Sehr geehrter Herr Rizvi,

Sie haben sich auf einen Studienplatz im ersten Fachsemester im Studiengang Mechatronic Systems Engi
neering, B.Sc., für das Wintersemester 2018/19 an der Hochschule Rhein-Waal beworben.

Sie werden zum Studium zugelassen.

Bevor Sie Ihr Studium aufnehmen können, muss noch die Einschreibung (Immatrikulation) erfolgen. Dazu ist
Ihr persönliches Erscheinen erforderlich.

Wir empfehlen eine frühzeitige Einschreibung, möglichst innerhalb von zwei Wochen nach Zugang des Be
scheids. Die Einschreibung kann in dem folgenden Zeitraum erfolgen:

Montag bis Freitag von 09.00 bis 11.30 Uhr

Eine Terminvereinbarung ist nicht erforderlich. Über Einzelheiten, insbesondere über die zur Einschreibung
erforderlichen Unterlagen, informiert Sie die beigefügte Anlage.

Wird die Einschreibung nicht bis zum 15.10.2018 beantragt oder lehnt die Hochschule eine Einschreibung ab,
weil Einschreibungsvoraussetzungen nicht vorliegen oder im o.g. Zeitraum nicht nachgewiesen werden, wird
dieser Zulassungsbescheid unwirksam. Infolgedessen könnte das Studium nicht aufgenommen werden.

Die Vorlesungen beginnen am 01.10.2018. Wir weisen darauf hin, dass für ein erfolgreiches Studium die Teil
nahme an Lehrveranstaltungen von Beginn an förderlich ist.

Das Zulassungsangebot gilt nur für das Wintersemester 2018/19. Sollten Sie sich für weitere Studiengänge
beworben haben, ergeht hierüber jeweils ein gesonderter Bescheid.

Gegen diesen Bescheid kann innerhalb eines Monats nach Bekanntgabe Klage erhoben werden. Die Klage ist beim Verwaltungsgericht
Düsseldorf zu erheben. Die Klage ist gegen die Hochschule Rhein-Waal, vertreten durch die Präsidentin, Marie-Curie-Straße 1, 47533
Kleve zu richten. Die Klage muss den Kläger, die Beklagte und den Gegenstand des Klageverfahrens bezeichnen. Sie soll einen bestimm
ten Antrag enthalten. Die zur Begründung dienenden Tatsachen und Beweismittel sollen angegeben, dieser Bescheid soll im Original
oder in Kopie beigefügt werden.

Dear Mr. Rizvi,

You have sent in an application for admission to the Mechatronic Systems Engineering, B.Sc., programme at
the Rhine-Waal University of Applied Sciences for the winter semester 2018/19.

Your application has been accepted.

Before you can start your studies, you have to be enrolled. In order to enrol and complete the admission pro
cess, you have to appear in person at the Student Advisory Service. An appointment is not required. Enrolment
is possible during the following times:

Monday to Friday from 09.00 to 11.30

If you are unable to enrol before 15.10.2018 or if the university rejects your enrolment because you are unable
to show the authentic documents that make you eligible to study, this letter of admission will become legally
void and you will not be able to take up your studies.

More information about the enrolment and other practical matters concerning your studies in Germany is availa
ble in the enclosed information sheet and on our website.

The lectures will start on 01.10.2018. Please be advised that in order to be successful in your university studies,
attendance right from the start is beneficial.

This letter of admission is valid for the winter semester 2018/19 only and cannot be extended.

In case you have applied for additional programmes, you will receive a separate notification.

Notification of legal rights and remedies


It is possible to take legal action against this decision within one month after announcement. Actions must be filed with the administrative
court in Düsseldorf (Verwaltungsgericht Düsseldorf). The defendant in this case is: “Hochschule Rhein-Waal, vertreten durch die Präsi
dentin. Marie-Curie-Straße 1, 47533 Kleve”. Filed actions must clearly indicate the claimant, the defendant and the subject matter of the
proceedings. Actions should contain a specific petition and the grounds for filing should be substantiated with supporting documentation
and evidence. Furthermore, this notification should be included as an original or photocopy.

Dear Future Student of Rhine-Waal University of Applied Sciences,

Congratulations, you have received an admission letter for the winter semester 2018/19. Now you must enrol in person
to become a student of Rhine-Waal University of Applied Sciences. Please carefully read through this information leaflet.
It contains practical information concerning your studies at our university and living in Germany. If you have any further
questions, please feel free to contact us.

Enrolment procedure

In order to enrol and complete the admission process, you have to appear in person at the Student Advisory Service. Please
always check in advance whether your degree programme is held in Kleve or Kamp-Lintfort. Enrolment is possible during
the time and date mentioned in your admission letter. Please note that the admission deadline cannot be extended.

An appointment for your enrolment is not required. Please be aware that there might be some waiting time.

Required documents

1. Please bring the following documents to your enrolment:

Letter of admission (print out)

Valid passport (original)

Two passport photographs (with your name and date of birth on the back)

Diplomas, certificates, mark sheets and language certificates used for the application at uni-assist (original or copy)

Proof of payment of the semester fees in the amount of 294,62 € (original or copy)

Proof of health insurance (original)


Please note: In Germany, it is mandatory for all students to have German health insurance, and in order to enrol
you must have proof of adequate health insurance. It is not sufficient to present proof of insurance from your home
country (e.g. insurance card or insurance policy); travel insurances are not accepted. For students under the age
of 30 years public health insurance will cost approximately € 80 per month. Students originating from countries in
the European Union (EU) and the European Economic Area (EEA) are exempt from German health insurance, but
still must provide an exemption letter from the German health insurance.

2. In the following cases we might need additional documents:

Proof of deregistration/Exmatrikulationsbescheinigung (in case you have already studied or are currently studying
in Germany) and clearance certificate/Unbedenklichkeitsbescheinigung (in case of previous enrollment in the sa
me/comparable degree programme with a total of more than two semesters) (original & copy)

Minor students: If you are not yet eighteen years old on the day of enrolment, please fill out the appropriate form,
which can be downloaded from the following link: https://www.hochschule-rhein-waal.de/en/academics/prospecti
ve-students/forms-and-deadlines. It must be completed and signed by your legal representative (usually both pa
rents).

We will check your language certificate and all of your documents for authenticity. All original documents (with exception
of the proof of health insurance) will be returned to you after enrolment.

Semester fee

Semester fees are currently 294,62 € and consist of social security contributions, a contribution for the student union
and, for the most part, the so-called semester ticket for free public transport on certain buses, trams and trains in North
Rhine-Westphalia (the federal state in where you will be studying).

Your enrolment can only take place after you have transferred the fee to the university’s bank account. The amount cannot
be paid in cash.

Please be aware that the costs for international money transfers are at your own expense. You should instruct your bank
not to deduct these costs from the fees payable to the university. Only transfer the semester fees once your visa has been
approved and it is certain that you will be able to travel to Germany.

Refund of the semester is only possible if you withdraw your enrolment and the form „Request For Refund of the Semester
Fee“ is received by Rhine-Waal University of Applied Sciences before the official start of the lecture period (24.09.2018).
Afterwards, the semester fee will not be refunded, regardless of whether you withdraw your enrolment or apply for de-
registration. It is also not possible to get a partial refund. Please keep this in mind especially if your enrolment takes place
after 24.09.2018.

Student-ID

After your enrolment you will receive your student ID (including ticket for free public transportation in North Rhine-West
phalia) as well as several copies of your proof of enrolment (Studienbescheinigung). Please be aware that this may take
up to three weeks.

With your student ID you will get your login data for access to the internal university computer programs. Our IT department
will also issue a personal email address (student@hsrw.org). This email address is for your own personal use and will also
be used by the university for most of its communication with you.

Information about the semester start

Please note that the lectures begin on 01.10.2018. Prior to that, bridge programmes and an introductory week will take
place. You will get further information on those during the enrolment process.

Arriving and living in Germany – First information

Welcome Centre

If you have questions concerning student life or you just need a peer perspective our Students4Students tutors are there to

Accommodation

We strongly recommend you make arrangements for accommodation before you arrive. Should you not be able to move in
immediately, please make a hotel or youth hostel reservation, as the university cannot provide emergency accommodation.
The German National Association for Student Affairs (“Deutsches Studentenwerk”) has a limited number of single and
double rooms for rent in Kleve and Kamp-Lintfort. They generally have long waiting lists. Please use their online application
form at: https://tl1host.eu/SWD/#admission
Prices for single rooms and double rooms can vary greatly. You can find an example of prices here: https://www.stw-d.de/
studentisches-wohnen/wohnanlagen/. Other housing opportunities are available through private landlords. Please note that
landlords expect you to make a deposit in advance and that rental contracts generally have a minimum duration of six
months.
If you face difficulties in finding permanent housing, the Welcome Centre can assist you. However, we can only provide
the service of mediating between private landlords and international students. We cannot guarantee a successful match.

Visa process

Students from the European Union (EU), the European Economic Area (EEA) and from countries with a bilateral agreement
with Germany can enter Germany without a visa. All other international students need a German student visa. The same
goes for Non-EU students who have a student visa in another EU country. Please make sure you inform yourself about
the entry regulations which apply for you.
Different German embassies around the world have different requirements and procedures. The university has no influence
on these procedures. Generally, you will be required to show proof of sufficient funding to study in Ger-many and open a
special “blocked” bank account with a legally set amount of approximately € 8000 for one year. That gives you an average
of € 670 per month available for studying and living expenses. Please read your bank’s regulations stating how to attain
access to your blocked account upon arrival in Germany.
Once you arrive in Germany you must present your visa to the immigration office (Ausländerbehörde) where it will be
converted to a student residence permit. Please note that an electronic visa will be issued and that additional costs are
involved. All applicants need to apply in person at the immigration office. You also need to register as a resident at the
local Registration Office (Einwohnermeldeamt).
After one year the immigration office will decide if your student residence permit will be extended. You will need to renew
your proof of sufficient funding to study in Germany and they may also ask about your progress as a student. If you need
assistance or more information concerning these matter our Students4Students tutors at the Welcome Centre will be happy
to help you.

Registration office (Einwohnermeldeamt)

By German law, you have to register your new address at the local Registration Office (Einwohnermeldeamt/Bürgerbüro).

• You need to register within one week of moving to your new address. Late registration will result in a fine. Don't forget
to take your passport with you.

• Please note that without this registration you cannot renew your visa. You will get a certificate that proves that you are
registered. Take good care of it – you will need it to renew your visa.

German bank account

In order to open a bank account you will need:

• Passport

• Address in Germany

• Registration certificate from the Registration Office (Einwohnermeldeamt)

• Proof of enrolment or admission letter from the university

Costs of living

The German National Association for Student Affairs (Deutsches Studentenwerk) has published approximate living costs
for students of € 800 per month. More information about the costs of living in Germany and other practical information for

Grants/scholarship

There are only a limited number of grants available for students of Rhine-Waal University. Applications are only accepted
from students who are enrolled at the Rhine-Waal University. All our students will be informed about the application deadline
in advance by email.

Working

Most Non-EU students are allowed to work for up to 120 calendar days per year (or 240 half-days, up to 4 hours per day)
outside the university without a work permit. You are responsible for keeping track of these days. In some cases you may
have to sign a confirmation about how many days you have already worked. If you work more than 120 days/240 half days,
you will have to pay a large fine and your student visa may be revoked. Please take this matter seriously.
There are some student jobs available in Kleve, Kamp-Lintfort and surrounding areas. Mostly, they require at least some
basic knowledge of the German language.

Indemnity insurance (Haftpflichtversicherung)

We strongly encourage students to take out indemnity insurance (Haftpflichtversicherung). This insurance covers you in
case you accidentally damage someone else’s property or injure someone. You can obtain indemnity insurance at any
insurance agent and in some cases from your bank. Be sure to compare prices and services.

Language Courses

Once you are enrolled as a student, you can attend the courses offered by our International Center free of charge. It offers
courses at different levels for a wide range of languages. For more information, please visit the International Center’s
