPLANT applications are closed.
2 Download the file AP_FV8i_DM.exe.
3 Save the file to your desktop.
4 Double-click on the file AP_FV8i_DM.exe.
5 Click Unzip to begin the extraction to the root directory of the C drive
(C:\).
6 Click Close.
7 From your Windows Start menu, select Programs > Bentley > Plant V8i >
Project Tools > Project Administrator.
8 Select File > Add Root.
The Browse for Folder dialog opens.

Note: You cannot create a project root directory under a project directory.
Therefore, in order for this option to be available in the File menu, you
must select something at the primary root level of the navigation tree.
9 Select C:\Bentley Training Project.
10 Click OK.

Introduction to Data Manager

Module Overview
This module will introduce you to the Data Manager application. You will be
guided through Data Manager and become familiar with the interface. You will
then learn about Data Manager's security feature by changing the login and
logging in as a guest.

Module Prerequisites
• Six months experience with AutoCAD or Microstation.
• Familiarity with Microsoft Access.

Starting Bentley Data Manager

Starting Bentley Data Manager


In this module, you will open a project using Bentley Data Manager and you will
be introduced to the Data Manager interface.

 Exercise 1: Opening a project with Data Manager


1 Select Programs > Bentley > Plant V8i > Data Manager from your
Windows Start menu.
2 If the Login dialog does not display, select Open Project.
3 Select Bentley Training Project.
4 Select Training.
5 Click OK.
The Login dialog displays.

Note: If you previously logged into another application and set the Save
Password check box, you will not see the Login dialog. You can access
this dialog by selecting File > Log on as a Different User.

Note: Users or groups are granted access to individual projects by your System
Administrator. Bentley Data Manager defaults to logging in with
supervisor privileges by populating the Login Name field with
Supervisor.

The Data Manager Interface

The Data Manager Interface


This module introduces the main features of the Bentley Data Manager interface.
The Project Window appears in the left pane of Bentley Data Manager and
displays the available project items. The right pane of Bentley Data Manager
displays the project objects selected from the Project Window pane. It is possible
to display many objects in the pane and to display them simultaneously. In this
training course, you will learn how to display and modify the views in this pane.

Views
The views are the main data retrieval and data entry point for project data.
They are how Bentley Data Manager displays the project data to the user.
Views may be modified by delegated project users. As part of this training
course, you will learn how to use views to display and edit data. You will also
learn how to modify a project view to display additional data.

Note: The PID-based views commonly recognized by the AT_ prefix are no
longer a part of the Data Manager application and can be found in the
Project Administrator tool.

Reports
Reports are Microsoft Access reports, which allow project data to be
displayed or published to paper or electronic format. Reports may be
modified by delegated project users. In this course, you will learn how to
display and modify reports.

Macros
The Microsoft Access macro facility provides a way of automating Bentley
Data Manager tasks. This feature will not be covered in this course.

Tables
Tables provide access to the underlying project tables. Generally, this access
should be restricted, and project tables should be hidden from user access to
safeguard project data. Modifications of the tables will not be covered in this
course.

Data Manager Toolbars

Data Manager Toolbars


Data Manager provides four toolbars for quick access to the most commonly-
used application options. The toolbars are permanently docked at the top of the
Data Manager window.

To view the name of the command that will be executed by any toolbar button,
position the cursor over an item and pause. A "tool tip" will display describing
that item.

The following provides a quick reference to the icons available.

Project Toolbar
Toolbar Icon Description
Open Project Displays the Open Project dialog, which enables you to
locate and open an existing project

View Toolbar
Toolbar Icon Description
Equipment List Displays the Equipment List view, which shows the
database details for all equipment defined in the current
project. From this view, you can create new equipment
or edit existing equipment details, filter and sort data,
and modify data using a powerful search and replace
engine.
Motor List Displays the Motor List view, which shows the database
details for all motors defined in the current project.
From this view, you can create new motors or edit
existing motor details, filter and sort data, and modify
data using a powerful search and replace engine.
Instrument List Displays the Instrument List view, which shows all of the
instruments defined in the current project. From this
view, you can create new loops, edit existing loops, or
edit individual instruments on a field-by-field basis, filter
and sort data, and modify data using a powerful search
and replace engine.
Refresh Immediately updates displayed information with current
data

Project Window Opens, creates, or modifies database tables, database


views, reports, and macros
Properties Window Launches the Property Sheet dialog, which enables you
to view and edit database information specific to the
current tag, such as tag number, loop number, service,
description, manufacturer, and model

Tools Toolbar

New Tag Creates a new tag number within the current view

Edit Tag Edits an existing tag number in the current view

Delete Tag Deletes an existing tag number from the current view

Tag Information Displays information specific to the current tag, such as


tag number, loop number, service, description,

Find Tag Locates a specific tag in the current view

Publish to ProjectWise Allows the user to publish to ProjectWise if enabled for


the project. The icon will be greyed out if ProjectWise is
not enabled.

Logging On

Logging On
Bentley provides for different levels of security that can be applied to both
project data and application tasks. While you are not provided details on how
to implement the security, you are introduced to the security within Data
Manager. Security within Data Manager can be applied to either user or
group level, with Bentley recommending a user-level implementation. The
first tasks should be to change the Supervisor password and to set up users.
During this course, you will learn some of the restrictions that are
implemented as standard.

 Exercise 1: Log On as a Different User


1 Select File > Log on as a Different User.
2 Type ChiefEng in the Login Name field.
3 Leave the Password field blank.

4 Click OK.

Note: Every time a Bentley application is opened, the Login dialog will appear.
If you do not wish to keep clicking OK or entering your password, you
can set the Save Password check box, which will prevent the dialog
from appearing until the Logon as a Different User option is selected.
The Login dialog disappears and Data Manager is displayed. As ChiefEng,
you have the right to modify project data.
5 Select View > Process Instrument List.
6 Select Tools > New Tag.
The Select Type dialog opens.
7 Select AT_INST_.
8 Click OK.

The Tag Number dialog opens to allow you to create a new tag.

9 Click Cancel.
The dialog closes.

 Exercise 2: Login to Data Manager as a Guest


When you log in as a guest, you can look at project data, but you will not be
able to create a new tag. In this exercise, you will log in as a guest to look at
project data.
1 Select File > Log on as a Different User.
2 Type Guest in the Login Name field.
3 Leave the Password field blank.

4 Click OK.
The Login dialog disappears and Data Manager is displayed.
5 Select the Process Instrument List.
Note the entire view is grey.

Note: When you log in as a Guest, you do not have permission to add a new
instrument.

7 Click OK.
To close the New Tag dialog.

AutoPLANT Tags

AutoPLANT Tags
A tag is a generic reference to a physical item in the plant, such as a valve,
instrument, pump, vessel, etc. Each of these items is assigned a tag.

Tags are grouped by type, and each tag type is stored with a tag code in a specific
location to assist the project implementation. AutoPLANT is very flexible in the
handling of tag types and is easily customized.

Every AutoPLANT application works with the same tagged items in the project
database, and each allows the creation, modification, and deletion of tags.
AutoPLANT does not enforce a working method on users and aims to provide a
flexible toolset for all projects. The project managers should decide upon the
tools their users will use to create tags within an AutoPLANT project.

For the purposes of this training manual, it should be pointed out that while
pumps and vessels can be created with AutoPLANT Data Manager, nozzle tags
cannot be created with an association to the pumps or vessels. The association
can only be created using AutoPLANT P&ID.

Create an Instrument Tag


 Exercise 1: Creating an Instrument Tag
In this exercise, you will create an instrument tag and learn the relationship
between the tag and its corresponding view.
1 Select View > Process Instrument List.

2 Select Tools > New Tag.

Note: AutoPLANT displays the Select Type dialog because the Process
Instrument List view displays multiple tag types.
3 Select AT_INST_.

5 Type 100-FT-100 in the Tag Number field.


6 Click OK.

Note: The New Tag dialog is closed and the Process Instrument List displays.
Note how the tag number is split into component fields. This is a
feature of the tag type and can be used to assist searches and sort
orders.

 Exercise 2: Create Instrument 100-FI-100


1 Click on the 100-FT-100 record.
2 Select New Tag.
3 Select AT_INST_.
4 Click OK.

5 Select FI from the Typ list.

Note: Clicking Next will add one to the current value in the Num field. Clicking
Max will return the maximum number for the Num field for the current
Typ field.
6 Click OK.
The Process Instrument List is updated with the new instrument.
By separating the tags into the different tag types, reports and views can be
customized to be tag specific. For example, a user could build a report to
contain only Control Valves.

 Exercise 3: Create Tags for Multiple Tag Types


1 Select New Tag.
2 Select AT_INST_ CS from the Select Type dialog.
3 Click OK.
4 Type 100-CS-100 in the Tag Number field.
5 Click OK.
Create the following tags with the appropriate tag type by repeating the
previous exercise. Remember to change the tag format if there is a suffix
in the tag number.

Create a Valve Tag

You have now created some instrument tags in the project database
which are available to all project personnel and visible to all applications
across the project. These instruments can either be inserted into a P&ID
or a 3D MODEL, connected to junction boxes using Instrumentation and
Wiring, and/or be allocated to Datasheets and Hookups.

Create a Valve Tag


In the previous exercise, you created instrument tags, and the corresponding
view was available from the menu or Project Window. The Valve List is a standard
view which is only available from the Project Window.

 Exercise 1: Displaying the Valve View


1 Expand the Views node.
2 Double-click on Valve List.

 Exercise 2: Creating the Valve Tag


1 Select New Tag.

Note: Within the Status group box, the tag type has changed to Hand Valve.
2 Type BA-100 in the Tag Number field.
3 Click OK.
The valve list is updated with the new tag number.

Tag Data Editing

Note: There is no TYP field on the dialog because the tag format does not
contain TYP.
4 Repeat this exercise to create valve tags GA-100 and GA-200.

Tag Data Editing


Tag data editing relates to the tag properties. To ensure tag formats are
observed, the editing of tags is carried out in a controlled environment.

 Exercise 1: Editing a Tag


1 Select GA-200.
2 Select Tools > Edit Tag.

Note: The Edit Tag dialog is exactly the same as the New Tag dialog.
3 Type GA-100 in the Tag Number field.
4 Click OK.
The Bentley DataBase Message dialog is displayed, indicating that the tag
number already exists.
5 Click OK.
6 Type CHK-100 in the Tag Number field.
7 Click OK.
The valve number is updated in the Valve List.

Deleting a Tag

Deleting a Tag
By default, tags that are deleted are removed from the project database. Your
project administrator can set the project properties to prevent tags from being
deleted from the database.

 Exercise 1: Deleting a Tag


1 Select GA-100.
2 Select Tools > Delete Tag.

3 Click Yes.
The valve is deleted and is removed from the Valve List and the project.
4 Select PID-01-H-1.
5 Select Tools > Delete Tag.

Warning: Before deleting, analyze what deleting this tag will mean to the project. Because
this is an existing tag in the project, you need to take into consideration that the
valve is located on a P&ID. Confirm that the valve needs to be deleted, and make
sure that the graphic is removed from the P&ID.

Tag Information

Tag Information
Tag information refers to the project data that is stored with each tag. This can be
updated by project users. The properties that are displayed for a tag are
particular to the tag type and to the current view. This makes it possible for views
to be created which display only the relevant information for a specific task.

In the previous exercises, we have seen that instruments and valves can have
different formats. You will now see that instruments and valves can have
different data stored with them, and also that similar tag formats such as
instruments and control valves can have different data stored with them. In fact,
the project can define what data can be stored with a tag. If an item needs to be
handled differently than another item, a new tag type will need to be defined.

 Exercise 1: Review the Instrument List and Valve List Views

Data Manager Views


A Data Manager view is a representation of the data stored in the relational
database tables for Bentley tags. There are very few restrictions on the data that
can be displayed in a view, and views can be created and edited very easily with
Bentley Data Manager.

The Entity-Relationship ("ER") diagram named Bentley Plant 08.11.05.xx ERD.PDF


is found in \BENTLEY\PLANT V8i\HELP. This diagram shows the tables created by
default for each project, as well as the main relationships between the tables in a
project.

 Exercise 1: Sorting Data Displayed in a View


1 Launch Data Manager.
2 Close the Equipment List.
3 Select View > Instrument List.
4 Select the ITYP field for any record.
5 Right-click on the ITYP field.
The context-sensitive menu opens.

modify the views by locking columns, highlighting columns, and setting columns
to be read-only.

 Exercise 1: Modify the Process Instrument List

The cursor changes to the resize icon.
2 Slide the AREA column to the left to hide the STATUS column.
The STATUS column is no longer displayed, but it can be resized by

Database Tools

Database Tools
Bentley Data Manager is a database-based system, and as such requires a limited
amount of housekeeping.

Warning: For SQL Server and Oracle based projects, this should be carried out by a
qualified DBA (Database Administrator) who is responsible for the server
and data. For other types of projects, a standard toolkit is sufficient for
most scenarios.

Compact Database

To provide efficient access to data, database engines do not compact deleted or


modified data and objects. This is considered to be a manual task which should be
carried out on a regular basis, especially after changes have been made to reports
or views. This task is straightforward and must be run when there are no other
users using the project database.

Check All Database Objects And Update If Necessary

This command is used to synchronize your version of the report or view with the
master copy. Due to the multi-user nature of databases, it may be possible that
another user has updated the design of a report or view that you are using. This
task is only required if you have been working on the project for a long time and
you are aware that there have been changes to a report. This task is not
necessary if you open and close Bentley Data Manager at regular intervals (for
breaks or work procedures).

Check for Duplicate Tag Numbers

This feature will allow the project database to be checked against the tag type
rules. If Bentley applications are used exclusively to create tags, this option
should never be required. Bentley provides functionality to create tags through
other methods.

Check and Update Link Tables

This feature will check and update the link tables if any modifications are done.

Bentley Data Manager allows for the transfer in and out of project data and
provides tools to export project data, for 3rd party review or data entry. Bentley
recognizes that although Bentley Data Manager is a versatile tool for the
manipulation of project data, users may have preferred or predefined methods of
creating project data.

By default, Bentley Data Manager assumes that an export will NOT be re-
imported to the project. However, this course will cover the ability to modify the
export so the data can be re-imported back into the Bentley project.

 Exercise 1: Export Data


1 Close My Instrument List.
2 Open Valve List.
3 Select File > Export …

4 Set the Access, Excel radio button.


5 Click OK.
The Export file dialog is displayed.

Data Manager Reports

Data Manager Reports


Bentley Reports provide a hard copy or electronic snapshot view of the project
data at a designated time. By default, a Bentley report is a paper view of the view
data. The Bentley Report allows user logos and other required information to be
displayed on the report.

Bentley Data Manager uses the Microsoft Access report engine to produce
reports, independent of the back-end database engine used. This provides a
flexible and scalable solution to all of your project requirements. Most reports
that can be created in Microsoft Access are available in Bentley Data Manager. A
project created in Microsoft Access can migrate to MSDE and to SQL Server,
without requiring any changes to the reports or views.

Bentley does not register reports, nor does it log users who create or issue
reports.

1 Expand the Reports node.
2 Select the Process Instrument List report in the Project Window.
3 Right-click and select Preview.
4 Click on a portion of the report to zoom in.

Report Creation
In the following exercises, you will create a new report, open the report builder,
and modify the report structure. You will add a company logo, add text, and
modify the format of some of the existing fields.

This section requires some knowledge of Microsoft Access. While reports can be
created quickly and easily in Bentley Data Manager from existing reports, there is
little benefit in having a duplicate report. Therefore, new reports will be modified
in some way.

 Exercise 1: Create a New Report


1 Right-click on the Process Instrument List report.
2 Select New.
The Create New Report dialog displays.
3 Set the From Current Report radio button.
4 Click OK.
5 Type My Instrument List in the Name field.

All reports require a record source. The record source defines which data the
report will display. Data Manager Reports should always use a Data Manager
view as their record source.

 Exercise 1: Modify the Record Source


1 Right-click on the Report Selector.
2 Select Properties.

The Data properties for the report are displayed.

Note: As the properties window is a floating window, it can be located outside


of the Microsoft Access window. If Properties is shown as depressed,
the properties window will be displayed somewhere on the screen.
4 Using the list in the Record Source field, select My Instrument List.

5 Close the Report dialog.


6 Close the Microsoft Access window.
The Microsoft Access message displays, requesting whether the changes
should be saved.

In the Page Header section, labels are used on a report to display
descriptive text such as titles, captions, or brief instructions. Labels don't
display values from fields or expressions, and they don't change as you

move from record to record, so the data displayed in the Page Header
section will always be the same. This is standard for a Page Header;
therefore, it will contain the field titles.
In the Detail section, text is used to display view values or calculated
values, which will change as you move from record to record. Therefore,
the data displayed in the Detail section will be different for every record in
the view. This allows us to display all of the information from the defined
record source.
14 Close the Microsoft Access window.
15 Click Yes to save the changes.
The My Instrument List is now displayed with only the Flow Transmitter
information and the AutoPlant logo.

Adding Text and Labels


You will use the Toolbox to insert items onto the report, and then modify the
properties. The toolbox can be turned on and off using the tool icon on the
Microsoft Access® toolbar. The two main controls used on reports are the label
and the text, but the toolbox provides access to other controls for insertion onto
a report. Note that the toolbox also gives you access to images and other drawing
tools to enhance the layout of the report.

 Exercise 1: Add Text to a Report


1 Right-click on My Instrument List report.
1 Select Edit.
2 Click Design.
The Microsoft Access report builder opens. The Open the Toolbox toolbar
is not active.

Note: The Toolbox toolbar will appear on the screen as a floating window, and
may appear outside of the Microsoft Access window.
3 Click Textbox on the Toolbox dialog.
When the cursor is moved over the report, the cursor changes to the text
cursor.
4 Click Properties to open the Default Text Box dialog.

 Exercise 2: Add a Label to a Report


1 Click Label on the Toolbox toolbar.
2 Select a location below the Locn.Code label in the Page Header section of
the report.
A label is inserted with a cursor flashing inside the label.
3 Type Purch. Ord and press Enter.
4 Right-click on the label and select Properties.
5 Select the Format tab.
6 Type 10 in the Left field.
7 Type 1.4958 in the Top field.
8 Type 0.9451 in the Width field.
9 Type 0.2361 in the Height field.
10 Close the Label dialog.
11 Resize Page Header to be as small as possible.
12 Close Report Builder.
You have now inserted a new field and title onto your report.

Previewing Report Changes

Previewing Report Changes


Microsoft Access provides two tools to preview the report: the preview option
and the Layout Preview. It is not necessary to exit Microsoft Access report builder
and use Bentley Data Manager to preview the report.

The preview option gives a full preview of the report, using all of the data from
the record source. Using this option on a large record source may take some
time.

The Layout Preview displays the report with a subset of data and allows an idea of
the layout of the report to be obtained. This is a much better option when
working with a large record source, or when there is a slow connection to the
project data.

 Exercise 1: Preview the Changes to the Report


1 Edit My Instrument List.
2 Click Design.
3 Select Preview.
The report that displays looks the same as the preview in Data Manager.

4 Open the report in Design Mode.


The Microsoft Access report builder returns to design mode.

1 Select Manufacturer.
2 Right-click on the text, and select Properties.
3 Select the Format tab.
4 Type 16744448 in the Fore Color field.
5 Select Bold in the Font Weight field.
6 Modify the Model No text to be the same as the Manufacturer text.
7 Note the changes in the Microsoft Access report builder window.

8 Close the Microsoft Access report builder window.


9 Click Yes.
The changes are saved.
10 Preview the My Instrument List report.
