Employment Description for Project Coordinator

Reports to: Construction Manager

Job Summary:
Kana Pipeline, Inc., an equal opportunity employer, is seeking a qualified Project
Coordinator responsible for managing multi-million dollars in contracts, meeting monthly
deadlines, administering accurate project-related information into the construction
database, and maintaining healthy business relationships and communication lines with
both the internal and external Customers in a fast-paced atmosphere.

Qualifications:
 Bachelor's degree in Business or Construction Management from four-year
accredited college or university; or
 3 + years of related experience in construction -a plus
 -Or equivalent combination of education and experience is preferred
 Knowledge and proficiency in MS Windows, Excel, Word, Outlook
 10-Key proficiency
 Typing 45+ WPM
 Accounting experiences a plus!
 Bilingual – Spanish, a plus, but not required

Duties and Responsibilities

Regular Reporting and Monitoring


 Daily, weekly, bi-monthly and monthly reports review of certain reports will be
required to check for accuracy and conduct budget-costs analyses, whereby
timely follow-up with other personnel and/or clients will be necessary.

Preparatory work:
 Prepares contracts upon receipt for distribution and approval by President.
 Procures necessary insurance documents necessary per contract requirements
 Files Preliminary information
 Prepares Underground Service Alerts at least 2 days prior to job start
 Files OSHA Notifications
 Prepares Thomas Guide maps to jobsite locations
 Prepares for monthly billings to clients and works with Project Management/
General Superintendents to communicate Monthly billing to clients
 Provides Warranty/Guarantee letters to clients per contract requirements
 Assist field crew to prepare As-Builts for close-out documentation to clients

 Proposals
 Budgets
 Price Changes
 Extra Work Orders
 Change Order Comparisons
 Written logs of relevant communication with clients
 Internal Job Audits to help determine final assessment of projects

Communication
 Respectful and polite towards fellow employees, clients, etc.
 Works with Estimating, Purchasing, Accounting and Mechanical Department to
provide and/or collect information necessary for job operations as well as in
preparation during Pre-job, Interim, and Post-Mortem project analysis meetings.
 Verbal and/or written communication with field personnel when receiving written
authorizations

Filing / Faxing / Mailing / E-mailing


 Keep accurate and complete files for each project
 File billing/invoicing receipts from A/R, A/P depts., while reviewing for accuracy
 Fax, (e-mail and/or file correspondence to or from clients and/or vendors
 Assist with duties of other office personnel as needs may arise and any other job
related task that may be required by Project Managers and/or Superintendents.
