Welcome!
Congratulations on your purchase! We are thrilled you’re considering Easy
Duplicate Finder, (EDF).

EDF
EDF stands for Easy Duplicate Finder (EDF). EDF quickly scans your computer for
duplicate files and displays them in an easy to understand report. Built-in tools help
you resolve duplicates easily and safely.

How do I start?
The best way to approach EDF is to understand what our software can do for you,
and then to learn the basics of using the software. Users can start with Settings, or
move right into the Quick Start.
Tip: Most users like to begin with the Quick Start.

Settings
The default system Settings for EDF establish how a search works. Each
check box is mostly self-explanatory. The EDF Defaults shown here are a
suggested configuration. Use the Restore Defaults button to return to them
at any time.

File Search
The File Search settings determine the basics of file searching, as well as protecting
system folder settings.

Select one of the following three parameters for the File Search; only
one option can be selected at a time.

CRC CheckSum + File Size


This search compares files using a Checksum algorithm, as well as
comparing the file size. This search balances speed with accuracy.

Byte-by-Byte Comparison
A thorough analysis of each file on a byte-by-byte level. This search
is the most accurate, and therefore the most time-consuming.

Filename Only
A search which compares only the file names. This search is quicker
than either of the others, but can be less accurate. For instance,
Presentation.PPT and Presentation1.PPT, while both 2.5MB with
identical properties, would not be considered duplicates.

Additional File Search Options


There are several additional File Search options based on which of the three File
Search types is selected.

Include File Name


Checked: Use the File Name as a parameter in the CRC CheckSum
+ File Size and Byte-by-Byte Comparison searches.

Cleared: Ignore file names in the search.

Tip: In general, Byte-by-Byte Comparison is a more time-
intensive search than CRC CheckSum + File Size. Both
settings can Include File Name.

Scan Subdirectories
Checked: Scan the current directory and all folders nested below
the selected folder.

Cleared: Scan only the current directory and ignore all nested fold-
ers.

Do NOT scan Recycle Bin


Checked: Ignore files in the Recycle Bin.

Cleared: Check files in the Recycle Bin.


Tip: Scans which compare the contents of the Recycle
Bin can be useful in existing folder/file
comparisons.

Skip Zero-Size Files


Checked: Ignore any files less than 0.5 k.

Cleared: Check all files regardless of size.

Skip Temporary Files


Checked: Ignore any files which exist in Temporary folders, such as
Internet Explorer.

Cleared: Check all files regardless of folder location.

Protect System Folders


Checked: Ignore sensitive Windows folders, such as Windows\Sys-
tem.

Cleared: Check all files including Windows or other system folders.

Protect Other System Files


Checked: Ignore other system files.

Cleared: Check all files including other system folders.

Preferences
Use this tab to set basic EDF application options.

Save program’s state...


Checked: Open EDF using the current settings

Cleared: Revert to the system Defaults at next session.

Checked: Connect to the Internet to get software updates.

Cleared: Updates will be available only by clicking the Update but-


ton.

Maximize GUI on Startup


Checked: EDF covers the entire computer screen.

Cleared: EDF opens to the last known size.

Show Quick Tips after Startup


Checked: The Quick Tips dialog box displays at program launch.

Cleared: The Quick Tips messages do not display at startup.

Disable Warning Message for Wildcard Searches


Checked: Warns users that wildcard searches can be time consum-
ing.

Cleared: No warning displays for wildcard searches.

Logging
Each session of EDF generates a log of selected events, allowing users to review the
search history. There are seven tracked events, shown later.

Users must check the Enable Logging check box in order to track
search events.

Enable Log Warning


Based on the number of events to track Logging can consume large
amounts of disk space. Users receive the following warning when
enabling Logging:

Log Directory
Choose a folder to save log files to while logging events.

Log Events
The following events are logged if the checkbox is selected.

• File Found
• File Skipped

• Folder Skipped

Help
The Help button sends users to the main Easy Duplicate Finder Website, located
online at http://www.easyduplicatefinder.com/help.html.

Update
Select the Update button to check the WebMinds server for an updated version of
Easy Duplicate Finder. An automated screen displays the results of the attempted
update.

About

Click the About button to display the following information:

• Current version of Easy Duplicate Finder


• License key string
• Product key information

Quick Start
Use the Quick Start section to start right away reclaiming disk space! Start with
Drag & Drop.

Version
The EDF version number displays in the lower left corner of the main screen as a
quick reference. The current search time and application Status also appear.

Select Folders or Browse
Users must choose which folders to include in an EDF scan.

Start at Select Folders or Browse for folders.

Select Folders
Choose the Folders to search below Desktop, or click Browse to select a folder.
Select a folder using Browse, or follow the directions here.

1. Expand any folder, like My Documents by clicking Expand (+). The folder
tree opens.
Tip: The average user has 34% of disk space allocated to
duplicate files.

2. Click a folder, such as My Pictures.

3. Click the Add button. The folder is placed into the Include to
Scan pane.
4. Repeat the process of adding files to include in the Search.

Tip: Try Adding one folder at a time until you are a more
experienced user, or Drag & Drop folders to the Include
to Scan pane. A Full Scan of one drive may take 30
minutes or more.

5. Once the folders are set, go to Step 2 to begin the scan.

Browse Step 1

Browse
Browse operates the same way as Select Folders.
Tip: Some users prefer Browse over Select Folders when
drilling further into the computer’s folders.

Desktop
Desktop is the highest level folder shown in EDF. The Desktop can be scanned just
like any other folder.

Add

Click Add to include the active folder in your EDF scan. You can also Drag & Drop.

Tip: The highlighted folder is the active folder.

Remove

Click a folder and then click Remove to exclude the active folder in the scan.

Tip: The highlighted folder is the active folder.

Clear

Click Clear to remove all folders in the list.


Caution! Clear removes ALL the folders listed. To clear just one
folder, use Remove.

Include to Scan
Any folders listed in Include to Scan will be part of the Easy Duplicate Finder scan.

Tip: You can choose to select files to Include to Scan, as well


as Exclude from Scan.

(Include) File Types

Click the File Types button next to the Include option to select files
to include by a specific file extension. Once you click File Types, the
Select INCLUDE File Masks dialog box opens.

There are several Include features, including:


• Add Mask - To add your own Mask, click the Add Mask button.
• Edit - Click an existing Mask and click the Edit button to modify an existing
Mask.
• Delete - Click an existing Mask and click the Delete button to remove an exist-
ing Mask.

• Mask - Enter the file types to add to the Mask using the following syntax:

A. Add an Asterisk, or “*” to capture all files of the selected Type.

B. Add the file extension, such as DWG, shown in example.
C. Add more than one file type by using a semi-colon to separate the file types.
Tip: Searches can be as specific or general as required. For
example, to find all JPG Files, enter a search string of
*.JPG. To find all JPG files named Star, users would
enter Star.JPG.

• Description - Enter a name for easy future recognition in the Description field.
• Save - Click the Save button to commit the changes.
• Cancel - Click the Cancel button to not add a File Mask.

Exclude from Scan


Any folders or File Types listed in Exclude from Scan will be ignored during the
Easy Duplicate Finder scan.

Tip: You can choose to select files to Exclude from the Scan,
as well as Include to Scan.

(Exclude) File Types

Click the File Types button next to the Exclude option to exclude files
by a specific file extension.

Once you click File Types, the Select EXCLUDE File Masks dialog box
opens.

There are several Exclude features, including:
• Add Mask - To add your own Mask, click the Add Mask button.

• Mask - Enter the file types to add to the Mask using the following syntax:

Caution! Using the Any File selection


searches ALL files.

Search Filters
Search Filters are powerful tools. Use them to locate your duplicate files quickly.
The result is an optimized hard drive. For example, create your own set of Custom
Masks to complete specific search tasks. You could create ones called My
Pictures, or My Music, or Shared Drive Document Files.
Tip: Create simple searches to perform specific file
identification or purging tasks, such as only Word
Documents. See Simple Searches Case.

Simple Searches Case


Your company uses a Shared Network Drive on a network server. On any given week,
the IT department emails your department to clean up its folders. Teams
communicate with Word documents and there are often five or six versions of the
same document floating around the office. How do I find the latest version, find it
quickly, without losing valuable company files?

1. Open Easy Duplicate Finder.


2. Open Windows Explorer.
Tip: For ease of navigation, shrink the Explorer window to see
both EDF and Explorer at the same time.

3. Navigate to the folder to search.


Note: Network folders must be mapped using a drive letter.
For example, X:\NetworkLocation\SearchFolder.

4. Drag & Drop the folder into the Include to Scan pane.

5. From EDF, click the (Include) File Types button. The Select INCLUDE
File Masks dialog box opens.
6. Click the Add Mask button. The Add File Mask dialog box opens.

7. For Mask, enter *.DOC.


8. For Description, enter Shared Document Folder or other descriptive
name.
9. Click Add.
10. Click the new file mask in the Select... dialog box, then click OK.
11. From the main EDF window, click the Start button. Once the search is
complete, the Information dialog box displays. Click OK to close.
12. From the Search Results, it’s easy to find the latest file, even if file names
are different. For more information, see Resolve Duplicates.

Masks
Masks can be created for two purposes: to include files within a search, or to exclude
files from a search. For more information, see Include to Scan and Exclude from
Scan.

Min File Size

To look for files that meet a minimum file size, enter a number and then select the
increment from the drop-down menu, either B, KB, MB, or GB. This example
illustrates 5 megabytes.
Tip: EDF searches don’t always have to be for large files.

Searches can also include both a Min & Max File Size.

Max File Size

To look for files that only meet a maximum file size, enter a number and then select
the value from the drop-down menu, either B, KB, MB, or GB. This example illustrates
a 50 megabyte maximum.

Min & Max File Size

To look for files that meet a minimum file size, as well as a maximum file size, enter a
Min Value and then select the value, either B, KB, MB, or GB. The example illustrates
5 MB, or megabytes.

Drag & Drop


The fastest way to add folders to EDF is to Drag & Drop.

1. Navigate to the folder to include (or exclude) from the scan.


Tip: Drag & Drop can be done from the Select Folder area of
Easy Duplicate Finder, from Windows Explorer, and
even from the Windows Desktop!

2. Click and hold the Folder Name.


3. Drag the folder to the Include to Scan (or Exclude from Scan) pane.
4. Drop the folder by releasing the mouse button. The folder path is added to
EDF.

Type Folder Name


Users can type or paste a folder location directly into EDF.

1. In the Select Folders or Browse field, type or paste the actual folder
location.

2. Press the Enter key. The folder name is added to the list.

Information
When a search completes, the Information dialog box opens, containing a
summary of the Search results.
Tip: The information is read-only. Click OK to close the
dialog.

Search Suggestions
Use the following additional Search Suggestions:

• To maximize disk space, focus on individual file types with the largest potential
file size.
• Focus on specific main folders; adding too many folders may be confusing

FAQs
A list of the most Frequently Asked Questions

Can I add the Desktop? What about My Documents?

You can add any folder on your computer or in My Network Places. Searching
Desktop only searches a specific folder. For example:

• C:\Documents and Settings\Username\My Documents

Can I just select My Computer for Easy Duplicate Finder to search


everywhere I am connected?

No, and you may not want to. Users get a warning message if they select a
big area to search. Ask yourself: do I want to search all folders on my
computer at once, or should I select just a few at a time?

Can I scan my iTunes© folders to resolve duplicate music files?

Yes. Try the following suggested method:

1. Open iTunes.
2. View a Playlist.
3. Right-click a song and choose Show in Windows Explorer.

4. In the Address bar, copy the Folder name. For example:

C:\Documents and Settings\My Documents\My Music\iTunes\iTunes Music\Music

5. In the Select Folders or Browse, paste the address and press Enter. The
folder is added to the Include to Scan pane.

Begin Scan
Click the Begin Scan button to initiate a search using the current selections.
Tip: Step 2 begins after all the folders to search are selected.

Start
Click the Start button to initiate a search based on the current file selections.

Search Results
The Search Results pane displays your search results, shown next.

There are five columns in the Search Results:

• File Name - The file name and extension.


• Path - The folder location of the file.
• Dup. Group - The number of Dup. Groups indicates the number of duplicate
files.
• Size - File size, in megabytes (MB)
• Modified - The time and date stamp of the files. These time stamps may or may
not be identical within Dup. Groups.

Clear Results Step 2

Sort Results
Users can sort each Column by clicking on the column Header. The
first click sorts in Ascending order, the second click, in Descending
order.

For example, clicking File Name sorts the results Ascending. Click
again and the results are Descending.

Note: The default Search Result sorting is by Dup. Group.

Clear Results
Click the Clear Results button to start a new search.There is no confirmation
dialog box when clearing results.
Tip: If search results are cleared by accident, click the Start
button to run an identical search.

Files Scanned
The Files Scanned results box contains the total number of files
searched within the most recent search.

Original Files + Duplicates


The Original Files + Duplicates results box contains two numbers:
the total number of Original files (plus) the number of Duplicates.
The number of duplicates equals or exceeds the number of original
files.

Disk Space Usage


The Disk Space Usage results box contains two numbers: the Disk
space usage for Original Files (plus) the disk space for the Duplicate
files.

Selected
The Selected results box contains two numbers: the number of files
“selected” or checked in the Search Results, as well as the total MBs of
those files.

Tip: A file is selected when you click the checkbox next to the
file name.

Export List to File


After a Search is complete, the results can be exported to one of three formats:
Text, CSV, or HTML file.

1. Click the Export List to File button. The Export... drop down opens.

2. Choose the format to export the file to: HTML, CSV, or Text.
3. The Save As dialog box opens.
4. Type the file name in the File Name field and click Save.

Resolve Duplicates
The final step is Resolving Duplicates. Once a search is complete, the
Information dialog box displays a summary of the search results. Once closed,
you can begin Selecting Files.

Selecting Files
Users can choose to select files one by one, use the Auto Select command, or
select a range of files.
Tip: To keep the Newest File Only for an entire Search Result,
click the Auto Select button and choose Select all files:
Leave only newest version in each Dup. Group. See
Auto Select for more selection options.

1. To select files one by one, simply click the check box next to the file name as
shown next.

2. Click the Delete Selected button after all the file selections are made.
3. The Remove Confirmation dialog box opens.

When attempting to delete files, users receive a Remove Duplicate
Files confirmation.

Move Files to Recycle Bin


Select this option to send files to the Recycle Bin.
Caution! If Windows is set to delete files when put in the
Recycle Bin, the files are permanently deleted and
cannot be recovered.

Use the following directions to check the Recycle Bin settings.

1. From the Desktop, right-click Recycle Bin and select Properties.

3. Clear the Do not move files to Recycle Bin check box to send files to
the Recycle Bin. Check the box to delete files immediately.
4. Click OK to save the changes.
5. Another option is to select the Delete Files Permanently check box.

Delete Files Permanently


Selecting to Delete File Permanently bypasses the Recycle Bin and
deletes the files from the corresponding folder.

1. Once the Selecting Files step is complete and you choose to delete
files permanently, a confirmation dialog box opens.

2. Click Yes to confirm the file delete. An information message box opens.

3. Click OK to return to the EDF main screen.

Auto Select
Auto Select is the fastest method for choosing which files to include or exclude when
you Resolve Duplicates.

1. When a Scan completes and a list of duplicates is listed, click Auto Select.
The Auto Select Menu opens.

2. Click one of the Auto Select Commands. The commands are outlined,
beginning with File Properties.

Rename Selected
Rename one or more duplicate files with a Prefix or a Postfix.

1. Select one or more files to rename and click the Rename Selected button.
The Rename Duplicate Files dialog box opens.

2. Choose to Add a Prefix to Filename or Add a Postfix to Filename for


easier identification.
• Prefix - Adds the text entered to the beginning of the file name.
• Postfix - Adds the text entered to the end of the file name prior to the file Exten-
sion.
3. Any text can be entered. For example, use the current date as a Prefix or a
Postfix.

Move to Folder
The Move to Folder command cuts the selected files from the current
folder and pastes the files into another folder.

1. Select one or more files to move and click the Move to Folder button. The
Move Duplicate Files... dialog box opens.

2. Click the Browse button to specify the folder.


3. Click the Preserve Folder Structure check box to add the folder names
to the existing file path.
4. Click OK to move the files.
Warning: There is no option to move your files back automatically.

Delete Selected
Delete selected files with one click using the Delete Selected
command.

1. Click the check box next to one or more files and choose Delete Selected.
The Remove Confirmation opens.

Deselect All
Choose Deselect All to clear all of the check boxes.

Auto Select
The Auto Select commands are powerful tools to do everything from analyzing and
viewing files, to excluding and selecting files.

Tip: Use the Auto Select commands after a search to view


files, remove folders, select all files, and for duplicate
log file maintenance.

File Properties
Select a file then click File properties to open the Windows© file
information dialog box, which includes information such as File
Type, Associated Program, Location, and Time and Date Stamp.

Use Open file with associated program to open the file in its native
application. Figure 6-12 displays a JPEG image opening in Paint.

Open folder containing file


The Open folder containing file command opens an Explorer
window at the path of the selected file. Users can choose to select and
delete files from a Windows Explorer.

Open Recycle Bin


Click the Open Recycle Bin command to open the Windows Recycle
Bin. Users may want to see the contents of the Recycle Bin prior to
deleting files.

Picture Preview
Click the Picture Preview command to open the EDF Picture
Preview window.

Delete this file


Click a file and select Delete this file to delete a file from the Search
Results window. This is a single file command; no other files are
deleted.

Exclude this folder only


Select the Exclude this folder only command to remove a folder from
the Search Results. To remove the folder and all of the subfolders,
choose Exclude this folder and all its subfolders.

Once a folder is removed, additional commands can be completed on


the files remaining in the Search Results.

Select the Exclude this folder only command to remove a folder and all
its subfolders from the Search Results. To remove the folder but none
of the subfolders, choose Exclude this folder only.

Once a folder is removed, additional commands can be completed on


the files remaining in the Search Results.

Exclude all of this file type


Select Exclude all of this file type to remove any files with the same
file extension, such as .JPG or .MOV., from the Search Results.

Select all duplicates in this folder


Use the Select all duplicates in this folder command to select
duplicates within the current folder.

Select all duplicates in the selected branch of subdirectories


Use the Select all duplicates in the selected branch of
subdirectories command to select duplicates within the current
folder and all its subdirectories.

Select all files: Leave only oldest version in each Dup. Group
Choose this command to keep the OLDEST file in all of the duplicate
groups.
Tip: Use this to “roll back” to the earliest version in each
Duplicate Group, not the entire search result set.

Select all files: Leave only newest version in each Dup. Group
Choose this command to keep the NEWEST file in all of the duplicate
groups.
Tip: Use this to maintain the newest version in each
Duplicate Group, not the entire search result set.

Invert Selection
Once a selection of files has been made, use the Invert Selection
command to choose all of the files NOT selected.

Clean the list from resolved duplicates


When duplicate files are deleted, they are redlined, as shown next.

Choose the Clean the list from resolved duplicates to clear the
Search Results of deleted files.
