MEDICAL ASSISTANT

Statement of Work

OVERALL DUTIES AND RESPONSIBILITIES: The Medical Assistant, under managerial


supervision from the Country Director and the coordination and guidance of the Peace Corps
Medical Officers (PCMOs), serves as the administrative assistant to the PCMOs, responsible for
the management of all administrative and logistical matters for the medical office at post;
responsibilities include but are not limited to the following:

Administrative:
 Serve as a receptionist by greeting visitors, pulling files and providing appropriate forms
to Volunteers.
 Type memoranda, letters, faxes, reports, etc.
 Translate written letters and medical documentation as needed.
 Pick up results, medication and medical documents from medical facilities.
 Act as an interpreter for patients as needed.
 Schedule PCVs’ medical appointments, mid-service and close of service physical exams
as well as appointments indicated by PCMOs.
 Maintain and update the Medical Inventory System with computerized files and hard
copies.
 Maintain an inventory of all medical supplies and equipment in the medical office. In
collaboration with the PCMOs, determine what medications and equipment are due to
expire, in need of replacement, maintenance or repair. Track status of medical orders and
amount spent.
 With PCMO supervision, order and stock medical supplies and equipment, including
locally purchased supplies.
 Prepare list of expired meds monthly.
 Distribute and keep record of medical kits, water filters, and other medical supplies to
PCVs.
 Maintain clinical records and information in compliance with medical confidentiality.
Ensures charts are stored under combination lock with limited access.
 Maintain current, complete and accurate records of all PCV consultations and treatments
(including laboratory and X-ray reports) in overseas health jackets.
 Track all the lab results, x-rays, MRI pictures performed in local and overseas labs.
Maintain medical office databases including database of laboratory tests, dental visits,
specialist visits, pouch log, etc.
 At request of PCMOs prepare, pack and send out laboratory samples and medical charts
in a timely manner.
 Participate in staff meetings and assist the PCMOs with the formation of in-country
policies that have a potential impact on Volunteer health
 Maintain administrative records and planning systems, including medical evacuation
plan, list of Local Hospitals and contacts, infection control plan, and other forms.
 Assist PCMOs in PC Volunteer site-visit preparation.
 Instruct and monitor cleaning personnel regarding tasks/obligations in keeping the
medical office compliant with Infection Control requirements.
 Other duties as requested by Country Director or PCMOs

Financial
 When requested, act as an intermediary between the Contracting Officer and the vendor.
 Make and track cash payments to medical service providers.
 Establish and maintain good relationships with laboratories, radiological facilities,
hospitals, and physician consultants.
 The Medical Assistant will not exercise any procurement discretion concerning the
supplies or services to be purchased or the cost limits of these purchases; these will be
determined by the Contracting Officer.

Clinical Management:

 As requested by the PCMOs, arrange for prompt PCV diagnostic consultation with
physicians, dentists, specialists and medical laboratories or other facilities.
 As requested by the PCMOs, escort PCVs to local health facilities for diagnostic testing
or to the dental clinic and translate for escorted PCVs.
 Triage phone calls/E-mails from Volunteers/ Trainees: Refer to PCMOs as needed.
 Prepare and distribute medical supplies under the PCMO’s supervision.
 Process laboratory specimens: sort, deliver and ship overseas, etc.
 Maintain and update immunization records according to TG 300.

Confidentiality:
 Understand and comply with Peace Corps’ Medical Confidentiality Policy
Training:
 Assist in providing health orientation for PCVs to acquaint them with local facilities,
local medical concerns including environmental issues, nutrition.
 Assist in continuous in-service health education program for all PCVs by participation in
workshops, mid-year conferences and COS.
 Provide medical sessions for host families, also discuss with them PCV/T personal
medical action plan.

Qualifications:
 University degree – desirable State Medical Institute
 Fluent spoken and written English. Proficiency in Armenian / desirable Russian
 Excellent organizational skills
 Comprehensive knowledge of computers, software and other office equipment.
 Good interpersonal skills
 Strong sense of integrity and ability to maintain confidentiality

Safety and Security:


All members of the Peace Corps staff must be familiar with the Emergency Action Plan, their
responsibilities in the event of an emergency, and with the procedure for reporting and
responding to safety and security incidents.
