LOTUS NOTES ISSUES : -

Lotus notes is a E-mail Application similar to that of Outlook, Thunder Bird, Outlook express.
Lotus Notes is designed by IBM.

Lotus notes is not only used as an application to send and receive e-mails, but also to access different other data
bases of different servers.

It provides a easy want to navigate from one data base to another in less time.

Scenario 1 :
Lotus notes installation process…

For SKF ( location ) users we can install SAP either from \\skfnas01\data ( Shared Drive ) or user can user Welch
Allyn FTP site to download & install SAP https://ftp.welchallyn.com .

1 ) Go to ftp.welchallyn.com ,

2 ) Will prompt to enter the user name and pw. Type in generic UID – sduser, password as getsoft., Click on Yes to
verify the certificate.
3 ) Click on Run

1) Select Lotus notes and click on the left arrow mark

2) Automatically it will save the folder on to the desktop

3) Open the file and select Notes654_install.exe

4) Follow the Onscreen Instructions, and notes will be installed successfully


Scenario 2 :
Lotus Notes Setup

Please ensure that the user has the ID file with password and the server is known.

1. Launch Lotus Notes


2. This will open a Lotus Notes Client Configuration dialog box
3. For Setting Up Connections, click Next
4. For Do You Want to Connect to a Domino Server?, select I want to connect to a Domino server
5. Click Next
6. For How Do You Want to Connect to a Domino Server?, select Set up a connection to a local area network
(LAN)
7. Click Next
8. For Domino Server Name, type the name of the server
9. Click Next
10. For Who Are You?, select My Notes User ID has been supplied to me in a file
11. Click on Browse
12. In the Enter New User ID File Name, locate the ID file provided (XXXXX.id)
13. Click Open
14. User will be prompted for the password
15. Enter password provided with ID file
16. Click OK
17. For Connecting to a Domino Server over a LAN, click Next
18. For Set Up an Internet Mail Account, select I don't want to create an Internet mail account
19. Click Next
20. For Connect to a News Server, select I don't want to connect to a news server
21. Click Next
22. For Connect to an Internet Directory Server, select I don't want to connect to another directory server
23. For Connect through a Proxy Server, select I do not connect to the Internet through a proxy server
24. Click Next
25. For Internet Connection Type, select Connect over local area network (or cable modem)
26. Click Next
27. For Congratulation, click on Finish.
28. In the Lotus Notes, Notes setup is complete! dialog box, click OK

Scenario 3 :

If Lotus Notes is not responding / if its getting closed when trying to open, no need to uninstall the notes. Just we
need to run an application call as Killnotes. Exe.

Lotus notes becomes non-responsive due to the improper shutdown / intermittent shutdown in the previous session.
To fix this issue we will use killnotes.exe file to terminate the backend .dll process of Lotus notes.

Here is the link to download killnotes.exe, first save the file on to the desktop and then execute the application.

Scenario 4 : -
Intermittent shut down of lotus notes with an Error

Sometimes we get calls related to NSD Error in lotus notes.

To fix this issue go to > C:\program files \lotus\notes\data and delete CACHE.NDK & bookmarks.nsf
Then delete the other log files from C:\program files \lotus\notes\data\IBM_TECHNICAL_SUPPORT folder except the one
then will be mentioned in the above folder. (Delete the Previous logs and keep the latest log)
Empty recyclebin, clear temp Files.
Open the lotus notes .this will fix the issue.

If still has any issues assign ticket to Groupware team.

Scenario 5 : -

Lotus Notes pw reset :-


The procedure to reset password for Lotus Notes Varies.
*** FOR LOTUS NOTES PASSWORD RESET, USER VERFICATION IS NOT REQUIRED****

1) If the User is not able to login to Lotus notes and forgot the login password, then in the Impact tool type the name
of the user, click on the Request tab
2 ) Select Quick Request option

3 ) Select Lotus notes PW reset Click on OK, it will select the SCIIMs and will provide a template..
4 ) Collect the Populated details and assign ticket to User ID team SUP -Notes

Scenario 6 :-

Lotus notes Password reset :

The above scenario is if the user forgot the password. For some users when they try logging in it will give a
prompt to change the password as the existing password is about to expire.

1 ) Click on the File tab in the Lotus notes


1) Ask user to type the password

2) Select Change Password,

3) Again will prompt the user to enter the current password


4) In the next screen it will prompt to change the password.

This will changed the user’s password for Lotus Notes.

Scenario 7 :-
Few users use the same password for Windows and Lotus notes. When a user logins in to the windows and open
lotus notes, it will directly open without prompting for a password

1) When doing the password reset for the user in Lotus notes, see if there is any Check mark next to Logon to
notes using your operating system login

2 ) After resetting the lotus notes password, ask the user to lock the computer and try with the new password that he
created for lotus notes. It will synch both Windows and Lotus notes passwords to be the same.

Scenario 8 :-

We may also receive calls from the users mentioning that they get an Error as “Bookmarks design needs to be
replaced/refreshed.”

To fix this issue we need to delete the duplicate bookmarks.nsf file and delete cache.ndk files from the following

C:\program files \lotus\notes\data and delete CACHE.NDK & bookmarks.nsf


This will fix the issue.

Scenario 9 :-

We receive calls from the user’s mentioning that they are UNABLE TO SEND/RECEIVE E-mails

In this instance check what is the mail data base size. To check this
1) Click on the file tab

2 ) Select the following tab and the following option

3 ) If you find the percentage used is more than 95% , click on the option as Compact below

4) Archive the Old e-mails of the user ( We will see how to archive in the next Scenario )

1) Check if he is able to send and receive e-mails

2) If the user still have issues in sending and receiving the e-mails assign the ticket to Groupware team.

3) If you see the % used is less than 95 % and the user is unable to send and receive e-mails then assign ticket
to Groupware Team.
Scenario 10 :-
How to ARCHIVE the E-mails

We use archiving to save the allocated size in the Lotus notes mail box.
Archiving enables us to reduce to the mail box data size to very low.

Lets see the manual Archiving procedure..


Type the Name of the Database
Now, Select the e-mails that you want to Archive…
We can find the Archiving status in the below Image

We can find the Archived folder shown as below

An Archived Database Icon will appear on the Workspace.


Scenario 11 :-

Error “Mail Quota Exceeded.” Or “Quota warning Report”

This is the most common issue that we come across.

Users experience this issue when they exceed the mail size allocation quota.

We can try fixing this issue by archiving e-mails and deleting the trash and deleting the unwanted e-mails that has
attachments.

If still unable to resolve the issue assign the ticket to Gropuware team.

Scenario 12 :-

Few users call us informing that they get an Error as

To fix this issues related to “ You are not authorized to perform that Operation”
Assign the ticket to Groupware team.

Scenario 13 :-

If the users says that they are unable to schedule a meeting or unable to accept a meeting, could be this issues on
the domino server for the user’s profile assign ticket to Groupware Team.

Scenario 14 :-
If we receive any calls from the users requesting for Mail Box Size Increase request the user to forward an E-mail
request to wahd@ca.ibm.com and get Chris Keller’s approval. Then assign the ticket to Groupware team.

Scenario 15 :-

Error : “Replication or SAVE conflict”

1) Try refreshing the database


2) If the above doesn’t work then try Replacing the Database

3) If this also doesn’t work then assign ticket to Groupware Team


Scenario 16 :-

LOTUS NOTES SAMETIME CONFIGURATION:


Welch Allyn employees user SAME TIME to communicate with their colleagues through the same time.

This is similar to that of the Same time application that we use to communicate with our team or friends in IBM.

To setup the Lotus Same Time..

Go to File > Mobile > Edit Current Location

2) Enter the following in the IBM Lotus Same time server: vcr.welchallyn.org
3)Ensure that the Instant Messaging tab has the following setting enabled for Connect: At Notes logon

4 ) In the Lotus Notes Workspace, we will find the Welch Allyn Address book on the server

4) Search for the user’s name on the data base and click on Edit person

5) Under the basics tab there will be an Option as Internet Password, please select that
6 ) It will open up a window to enter a new password

6) Click on Save and Close

7) This how we setup the Same Time and set a password.

8) After we set a password, inform user to wait for 30 minutes and then login to same time as it
takes time to replicate with the Domino Server.

******** Same time Password Reset also will be done in the same
process as above, from Step 4.

Scenario 17 :-

Lotus notes Out of Office issue

Unable to see "Out Of Office Option" in Lotus Notes

Why you may not always see the out of Office Option in Notes Client?

In the 6.x and 7.x mail template, by design, only the mail file owner of the database has the ability to access the Out of
Office action button.

If you are not the mail file owner, for example if you are a delegate or Domino Administrator, then you will not be able to
see the "Out of Office" option in the Tools menu. The 6.x and 7.x versions of the Out of Office functionality require that the
owner of the database enable the agent. Therefore, this button is hidden from delegates and other users by using a Hide
When formula.

Starting with Notes/Domino 8.0, the Out of Office feature supports delegation. This means that an administrator or
delegate has the access necessary to set and enable the agent for the mail file owner of the database, assuming that the
delegate/admin has at least Editor Access to the owner's mail database.

How to check the Owner of the database?


Step 1: If the current user is the intended owner of the mail file, use the Tools-> Preferences-Action and make sure the
owner's name is listed using the abbreviated hierarchical format (such as John Doe/US/IBM or Praveen K
Sula/India/IBM).

Step 2: In some cases, it was found that the current name displayed in the mail file owner field was the exact name of the
current user. In this case, it may be necessary to reselect the user's name from the Lotus Domino® Names & Address
Book (WA Address Book) using the Change button to the right of this field.

Tip: In one particular case, just toggling the Mail File Owner field setting solved the issue. So even if the the name listed is
correct, there still may be one bad character or corruption

Step 3: If the user is actually the owner and still the same issue then check to see if the notes.ini file contains an entry for
the OEMClient. If it is present, remove it and restart Notes.

Step 4: If still the same issue then replace the Mail Template design with the new one.

1. From the Workspace, click on View ® Stack Replica Icons.


2. If there is a checkmark next to Stack Replica Icons, remove it.
3. Click on the server copy of the mail database.
4. Click on File ® Database ® Replace Design....
5. Click on the Template Server ... button.
6. Click on your mail server Rocmail01.
7. Click on the appropriate template(Mail R6) to match the version of Lotus Notes on your machine.
8. Click on Replace and wait till it completes.
9. Close down the mail database and return to the Notes Workspace.
10. Reopen the mail database and ensure that it is functioning properly.
Step 5: If still it doesn’t work then assign the ticket to IBM-Groupware Support.
Scenario 18 :-

Please check the below files which are necessary to take a back up before uninstall and reinstall of Lotus Notes.

Later re-install the application from Add or remove programs.
