1. How to Un-install the IBS Software?

 Before un-installing the IBS Software, please create a backup.

 To un-install, Click on 'Start' => Click on 'Settings' => Click on


'Control Panel' => Double Click on 'Add or Remove Programs' => A list
of Programs/Softwares will be displayed in a window. Search for 'RBI-IBS
Bank Level Software' by Scroll up or Scroll down => Right Click on
'RBI-IBS Bank Level Software' => Click on 'Remove' => When system
asks for confirmation => Click on 'Yes' [The IBS Software will be
removed from your PC]

 Also remove the 'RBI' folder from 'C:\Program Files\'. Now, the
IBS Software has been completely removed from your PC.

2. How to Install the IBS Software?

 Create a folder (say, IBS) on the desktop => Download the Upgraded IBS
Software - Package [i.e., "IBS_Software.zip" file] and keep in 'IBS' folder.
Unzip the file "IBS_Software.zip", a folder "IBS_Software" will be created in
'IBS' folder. Please ensure that "IBS_Software" folder contains 8 files
[namely, (1) Config.ini, (2) dotnetfx.exe, (3) ie6setup.exe, (4) mdac_typ.exe,
(5) RBI_IBS.msi, (6) Read_me.txt, (7) Settings.ini, and (8) Setup.exe] =>
Download the instruction file [namely, Instructions–Installing/Using
Upgraded IBS Software] and keep in 'IBS' folder.

Steps for Installation of Upgraded IBS Software

 Open/Explore 'IBS_Software' folder under 'IBS' folder on the desktop =>


Double-Click on the Setup.exe Application file. The System will ask for
confirmation, Click on <OK>.

 It will check whether .Net Framework1.1 is installed in the installing


machine. If .Net Framework1.1 is not installed, it will ask whether to
install .Net Framework 1.1 => Click on <YES> => the .Net

Framework1.1 will be installed in default Windows drive(C:\, normally),
subject to availability of sufficient disk space.

 Internet Explorer 5.1 (IE 5.1) or above is required for installation of .Net
Framework 1.1. In absence of required version of Internet Explorer, the
installation will prompt that if .Net Framework 1.1 is to be installed it
needs IE 5.1 or above. In this case, Double click on "ie6setup"
application file. It will install Internet Explorer 6.0 in the machine. If it
asks for a restart - Click on <Yes>.

 After .Net Framework1.1 is successfully installed, it will check for whether


MDAC 2.7 is installed in the machine or not. If not installed, it will be
installed automatically.

 After installation of MDAC 2.7, the system will ask for a restart-Click on
<Yes>.

 After restarting of machine (PC), it will ask whether you want to install
RBI-IBS Bank Level software - Click on <Yes>.

 'Setup Wizard' Screen will be displayed; Click on <NEXT> => 'Select


Installation Folder' Screen will appear. Don't change the path and keep the
default path as "C:\Program Files\RBI\RBI-IBS Bank Level Software\"]. Also
select the radio button "Everyone" instead of "Just me" => Click on
<Next> button => 'Confirm Installation' Screen will appear, Click on
<Next> button => the IBS Software will be installed and a screen
'Installation Complete' will appear => Click on <Close> button => 'Setup
Succeeded' message will appear, Click on <OK>. Now, the Software has
been installed in the machine (PC).

 After complete installation, you can find a shortcut for the RBI-IBS Bank
Level Application on the current desktop and in the Program Menu.

 Start the application after clicking on any of the Shortcuts. When you run the
RBI-IBS Bank Level Software for the first time, it will ask for certain
mandatory details which have to be suitably furnished by the user. The
details are to be furnished in respect of:

1. Level of the software => Please select one of the four options (viz.,
Branch, LHO, RO, ZO and HO) [Please select it carefully as it CANNOT
be corrected/changed latter on] and click on <Next> button,

2. Entity (Branch/LHO/RO/ZO/HO) Details => Please furnish the details


carefully [especially, for the year and quarter which CANNOT be
corrected latter on] and click on <Next> button,

3. Whom to report => please furnish the details [however, these details
could be edited after installation], and click on <Next> button,

4. System Admin Login information => please furnish the details


[however, these details could be edited after installation], and click on
<Next> button,

5. Business done by the entity => please select the businesses


conducted by the branch(es) [these details could be edited after
installation]. Click on <Next> button => a message 'RBI-IBS

Software Registered Successfully' will be displayed; Click on <OK>
=> Now, the software has been installed successfully.

 Invoke the IBS Software by furnishing login name and password and start
data preparation/compilation as per instructions provided under 'major
steps' option of "Help" menu.

2.II. For Machines (PCs) NOT Connected to Internet

 The Upgraded IBS Software has to be downloaded and copied on a CD by an


office having Internet facility.

 Steps for downloading of the upgraded IBS Software along with related
documents:

 Create a folder (say, IBS) on the desktop

 Create a folder (say, Documents) in the 'IBS' folder

 Download SIX files [namely, (i) Check List, (ii) Clarification on Messages-
Bugs in IBS Software, (iii) Major Steps for Compilation of IBS Data, (iv)
Guide to IBS - Domestic Branches, (v) Guide to IBS - Foreign Branches of
Indian banks, and (vi) IBS System - User manual] one by one and keep in
'Documents' folder under 'IBS' folder

 Download the file "Instructions–Installing/Using Upgraded IBS Software"


and keep in 'IBS' folder.

 Download the Upgraded IBS Software-Package [i.e., 'IBS_Software.zip'


file] and keep in 'IBS' folder. Unzip the file 'IBS_Software.zip', a folder
'IBS_Software' will be created in "IBS" folder. Delete 'IBS_Software.zip' file
from "IBS" folder.

 Download Internet Explorer 6.0 [i.e., 'IE60.zip' file] and keep in


'IBS_Software' folder under 'IBS' folder. Unzip the file 'IE60.zip', a folder
'IE60' will be created in "IBS_Software" folder. Delete 'IE60.zip' file from
"IBS_Software" folder.

 Please ensure that the 'IBS' folder contains two folders, viz., Documents
and IBS_Software and one file (i.e., "Instructions–Installing/Using
Upgraded IBS Software"). Further, 'IBS_Software' folder contains one
folder and eight files [namely, 'IE60' folder and (1) Config.ini, (2)
dotnetfx.exe, (3) ie6setup.exe, (4) mdac_typ.exe, (5) RBI_IBS.msi, (6)
Read_me.txt, (7) Settings.ini, and (8) Setup.exe files]

 Copy/write the "IBS" folder in a CD and supply it to the needy


branch/office.

 For Installing the Upgraded IBS Software, please follow the steps stated
under paragraph 2.I.

3. How to Use old Backup in the Upgraded IBS Software?

 Important: The user may observe some errors/bugs, if old backup


is used/re-stored in upgraded IBS Software due to errors in the backup

database file (say, IBS-date-time.mdb). In this connection, please note
the following:

 Compilation of IBS data at RO/ZO/LHO/HO (Handling with


summarized data): It is recommended, (a) NOT to use backup
database file in upgraded IBS Software installed afresh, unless it is
ensured that the backup database was created from
updated/upgraded IBS Software, (b) Compilation of IBS data may be
started afresh. In this case, details of 'reporting offices' have to be
entered/ registered in the software afresh.

 Compilation of IBS data at Branch (Handling with


account/counterparty-cum-contract wise data): It is recommended, (a)
NOT to use backup database file in upgraded IBS Software installed
afresh, unless it is ensured that the backup database file was created
from updated/upgraded IBS Software, (b) before un-installing of the
IBS Software, please create account/counterparty-cum-contract wise
data files (i.e., I_DATAFL.txt & D_DATAFL.txt) using last option of the
'Data' menu. These files may be imported and processed as per
instructions provided under 'Major Steps' under 'Help' menu.

 In case some errors/bugs are being encountered after re-store of


backup database file (i.e., IBS-date-time.mdb), the backup database
file is to be corrected carefully through backend and the corrected
database file has to be re-stored. For the purpose, it is required to
create a backup using "Backup" option under "Administration" menu
=> Rename the backup file as "IBS.md" => zip the file "IBS.md" =>
rename the zipped file as "IBS.zi" send through e-mail at
(ibsbsd@rbi.org.in). Please do write the problem encountered, your
name and contact number. [The re-naming of files are required
as some of the e-mail servers don't allow passing of *.mdb
and/or *.zip files.]

Steps

 Invoke the IBS Software as Administrator => Go to


"Administration" Menu => Click on 'Restore Backup' => A window will
appear to locate the backup file for re-store => Locate the backup file
and Click on <Open> [The backup will be re-stored].

 Logout the Software after successful re-store of the backup and


Re-invoke/open the IBS Software. Login as Administrator.

 To ensure that whether the software is updated/upgraded, go to


'Administration' menu and look for the option 'Switch over to next
Quarter'.

 In case, the option is 'Switch over to next Quarter', the Software is in


order and, hence, go ahead with preparation/compilation of IBS Data.

 In case, the option is 'Finalize data for next quarter', you need to
update the software with patch file. To update, Go to 'Administration'
menu and click on "Update Software–Read Patch" option. It will open
a window to locate the patch file for updating of the software

 Follow the path as "C:\Documents and


Settings\Administrator\Desktop\ Temp\patch1.txt" and select the
file patch1.txt [Select 'text files' in "Files of Type" drop down to

view the file "Patch1.txt" in the window] then click on <Open>
button. [Various Masters will be updated]. After updating, logout
the software

 Invoke the IBS Software. To ensure updating/upgrading of IBS


Software, please check - [1] there is an option 'Switch over to next
Quarter' instead of 'Finalize data for next quarter' under
"Administration" menu, and [2] there is a new option "Major Steps"
under "Help" menu. Also ensure the working of the options by
clicking on these.

Note:
For certain messages/alerts, clarification provided under '
Clarification on Messages-Bugs in IBS Software' may please be
referred.

4. Major Changes/Enhancement in the Upgraded IBS Software:

1. AD/BSR Code is, now, editable including bank name/code.

2. Use of Uniform Exchange Rate is Optional

3. The format for Maturity Date must be DD/MM/YY. Further, it may be


noted that the maturity date column should be kept blank for unallocated
residual maturity (i.e., equity, ADR/GDR, fixed asset/liability).

4. Auto deletion, as per choice of the user, of un-reported accounts/


transactions.

5. Print option has been provided in most of masters.

6. The check list (consistency checks) have been updated/revised.

7. A Data File is created for the records which are NOT in correct format at
C:\I_WrongFormat.txt OR C:\D_WrongFormat.txt

5. Certain Revisions in the Guide to IBS

1. Two more sector codes have been added [viz., 22 for Bank for
International Settlements (BIS) and European Central Banks (ECB) and 40
for Unallocated (In case of fixed assets or where the sector cannot be
determined].

2. Two Instruments [viz., NRNR rupee deposits and NRSR deposits, which
were discontinued from April 1, 2002] have been dropped. The balances
in such accounts, if any, may be reported under NRE rupee deposits.

6. Tips for better IBS Data Management

• Create a folder/directory "IBS" in c OR d OR e drive of your PC

• Create four sub folders INPUT, OUTPUT, BACKUP and PATCH in IBS
folder

• Within the folders INPUT, OUTPUT and BACKUP, different folders for
different quarters (like J05, S05, etc.) can, further, be created.

• Files like I_DATAFL.txt, D_DATAFL.txt could be kept in respective


quarter's folder in INPUT folder.

• Files like IXXXXXXXYYQ.txt.bz, DXXXXXXXYYQ.txt.bz,


RXXXXXXXYYQ.txt.bz, etc., could be kept in respective quarter's
folder in OUTPUT folder.

• Files like IBS-1-10-2005-16-53.mdb could be kept in respective


quarter's folder in BACKUP folder.

• The patch files (like Patch1.txt or Patch1.txt.bz) supplied by RBI for


updating of various masters of the IBS Software from time to time
could be kept in " PATCH " folder.
