Your report is not accepted because in your written work following shortfalls have been observed. You are required to submit your report again. Due date will be announced later.
No major has been observed in your report. You have not incorporated all instructions given in your first report. Your executive summery does not fulfill the purpose. The rationale of an executive summary is to recapitulate the main and critical points of internship report for readers to save their time and get ready them for forthcoming contents. Due to this reason the executive summary is often called the most important part of the any document. An attentiongrabbing summery is a separate, stand-alone section, sufficient in content to ensure that the reader can completely understand the contents of the long report. You have missed this opportunity by ignoring its purpose and your audience (supervisor). The details of tasks performed by you in different departments are not convincing. You are providing the tasks performed by individual department but what role you have played in these departments is missing. You are unable to observe the practices of management functions in the organization. You have provided theoretical description but application of functions in organization is missing. The SWOT section of your report is not focused. The understanding of SWOT analysis is ineffective. The critical analysis is insignificant. The principle of critical writing is to evaluate events occurring in the organization in order to increase the reader's understanding of these. A critical analysis consists of identifying, summarizing and evaluating the functions, structure, procedures and processes of the organization. Critical writing requires two steps: critical observation and critical writing. Both steps are missing in your critical analysis section. You are unable to apply your theoretical knowledge in real time situation and also not unable to relate theory with practice. You are unable to identify theorypractice gap.

O r g a n i z a t i o n a l Hierarchy chart
The organizational structure of Air Eagle Pakistan is becoming huge day by day because of diversification of environment, human resources and information technology. Air Eagle is taking steps to enhance its efficient and effective working in this competitive era by meeting needs and wants of its target customers within very short period of time at very convenient and affordable price range. We can see its organizational structure as below.

Comments on the organizational structure

Virtual University of Pakistan MC090407550

24

Air Eagle is a young Air Cargo industry in Pakistan and in the very short period of span, it gained its reputation and industry image by earning huge profit and leading a good hierarchy structure department wise as above. The Air Eagles hierarchical structure clearly defines each employees role within the organisation and defines the nature of their relationship with other employees and employer within the organization.

The Air Eagle has good departmental structure as compared to the competitors. In above organizational structure authority and responsibility are clearly defined. According to above organizational structure clearly defined promotion path. There are specialists managers (retired from Pakistan Air Force) and the hierarchical environment encourages the effective use of specialist managers If the Management feels the organizational structure not too effective, the management takes necessary actions to decrease the disadvantages of the chosen structure and to enhance its positive effects. Air Eagle organizational structure in the functional structure, mentioned above, the employees are working in departments based on what they are doing. According to above organizational structure is a decentralized structure and thus allows for flexibility and quick response to environmental changes. Sometime this Air Eagle organizational structure makes the coordination between different departments more difficult than others. Above the organizational structure does not support the exchange of knowledge between people working in the same profession.

During Internship My Activity Plan

Virtual University of Pakistan MC090407550

25

A brief introduction of the branch where you did your internship the
head office of Air Eagle is located at Islamabad airport, Shaheen Cargo Terminal Pakistan where I did my internship from 1st November 2010 to January 31, 2011.

Number of employees working in the branch

Air Eagle is a well managed and highly professional organization. It took step by the name of Shaheen Cargo which later on turned into Air Eagle. Now with a short period of time the total workforce is more than 50 people engaged in different disciplines from top to bottom. The organization holds foreign training secession for its caliber and enthusiastic employees. The organization spent millions of rupees on training programs for its employees and earned billion of rupees by this human investment. Air Eagle is an entity with highly skilled, qualified, educated, committed and honest workers from Pakistan Air force retired personnel. The environment here in the firm expresses and reveals the relationship like among the family members, a primary competitive advantage we can say it A Pakistan owned full fleet aircraft.

procedures and HR planning for policies and its implementations. I have also gained full knowledge of Local purchase and its database management. Requisition is generated on the basis of need and demand from the concern department. This requisition is evaluated and confirmed. Then procurement process is started.

Accounts & Finance:

20 days are spent in this department to learn about accounts and finance. I learned huge knowledge of cash disbursement policies and how they manage the cash flow for all departments.

Operation
A very interesting and knowledgeable department where I knew how to manage supply chain activities how to handle the consignments in different stages of Supply Chain Management and how to store and safe the goods in different locations in the shed. I have spent 15 days in this department. Cargo comes and handled by trained staff and then stored in the warehouse according to the required rules. There are 6 hours shift in the operation department for 24 hours all the day long.

Sales & Marketing:

Sales & Marketing department was a cash department because all incomes come through this department by selling the product of Air Eagle. The sales are purely service oriented like cargo handling and storing which charges on the basis of the cargo weight per kg. the standard handling charges ranges from Rs. 500 to 2000. And other charges Rs. 5 to 10 per kg of the shipment. I have spent 15 days in this department.

CSD:
Customer Services Department is the crucial department of any organization because businesses run on the strength of customers relationship management. Strong relations create huge productivity and profitability. Customers complain and suggestions are recorded in the CSD database and followed up by the concerned department or persons. The complaints are received by telephone or via Emails. These complaints are forwarded to the concern department to serve and fix the problem. 15 days were spent in this department.

Distribution:
This is also important area of Logistics or Supply chain. I have spent 15 days

to gain knowledge about handling, storage, inventory management and delivery of the goods by using database management. Physical and computer data was tallied to analyze the actual flow of the goods. Dead stock and Expired Stock is separately managed for problem solving and decision making. In the warehouse, there are number of segments where different type of the cargo is stored according to their nature. Fox example, perishable has a different location in the warehouse; fragile equipment has a different location in the warehouse. Gate pass is prepared for delivering the goods to the customers. The customer pays for the storage handling to the firm.

You have provided detailed information and functioning of departments (actually not required) but tasks/assignments/project/activities you have performed in the organization are missing (actually required). No one predict that any substantial training and learning opportunity which you have availed during your internship. Instead of making too much effort by writing details of activities of departments, you should provide contents which reflect your learning, skills enrichment and professional grooming.

You are providing contents reflecting the normal procedures which every organization adopts. At which stage you were remained involved in these activities are not obvious. For example if you have worked on ERP system of the organization then what you have learned, what you have explored, how much time you have spend, you use this software as Guest or they give you login and password. The details are required to convince that you have done substantial or not. Virtual University of Pakistan MC090407550

29

Your role in each of above activity is not predictable. How one can evaluate your activities if those activities are not identifiable? You have spent a lot of time there but what tasks actually you have performed there is not predictable from your training program.

Analysis of Management Functions

The contents provided under Management Functions are insignificant. You are unable to understand the purpose of this section. Under this section, you are supposed to observe different management functions in the light of all concepts which you have learned during different courses. Section is helpful for the students to identify the management techniques used in the organization and see application of techniques which they have learned during their courses, and provide possible solution of management problems faced by organization. Providing the bookish description of each function is not required

There are many questions which are unanswered in you report. Few of those questions are given below.

What kind of planning orientation organization has; short, medium or long term planning, or contingency planning or goal-oriented planning or problem-solution oriented planning. What kind of decision making model is applicable in this organization? The decisions making is top-down or consultative or rationale or seven step mode ete? What type of organizational design is adopted by organization (bureaucratic, organic, flat, grid, network, teamwork etc.)? What type of departmentalization is observed in the organization (functional, product, customer or geographical)? Is span of control is narrow or wide? What kind of controlling technique is used in organization for monitoring purpose? Are standards are developed and communicated to employees? Is performance appraisal is subjective or objective? What techniques are in practice for appraisal purpose? What leadership style is actually in practice in the Virtual University of Pakistan MC090407550

30 organization? How top management behave with employees of organization? How top management motivate the employees of organization? etc

Planning
Organizations planning strategies Plans are made by using different types of information database like internet. Strategies are then made on the grounds of information collected through internet and marketing surveys. Decision making process Information is the life blood of any organization. Decisions are made on the basis of information previously collected and current market situation.

Organizing
Organizational design Departmentalization Air Eagle has various departments for different process in the organization to carry on the business transactions worldwide and national wise. All departments are focusing only on the relevant tasks assigned to it. Span of control Controlling is the crucial part of any organization. Different authorities have different control levels to make policies and implementation from top to lower management. Chain of command (Organizational Hierarchy chart)

Virtual University of Pakistan MC090407550

31

Centralization/Decentralization Powers are centralized and have with the top management. No employee has authority or freedom to make any decision about the activities whether its for the benefit of organization or not. Formalization Organization is totally formalized. There is no excuse if any body has casual dressing. Work specialization Every employee is specialized in its own working. For example; IT department is focusing on only software, web development and networking areas. Managing change and innovation Change in the organization create an environment where management take easy steps to make organizational change resulting in profitibiltiy and productivity. There is no any change in communication system they are using. Only simple Microsoft office and email being used in the departments. Managing IT and communication Air Eagle has simple communication channels to reach its suppliers and customers like, Internet, Telephone and other database which are web based.

Leading
Leadership style(s) Political styles are adopted in the organization. Some people in the organization are averse with behavior of the management. Power and politics Powers are used politically and handled the situation accordingly. Motivation Motivational level is very down due to strict policies and powers by the management. A bonus is announced once in a year to motivate the employees.

Virtual University of Pakistan MC090407550

32

Controlling
Controlling approach Political approach is used in the organization to handle different situations, like procurement of spares, stationary and other office material. Requirements from employees are not entertained much. Controlling standards Authoritative people and relations are used to be based for controlling standards for any issue in the organization as described in the controlling approach. Controlling of operations All activities specially Research and Development are controlled by powers of top management. The most senior official is delegated for this purpose to control the operation of the firm. Controlling of performance Performance is showed by giving benefits and incentives to the concerned departments to some extent set by top management. Controlling of information/knowledge Information are controlled through database management. Different gateways to access the employee activities, like physical monitoring, telephone calls on mobiles etc.

Critical analysis
No improvement has been observed in your critical analysis. Your critical analysis is insignificant. This analysis is not predicting your objective observation and reflecting your insufficient knowledge of management courses.

Virtual University of Pakistan MC090407550

33 Your analysis is not in depth and detailed. You are unable to apply your theoretical knowledge in real time situation and also not relate theory and practice. You are unable to identify theory-practice gap You should also analyze their management policies/practices/functions in light of your knowledge of management. Analyze different practices of management critically. Analyze and discuss all the positive or negative points. You are required to do an analysis of the organization from a broader perspective.

In critical analysis section you are supposed to critically analyze the management functions of the organization. Try to identify the theory-practice gap, or misalignment of functions; for example if organization is centralize organization and leadership style is transformational or democratic which is contradiction with the concept of centralization i.e in centralize organization these type of leadership style can not work or allocation of resources are not appropriate or chain of command is too lengthy which delay the decision implementation or create noise (distortion of information) etc. This kind of objective observation is required and you are unable to do this.

Relate the theoretical concepts of Management with your practical experience during your internship with the organization. Execute an overall analysis of the organization and its future prospects. Objective of Critical Analysis The purpose of this analysis is to provide the result of this report writing and find out the solution of the problem under discussion. Critical Readings & Critical Writings Use of information technology: Records about daily attendance, flight operations, cargo handling is saved on files and sometimes in computers. The organization Air Eagle is not using an authenticated database system. It is providing simple information to its stakeholders using simple management information system. Everybody in the organization dont know the ERP system which is being used in most of the organizations in the air industry like PIA, Qatar Airline, Emirates airline which have not the most but better management information systems for getting and providing information for decision making. People in the organization are doing work on computers and only depending on the Emails, Microsoft office etc to provide and record information for their stakeholders. For instance, if Cargo is booked in Islamabad and go for Karachi, they drop a mail to Karachi office just to update for the booking and keep them vigilant by making a call or using an Email. They dont have computer records of booking cargo.

Provision of Record: The record as described in the use of information technology they save with them is not able to provide accurate information which base for good decision making and problem solving because this is of manual nature. The record is of manual nature like hard copies of balance sheets, profit & Loss account, Income statements and so on, and the calculations based on manually maintained record does not give proper picture. Even they dont have back up of their record in the system in a systematic way like ERP, SAP system etc. Recruitment Policy: Air Eagle hires only retired PAF personnel which reveal the fact that they discourage the people who have talent and managerial abilities and skills but not hired because they are civilian. Most of the rival firms have equal opportunities like Pakistan International Airline, Qatar airline, Emirates Airline, Air blue airline which are boosting the talent strength in their entities. The rival firms advertise its opening in the newspapers and even online on its web sites or recruiting portal like rozee.pk. Provision of full fleet service not individual: The organization no doubt have a competitive advantage of providing full fleet aircraft to the client but it denies the individual as well as consolidated cargo for its stakeholders due to which the customers go to other way for getting services. This strategy loses the market coverage and market share and in result the organization could not position in the industry. Pakistan International Airline which the largest airline in Pakistan is providing all types of services; individual, consolidation, passenger cargo handling just to create market share and retain its customers. PIA airline is focusing on customer satisfaction strategy resulting high profitability and market growth. Awareness of competitors: If we dont know our competitors how can we enter and position into the market. Awareness about competitors is important factor to know the productivity and capabilities of the organization. Air Eagle staff dont know who are their competitors in the industry. While the staff of rivals firms are fully aware of the current as well as prospected competitors in the industry. Employees are limited to their task only. They are not told the timeframe and quality of the task. The management even dont review the task assigned to them. Hence the service delivery is not on time. The deliverables are slower than the rivals. Pakistan International Airline has a well designed database, fully automated communication system with full detail about its competitors. Lack of Storage Facility: The organization doesnt have proper storage facility for minus degree cargo or sensitive goods. They are using simple available storage area which doesnt meet the cargo requirements. The storage facilities in rival firms like Emirates airline, Qatar Airline and Pakistan International Airline are well equipped and sophisticated which enhance the productivities and increase the trust on customers resulting credibility and loyalty in the minds of customers. Qatar Airline has a cool room facility fully segmented which stores all types of cargo, like general cargo including equipment, material; and perishable cargo like foods, medicines and diagnostics kits having 2 to 8 degree centigrade.

Each person in the organization has the same dressing fully printed as per company rules and regulations. Denying the Code lead strict disciplinary action by the management. Not a strength Full fleet services: The organization has full fleet cargo service for the customers who want to book whole aircraft for their cargo. Its a competitive advantage over the rival firm. Other firms in the industry are not providing full fleet service to the individuals. Contradiction with the contents provided in critical analysis. Cooperative and healthy environment: Good and healthy environment create good productivity in any organization. Air Eagle enjoys such environment. The people in the organization are cooperative to each other. They follow the health rules lied down in OHSAS 18001. Although Air Eagle is not certified for OHSAS 18001 and ISO-14001 but enjoying the health and safety environment. Chronological manual record: All record about cargo and booking is available in hard copies. As discussed earlier, the firm maintains only manual record but its up to date. For every financial year, we can find yearly record from its beginning to date. Not a strength Already trained staff: The Company hires already trained staff from PAF market which increases the productivity and profitability of the organization. No organization in the industry do so, like PIA and Qatar have open market and they outsource their staff from the open market. It mean that Air Eagle give services to those customers who are ready to buy for some specific period, like 6 month or 1 year agreement. Security system: The security system in the organization is also well established and updated.

While in PIA and Qatar; ERP and other strong databases are being utilized to get and give accurate and authentic information to the stakeholders.

Information Technology: There are lots of opportunities for using IT facilities in the market. IT has changed the fate of many of the organizations in the air industry. Modern database Systems: like ERP, SAP: ERP and SAP are enhancing the productivities and probabilities of the organizations in current times. Air Eagle should adopt this opertunity to gain market share in the air industry. All employees should be fully aware of the benefits and advantages of these accurate result oriented databases. Civilian talent and skills available in the market: There is also lot of civilian talent and skills other than PAF personnel in the market on low cost. Very competitive price these talents can be had from the open outsourcing in the industry.

There is lot of space Improve current system because the valuable Customers of the organization are not satisfied with the current services.

Improvement in hierarchical structure system because the Organizational hierarchical structure does not support the exchange of knowledge between people working in the same profession.
