CHAPTER I

INTRODUCTION

Overview of the Current State

As we conducted an interview to the Department of Health here in Iloilo City, we found-out

that the government doesn’t have an updated list of information about the professional

doctors that is located within the city. Of the more than a hundred component societies of the

Philippine Medical Association (PMA), the Iloilo Medical Society (IMS) is the fourth to be

organized; the first in the Visayas and enjoys the reputation for the many accomplishment in

its more than seven decades of service and

commitment to the medical profession and the people of Iloilo that was founded by Captain

Jose Gonzales - Roxas. This is a reflection of the quality of leadership and most importantly

its members. The names of the newly passed doctors will be forwarded in the Iloilo Medical

Society by the PRC office, newly passed doctors will sign on the registration forms that are

given to them by the secretary of IMS and will pay one thousand eight hundred pesos for the

membership. Then old members will be also paying one thousand eight hundred for the

renewal of their membership yearly and will update the information that the IMS needs. All

the registration forms are kept in a cabinet and input in the MS Excel. IMS also conducts

events for some medical related organization by using text message brigade, flyers and emails

to inform the members. Doctors are also required to join the outreach program that are being

conducted and they are also given merits including Good Standing Certificates, Certificate of

Attendances and Certificate of Appearances which can be used by the doctors for applying

work in some hospitals. IMS also issue membership card to its members. And at the end of

the year they are required to pass the annual summary report to the Philippine Medical

Association (PMA). When we had undergone the interview with the present president of
Iloilo Medical Society (IMS) Dr. Ruel Malata, we found out that they are facing some

problems like the retrieval of the data takes time due to its manual record keeping, the

members of IMS cannot update their information efficiently because hard copies of records

are kept in the society, the upcoming scheduled activities of the society are difficult to be

tracked because the details of the events should be personally noted by the doctors

themselves, checking of attendance in the event takes time because it is done manually, Tthe

prospective patient of IMS encounters difficulty in finding an appropriate doctor that is suited

for them and consolidation of reports is difficult due to manual recording of information.

Desired State of Technology

Our envisioned state of the system is a Web Portal for Iloilo Medical Society (IMS) where

the system will have a doctor profiling module that will provide registration form to doctors

to register themselves first to login into the system which contains the member’s information

about the doctors registered in the society. The system is under the supervision of the admin

who will be verifying the registration of the doctors. The portal must have a search module

that allows searching doctors through name and specialization. It must also provide category

lists of doctor specialization that will help the user to easily browse the list of the name of the

doctor. Have an event management module that will show the events for the incoming

activities of the society and display the upcoming conference meeting of the members of the

society. And will also include a report generator module that will make a summary of the list

of doctors and proceedings of the society that will be submitted to the Philippine Medical

Association (PMA) as an annual report.

Statement of the Problem

1. Members of IMS cannot update their information efficiently because hard copies of

records are kept in the society.

1. The upcoming scheduled activities of the society are difficult to be tracked because

the details of the events should be personally noted by the doctors themselves.

2. Checking of attendance in the event takes time because it is done manually.

3. The prospective patient of IMS encounters difficulty in finding an appropriate doctor

that is suited for them.

4. Consolidation of reports is difficult due to manual recording of information.

Objective of the Study

General Objective

To develop a Web Portal for Iloilo Medical Society (IMS)

Specific Objectives

Specifically, this study aimed to develop the following:

1. A Member Information Module that allows the doctors to update their information in the

Web Portal from time to time;

2. An Event Management Module that allows IMS Admin to create an event and manage it

the same time it also include sending of every update to the doctor’s email;

3. An Attendance Checking Module that allows IMS to check the attendance of the doctor

during the event;

4. A Search Module that allows prospective patients to see the suited doctor for their

illness; And

5. A Report Module that will print the doctor's information and status that will be submitted

to the PMA annually.
