Organizational Communication Assessment of Company X

1. Among the theories discussed in class (and excluding your report), which do you think fits your management style and why. Choose three, give specific examples and elaborate your answer (50pts). A. Participatory Style It is critical to give each employee an entire task to complete. If that's not possible, make sure the individual knows and understands his or her part as it relates to the project or task. When people on your team know where they fit in the big picture, they're more likely to be motivated to complete the task. I will take the time to explain the details and why their role is important. Get their input on the task and its significance. This will give them a sense of value, and hopefully, encourage them to take ownership of their piece of the project. I will make sure employees understand the tasks. Ill be asking questions that might seem obvious; that asking alone will reinforce an employees understanding of the work. For task that is divided among groups, Ill coordinate each groups contribution so that everyone knows where and how they fit in. I need a concerted effort to minimize obstacles and difficulties that arise. Ill also let people know that Im happy to clear their paths so when a problem does arise, I will be informed in a timely manner. Ill give reward not only for jobs well done, but motivation as well. This will maintain the momentum and let my people know that I have faith in their efforts.

B. Unobtrusive Control Style Sometimes a situation will call for a direct style of management. Perhaps a tight deadline looms, or the project involves numerous employees and requires a top-down management approach. Here, a manager answers five questions for the employees: What? Where? How? Why? and When? Ill Let them know what they need to do, how theyre going to do it, and when they must be finished. This style may seem cold and impersonal, but it still have an opportunity to be a motivating and accessible manager. For example, when I assign roles and responsibilities, provide Ill helpful tips or share experiences I encountered with a similar project.

With this style, Ill set specific standards and expectations. My communication, therefore, must be detail-oriented, unambiguous, and free of buzzwords and jargon. I also need to set clear, short-term goals like, Your goal is to complete three reports a day. In addition, Ill be willing and able to make decisions quickly. Midway through a task, for example, I may direct someone to switch from doing one thing to another. Ill let my people know from the outset that this may occur; it will help them transition more smoothly. I make sure, as well, to reward and recognize jobs well done.

C. Contingency Theory Style If I want to expedite a project and optimize a process for completing that project, I will manage through contingency of teamwork. When I motivate people to pool their knowledge, the results may exceed my expectations. Often, teams can tackle problems more quickly than what I can accomplish on my own. The give-and-take can create a process that I can replicate in other projects. Successful teamwork depends on coordinated efforts among the staff, as well as solid communication skills. Reports must be clear and concise. Presentations must convey information that leaves nothing unanswered. Understanding logistics is critical, too. Probably most important, however, is my willingness to credit the team for its success and independence, rather than my management skills. 2. 3. Given what has been discussed, what do you think is the role of organizational communication in your workplace? What can you recommend to improve the organizational communication culture in your workplace? (25 pts). In Company X, effective business communication must succeed in all its aspects in order to both correspond to the newest market trends, and satisfy customers demands. Hence, the role of organizational communication in Company X is a vital one. Similar to other organizations, we have two types of communication and they are:

Internal communication - between management and employees External communication - between the companys staff and clients, suppliers, vendors

The Importance of Effective Communication for Company X Organizational Performance is critical as lack of effective communication may lead to Misunderstandings, Lack of information, Decrease in employees performance, Decrease in companys turnover as a result. Ineffective or poor communication is frustrating for employees, and becomes a source of a conflict. Managers' inability to clearly express their thoughts, ideas and demands leads to employees' inability to perform work well, according to the companys demands. Such a situation may take place when an employee is not truly aware of what is requested of them. This decreases the satisfaction an employee gets from the job. Some of the Manager in Company X was able to communicate their ideas clearly, and in doing so employees definitely know what is asked of them, the subordinates will, consequently, perform their jobs correspondingly. On contrast, some Manager has an

aggressive way of managing reports results in employees getting more and more frustrated, often guessing what their real faults were. A good style of management, as well as a positive approach to communication, ensures that an employee and a supervisor understand each other, and are more effective at the workplace. Effective communication in the Company X provides employees with a clear understanding of what is demanded from them, with knowledge of what to do and what to expect. For organizations, such a communication style creates effective performance of the staff, and, consequently, increases customer loyalty and profit. Recommendations: Generally speaking, Company X still have some weakness in organizational communication that needs to work on and below are few recommendations to further enhance it.

A manager should make sure ones communication style is positive and effective. As I mentioned above, there were still few Managers in Company X organization that lack skills in conveying information to their associates. The employees, if they understand the situation correctly, should communicate the problem to the supervisor, or to the higher management in order for the company to take certain measures for solving the problem. Any problems can and should be communicated both among the employees and up to supervisors. The atmosphere inside the company should be encouraging for effective communication so that employees clearly realize how important communication is for each staff member personally, and to the company in general. Feedback mechanisms and sharing best practices internally should be an integral part of organizational performance, and performance management system in particular.
