GLAARG Precheck Room Information updated for ExamTools Tier2.

1. Introduce yourself and this step along the process.
2. Make sure their name is correct (Pin#-Last-First-Tes)
3. Ask the examinee what elements they are planning on taking? If planning doesn’t match
the excel spreadsheet, ask to see proof of study (i.e. Hamstudy, phone app, etc.) The final
judgment is up to the VE Team in the Breakout Room. (Add T, G, and/or E to the end of
the name to indicate the tests they want to take. For example, “T” or “TG” or “GE.”)
4. Check the spreadsheet to see if the examinee is flagged for a fee. If so contact the Session
Leader so they can resolve it.
5. Ask an Examinee if they are using a desktop or laptop? Ask them if they can show you
their testing area. If unable, please ask for them to join with another device (i.e. phone,
Laptop, etc using the same link provided,) and rename that device as “[Last Name] 2nd
Camera”. The second device is only necessary if they can’t move their main
device/camera. Do remind them to clean up any loose paper or other debris that might
look like it has information that can be used on the test. If they’re using headphones, ask
them to remove them, and verify they will have audio without the headphones.)
6. Ask them if they have their photo ID in close proximity. The VE Team will be the one
that is verifying the identification. Ask them to hold up their ID to their camera to see if
you can read it (use the pinned video setting for this). If you can’t read the ID info the
examinee will have to take a picture of their ID and show the ID and picture to the VE
team. (They need a way to either get the ID picture to their screen or another way to
deliver it. Adding a phone device is also a way to get the ID readable. If you think an ID
is readable, but it took some work to get it readable, note that on the roster - some VEs
are pickier than others. :)
7. Ask Examinee to share their screen (Green button at the bottom) Make sure they’re
sharing the entire screen, not just one window.
8. Special Cases
Mac - If they go to settings to add permissions, Zoom may ask to restart. They don’t
need to: ask them to click “leave breakout room” or “leave session” and then click
“cancel.” They should be able to share their screen. Using this trick may leave the “open
permissions/deny” dialog box open on their screen from Zoom. Have them click “deny”
to close the box; it won’t mess up the permissions.
Linux - Some window managers will not show a “dock” that lets you see other running
apps. They may be able to do an alt- or ctrl-tab to show other things that are running, or
possibly change the window manager settings to show a dock. Linux desktops may look
suspiciously like a window instead of a desktop. Look closely for icons and other
controls. Zoom on Linux has some peculiarities. Linux may also show black or white
rectangles on the right side and top of the screen. These are Zoom artifacts, and not
indicative of other apps running.
9. Make sure that they have closed all programs besides, Browser, Calculator, and Zoom.
(Check this by looking at Taskbar). To check for hidden programs running, have them
click on the background process glyph at the right of the bottom bar (^) and ask them to
hover over each icon to see what they are. Ask them to right-click and close any that are
questionable.
Common Applications that might be opened that need to be closed.
Skype, MS Notes, Citrix, VNC, Teamviewer, etc, due to integrity.)
When in doubt, close it out.
10. On PCs, Have them go to exam.tools in the browser tab, click on the take a test button
and enter the session call sign and their PIN. The Pin should be in the title of their zoom
window. Ask them *not* to click on the take exam button. Have them abort it and reenter
if they do.
Browser Compatibility- (Older browsers will not have support (i.e. I.E. & pre-
Chromium Edge). If having issues, have them download Chrome.
11. Ask if there are any questions from the examinee. (This is also a good time to remind
them to get a drink of water or go to the bathroom.)
12. Please update the spreadsheet to allow the host to know who is ready to be moved into an
Exam Room. (Change the “room” column to “ready” and add any notes about multiple
devices, Linux artifacts, connection issues.) Also, change the status if applicant is going
to be away from the computer for a few minutes.
