ADMINISTRATIVE TASK

1. COMPANY CAR / MOTORCYCLE / TRUCK

a. To ensure all vehicles are registered under the LTO

b. To ensure all vehicles are insured (both TPL and Comprehensive insurance)
i. Canvassing of insurance
ii. Comparative analysis from existing insurance

c. To ensure all vehicles are in compliance with the LTO and/or other government
agencies.

2. Monitoring of Mobile Phones

a. Custodian of Mobile Phones Agreement


b. Issuance of Mobile Phone and Phone lines under the approval of Dept. head and
Admin. Manager

3. Office supplies

a. Maintain supplies inventory by checking stock to determine inventory level;


anticipating needed supplies; placing and expediting orders for supplies; verifying
receipt of supplies

4. Repair and Maintenance of Vehicles including office equipment

a. Ensure operation of equipment by completing preventive maintenance requirements;


calling for repairs; maintaining equipment inventories; evaluating new equipment and
techniques
5. Office Maintenance
a. Maintains facilities by planning space allocations, layouts, and floor moves;
arranging for and supervising building maintenance.
b. Maintains building services by identifying, selecting, and monitoring vendors (i.e.
Air-condition Cleaning Services, office supplies vendors, etc.
c. Manage contract and price negotiations with office vendors, service providers
and office lease

6. Warehouse Contract
a. New or Renewal
b. Request of Payment
c. Custodian
d. Manage contract and price negotiations with office vendors, service providers
and office lease
OTHER TASK

7. Contribute to team effort by accomplishing related results as needed


8. Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
9. Maintain computer and manual filing systems

10. Develop and update administrative systems to make them more efficient
11. Resolve administrative problems
12. Oversee and supervise the work of junior staff
13. Liaise with executive and senior administrative assistants to handle requests and
queries from senior managers
14. Partner with HR to update and maintain office policies as necessary
15. Organize office operations and procedures
16. Coordinate with IT department on all office equipment
17. Ensure that all items are invoiced and paid on time
