Main features of Proposed Solution:

Web based Document Content Management Solution

Architecture

1. Enterprise class implementation with proven technology and capability of the solution.

2. Centralized user authentication policy with IP based tracking.

3. Distributed Data Server Architecture

3.1.1. Faster access.

3.1.2. Bandwidth optimization and utilization of network or server overloads.

3.1.3. Congestion-load balancing on run-time and optimal utilization of infrastructure.

3.1.4. Infrastructure malfunction-increasing reliability, maximizing utilization of hardware redundancy.

3.1.5. Clustered/staggered hardware and bandwidth deployment as and when required.

1.1.1.1 B. Centralized Administration

1. Completely centralized administration

2. Enterprise resources like users, storage configuration, timeouts, ports etc are maintained centrally reducing
maintenance cost.

Activities like allocation of resources, changes over of resources etc. are done centrally.

C. Scalability

1. The enterprise wide solution deployment supports high scalability with no restrictions on number of
Client access, number of documents, number of concurrent users and access from number of locations
irrespective of Geography.

2. Scalable on all hardware components.

3. Seamlessly addition of new infrastructure with minimal cost or no on further software modules. The same
software version is able to scale up as and when required.

D. Security

1. Complete audit trail with even read and print logs at document level.

2. Image database is embedded as an integral part of the solution, so that no selective document
alteration/deletion is possible at the OS level.

3. No obvious mapping between a document and an entity on the file system.

4. Content completely encrypted.

5. System administrator does not have access to documents in any application.

6. Controlled Communication security between the server and the client.

D. Reliability, Fault Tolerance and Disaster Recovery

1. Built in multiple fault-tolerance mechanism & Disaster Recovery Models.

2. On the fly reassigning of controlling servers.

3. Business Continuity Plan – Multiple Disaster Recovery Model.

E. Image and Index Database Performance factors – Speed

1. Search a document in less than 1 second from a Database of 1,000,000 files within LAN (with modern
hardware infrastructure) when searching on combination of 6-7 parameters. Fastest Content Management
Solution.

2. Whilst searching and displaying document it access each on page basis and not the full file – this reduces
bandwidth requirement.

3. Decompression occurs at the client level after file transfer and not at the server level increasing bandwidth
efficiency.

4. User defined memory space for caching index of the Image Database at server. Queries hit the index data in
memory and not the memory in the hard disk.

5. Caching of retrieved images of the currently searched document at the client memory for faster browsing
through set of images, thus saving iteration of image transfer through bandwidth.

6. Technology improving on performance

6.1. Solution fits with any RDBMS mainly Oracle, SQL Server and MySQL and can be scaled up from Database
level.

6.2. Design to overcome the glitches of joins, composite index over-heads, non-dynamic stored Procedures
etc. so customers can define any search retrieval needs from different master applications without
having to redesign the DMS application.

7. Store multiple values dynamically in a single indexed field and make Boolean search on any combination of
them in fast and efficient manner.

8. The solution should have its inbuilt search engine with following

8.1. Compound searches (i.e. involving more than more than 5 field(s) is almost as fast as simple search.

G. Large Enterprise wide Address Space, Storage and Volume Management

1. Efficient voluminous content storage management. The solution is designed to store huge volume of content
by splitting into logical content blocks across of multiple physical drives or servers. The architecture
provides for an ideal scalable platform to manage growth – location-wise or volume-wise.

2. No limit to Image Database.

3. No limit of documents per Image Database. Support of volumes distributed over hundred devices.

4. Software Controlled Volume Management

5. Index information is always stored in RDBMS for image viewing, system prompts for the exact volume.

H. User Interface
1. The solution has user friendly interface to fasten up search & retrievals as well as several methods of indexing
on the preferred choice of the users.

I. General Document Management Features

1. Open Solution - allows complete export of index and images – in Text and TIFF- GR 4 international formats,
incase customer wishes to move the data to some other DMS at a later point of time.

2. All types of files are supported with facility to open with native applications.

3. Full text on index values and on content of OCR capable images, PDFs and Word files.

4. Built-in comprehensive collaborative workflow solution.

J. Integration-Application

1. Seamlessly integration with other third party software with minimal effort.

1.1. Web services are present, enabling other applications to easily integrate for the functions of EDMS.
