Minutes of the Committee Meeting of the LGBT Students Association

Held on Friday 22nd October 2004 in Committee Room 2, Queen Margaret Union Contents Persons Present Apologies Received Other factors of note Finances Alcohol AOCB

Persons present: Emma Smillie, Genevieve Curran, Eilidh Jensen, Pip McVey, Andrew Smyth, Craig Milne Apologies received from: Robert Price

Other factors of note: Pip was late to arrive and so Emma began the minutes, however, the secretary took over where indicated.

Notices Received official resignation letter from Robert Price for the PR position. Willing to continue with befriendment.

John Wallace has sent no apologies for any meetings henceforth is considered resigned. By-election date to be set.

The question of our new correspondence secretary and what the position should entail.

E-mail Responses and Befriending

Problems of communication. We must make sure e-mail is checked. We are all to reply to acknowledge emails as received. Acknowledging that we must communicate our apologies if we cannot make it. Alex has not been replying to anything.

Regarding befriending people are finding us welcoming but cliquish. Dedicated befrienders at each meeting would be good to make sure everyone is welcomed. The question of weather or not to have the person badged. It is decided that would be a little oppressive. The problem of cliquishness. There is an issue but we can work on it.

Launch night Took over 500 at the bare and 70 at the raffle. Smashing success.

We will need more beer next time. The lassies were going mad for it.

We spent over 330 at the supermarket in all. There were 4trips to the supermarket on the night. Considering measures to count how many we are having coming so as to reduce trips next time.

Made about 200 profit and about 15 new members.

General Accounts Websites is not included and neither is the bar license yet. This year we made 162.56 so far

Thinking of using the money to subsidise the tickets to Glasgay. It would drop the individual prices form 5 to 2 Robert suggests a filing cabinet to store stuff. [Eilidh notes that well need more condoms] There are lockers in the Boyd Orr which are not being used. Someone could ask for one. If we get a filing cabinet would we pay for it out of the grant? It would be in the SRC building. Back to the Glasgay subsidy suggestion, Robert thinks that 3 is a bit too much of a subsidy and Andy doesnt think we need it at all. Gen brings up that we are a society for people with little money. Robert suggests it wasnt so good an idea to arrange a paying event on a Wednesday night. It is questioned whether it is better to blow the

cash on one night or not. Lucian suggests no more than half price. Andy says no more that 2 off. It is agreed!

Website The Parents page has nothing on it yet. It is suggested that FLAGS and Mermaids would be good sources. Emma agrees to take care of writing the page.

Gen suggests a message box to allow browsers to email us fight off. Robert says make it a Contact Us option on the drop down menu.

It is brought up that some people are still awed money for expenses and everyone agrees to pay.

Craig shows us the prospective title bars. It is suggested we leave this issue for last.

Notice boards John Andrew Murrays been told we can put stuff up in the John Mac building. Robert is asking weather or not we physically have to fill out forms still or not. The board in the Boyd Orr has not been put up yet. A works request may have to be put in so that a handy man will physically put it up. The John Mac should be sorted soon, but the Boyd Orr will take a while.

The Coming Out Guide It has to be written. Eilidh and Robert will discuss it as Eilidh wrote the content for the website.

LGBT Ball Eilidh suggests a masked ball but Gen says no L. We will be hosting it as the launch night was so successful. Pride week is suggested. 14th 19th Feb. It is suggested we inform the SRC to that we do not clash like last year.

Ball tickets suggested as 10 per person including buffet (Eilidh: Buffy? Gen: Yes!)

The Bute Hall is suggested but we couldnt do a bar there. If we had a bar it would be a hard job, but if we hire one in it would be no profit. The John Mac building in suggested. It would have to be booked through Central Room bookings. It may have the same problems as the Bute Hall. Wed have to pay for janitors for the Bute Hall and about 100 for the room hire. A ceilidh is suggested as it suggests Glasgow as traditional. Saturday 19th suggested. It would be called the Valentines week ball.

Kelvin Gallery is suggested but it would have to be booked through the museum.

A ceilidh call and a jazz band are suggested. Robert suggests asking uni students to do it. (Eilidh still wants a masked ball) Gen suggests a comedian but Robert warns it can flop terribly.

Gen says a minimum of 65 people will come. The buffet would have to be scaled up as we are truly expecting more. The buffet and band would be a set price but we still need to know the cost per person. Gen suggests we give our members a discount, but as the other unis have to travel it is suggested we make an advance discount for those who buy tickets early. 10 advance tickets, 15 after that. Advertise both prices to encourage people to book early. It is coming after the holidays so we need the month up to then to organise it.

(Andy leaves for work) Inter-Uni LGBT Night At the LGBT centre. We have free tickets into club devotion and prizes from Joy4Us. Gen tells us that Club Devotion is now gay and is open WedsSun. We are organising it for Weds 24th November. Strathclyde meet on Tuesdays and so can come on Weds. Caledonian have told their members. Itll be a Student Traffic Light Party.

Womens Events The first was VERY successful. It was the pre-scene tour meeting. Several dates have now been decided for more events. Gen asks if the porters of the QM could put up a

flag or something on Wednesday to make newbies welcome. Drop-ins need to be organised, preferably Monday or Tuesday

AOCB Gen is trying to organise Sexual Health Workshops. The guy from PHASE shes contacting is on holiday at the moment. The history talk is cancelled. The Glasgow group is busy that night and wed have to pay travelling costs for Edinburgh (both groups are Our Story). Gen suggests we can book them for Pride Week instead.

Eilidh brings up the T-nigh. Itll need a LOT of publicity. Itll be run like a drop in. The rooms to be booked by Emma.

Website options. We look at different colours of background and different logo options.

Emmas trying to organise the Rocky Horror night in the Boyd Orr. We are looking at Lecture Theatre 1 but can change. There is a projector and screen to make it cinema sized.

Eilidh STILL wants a masked ball. We tell her NO! Lucian wants one too but does not voice this. Coward, varlet and harpy. A battle for the pen ensues as He He He He He Eilidh keeps stealing the pen He He He He He

Craig and Emma discuss how to include a message box on the site. Craig agrees to find out how to do it. Craig is setting up and email account for the T-night. Stuff for publicity will be emailed to Emma.

(Emma leaves to book the room for the T-night)

Eilidh brings up that Pip/Lucian has a doppelganger. Robert Price and John Wallace are removed from the email for the society.
