1.1 Introduction

The main aim of the organization study is to gain an organizational familiarization and
in-depth knowledge of the functioning of various departments. For this a study has been
conducted in HLL LIFE CARE LTD, Peroorkada,Trivandrum ,which is been controlled
under the central government ministry of health .This study is oriented towards
understanding ,how theory is applied in practice, by interaction with the various
departments in that organization

• To comprehend the day to day functions of the departments and how they are

1.1.2 Scope of the study


The organization study is intended to learn about the working of the organization. Its
policies and administrative procedures. The study provides a chance to understand how
theory is applied in practice by interactions with various departments in organization.
Thus the corporate knowledge and strategies will become familiar.

LIMITATIONS
Since the study is conducted at HLL, PEROORKADA, it lacks the information regarding
the functioning of the department. The conclusion and interference are drawn on the basis
of data received from personal interviews and it may not be accurate. No set of rules have
been followed in collecting the information. Sampling is not possible in this study.
Financial statements are generally based on historical or original cost. The current
economic conditions are generally ignored.

REASON FOR THE SELECTION OF HLL


HLL is one of the main industries of producing health care products in India since 1966
under the ministry of health and family welfare government of India. It is a well
established organization which has many branches in different states in India. They got
several recognition over years.

1.2 INDUSTRY PROFILE

Hindustan Latex Limited (HLL) is a Mini Ratna Public Sector Enterprises under the

Ministry of Health and Family Welfare, Government of India, New Delhi.

Hindustan Latex’s (HLL) commenced its joinery to serve the Nation in the area of Health

Care, on March 1, 1966, with its incorporation as a corporate entity under the Ministry of

Health and Family Welfare of the Government of India. HLL was set up in the natural

rubber rich state of Kerala, for the production of male contraceptive sheaths for the

National Family Planning Programme.

The company commenced its commercial operations on April 5, 1969 at Peroorkada in

Trivandrum. The Plant was established in technical collaboration with M/s Okamoto

Industries Inc. Japan. Two most modern plants were added, one at Thiruvananthapuram

and the other at Belgaum in 1985.

The new condom Plant inaugurated by the union Minister for Health and Family Welfare,

Anbumani Ramadass on 24th November 2007 has added another 283 million pieces to

the Plant’s existing capacity with this the Production facility at Peroorkada has emerged

as one of the largest single manufacturing Plant’s in the world for the Production of

condoms, with a capacity to Produce over 1 Billion condoms a year. With the addition of

this capacity, HLL today has an annual Production capacity of 1:316 billion condoms.

HLL is today a multi-Product, multi- unit organization addressing various Public health

challenges facing humanity.

On the Path of rapid growth, HLL has set its sights to be a Rs 1000 crore company by the

year 2010.

HILL has been declared a Mini Ratna company by the Government of India and

upgraded as a Schedule B PSU Hindustan Latex is the only company in the world

manufacturing and marketing the widest range of contraceptive. It is unique in providing

a range of condoms, including female condoms, Intra Uterine Devices, Oral

Contraceptive Pills –steroidal, non-steroidal and Emergency Contraceptive Cream, and

Tubal Rings.

HILL’s Health care product range include: Blood Collection Bags, Surgical, Sutures,

Auto Disable Syringes, Vaccines, Women’s Health Care Pharma Products, In- Vitro

Diagnostic Test Kits, Hydrocephalus Shunt, Tissue Expanders, Needle Destroyers, Blood

Bank equipment, Iron and Folic Acid Tablets, Sanitary Napkins, and Oral Rehydration

Salts.

With a vast array of innovative Products and socials Progammes Launched to meet the

nation’s health care needs, Hindustan Latex Ltd. (HILL) is year after taking a step closer

to its vision of “Innovating for healthy Generations.”

Over the past sixteen years HILL has steadily set up a strong and sound infrastructure for

direct marketing. HILL has put in place a vast distribution network covering the length

and breadth of the country. HILL’s Products today reach over five lakh retail outlets, in

10 states, covering over 600 districts, 1509 distribution points, including over a lakh

village, in the remotest corners of the nation.

It is the leading social marketing organization in the country in the areas of contraceptive

–with a market share of over 65 percent in the rural and semi urban markets, including in

the highly populated states of UP, Madhya Pradesh, Bihar etc.

HILL has also made vast inroads in the commercial segment too, with the growth in its

markets share from 0.1 percent over a decade back to 19 percent at present. HILL’s

products are today exported to over 70 countries.

HILL’s association with world leaders include those with Okamoto of Japan; Finishing

Enterprises, USA; Becton and Dickinson, USA; Gambro BCT, Sweden, Beijing Zizhu

pharma of china and Acumen Fund, USA.

HILL has today five state of the art manufacturing facilities with ISO 9001, ISO 14001-

quality and environmental management system certifications. HILL’s Peroorkada plant

was also awarded the OHSAS 18001 Certification for its efficient Occupational Health

and Safety Management System.

HILL is investing heavily in the areas of Research and Development. It is setting up a

national centre for Research in the areas of contraceptive Products. The company has

achieved a turnover of Rs. 244 crores during the last financial year- 2666-07 and a profit

after tax of Rs. 20.06 crores. HILL is today the leading Provider of contraceptive and

health care Products for various Public health Programme managed by international

agencies like- UNFPA. Mission pharma , PSI and IDA. HILL is partnering with the

Government of India in the National Rural Health mission, Reproductive and Child

health project and the National AIDS control programme.

Peroorkada Facility, Thiruvananthapuram (PFT)

The manufacturing unit at Peroorkada was set up in 1969 in technical collaboration with
M/s Okamoto Industries Inc., Japan. The plant has since undergone continuous
modernization over the years and has an annual production capacity of 1066 million
pieces of condoms. The facility is equipped with modern machines and equipment for
production, inspection and quality testing, conforming to GMP and meets international
standards. The unit produces many variants of condoms with different flavors and
textures. Condoms manufactured in this facility have product certifications such as CE,
KITE, and SABS, NF Mark and meet a range of international quality specifications and
standards such as: WHO 2003, ISO 4074:2002, SANS ISO 4074, ASTM D 3492, and
GOST - 4645-81. The facility has certifications under ISO 9001, ISO 13485, WHO
GMP, OHSAS and ISO 14001.

Hindustan Latex Limited set up Hindustan Latex Family Planning Promotion Trust

(HLFPPT) a not for profit organization, for the purpose of designing and implementing

social sector intervention projects, particularly in the area of Reproductive Health,

Women Empowerment, HIV prevention and control activities etc. with the objective of

creating planned social change, HLFPT is today Indian’s top social marketing

organization. HLFPPT programs underway in AP, Bihar, Orissa Jharkhand, Maharashtra

and Kerala are based on intense behavior change communication based models. The

Trust also manages the largest social marketing programme in the country with a rural

coverage of over 30,000 villages, with population below 5000.

implementing all government and multi- lateral initiatives in these segments.

HLFPPT has been implementing the HIV AIDS Control Programme in partnership with

Bill and Melinda Gates Foundation, in nine districts of Coastal Andhra Pradesh and

partnering with NACO and State AIDS Control Societies in the states of Kerala, AP MP

and Orissa. Condom Promotion Programme are also being implemented among the

Populations vulnerable to HIV in the states of Maharashtra, AP and Kerala.

HLFPPT launched the Marigold Health Services Network- A Public Private Partnership

for Providing affordable and better health care for the poor on August 23,2007 in the

highly populated state of Uttar Pradesh.

The company is also on the forefront to extend assistance to Hospitals and Schools in the

city for improving their facilities – programmes it has been undertaking as part of its

community welfare initiatives. It is also assisting in managing the Blood Bank run by the

IMA in the city.

HLL is one of the principal organizations in the state that has been extending assistance

to various Educational, Cultural and Social organizations for their various activities. HLL

has provided for the citizens of Trivandrum a Park at the heart of the city at Kowdiar,

which has recreational facilities and a Children’s Park.

HLL has drawn up a comprehensive plan to expand its portfolio in the area of Health

Care and Contraceptives – its core areas, to achieve rapid growth. The objective is to

achieve through this process a turnover of Rs.1000 crores by 2010.

With nearly 1900 highly skilled and learned manpower, and several world leasers as

research institutions such as Sree Chitra Tirunal Institute of Medical Sciences and
Technology, Thiruvananthapuram and the Central Drug Research Institute, Lucknow.

effective and high quality medical devices, drugs and contraceptives. Through several
collaborations with world leaders in technology, HLL now has state-of-the-art facilities to
manufacture world-class healthcare products and make them available to millions

With the changing socio-political climate, global health programmes are constantly
seeking diverse solutions in the area of medicine and healthcare. HLL provides the
perfect answer to many questions that the world faces in healthcare, thanks to its
extensive experience, innovative technologies and ample resources. The innovative
products and services of HLL today reach over 115 countries spanning the seven
continents. Its consultancy services and products are part of the global healthcare
packages of international agencies such as UNPFA, UNOPS, UNHCR, WHO, PSI and
IDA.

1.2.1.3 Marketing

Over the past two decades, HLL has steadily set up a strong and sound infrastructure for
direct marketing. HLL has put in place a vast distribution network covering the length
and breadth of the country. HLL’s products today reach over 200000 retail outlets,
covering 3500 hospitals, reaching over 30000 medical professionals, with over 2800
stock points, has over 700 frontline team members placed in every town, with offices in
all metros and mini metros, and reaching over one lakh villages in the remotest corners of
the nation.

It is the leading social marketing organization in the country in the area of contraceptives

HILL has ventured into the areas of Vaccines- to take on the challenge posed by

communicable diseases, which are responsible for a significant share of the global burden

of diseases, Particularly in developing nations. The need to a public health priority in

India. The company has initially Launched the marketing of Hepatitis B and Typhoid

Vaccines

The Ministry of Health and Family Welfare handed over to HILL on 11 January 2008

nearly 300 acres of land at Chengalpet, near Chennai in Tamil Nadu, For its proposed

Medical Equipment Park and Vaccine Project. The “Medipark” is envisaged to be an

integrated manufacturing facility complex of international standards in the field of

healthcare and shall comprise of manufacturing industries for medical diagnostic,

equipments, disposables and devices. The complex will also house an incubation centre.

HILL started the Life Spring Hospital chain to provide cost effective quality care,

particularly in the areas of reproductive health for the low income population. The first

Life Spring Hospital was launched at Hyderabad in December 2005 and also and at Agra

in UP. HILL and Acumen Fund, a nonprofit Venture Philanthropy fund based in the US

formed on 18th March, 2008, Life Spring Hospitals (Pvt.) Ltd, - a joint venture intended

to create a chain of small hospitals (20-25 beds) focused on providing low income clients

in the country widespread access to maternal and child health care services. The

company, a 50/50 equity partnership between FILL and Acumen, will support Life

Spring’s Plan to open five hospitals in 2008 and thirty across India by the end of 2010

and scale to 140 Franchised hospitals between 2010 and 2012. This is a unique social

Franchising inactive for creating access to good quality reproductive health services to

poor people, at affordable prices.

Life Spring charges range between 30-50% of the prevailing market rates, and will

significantly reduce the burden of rising health costs on the nation’s low-income

communities, helping to reduce poverty. Life Spring Hospitals will offer the following

key services: antenatal care, postnatal care, deliveries (normal and caesarean), family

planning services and medical termination of pregnancy, pediatric care, immunizations,

as well as diagnostic services, a pharmacy, and health care education to the communities

in which it works.

Procurement and Consultancy Services Division of Hindustan Latex handles the

procurement of Drugs, Chemicals, Medical Equipments and other health sector goods for

its client at a pre-decided commission rate agreed upon by both HLL and the client

through a written contract. Currently HLL (P & CD) is handling the procurement of

different Central Government Agencies such as NACO, NVBDCP and MCD.P & CD of

HILL also procures medical equipments for several medical college all over Indian under

the PMSSY Scheme on behalf of the Ministry of Health and Family Welfare,

Government of India. This division also provides procurement and consultancy services

for HLFPPT and HLL’s Pregnancy kit Manufacturing Factory at Mansar (MFG). and on

behalf of Ministry is also coordinated by the P&CD of Hindustan Latex Limited.

Infrastructure Division (ID) of Hindustan Latex Ltd. Is the in- house consultant for

Ministry of Health &Family Welfare, Govt. of India for up gradation of Medical

Colleges at Bangalore, Salem& Trivandrum under Pradhan Mantri Swasthya Suraksha

Yojana (PMSSY) and for setting up of six new AIIMS like hospitals at Bhopal,

Bhubaneswar, Jodhpur, Patna, Raipur & Rishikesh. ID of HILL is also the consultant to

MOH& FW For up –gradation of JIPMER, Pondicherry.

HILL set up last year, a dedicated ‘Women’s Health Care Pharma Division to cater to the

reproductive Health Care needs of women –covering all age groups.The initial focus of

the division will be the Gynaec segment, the products of which will be promoted through

Doctors. All Products for this Division are being manufactured at HLL’s Kanagala

Plant, near Begaum in Karnataka. The Product range will over all sectors of women’s

health viz., autoimmune diseases, gynecological infections and sexually transmitted

diseases, hormone-related disorders (including menopause, contraception and sexual

dysfunction),osteoporosis, cancer, and urinary bladder disorders.

HILL has commenced manufacture and distribution of ‘Nishchay ‘Rapid Diagnostic test

Kits for the detection of Pregancy in markets all over the country. At the first instance

HILL is manufacturing and supplying 22 million Pregnancy Test Kits. The Product will

be distributedto the various sub centers, PHC, CHC , taluk hospitals, Distric hospitals,

General hospital, Speciality hospital etc. in various states in the country. HILL also Plans

to introduce in the near future Diagnostic kits for the detection of Malaria and Dengue

fever and Chickunguniya. The overall objective is to effectively bring down the infant/

maternity mortality rate, and malaria and Dengue mortality reduction.

HLL launched on 9th February, 2008 at New Delhi, HINDLABS – its first Diagnostic

centre in the country, a Public Private partnership venture with the CGHS (Central

Government Health Scheme). This most modern Lab facility, which was inaugurated by

the Union Minister for Health and Family Welfare Dr.Anbumani Ramadoss, will deliver

reliable, accurate and quality diagnostic services to the CGHS beneficiaries at CGHS

rates. The same services will be provided to patients outside the CGHS too at affordable

rates. The plan ahead is to established Diagnostic Centers for the CGHS, in the national

Capital region (NCR) and in 23 major cities of India covering over 110 hospitals.

1.2.3 ORIGIN AND HISTORY

To trace briefly, HLL’s landmarks in the 39th year since its commencement of operations.

1969 : Commences on April 5, commercial production of Condoms at its plat at

Thiruvananthapuram. Production capacity – 144 million pieces a year.

1976: Production capacity doubled with the addition of two more lines in the moulding

section. Production capacity doubles to 288 million pieces.

1985: The addition of the plants at Belgaum and Thiruvananthapuram raises HLL’s total

condom production capacity to 800 million pieces/year.

1968 : Creation of plant of Machinery collaboration with M/s Okamota Riken Gomu, Ic,

Japan Administration (FDA) of the US, needed for export of its Condoms to the

USA.

1992: Diversifies into manufacture of Surgical & Examination Gloves. Commences

formation and tabletting of Saheli once – a –week pill at Belgaum.

1993: Plant for formulation and tabletting of Mala-D Oral pills, commissioned at

Belgaum.

1994: Commences production of Copper-T Intra –Uterine device at its Akkulam Plant.

Commences commercial production of Ceredrain Hydrocephalus Shunts.

1994-95: Introduces Surgical, Synthetic and Catgut Sutures.

1995-96: Introduces HL-Haemopack Blood Transfusion Bags.

HLL awarded the NF mark by the Laboratories national D’essais, France. Which

is the certification required for export of its Condoms to the European Nations.

1996: HLL granted ISO 9002 – for its efficient Quality Management Systems – for its

Peroorkada Plant manufacturing Condoms, and Aakkulam Plant manufacturing

Blood Bags, Copper-T and Hydrocephalus Shunt.

1997: HLL, the only Company from India selected by WHO for obtaining their

requirements of Condoms – for reaching countries worldwide.

1998: HLL Peroorkada plant granted the prestigious CE mark – the prime requisite for

export of Condoms to the European Economic Community (from June 1998) – by

GMED, France, he official French Certification Agency. HLL’s Aakkulam Plant

also receives the CE mark from SGS Yearly International certification Services,

UK for it Blood Bags. Hindustan Latex Family Planning Promotion Trust

(HLFPPT) commences several social marketing projects and services all over the

country.

1999: Receives MOU award Certificate of merit from the Voice President

2000: Of India, for excellence in the achievement of MOU targets. HLL”s Aakkulam

plant receive ISO 14001 certification. This certification signifies: Commitment to

– Protect environment & prevent pollution; Compliance with all Environment

laws and regulations – Health and Safety of Employees, and – Conservation of

energy and natural resources.

2002: HLL”s Peroorkada plant and Belgaum Plant awarded the ISO 14001

certifications. HLL’s Kanagala (Belgaum) plant awarded

2003: Hydrocephalus Shunts, and latex Gloves to over 60 countries around the world.

HILL attaints top Position in the areas of social marketing, with added thrust from

the Hindhustan Latex Family Planning Promotion Trust (HIFPPT)

2003: HILL received on April 5, 2003, the MOU award of the Government of India,

from his Excellency the President of India Dr. A.P.J Abdul Kalamji, for

excellence in the achievement of MOU targets for 2001-2002. Achieves highest

turnover of Rs.150 Crores. Records highest turnover of Rs Cores. Records highest

profit (PBDIT) of Rs.20.30 Crores. Introduces ‘Preventol Emergency

Contraceptive Pills. Introduces for Blood Bank Automation,two specially

designed products-HiCare Blood Collection Monitor and HiCare Tube Sealer for

Sealing Blood Bags. HILL. Commences trial Production of Surgical and Tissue

Expanders at its Plant at Aakkulam in Thiruvananthapuram Introduces ‘Preventol

Emergency Contraeptive Pills.

Commercial Production of Surgical Sutures launched on September 27,

2003 by the Union Minister for health and family Welfare.

2004: launched Moods Condom launched on February 29. 2004, HILL sanitary Napkins

“Sakhi” launched at Indore on February 29, 2004 HILL new Unit at Cohin

Special Economic Zone (CSEZ) Inaugurated by the Chairman on March 4, 2004

CONSAP- Contracepive Cream for Women, launched at Chennai in June 2004.

Received from the Prime Minister of India on September 4, 2004, the

Government of India’s MOU Award on being adjudged amongst the top ten of the

Central Public Sector Units, on the basis of MOU targets achieved.

Launched in collaboration with M/s Becton and Dickinson, ‘Autolok’

Auto destructive syringes at New on December 16,2004.

2005: HILL’s Peroorkada Plant at Thiruvananthapuram awarded the Golden Peacock

National Award by the Institute of Directors, at Mumbai on January 14, 2005

Hindustan Latex Family Planing Promotion Trust (HLFPPT) Commences

 HLL launched of Jaipur on 5th January 2009, Lactohil – an ayurvedic proprietary


medicine and a health tonic to address inadequate lactation in women after delivery.

 HLL opened its own retail outlet MOODS plane at the Kesari building,
Thiruvananthapuram (Kerala) on 16th March 2009, to directly reach its range of
contraceptives and its popular MOODS condom range to consumers in the city.

International Business Divisions (IBD)


IBD achieved sales revenuer of Rs.2350 lac during the year 08-09 & contributed 6.5% of
the the turnover of the co with a year over year growth of 13.21%.

Market development
The sale of MOODS condom doubled from 3.74 million pieces (07-08) to 7.7 million
piece in 08-09 MOODS condoms were re0introduced in FCC markets during the last
year.
IBD also received the first order for HL. Haemopack blood bags from Brazil and
supplied 0.48 million pieces in 08.01,
During the year 08-09 we have regarding the non-normal oral contraceptive pill
centchromom (saheli) in Peru for the 1st time in overseas market. They have launched

New Market Entered

During the yr 08-09, IBD entered ten countries world wide for MOODS countries world
wide, for MOODS viz, GCC Lebanon, U.K, Venezuela, Latvia, Azerbaijan, Ireland,
Gautemala RSA, and Nambia. HL-Haemopack Blood collec Bag were supplied for the
first time to agenda. Gloves were supplied to Algeria and Kenya. Intra uterine Devices
were supplied to Colombia. IBD received orders for Hydrocephalus shunt from EI

During 08-09 we had reg out MOODS condoms in Venezuela, Colombia, Nigeria, Ivory
coast and Sieua Leone So far, MOODS condoms have been reg in 33 counties across the
globe, sutures were reg in Ethiopia and Iran HL-Haemopack blood bags were reg in Peru
Guyama, Iran veuguay, oral contraceptive pill “Preventol” in Nepal & Bhutan.

New Name & Logo


In Jan 09 Co name change its name to HLL Life care Ltd. The name change marks co’s

2.1.1 PERSONAL DEPARTMENT
Hindustan latex limited has an extremely well defined personnel department

administration by professional committees to fostering employee- employee relationship.

The department is divistionalised into four sections.

1. Administration, 2. Welfare, 3. HRD, 4. Industrial Relations.

1. Administrative Section:

This section administrative to functions like sending of all call letters for interviews,

selection etc., notifices to the departmental promotion council regarding vacancies for

promotion and also handle pay fixation and increments. This section also issues joining

report and post in order. This section also regulates apprentice appointment, engaging of

contract labourers and permission for training.

2. Welfare section:

This section supervises the welfare measures of all employee such as canteen, cache,

quarters, co- operative society, first acid. It also manages administrative and functional

work of ambulance room, reception & telephone facilities. It administers to employees

entitlements such as leave surrender, cycle/car/ scooter advances, uniforms, chappals,

festival advance leave etc.

3. HRD section:

In development the potential of the company’s work force this section assist the

corporate head office by identifying raining needs, arranging training programmers,

evaluating the Programmes and diagnosing whether further training is required.

3. Industrial Relation section:

This section looks after the key areas of the union management relationship involving

2.1.2 PRODUCTION DEPARTMENT

Primary Production Plant


In this section the production is based on the Japanese technology with the technical
collaboration of M/s. OKAMOTO RIKEN GOMU CO. LTD., Japan for manufacturing
The production/manufacturing involves three process
1) Compounding
2) Molding
3) Vulcanizing
In the compounding process the chemical dispersion is prepared using ball mill/attritor
mill. After mixing the chemicals will be supplied through supply tank to the molding
section. In molding dipping process is done and after undergoing several process like
folding and washing the product pass on to the vulcanizing process.
After the vulcanizing only we get the final product. All these process are done through
automatic machines.

If automatic machines fails manual vulcanizing process is done. After the process the
product may goes to the half product quality assurance department.

2.1.3 QUALITY ASSURANCE DEPARTMENT

Co (Q.A.) also as Technical Manager overall responsible for various quality assurance
functions.
• Certifies the quality of every batch product, identity department. Qlty. obj.
and conducts department review meetings.
• Responds to client inquiries and providing profess advice.
• Ensure equipment is maintained and calibrated reporting all deficiencies.
• Certifies the non conforming product destroyal.
The main responsibility of this department is to check the products to determine whether
they satisfy certain characteristics for this inspection the product is not taken as a whole
some samples will be taken from each batch with specified machine code and batch code
and at which time it is been made. This is noted because if there is any defect it may be
due to the machine. So to take corrective measures everything should be noted.

2.1.4 ETD (Electronic Testing Dept)

The main function is to defects of the condoms. The process starts with the pin
mole testing for this the condoms are fed on a metal mould and a voltage is been purred
through it and if there is any minute mole there occurs a spark and thus the good & bad
be detected This is a continuous process done through automatic machine. But the
feeding process is done manually. They are using German tech for this testing process.
The condoms are not selected randomly 45mins lots will be taken with specifications
about from which batch lot no, which machine side etc. this is done to identify which
machine is defective and so can take corrective measures

2.1.5 Packing Department

Responsibility
Controlling Officer of packing department has the over all responsible for the various
operations and functions released to packing the condoms.

taking of all accepted engineering materials and storing them in proper storage
area issuing of materials against relevant MRFS. Controlling of stock through

Sr. Senior Store Keepers (Finished Goods Stores)


He will be in charge of finished goods stores. He will be responsible for the
custody preservation and transfer of finished goods. He will be specifically
responsible for the management of condom waste, latex waste and scrap
materials received from concerned departments.

Store Keeper (Raw Materials / Chemicals)


He will be responsible for the custody, preservation and issue of accepted
materials. He will be resp for maintenance of all relevant records pertaining to
the transaction of this store for ready reference.

Store Keeper (Engineering Store)


He will be responsible for stock taking of all accepted engineering materials and
storing them in proper storage area. Issuing of materials against relevant MRFS.
Controlling of stock through system. He will be assisting Sr. Store Keeper in all
matters relating to the Engineering Stores.

Utility Section is one of the supporting sections providing the facilities required
for the production process. It maintains generations and distribution of all the
utilities associated with the production process. It maintains generation and

 To generate and supply plant utilities – steam, compressed air, chilled water
etc according to the requirements of the plant.
 To increase overall productivity of all utility equipments.
 To reduce on time and reduce overall cost of generation of utilities.

 To supply sufficient qty. of process and chilled water to various sections
whatever it is required.
 To generate and supply of compressed air to various sections whatever
required.
 To maintain diesel engine of D/G set in good condition.

 To maintain all AHU’s in good condition

 To eliminate all leakages of water, steam, and air in the plant as well as in the
distribution lines.

Electrical section plays a key role in the service section regarding the power receiving
and distribution system and to keep the plant and machineries in satisfactory condition
according to the standard set by the management.

Activities carried out to prevent failures or defect failure before it develops into
a breakdown the preventive maintenance developed in HLL includes lubrications,
planned overhauls, regular cleaning, adjustments.

2.Breakdown maintenance (corrective maintenance)


Activities carried out to connect the failure or breakdown after the occurrence of
breakdown/fault.
A well designed system includes planning, executing, regulating, recording and
analyzing the maintenance activities. The following maintenance procedure are
adopted in HLL.

The main function of the instrumentation department is the maintenance of the
break down instruments. The caliberation test of the instruments is been done by
them to know whether they work effectively. The repair and purchase of the
spare parts is also done by them. The tiny instruments used from the production

2.1.10 Lab and R & D Department


The main objective of this department is to check all the chemicals are good for the
production. The finished products are also checked whether the covers, cartons, foils and
papers used for the packing are good. Another test is done with the effluent, to check
whether they are satisfying the government rules, for disposing the waste water.

2.1.11 IT Department
The main function of the IT department is to control maintenance and
development of the software system of the organization data corrections and user
support. They are using EIMIS ie. enhanced integrated management information
system in all the department. The existing software system is oracle 10.D and
they trying to change it into SAP which contains Globally accepted standards.

2.1.12 Finance Department

All activities of Finance Department are in written procedures. For the purpose
of purchase first make the order for purchase for this an indent arise to the
purchase department. The indent details form contains the item number, quantity,
item specifications and delivery period of the purchase item. The purchase
department has a list of parties or suppliers. They inform the suppliers, incharge
department verifies, their quotations and has an enquiry letter, contains the same
things as in the Indent Details form. There is a waiting period of 21 days for
opening the quotations. After opening the quotation the one which provide the
low cost and high quality item will be accepted by the purchase department.
After getting sanction the order placement takes place in the prescribed time and
quantity. The purchase materials are arrived in the store department. The store
department then prepares a document called MAN (Material Arrival Note) and
sends the material to the Material Testing Department for testing. After testing if
the material is good, another document called MRR is prepared by the store
department. This is the main document for taking the item into the store. On the
other hand if the test result is negative another document called MRN is prepared
and the stores department informs it to the purchase department. Then the
supplier may either replace it or take back it.

The stores department sends the approved MRR to the Bill section of Finance
Department. They verify the invoice, order, MRR, with the purchase order. The
purchase order bill sends to the concerned officer for the approval. Then it sends
to the cash department. The Head Cashier Examines the document number and
enters it into the payment voucher. There are two types of payment, cash
payments and Bank payments. Commodity cash payments are for employees and
Bank payment. Communal cash payments are for employees and Bank payment
are for parties or suppliers. Then it sends to the concerned officer for the further
approval. After approving it the cheque draw with a covering letter to the parties
or the supplier.

Auditing

The financial year of the Company is April 1 st to March 31 st cash book during are
done daily, monthly, and half yearly and then prepare the Trail Balance.

There are 3 types of auditing done.


1. Internal auditing and done qualities after every 3 months. This is done by
the department itself.
2. Statutory Auditing
Statutory Auditors are appointed by the Board of Directors and only after
this auditing they sign the balance sheet.
3. Government Auditing
Government auditors are appointed by the Government of India and after
auditing they signed on another paper and send it to the Central
Government.

2.1.13 Project Department

The main functions of the project department is the implementation of project. Top
management takes the decisions about the projects. There is a project team consist of four
or five experts and has a team leader. They make project feasibility studies and its
evaluation. Cost benefit analysis and break even analysis are also done. They consider the
project in terms of profit, its pay back period, annual returns, incoming and outgoing cash
flow. The project which gives return within four or five year is considered as feasible and
is accepted. For this the internal store purchase committee approval and administrative
sanction is needed. If the project is of above fifty lakhs the board of directors approval
and if it is below fifty lacs the Chairmans sanction is needed. After getting approval the
next step is the implementation of project. Planning the scheduling and following up of
project is done till the completion of the project. Implementation process has different
steps tendering, preparing proposed comparison and negotiation.

The company provides utmost importance to safety aspects. Safety and Environment
Department under Safety Officer looks after all aspects related to the safety in all the
manufacturing Units. We have conducted safety training and awareness programmes with

water or any type of liquid safety, then from the mechanical side like electricity shortage
etc all preventive measures is been given to the employees in the unit fire safety around

The project on an organization study which was conducted on the HLL
LIFECARE LTD was under taken in order to get a clear picture of what an
organization should be and to understand how they undertake or
administrate there organization
The study was conducted in the factory situated at Perrorkada and period
between 12-07-2010 to 11-08-2010.
To conduct this study Primary and Secondary data was collected. The
Primary data was collected by conducting a direct interview method. The
data is collected from each department from the concerned departmental
head officer. The Secondary data is collected from the annual reports,
journals and previous reports.

5.1 CONCLUSION
The factory is well established and it is properly maintained. They use
improved technology and equipment to make the production effective and
efficient. The departments are very effectively divided so as to ensure that it
performed well.
Every workers are treated nicely and also the trainees, the employees are
given stipends, bonus and required allowances to motivate them and all
necessary for the successful operation of the industry. Apart from the
welfare facilities some included in factories act of 1948, HLL LTD is
providing some additional facilities also for the employees
Many improved machines have been provided, for the production of the
product then for the quality assurance and for the packing purpose, this may
increase the quality and number of the product produced in unit time.
Another advantage for them is that as new machines have been launched it
reduce the number of labours i.e. the work of three to four workers will be
done by one machine and they also about to introduce updated machines

Another important thing I noticed there was the superior officer’s approach
towards the subordinates, before starting the day all the
Employees in the department may gather together and they had a casual talk in
which they can share their views, opinions or suggestions
this may ease their mental depression towards the job.

I feel that I made use of the opportunity provided to me for the study about
the organisational activities and functions of this industry very effective and
fruitful. The information gathered and contact with employees enhanced my
knowledge in business management especially personal management .I hope
the experience gathered from here will go along way in handling the
administration of industrial establishments in my future career
