Timing:
At any time during your visit you find any Anagram balloons, either on the sales floor or
in the back room without a price sticker you need to place the correct one that belongs to
that particular balloon. At no time, should there be a balloon on the floor without a price
sticker.

Stickers:
 New Price stickers will be YELLOW.
 It is very important to remove all white price stickers from balloons. THIS
INCLUDES INVENTORY ON THE FLOOR AS WELL AS IN THE
STOCKROOM
 The new yellow price stickers should be adhered in the same spot as the old white
stickers.
 If you run out of stickers you should remove the white stickers. If the store does
not object to having a balloon with no price then please merchandise the balloon
as normal. If the store does object, please call the support number at
800-672-2020 or write a comment in your report to request new stickers- they will
be sent directly to the store to the attention of the dept 3/67 manager.
 All new deliveries of balloons were shipped with the new prices.

Starting May 3rd, Anagram and its merchandisers became responsible for all
of the Wal-Mart Seasonal Merchandise. The change requires you to now
service seasonal merchandise in addition to the regular every day program
that you service now. We will start servicing the graduation seasonal
merchandise this week.

 During this weeks visit, we are asking you to place an emphasis on inflating
Graduation Balloons and Mothers Day balloons. Given the smaller size of
the seasonal program allotments, we are asking that you spend the majority
of your time working with the seasonal product and then, if time allows,
inflate as many everyday balloons as possible.
 Assortments will range in size for various holidays and some stores may
have more than one shipment throughout the course of any given seasonal
program. The seasonal merchandise will arrive in the same type of box as
the everyday product. All boxes will arrive via UPS and stores will be
instructed to handle packages in the same manner as the every day
balloons.
 Not all stores will get shipments. Overall order amounts will be allocated to
stores based on sales from last year and potential to sell this year.

*** PROCESS FOR DISPOSING OF DAMAGED
BALLOONS ***
It has come to our attention that some merchandisers are confused about the
process of scrapping balloons and therefore are providing their Department
Manager’s/Store Managers with wrong information. Below is a recap of how
to correctly scrap balloons. Please share this with the Manager that you are
working with on a weekly basis so that they are informed as to how to keep
track of damaged balloons in between your visits to the store.
After the instructions, you will see open spaces where your Manager can write
the SKU number of any items that are scrapped in between your visits to the
store. When you return to the store to complete your visit every week, please
obtain this sheet for the Manager so that we can have any accurate count of
items that were destroyed during the week.

Handling Defectives or Soft Balloons


1 You wouldn’t buy a soft balloon, so don’t expect a customer to buy one.
2 Before destroying a damaged balloon, note the item/UPC number and total quantity of that
design being scrapped on your field form. Managers-If you are destroying a damaged
balloon in-between your merchandisers visit, please note the sku in the open boxes below
and then provide this sheet to your merchandiser on their next visit.
3 It is extremely important that this information is accurate.
4 Dispose of balloons.
5 NOTE: Since this is a pay from scan program, Wal-Mart does not need to adjust their
inventory on defectives. DO NOT turn into the claims department.

When merchandising balloons we would like for you to cluster similar


balloons together for display. For example, “It’s a Boy” and “It’s a Girl”
balloons can be clustered together. An assortment of “Mickey Mouse” balloons
can be clustered together. All “Elmo” balloons can be clustered together and
so on and so forth.

Please ensure that you are not merchandising Anagram Balloon product
on the Hallmark wooden card fixtures. These card fixtures are owned by
Hallmark and we are NOT allowed to place grip strips on these displays.
This direction is mentioned in both your training documents included in
this paperwork and in the training video. If there is a wooden card
fixture in the Greeting Cards Department, please focus on
merchandising the Anagram Balloons in other areas such as Party
Goods and Floral.

We are discussing options for merchandising around cards using a


different merchandising tool, however at this point in time; we are only
using the grip strips.

BAL060710 VISIT GUIDELINES/June 7th–June 9th

Before visiting the store, you must track your stores balloon shipment:

Go to your “Current Assignments” page”


Within the details for the assignment BAL060710, you will see the below wording:
“Delivery Information” - Click this link for tracking information
A new window will open and you will see the date and time that your balloon shipment has been/will
be delivered. If they have been delivered, you will also see the name of the person who signed
for the shipment. Bring this delivery information to the store with you. It will assist you in locating
the balloon shipment. After confirming that the shipment has been delivered, conduct your visit as
instructed.
If the shipment was not delivered, you must continue to check the tracking information until you
confirm it was delivered. Update the status of your assignment regularly online. We understand that you
will be unable to make your visit until your shipment has arrived at the store.
If your store is not scheduled to receive a shipment, please make a visit to the within 24-
48 hrs.
Visit Objectives:
• Reset the Anagram Balloon display by locating new product and back stock,
removing damaged product, and inflating and placing new balloons.
A detailed layout of the visit is included on the following pages. All of the attached visit
objectives need to be completed during this visit to ensure a successful ongoing program.

Remember, you are representing Market Force, Anagram, and yourself in the store. Dressing with a
business casual appearance and working with a professional manner are important.
• Business Casual Dress Code is required. NO jeans, tank tops, or sneakers. Slacks and a collared shirt
are preferred.
• Personal hygiene and appearance are important, as you will be working closely with others.
• Conduct yourself in a professional manner with store personnel and in front of customers.
• Do not bring others (spouse, child, or friend) to the stores with you on your visits.

 Read the paperwork carefully! Your paperwork includes: Visit Objectives, Activities Check list, Alert Notices, and
 a Field Form.
 This visit is estimated at 1 Hour. Please plan your time accordingly. Please use the Activities Check list
 provided in your paperwork to see how to best plan your time.
Visits must be conducted Monday, Tuesday, or Wednesday.

1 Sign in on the store’s vendor log at the customer service desk. Note the date and time of your visit.

2. Check in with the Store Manager or Stationery Department Manager. Introduce yourself to the Store
Manager or Stationery Department Manager. Give an overview of the services you will be providing. When introducing
yourself, inform the Manager you are a representative of Anagram Balloons. Let them know that you will be in
there store on an ongoing basis.

3. Complete all tasks as outlined in your Activities Check List.

4. Complete the field form. Review your completed assignment with the Store Manager or Manager on Duty.
Confirm that the manager is satisfied with the results of the visit and address any concerns before you leave the
store.

5. Sign out on the store’s vendor log noting the time and date of your time out.

PLEASE READ THIS GUIDE THOROUGHLY PRIOR


TO YOUR INITIAL VISIT TO THE STORE(S).
General Overview of Program
Program Overview
Balloons are a high impulse purchase item great for celebrating any event. This program
consist of the best selling designs and characters (i.e. Disney, Sesame Street , etc)
that Anagram offers.

Merchandising foil (mylar) balloons will primarily be focused in the party goods and greeting card
aisles of Wal-Mart stores. Based on store/department manager discretion, balloons may also be
merchandised at the check-out lanes, floral department, bakery, etc.

Foil Balloons
Balloons and the appropriate ribbon weights will be shipped directly to each store during the
first week of the roll-out phase, then on an as needed basis, based on sales, going forward.

Helium
Helium for the balloons will be ordered by each individual store. Normally, this is done by the
“Invoicing Clerk”. Additional information regarding helium, i.e. when to request it be ordered and
general helium safety, is included in this guide.

Importance of proper merchandising / Reporting


In order to obtain optimal sales of foil balloons they need to be fully inflated and merchandised in
a manner and location that makes them (1) shopable/noticeable by the consumer, and (2) exciting
and accessible.
It is also important to capture accurate and timely information (store events, inventory updates,
customer request) and report those details via your daily call report.

Initial Store Visit


(Also Refer to Merchandiser Training and Activities Checklists at back of Guide)

Upon arriving at the store for your initial visit please:

Locate and sign in to the Wal-Mart vendor book.

Introduce yourself to the store manager and/or department manager and:

1. Advise them that you are a merchandiser representing Anagram International and will be
visiting the store on a weekly basis to inflate and merchandise new foil balloons and re-
inflate existing Anagram foil balloons in the party goods and greeting card aisle on an
ongoing basis.
2. Request an introduction to their receiving clerk to arrange locating balloon shipments.
3. Inquire as to the location of the initial shipment carton. The carton has a very distinct print
on all four sides (see page 4) so it should be very easy to locate.
4. Request their assistance in designating a specific location within the back room so that you
are able to quickly and easily locate the shipment each week; this will save valuable time
searching for the product shipment upon arrival each week.
5. Inquire as to who should be contacted to request additional helium, when needed.

Locate the helium tank in the back room. The tank is generally found inside the back room door
next to the lay-a-way (Site to Store) or customer service department/areas.

Helium

All questions and concerns regarding helium and helium tanks should be directed
to the Wal-Mart store or department manager.

Generally, the helium tank will be located in the lay-a-way (Site to Store) or customer service
area/department.

Tanks should be secured to the wall or in a stand. If not, please notify the store or department
manager.

Always open the cylinder valve very slowly, standing to one side of the cylinder when opening the
valve. NOTE: Only open tanks that have a regulator attached.

Close the cylinder valve after each store visit.

A tank cap/cover should always be placed on a tank that is not being used.

The regulator gauge shows (in pounds of pressure – PSI) how much helium is in the tank.

A full helium tank should show approximately 2100 to 2500 psi on the regulator gauge.

When the gauge reads 500 psi or less, please contact the store or department manager
(Invoice Clerk) to request that an order for additional helium be placed.

Each store should have a minimum of two tanks on hand; one that is in use with the regulator
attached and one full, spare tank. Contact the store mgr / invoicing clerk if helium needs to be
ordered.

Helium and regulators (Item# BR72HG) can be ordered from S.K.I.L. Enterprises,
Wal-Mart’s designated helium and accessory supplier. Their toll free number is
1-800-329-0010. A leave behind sheet with this information can also be left for the
invoicing clerk.

Helium Safety

DO NOT inhale helium. Inhaling helium can cause headaches and dizziness. If inhaled, helium
can cause oxygen depravation, which can lead to serious damage to your health.

While helium is non-flammable and non-explosive, tanks should be handled with great care to
assure that they are not dropped, knocked against another tank or tipped over.

Helium Tank Regulator
Most helium tank regulators will have either: (1) two separate nozzles - one for foil (mylar
balloons) and one for latex balloons, or (2) an adjustment where you can set separate settings
for either foil (mylar) or latex balloons.

It is important that you are sure that you are using the correct (mylar) nozzle/setting prior to
beginning inflation.

There are many styles of regulators available; those shown below are just a few examples.

Variations between regulator styles include:

1. The majority of the regulators require that the nozzle be pushed toward the regulator in order
to release the helium.
2. Generally speaking the correct nozzle for foil (mylar) balloons has a tapered tip and the
majority of them are brass, but can also be made of plastic.
3. If the regulator you are using does not have two separate nozzles or an adjustment for a
mylar setting you will need to be cautious when inflating the balloon to avoid over inflating
and bursting the balloon.

How To Change A Regulator:


1. Be sure cylinder valve on tank is turned off.
2. Release helium (pressure) from regulator by depressing valve (as if inflating a balloon).
Helium will stop if tank is turned off or empty.
3. By hand, un-tighten regulator connector (turn knob) from tank to remove regulator.
4. Attach regulator to new tank being sure that threads are lined up.
5. Hand tighten regulator to tank.
6. Slowly, turn on cylinder valve on tank.
7. Gauge on regulator should register and there should be no leaking sound.
8. Tank / Regulator is now ready for use.

General Information
Locating the Balloon Shipment
Shown in the illustration below is the carton that will be shipped to each Wal-Mart store.

A decorative balloon pattern will be printed on all four sides of the carton in order to make it easy to
identify. Shipments are sent direct to store and checked in by the Receiving Clerk.
Because this merchandise is “Pay from Scan” it does not need to be inventoried by the Receiving
Clerk.

Work with the Receiving Clerk and Department 3 Mgr. to determine where this shipment will be
placed once received by the store so that you are able to locate it quickly each time you visit the
store.

Shipping Carton

Your balloon shipment will contain the following items:


1. Balloons that will be inflated for merchandising. Balloons will be pre-priced and ready for
inflation. Instructions for proper balloon inflation are found on page 6.
2. Ribbon weights for the balloons (see below). Instructions for attaching the ribbon
weights to the balloons are found on page 5 and 6.
3. A designated PO # will be printed on the lower right hand corner of the shipping label and
also will be found on the packing document inside the box. IMPORTANT: Please write
this number on your call report each week.

The initial shipment will also contain:


1. Two (2) packages of plastic “Grip Strips” (a total of 20 strips) that will be used for
merchandising the balloons and weights for your initial store set (shown below).
Instructions on the installation and placement of the grip strips is found on page 8
and 9. Grip strips are a semi-permanent fixture and will not be included in future weekly
shipments unless specifically requested by the merchandiser.

Preparing the Balloons for Merchandising
Ribbon Weights

IMPORTANT: Every balloon MUST have a ribbon weight attached prior to inflation. This is
to prevent balloons from accidentally floating out of reach.

Ribbon weights consist of two components (1) the ribbon weight, and (2) a 50 gram circular
adapter that is used to hold down larger balloon designs.

Your weekly shipment will contain enough ribbon weights for each type of balloon.

Which Ribbon Weight to Use for Various Balloon Designs

The standard ribbon weight weighs 8 grams and is used for all 18” balloons that are either, circles,
hearts, stars and several of the SuperShape™ balloon designs.

The standard ribbon weight along with the 50 gram adapter is used for all Sing-A-Tune® Balloons
and a number of the larger SuperShape™ balloons (such as Mickey Mouse, Tinkerbell, etc.)

TIP: The best way to check to see if you need to add the 50 gram adapter to the ribbon
weight is to attach a standard ribbon weight to the balloon, inflate the balloon and
then very carefully release the balloon to see if it floats up or drops to the ground. If it
floats up, you will need to add the adapter as shown below.

1. Carefully unfold the foil balloon.


2. Locate the inflation valve opening which is normally on the tail of the balloon. Some
SuperShape™ balloons may have the valve opening in other locations.
3. As shown on the back of the ribbon weight, carefully pull the tape tab from the weight to
expose the tape tab (see below).
4. Attach the tape tab to the balloon tail on the OPPOSITE side of the inflation valve opening.
5. Press firmly to adhere tape to the balloon.
6. DO NOT release the length of ribbon on the weight at this time. Keeping the ribbon
wound around the weight until you reach the sales floor will help prevent them from tangling
when transporting.
7. Inflate balloon. (See instructions on page 7.)

Inserting the 50 gram adapter to the ribbon weight

If the balloon requires the additional 50 gram adapter, simply insert the adapter into the back of
the ribbon weight by matching up the notches on the ribbon weight to the grooves in the adapter
and snap into place, as shown below.

TIP: It is important to note that the adapter can only be inserted AFTER the ribbon has been
attached to the balloon (as the tape tab must be lifted from the adapter insertion point on weight)

Balloon Inflation and Re-Inflation

1. Carefully slide the inflation valve opening over the helium regulator nozzle one to two inches
(care must be taken not to tear the valve as you insert the nozzle).
2. Hold the balloon securely on the nozzle with one hand while pressing lever on the regulator
or pushing the regulator nozzle up or toward the regulator (depending on the style of
regulator at your store).
3. If the inflation process makes a “screeching” noise, adjust the angle of the nozzle by gently
pulling on the balloon to straighten the foil while inflating.-
4. When balloon is fully inflated, helium will stop flowing. (Unless the regulator in your store
does not have a mylar setting, as noted on page 3, in which case you will need to visually
determine when the balloon is fully inflated.)
5. Carefully remove the balloon from the regulator nozzle.
6. Inflation is complete.

NOTE: If for some reason, a balloon goes “soft” before you take it to the floor, do not
merchandise. Please note the item/UPC number and quantity on your call report and scrap the
balloon.

Re-Inflating Balloons
Balloons that may appear soft can be re-inflated. Simply follow the standard inflation procedures
listed above to freshen and re-merchandise the balloons

Transporting Balloons to Sales Floor

Using a shopping cart, carefully place balloons into cart to transport to the sales floor. You
should be able to place 10 to 12 balloons in the cart at one time.

Do not force the balloons into the cart as metal areas on the carts could damage the balloon
film and/or pop the balloons.

TIPS ON FILLING SHOPPING CART:


1. Do not release ribbons on ribbon weight
2. Place large shapes in cart first
3. 18” designs around and on top of shapes
4. Use hooks on weights to attach to exterior of cart to help anchor balloons while
transporting.

Once your shopping cart(s) are full, you may transport the inflated balloons to the different
departments on the sales floor for merchandising.

Depending on the type of store, balloons should be merchandised in the greeting card aisles,
party goods aisles and possibly the check-out areas.

Handling Defectives or Soft Balloons


1. You wouldn’t buy a soft balloon, so don’t expect a customer to buy one.
2. Using the inventory report provided to you, note the item/UPC number and
total quantity of that design being scrapped. This report is sent to your
corporate office in the same way as your call report.
3. It is extremely important that this information is accurate.
4. Dispose of balloons.

Merchandising Balloons

Goal is to inflate and float as many balloons as possible on sales floor (as approved by the store
manager). Sales are proportionate to number of balloons displayed and available for sale.

For visual impact, place like balloons or like designs together to create a statement.

Cross Merchandise balloons in areas such as paper products to match designs (i.e. Hannah
Montana party items and balloons can be cross merchandised easily.)

(XtraLife) Technology, your balloons will stay inflated
longer and your departments should be full, festive
and exciting, creating more sales and profits.

Grip Strips

Plastic Grip Strips will be utilized in merchandising balloons throughout the various areas of the
store.
A total of 20 grip strips will be included in your initial shipment; please use all of the grip strips
provided.

Placement of Grip Strips

Determine locations for placement of grip strips which should include:


1. Party goods aisles on top of shelving (see example in photo).
2. Greeting card aisles attached to fixture header (see example in photo), with the exception of
the newly installed wood grain fixture. DO NOT attach grip strips to the wood-grain card
fixtures
3. Check-out lanes, floral departments, bakery, etc. (at store manager’s discretion).
TIP: Where possible, place grip strips at easily accessible and visible heights.

Installation of Grip Strips

Peel backing strip from the grip strip and adhere to shelving or header with “teeth” exposed past
the edge of the shelf or header by pressing firmly.

Strips should be placed 12 to 18 inches apart on fixtures.

Merchandising Balloons on Grip Strips

Only three balloons should be merchandised on each grip strip: one on each end and one in the
center of the grip strip.

Floating balloons at different heights by varying the amount of ribbon released from the weight
not only reduces the chances of the ribbons tangling when they are merchandised but it also
increases visual appeal of your balloon display.

To vary the amount of ribbon released from the weight simply pull the ribbon from the
notch on the weight, release the desired length of ribbon and snap the ribbon back
into the notch.

Select three balloons.
1. Release approximately one foot of ribbon on two of the balloons. Slide the ribbon for those
balloons between the teeth on both ends of the grip strip.
2. Release approximately two feet of ribbon on the third balloon and slide the ribbon for that
balloon in the center of the grip strip.
3. Repeat for all remaining grip strips.

Please note: The weights should hang just below the grip strip, as shown in the photo below.

Other Ribbon Weight Merchandising Options

Another option for merchandising balloons in various areas of the store is


utilizing the clip (hook) on the ribbon weight.

This weight can be attached to various fixtures and especially works well
attaching to the power wings on the check-out end caps, etc.

TIP: Remember to vary the length of the ribbon on each balloon when
merchandising. Page 9
Placement of Balloons

Place the licensed balloons with the respective party pattern. For example, Hannah Montana
should be with the Hannah Montana party patterns, and Princess should be with the Princess party
patterns and/or cards.

Birthday balloons should be with the generic party patterns and/or cards.

Birthday balloons and especially licensed character balloons can be merchandised at the check-
stands (with mgrs approval) etc.

TIP: Other cross merchandising ideas, Get Well, Love balloons next to flowers, Baby balloons in
the baby department or next to baby gifts.

Upon completion, the various departments where balloons were merchandised should look
exciting and festive.

All balloons should be fully inflated and merchandised at various heights.

If any balloons you inflated are “soft”, note sku number and quantity on your report and scrap
(dispose of) balloon.

Licensed products should be at check-stands and with the licensed party goods and/or cards.
