Administrative OfficerResponsibilities

The individual will be responsible for providing high-level administrative suppo


rt to the Dean of Research & Graduate Studies (DRGS). Functions will include:
Working on University-wide and BoT confidential correspondence and papers;
Preparing correspondence;
Screening and categorizing all incoming information and getting it to the approp
riate people in a timely fashion;
Receiving and greeting official visitors;
Processing all outgoing communication, as required, in the form of e-mails, lett
ers, voice messages or other forms of communication;
Scheduling appointments, meetings and conference calls across the campuses inclu
ding preparing material for the same and ensuring follow-up on action lists aris
ing from various meetings;
Answering calls, providing information and processing messages;
Supervising support and other administrative staff to ensure proper maintenance
of the DRGS office;
Organizing and maintaining files and coordinating departmental records to ensure
proper information storage and retrieval;
Making travel arrangements and managing expense reports;
Working with the Research Office and the research staff as directed.
Requirements
At least a Bachelor s degree;
5 7 years relevant experience, with at least 2 years in a role where reporting was
to a senior management position;
Excellent verbal and written communication skills in English;
The ability to handle correspondence and other assignments independently without
being micro-managed;
Strong interpersonal skills and the ability to work well with people at all leve
ls;
Proficiency in MS Office and use of Internet;
Excellent organizational skills and ability to multi-task;
Ability to maintain a high level of confidentiality at all times.
