School Distribution and Retrieval System for Modular Learners

A. Upon Distribution

The Learning Modules are to be distributed initially on September 29, 2020, Tuesday in
preparation for week 1 classes. Retrieval will be done the next Tuesday when the
distribution of the next set for week 2 will also take place. Only the parents or guardians of
learners are allowed to fetch and return said modules while observing the necessary health
protocols such as wearing of face masks, use of hand sanitizers and observing physical
distancing when doing so. Parents of female students are scheduled to claim the modules
from 8:30-12:00pm while males are scheduled at 1:00-3:00pm.

Parents/guardians – upon entry to the school, they should wear face masks and have
their body temperatures taken in a specific holding area, step on foot baths to sanitize their
footwear and sanitize their hands before proceeding to the distribution area. They are to
observe proper social distancing of at least two (2) meters apart while walking to and from
the venue. These said routines will continue until the end of every quarter of the school
year.

Parents shall also bring with them a BIG PLASTIC ENVELOPE WITH HANDLE to carry
the modules. The school shall provide later on with plastic envelopes with handle.
They shall also accomplish a Health Monitoring Sheet at home following the format
below. Body temperature will be filled out after the security guard measures it using a
scanner upon entrance in the school gate.

Teachers – shall wait from their respective classrooms and distribute the modules there.
*Grade 8-Bobis-Tampus classroom is located at the Administration Building 4 th Floor, 2nd
Room from the right stairway facing the building.

Every class adviser has to prepare a list of their respective learners with the name of
parents/guardian. Claimants will write their full name and sign the same upon possession of
the pack of modules. She/he will also be informed of the return/retrieval date of said
modules and the release of the next batch as well as the instructions on how to assist the
learners. The claimants shall bring their OWN BALLPEN.

In case of unclaimed modules, teachers are to immediately contact particular


parent/guardian so that the learner concerned will not be deprived of his/her lessons for the
week.

School DRRM Coordinators and Alternate – will instruct and assist the school guards in
the conduct of health and safety protocols of all school personnel and stakeholders upon
entry to the school. They should see to the strict compliance of all to these health standards
so as not to compromise the health and safety of all. They are also to control the number of
claimants as they enter and exit so that there will no overcrowding in the distribution/
retrieval area. Necessary reports are also to be submitted by these personnel with regards
to the best practices observed and recommendation for improvement, if required in certain
scenarios.

B. Upon Retrieval

All the used modules (placed in the big plastic envelope folder with handle), the Answer
Sheets (in long bondpapers inserted in the long yellow clear book as their
Activities/Outputs-FOR ENGLISH 8 SUBJECT ONLY), the Journal Notebook yellow,
labelled and covered (depending on the odd or even week-FOR ENGLISH 8 SUBJECT
ONLY) are to be returned to the school every Tuesdays. Example: First distribution is on
September 29, 2020 (Tuesday), it will be returned on October 6, 2020 (also Tuesday) when
the next batch of learning modules will also be distributed.
All measures with regards to safety and health of all shall be strictly observed as was
done during the distribution phase.
The school administration will supervise the above proceedings and make
recommendations as to what practice are to be sustained and/or improved.

1. In the event that some parents will not be able to return said learning materials and/or claim
the new batch of modules for the next week, the teacher has to contact the said
parents/guardians immediately and come to a sound agreement with them as to how to go
about the said proceeding effectively. The class advisers have the responsibility of
distributing all modules to all students in her/his class s that no learners will lag behind the
others during the week.

Contingency Plan in Distributing Modules for Learners

1. During granular lockdowns or localized quarantine, some parents/guardians may find it difficult to
go out of their homes and claim the learning materials of their children. Teachers and parents may
then agree on a particular day that they are available or they may authorize another responsible
adult to do so as agreed with the class adviser.

2. Some parents/guardians may not be able to claim the modules in cases when they get infected
with the virus and are being quarantined or isolated. So as not to sacrifice the right of the children
to their education, a pre-arranged drop-off area may be designated and coordinated with
barangay and purok leaders for easy access by the affected families. Thereby, eliminating equity
problems.

3. Visible instructions, signages and markings will also be displayed in the school campus to guide
all stakeholders.

4. A roster of school visitors has to be filled in by everyone upon entry and exit from the school. This
is to be facilitated by the DRRM alternate who will keep said record for possible contact tracing if
infection happens.

5. Everyone is advised to wash their hands regularly with soap and water as they enter and exit the
school campus. All these facilities are located at ground level for easy access.

6. All teachers should have contact numbers of their respective learners & their parents so that they
will find it easy to correspond with them during class days.

7. A master list of all modular and online learners is to be kept in the Principal’s Office to easily
answer queries with regards to their learner status and class engagement.

8. All class adviser are to publish their respective list of learners and class program of their section in
Facebook and in the school’s website to guide the students of their class schedule.

9. All GPTA and SGC officers are to coordinate with the school authorities as to how they can extend
their help in assisting the school in its endeavors to educate all learners, such as provision of
inexpensive couriers for MDL learners.

10. Contact numbers of all school key personnel will also be made available to all parents/guardians
on the school’s FB page. Said personnel are to respond immediately to all queries pertaining to
the school’s delivery of education services in the “new normal”.
