POSTER PRESENTATION DAY – WEDNESDAY 25th MAY 2011

Poster Presentations (Stages 3 and 4)

Further to the information provided in your Project Handbook, this communication is to


provide preliminary notification that you will be required to present and discuss an A1 size
poster display of your project on Wednesday 25th May (Semester 2, Week 16) in the
Norcroft Centre. If you fail to attend, no marks will be awarded and you will lose 20% of your
overall project mark (see Project Handbook). This communication provides all the information
you need to enable you to prepare and submit your poster. Information on the mode and
manner of the assessment of your overall presentation is given. Details of individual interview
times will be provided in due course.

Poster Preparation

Your poster should be produced electronically using either a pdf or PowerPoint and must be
submitted electronically one week after submission of the copies of your Final Year Project no
later than noon on Wednesday May 11th. Please note that this deadline is just at the start
of the examination period so it is important that you schedule the production of your poster
bearing this in mind. After you submit your pdf or PowerPoint poster file the School will print it
off at A1 size and place it in the Norcroft Centre on Tuesday 24th May. If you do not prepare
your poster using a pdf or PowerPoint file or do not submit it on time, then production
of a poster to the required specification will be your own responsibility.

You will have access to the Norcroft Centre on 24 th May from 2pm to put up your poster. A
plan showing your poster position will be on display in the Norcroft Centre at that time. All
posters should be in place by 8.30am on the morning of 25th May ready for assessment.

The most appropriate layout for your poster will clearly depend on the particular project but,
as a general guide, it should address the following aspects in a succinct manner:

title
background/issues/aims
methodology
results and findings
conclusions

Your poster should be understandable in stand-alone mode (i.e. not rely on a presenter to
make its point) and should be brief, bright and bold to attract attention. It should not contain
detailed arguments or descriptions – that is the purpose of your report. The poster should
ideally present an essential summary of your work in a visually attractive way. Some
specimen posters are on display in the Chesham Building corridors; some of these are on
display at A2 size; please remember your poster will be produced at A1 size.

Assessment

Your poster presentation will take the following form:

(i) 10-minute presentation of your work using the poster for reference
(ii) up to 20 minutes question-and-answer session on your work, report and presentation.

The total assessment time will not exceed 30 minutes; your poster will be assessed according
to the criteria presented in the Appendix by both you first and second project supervisors. At
least one of your supervisors will be present at your oral presentation. Because staff are
assessing the project presentations of a large number of students from several programme
teams over only 2-3 days it is not possible to guarantee that your supervisor will be able to
attend the presentations of all students. However, whenever possible your supervisor will
attend.

Electronic Submission

The pdf or PowerPoint file from which your poster is to be produced should be submitted to
your personal subdirectory in

In these you will see a named sub-folder for each student. Your submission must be made
no later than noon on Wednesday 11th May for the School to produce your A1 poster.
Otherwise you will be responsible for producing your own poster in time for assessment on
Wednesday 25th May.

In either case the hard copy of your poster will remain the property of the School following
your presentation.

Prizes

There will be a £50 prize for the best Poster Presentation to the Civil Engineering Programme
Team which will be presented at Graduation. It will be awarded for the best oral presentation
overall in terms of content, delivery, ability to answer questions, and visual aids. There will
also be a School prize of £100 to be awarded for the best overall project from the whole
cohort.

Refreshments

A free sandwich lunch will be available in the Norcroft Centre between 12.30 and 13.30 on
25th May. Tea and coffee will be served between 15.30 and 16.00.
