EXECUTIVE SUMMARY
VRL Is a reputed logistic company having it branch all over the Karnataka need to implement automation and MIS project on their courier service Bijapur branch which is handling major 5 taluks in Bijapur. Due to heavy transaction in their in day to day courier and lack computer technology. Their facing many problems. SO CMD has decided to start the whole automation and MIS implementation project at Bijapur. IN this project we generally think to simplify the flow of information to the extent that if any time we want collect data or information it should be easily available. Which tend to reduce cost and helps in building a good decision support system?

INTRODUCTION TO VRL
Vijayanand Travels, the tour operation division of VRL, is the market leader among tourist bus operators in Karnataka and Maharashtra. It operates a huge fleet of buses on more than 200 routes and is supported by a network of 60 branches and 1000 agents. It has pioneered the introduction of Hi-Tech buses on routes leading to remote parts of Karnataka, separate seating arrangements for women on board, a choice of buses from ordinary buses to super luxury A/C buses, check point to monitor vehicle movement, two drivers on the buses to prevent driver fatigue on long routes and enhance passenger safety and an E-Ticketing facility too.

200Plus routes covering more than 50 destinations every day. Market leader in Karnataka in private tourist operator segment. Areas of Operation: Karnataka & Maharashtra states with 60-plus branches and wide-. spread network of 1000-plus agents. Vijayanand Travels is the premier operator to extend service by hi-Tech & sleeper coaches even to remote places. Onwards & return journey booking facility. Punctuality in timing and separate seating arrangement for ladies.

Well-maintained coaches with latest seating arrangement. Double drivers on-board for safe & comfortable journey. Relief bus facility on all routes in case of any unforeseen incidents

NEED OF PROJECT
The VRL courier branch at Bijapur has been suffering majorly by lost parcels. Excise expenses, not proper delivery, Consumer complaints has been incensing day by day due this reasons They have been changing their system but still its not helping them so the big need for the project at that branch specially.

DATA COLLECTION

The data has been collected from the respective office of vrl in Bijapur and different five taluks places. Which helped us to improve the mis project.

THE CURRENT FLOW OF INFORMATION


Entity of the FLOW

Here in this model we are considering the main office and subordinate five branch level office situated in different place.

TYPE OF THE BUSINESS

The vrl has divided their courier business into the 3 parts. 1) LOCAL courier services 2) STATE couriers services 3) NATIONAL couriers services

MAIN BRANCH ACTIVITY

The main branch usually receives the grate order and put into the channel of distribution 1) Receiving 2) Sorting 3) Allocations of job 4) Dispatching

1) RECEIVING AT COUNTER LEVEL ( MAIN OFFICE AND BRANCH OFFICE)

While booking odder for courier there are some important information would be need just as shown in the above diagram. y y y y y y y NAME:- the customer name is required (the person booking the courier) TO ADDERSS: - where the courier has to be sent. From address :- address of y=the bookie Date :- the date of the booking Time :- time of the booking Place of the booking:- branch where they have booked it Issuing:- after receiving all the information the bill no and tappal no is issued and has which has collected goes to cash or bank a/c and the total collection is dispatch to the main for further processing.

RECEIVING AT MAIN OFFICE LEVEL

After receiving form the counter and different branch form the collection department It goes to sorting department.

SORTING DEPARMENT (MAIN AND BARCNH)

In the sorting department they sort the all the courier according to the barnch and area wise which ahs be delivered and send to dispatch.

DISPATCH DEPARTMENT

After receiving form the sorting department if it needs to travel different branch the it send to logistic and or need of delivery the staff job allocation has to be done.

STAFF JOB ALLOCATION

After assign the job to the staff they have bring the received notice to the back office if not delivered then to pending delivery department...

REVENUE GENERATION

Major part of the revenue comes from the branch commission. In the above diagram you can see the mainly three types of the incomes sources given, which transfer to the bank.

EXPENDITURES

The expenditure counts to a lot. They main expenditure is given to delivery staff has they play a major role in the courier business.

THE NEW IMPROVED MIS SYSTEM

In the new improved version the branch will b e automated and each will connected to each other through LAN and it will be maintain by branches. The main server will be installed in the main foci at the Bijapur using the want it can keep a track of the each and parcel and activity is going on in the branch level and the department levels.

MAIN BRANCH ACTIVITY

In the New improved MIS system its made up to the mark of the requirement, now its easy to track any of parcel and courier as you can see easily in above diagram.

RECEIVING

Now every information has flow through the land to the main computer which issue and bar-coding no. which unique in kit form. So every parcel wills now the unique number from which it can be easily tracked. After issuing the bar coding the total daily collect is packed and made total daily bundling in the end of the day and in given the tapal no and sent to the main office. Due to having the coding langue its easy to the book directly to branch or to the main offices. The

SORTING AND DESPACTH DEPARTMENT

In this department they receive all the tipple form he different branch and local counter form which they sorting the parcel after completion of the sorting they send it to dispatch department form heirs these the new tapal to respective branch and job allocation will start.

JOB ALLOCATION
After receiving the parcel at local level they gain go under the sorting process. After shorting accordant to him is wise they will allocate the job according to the are wise to the delivery staff. Now we have to keep track record of the delivery boy to avoid malparctising. The new the gaps system will be given to the delivery boys so that the exact place of the delivery to get known.

And at what time the delivery has made. Os it could directly upload in the system. Form the delivery boy itself. So we dont have to wait for the recite of the delivery which consumes the time.

DELIVERY SYSTEM

REVENUE GENERATION AND EXPENDITURE

In these system were also automating the financially transactions so to immunize the complication in revnue and expenditure.

PROPER SYSTEM TO BE SUGGESTED


We suggest using DSS for this system. A decision support system (DSS) is a computer-based information system that supports business or organizational decision-making activities. DSSs serve the management, operations, and planning levels of an organization and help to make decisions, which may be rapidly changing and not easily specified in advance. DSSs include knowledge-based systems. A properly designed DSS is an interactive softwarebased system intended to help decision makers compile useful information from a combination of raw data, documents, personal knowledge, or business models to identify and solve problems and make decisions.

SDLC
WE suggest the best method to develop develope this system is using waterfall methods of SDLC. The waterfall model is a sequential design process, often used in software development processes, in which progress is seen as flowing steadily downwards (like a waterfall) through the phases of Conception, Initiation, Analysis, Design, Construction, Testing and Maintenance.

FEASIBILTY OF THE SYSTEM


The cost of the whole process and the equipment tends to have nearly 40lacks and yearly maintain fees of 30.000rs so it seems to have feasible. Because the reduction in the paper work will allow them to save more amount and the time to time tracking will allow them so see their no wastage of the resources and better time management. And as they delivery boys will be punctual the in the matter of delivery.

AVLAIBILTY OF THE READYMADE SYSTEM


As if know the total independent system is not available including the financial support which provide the financial reports. But the system like CMSS (courier management support system) which developed by the TCS is currently running on the market with cost of 50lakh for 30 branch.

CONCLUSION
The currently the VRL is running on CMSS which quite good for their business and we suggest them to have a small impotents just like clear tracking device and to have GPS system in it. Conclusion The currently the VRL is running on CMSS which quite good for their business and we suggest them to have a small impotents just like clear tracking device and to have GPS system in it.
