BUSINESS PROCESS

Lending Services:
 Salary Loan
 Regular Loan (Small Scale Business Loan)
 Microfinance Loan

Loan requirements:
 Loan Application Form with 2 Co-Makers
 2 pieces 2x2 ID picture
 Barangay Clearance
 Tax Certificate (Sedula)
 Pay Slip (for teachers or employees) or Barangay Certificate (Barangay Officials)
 1 valid ID

Loan Amount:
₱ 60,000 below can be approved by Mr. Jayneaus Ramirez but above ₱ 60,000
should be administered by the BOD’s approval.

Loan Process:
1. Submit the fill-out form for Loan Application.
2. Checking of documents follows.
3. Conduct a Credit Investigation and Behavioral Investigation (CIBI).
4. If the person who applies for loan got a high rate, approval of loan follows.
5. Inform the clients for the approval of his/her loan application.
6. Schedule for the release of the money for 1 to 2 days.
7. Issuance of Cash Disbursement Voucher (CDV).
8. Verify the CDV in the Accounting Office.
9. Approval of CDV by the Manager.
10. Submit it to the Cashier.
NOTE: YOU CANNOT LOAN IF YOU ARE NOT A MEMBER OF THE
ORGANIZATION. MEMBERSHIP IS 2,400 PESOS.

JOB DESCRIPTION

General Support Services


 Responds and assists all general services’ needs per quest and order from any
division and departments with the approval and consent from the Chief Executive
Officer (CEO).
 Submits report of every work done to Chief Executive Officer (CEO) with proper
certification or acknowledgement.

Chief Executive Officer (CEO)


 Represents the final and executive decisions rest on the Executive Office.
 Represents all management decisions to the Board of Directors (BOD).

Administrative and Human Resource Development Officer Administrative


 Controls and manages all properties, supplies, and fixed assets including
scheduling and maintenance of such.
 Conducts and facilitates the administrative procurement of goods, works and
services following the cooperatives procurement policies and procedures.
 Completion and safekeeping of MDAs, contracts and other legal documents
related to external or outsourced.
 Reports to the Chief Executive Officer (CEO) using the Administrative Inventory
and Performance Report (AIPR).

Finance Officer
 Controls financial procedure and make sure that each transaction and payment
has the necessary approval and justification.
 Ensure the cooperative’s financial liquidity, financial projections, budgeting, fund
sourcing, fund security bank accounts and reserves maintenance makes certain
that all financial regulations are adhered to.
 Directly supervises fund management through the cashiers/teller in all areas of
operation, allocates and performs actual funds transfers between and amongst
head office, branches and sections.
 In charge of stock agreements, stock and transfer books as well as share capital
fund and report to the CEO using the Fund Management Report (FMR) and Fund
Gap Analysis (FGA).
Accountant
 Directly supervises the accounts management and accounting per se through the
bookkeepers in all areas of operation and in charge of an accounting-related
concerns and payroll management.
 Performs overall consolidated accounting system and renders financial reports,
analysis and recommendations relating of financial conditions, positions of the
cooperative. Report to the CEO using Financial Statements (FS) and Financial
Ratios (FR),
 Conducts regular visit, monitoring and examine accounting performance, verifies,
validates the correctness and execute changes, correct all accounting systems
done by the branch bookkeepers.

Loan Officer
 Responsible in performing credit initiation, loan, documentation, verify and
examine the completeness of the supporting documents,
 Sees to it that reminder with the manager and account officer for collection efforts
especially on pass two accounts.

Cashier/Teller
 Responsible and accountable for proper handling of cash and other cash items
and records to the cash book all cash items received for safe
keeping/issues/official receipts acknowledgement receipt/or temporary receipt to
all clients of the cooperative. Prepares the Daily Cash Position Report.
 Generates the list of accounts that has been classified to dormant for the month
and accounts that have been reactivated. Informs the depositor in writing in
cases of dormant accounts to reactivate the said account the shortest possible
time.

Bookkeeper
 Responsible and accountable for maintaining branch financial reports, ensures
that the cooperative accounting system is in conformity with the standard
accounting principles. Prepare the monthly bank reconciliation statement for the
branch.
 Certifies the balance of cash in bank as compared with the general ledger and
check replenishment of petty cash fund/revolving fund for saving
withdrawal/revolving loan fund and check the journal transaction.
 Prepares reconciliation of the General Ledger and Subsidiary Ledger balances
and resolves discrepancies.
 Submit the following reports: Branch/Consolidated Financial Statements, Aging
of Loans Receivable, Monthly Management Report (MMR), Financial Reports
required by Funding Agency and monthly Bank Reconciliation Statements.

Account Officer
 Takes a major role in membership recruitment, credit initiation, loan collection
and monitoring.
 Responsible in maintaining the quality of assign portfolio.
