OVER SUPPLIERS AND SPEND
A popular restaurant chain in the United States had a large
number of suppliers – around 95,000 – across the length and
breadth of the country and an overall annual spend of $6.5
billion. The client was especially keen for complete data on its
key direct suppliers, but it had poor visibility into its vast supplier
network and into spend without specialized procurement
software that could efficiently consolidate, centralize and
manage supplier data and track spend. It did not have a spend
analysis tool and to gain insight, it had to pull data from multiple
ERPs, Armada, Oracle and Check Writer.

The company wanted a procurement platform that would


streamline its supplier management process so as to gain
tighter control, drive more value and enhance cost savings.

BUILDING AN INTEGRATED
SUPPLIER REPOSITORY
The restaurant chain selected GEP SMART, an AI-powered, cloud-native procurement platform that was ideal for
gaining visibility over spend and integrating its supplier database to make it a one-stop repository for
supplier management.

GEP SMART aggregated and enriched spend data — the team collated data from the client’s distributors, support
centers and restaurant outlets to provide visibility of enterprisewide spend. GEP’s spend data taxonomy was
customized based on client specifications and a quarterly refresh cycle was enabled.

GEP then initiated supplier normalization, cleansed and standardized 95,000 suppliers’ data, established
parent-child linkages, removed duplication and reduced the count to 75,000 suppliers — this was later whittled
down by another 10%. The activity improved visibility into and accuracy of supplier spend.

To onboard suppliers on the platform, GEP’s experts established an approval workflow for supplier registration and
enhanced reporting so the client’s procurement team could track responses from registration forms. Additionally, a
supplier enablement campaign was initiated to onboard suppliers.

SUPPLIER MANAGEMENT WITH GEP SMART
Supplier normalization, consolidation, an established registration and approval process, all on one platform — this
hugely improved the client’s supplier management capabilities.

The integrated dashboard with data from both the supplier and spend modules, which had been configured
specifically for the client, was a user-friendly tool that provided relevant information at one glance. An annual
supplier business review scorecard was launched, making evaluations easier and more accurate.

After deployment, more than 600 suppliers were onboarded to GEP SMART’s supplier module. Onboarding,
tracking and monitoring suppliers became faster, more efficient processes, and the client gained better visibility of
supplier spend.

The spend analysis module improved the quality and visibility of the client’s spend data, delivering over 95% spend
data accuracy. There has been 50% improvement in the quarterly refresh turnaround time — from the earlier 10-12
days, now it is 5 days per refresh.

Overall, GEP SMART has helped the client gain greater control over its suppliers and spend, which in turn has
improved compliance, offered greater insights into vendor capabilities, mitigated risks and enhanced overall
operational efficiency.
