Canon Value Proposition


Canon is introducing a set of Value propositions called: Cost Control Productivity, and Security This concept was first introduced at the Canon Concerto exhibition in Dubai October 2007, and already there it has proved a successful way of communicating Canon Value propositions to the customers. The Value propositions go across the entire office product range of Canon Office MFPs. This approach does not superseed the need for traditional product knowledge and training. However, these sales manuals should be seen in addition to basic product knowledge. Therefore, the purpose of the Value propositions, are to help you to communicate the benefit of Canon MFP office solution to the customer. Unlike what we have done in the past, we will include Hardware as well as Solutions Software in the Value proposition. The structure of this manual is that we will analyse the customer need and requirements, - based on market research. Then we will analyse how Canon solutions can meet those customer requirements.

Quality
Quality is a Value proposition in its own right, - image quality, finishing quality, product quality etc. However, in this content, we will include the Quality value proposition within the other Value propositions. The conclusion is that the Canon Value proposition is related to the four generic sales benefits: Money (Cost control), time (Productivity), quality and Control (Security).

Need for Document Management


Companies of all sizes have a great need to manage their most precious corporate information resources, including their paper-based documents. As far back as the 1980s, it was estimated that up to 80% of a companys information resided in documents on paper. As a companys knowledge is the backbone for its existence, this information needs to be secured in order to secure the business. This is a necessity to maintain daily business but also to carry the company forward. Today, reaseach shows that up to 85% of a companys knowledge is to be found in their documents, so compared to the 80s this has not changed a lot. However, the array of documents formats is now significantly broader since a substatial part of those are in a digitised format. These documents include email, word processing documents, electronic spreadsheets, slide presentations, PDF documents, scanned images, gigabytes of structured and unstructured data, reports, and gigabytes of HTML pages and, of course:

uted workgroups, calls for a different approach to dealing with company information assets. This is backed up by statistics like the following: 42% of managers use the wrong information at least once a week Managers and employees spend up to 25% of their time searching for information 59% of Managers claim they miss business critical information as a result of insufficient access or none availability 53% of all Managers claim that less than half of the information they receive is of any value

In other words: Too often wrong information is used The required information is not present when needed The right information is not always available Too often the available information is useless Additionally, and especially relevant for the paper based documents, they carry: a cost, and a risk Companies and organisations found in areas like e.g. healthcare, transporation, business consultancy etc. store tons and more tons of paper in file cabinets taking up complete floors in their buildings. The cost of space alone is very high and adding to this the missing or at least slow access to these documents translates into in-efficiency of the organisation, which at the end of the day means higher costs. The risk of storing large amounts of paper based documents refers to paper being very fragile. Water and fire, for exaple, can destroy such an archive completely without the possibility to restore the information.

To overcome the above problems, many companies are implementing Knowledge Management strategies to help them cope with the amount of information. A Knowledge Management strategy can be broadly understood as a program or plan that involves: both human processes and technology to facilitate the organisation of, and access to, information for the people who need it when they need it Because documents act as containers for knowledge, an important step in implementing a Knowledge Management Strategy must be to convert and integrate paper documents to an electronic format and hence establishing a Document Management System.

Document Management
In order to get the most from a Document Management system it needs to be constructed and implemented in a way so it meets the following requirements: Capture and distribution of information of all types Efficient storage / central access Scalability Integration Process oriented workflow Compliance with regulatory legislation Cost reduction

As can be seen the life cycle consists of five stages. Firstly the document is created after which it is stored or archived. At certain times the document may be used or changed by the same author or by others if more are working on / using the same document. After a certain period of time the document changes status from what may be considered an active document taking part of the daily business to a passive document that only needs to be referenced in rare situations. The document hence moves into the stage named Safe keeping period. Some documents may end their life after the active period but other documents needs to be archived because of legislation or company policy. This would for instance be medical journals, book-keeping documentation, construction plans etc. However, at a point in time, the document may be deleted completely. The various stages of the document life cycle sets certain requirements to the Document Management System. It should hence allow for: Capturing Indexing

Scalability
Scalability refers to the dynamic changes of the system. Since a company will change over time, it is extremely important that the system created in the early years can be used at a later point in time. A company change may include various elements of which the size of the company is a typical example. It could however also be a change in products/services offered or a change in the way people work. In fact, the Document Management system should be scalable and capable of accomodating all changes that modifies the document workflow in the company. In most situations though, the scalability will be concerned with a software upgrade from one version to another or to add new modules to an existing solution, that can handle the new demands to the system.

Integration
Integration with the customers existing system and IT structure is imparable. If a solution hasnt been designed to communicate with the existing systems and applications and hence may be considered a stand-alone solution, most of the potential value-adding is lost. On the other hand, if the solution acts as an integrated part of the complete IT structure, substatial time and money may be saved.

Process oriented workflow


Many kinds of critical business documents enter or circulate around the offices in hardcopy in all stages of the document lifecycle. Legal contracts, briefs, memos, and all kind of published documents including press releases, newsletters, brochures, manuals, annual reports, and research reports, are good examples. They are all touched by many hands in the creation, editing, and approval processes. Frequently, components of these are submitted in hardcopy. The creation and management of these documents are often run on a project-oriented basis, incorporating the work of teams of people, whose different tasks are delivered either in parallel time frames or sequentially. It is costly and inefficient to manage these processes with a traditional physical paperflow, because the documents have to be carried around manually, send by post etc. Additonally the process may be stopped for various reasons such as people being on leave, people calling in sick etc. A step forward is hence to digitise all documents, sharing them on the network and let people communicate using e.g. e-mail. Digitising all documentation calls for a Document Management solution, which will allow for capture of the documentation. It will certainly also be efficient in the search and retrieval of documents. However, implementing a Document Management solution in terms of installing the software and digitising all documentation is not enough, if the customer wish for a true document workflow that is based on processes. The keyword here is processes. Since the document travels from one person to another based on a given situation (e.g. approval of a purchase), all document processes needs to be identified and documented. Typically, the proccesses exist in the organisation, but not on paper or any

other media. Additionally, some document processes may be so complicated that no one person in the organisation knows the entire process completely. Therefore, to establish the process based document workflow, all processes needs to be identified and documented. An example of a simple workflow is illustrated below:

Now, a Document Management software does not necessarily need to offer this kind of workflows. It may certainly provide the customer with many value propositions adding up to significant cost savings and more. Adding the ability to control a process oriented document worflow in a Document Management solution will however offer obvious advantages to the customer.

Compliance with regulatory legislation


As already mentioned, some information needs to be kept in storage for a given time. This information may be split into two types: Legislation and Company Policy. Some examples are provided below:

ADOS Document Management


ADOS Corporation
The Document Management solution from Canon is called ADOS and was developed by the company sharing the same name. ADOS has developed Document Management solutions since 1991 and has two main headquarters one based in Vienna Austria, the other in Cary/North Carolina, USA. In 1992 ADOS became a trusted business partner of Canon and in 2002 this turned into a Strategic alliance, where ADOS develops and supports the software and Canon distribute the software. This also means that ADOS is only available for Canon and Canon customers. Based on Canons global distribution net, ADOS has now been sold to more than 1,000 customers spread out over Europe, Middle East, Africa, US and Canada.

Target customers
In order to identify the typical customer, the customers may be broken down into industries, which the following two pie-charts gives an illustration of:

As can be seen only four industries have a higher representation being: Industrial manufacturing Banking / Finance Healthcare, and Government These industries are reprecented with 8-13%. The rest of the industries are spread out between 2-5%. As such, this tells us that it might be an idea to focus on the Top 4 industries, but at the other hand it also tells us that Document Management is relevant for all types of industries.

Selling ADOS
When selling a piece of software being ADOS or another software solution, it is important to notice that you are not just selling a box with software. Using the example of ADOS, you are selling the customer a solution that affects his daily business routines, that affects his ability to make money, to save costs and to carry the business forward.

You are also selling a solution to problems he may have such as locating critical business documents quickly, to secure the company documents etc. Because the implementation of a Document Management system requires close contact with the customer you are at the same time inviting the customer for a long time relationship. If the customer accepts your invitation, he is opening his doors to you, allowing you to affect his business. He will only do this to a trusted partner. However, once you have established this trust, you may be in for a long time relationship that both you and the customer will benefit from. You are probably very familiar with Canons hardware offerings. Typically these fall into an Input and an Output category: Input: MFPs, scanners, cameras etc. Output: MFP, Laser printers, inkjets etc. ADOS however, is primarily working in between these two categories as shown in the illustration below:

ADOS 6.2
In the following we will descibe ADOS 6.2 in brief. This manual will hence not enable you to setup a complete Document Management system, but give you an introduction to the software, how it works and last but most important what value propositions the solution offers.

Overview
In short, ADOS is a Document Management Solution designed to capture, manage and deliver business documents when and where the customer needs them. This is the basic value proposition, which saves time and money as well as securing the documents and intelligence of the company. Before we move into details of the software, lets briefly have a system overview and look at how documents may be stored and retrived in ADOS.

Storage to ADOS
ADOS is a client / server type of software, which means that a server resides in the centre of the system. This server handles all instructions to the system and determines what to do with which documents at what time. Documents may be sent to the system from a number of PCs. The number of PCs depends on how many licenses has been purchased. An ADOS Client software may be installed on the PCs or the user may access the system via an Internet browser. Besides the PCs, documents may arrive from the companys Host- or ERP systems. This may include datastreams of transactional data or the like.

Once the documents arrive to the server they are stored temporarily in a buffer. From here they are directed to the allocated storage space on what is called the Primary Storage. The Primary Storage is typically a traditional file system using hard disks. Besides the Primary storage the file is also saved in a backup system the file is hence saved twice. The backup system will typically use large mass storage devices like Jukeboxes, which can hold a number of disks. These disk may use various technologies to save the data. The most typical technology applied is: UDO (Ultra Density Optical) MOD (Magneto Optical Drive) RAID (Redundant Arrays of Independent Disks)

Retrieval from ADOS


When retrieving documents from ADOS, the instruction is sent from one of the clients to the server, which will consult the Primary Storage, get the file and store it temporarily in a cache memory on the server. The user may now access the document from the cache and make changes if necessary. If changes are made, the docP a g e | 15

ument is first saved to the Primary Storage and then again to the Backup system.

There are of course much more to a Document Management system than just Storage and Retrieval from the system, so lets have a closer look at how ADOS works.

Capture
Types of data
Firstly, the documents have to be captured. This will include all kinds of data that is important to the customer. Data may be split into two groups: Unstructured data and Structured data. Some examples are listed below: Unstructured: Desktop files like MS Word, MS Excel, MS PowerPoint etc. Scanned files typically delivered in TIFF or PDF format Structured: Host Output

ERP data from e.g. MS Dynamics NAV, SAP etc. Office SharePoint Server e-mail capture from MS Outlook or Lotus Notes

How to Capture
Data is captured in a number of different ways depending on the type of data. Desktop files coming from MS Office may be captured by: Saving to ADOS Printing to ADOS Scanning using eCopy, KOFAX or ADOS Capture Client Saving to ADOS and Printing to ADOS are features that come with the ADOS installation. Saving to ADOS is simply an extra button on a menu in the application. Printing to ADOS is made possible by adding ADOS as a virtual printer in the list of printers. Instead of selecting a traditional printer you simply select ADOS Image Writer as the printer. Scanning Scanning is possible using a scanner or an MFP. For a Canon MFP it is possible to install eCopy SSOP and scan documents directly from the MFP into ADOS.

Scanning is also possible using KOFAX or ADOS own Capture Client. KOFAX is a professional software solution for capturing paper based and electronic documents and directing them to a database. As such it may be considered a front end to a Document Management system. ADOS Capture Client is an application that comes with the ADOS software which allows for scanning using TWAIN (see later). When it comes to unstructured data like ERP systems and e-mail systems, special connectors are available from ADOS. These connectors will hence establish the bridge between the unstructured data and ADOS.

Manage
Managing the data means to setup Document Classifications and indexing rules. This part of the planning process is extremely important since the structure and the indexing will determine how efficient the system will be. If no classification or indexing is made, it is not possible to search for a document and hence the document may be considered lost.

Classification
Classification of documents means to find a common denominator for the documents. This may for instance be the type of document e.g. Invoices, Delivery notes, Correspondance etc. Another classification could be related to a customer, a project or a supplier i.e. all documents related to a special customer or supplied would go into the same Classification.

Categories
Documents in ADOS are classified by document Categories. So, whenever a classification has been identified a corresponding Cateory should be created in ADOS. You might for instance name a Category Invoices. Whenever a new invoice enters the system you categorise that document as an invoice by selecting the appropriate Category. Classifying documents and applying Categories allows the user to find documents quickly, because it is possible to setup queries within the Categories. In this way the seach job has already been narrowed in to only searching among e.g. Invoices.

Another reason for creating categories is related to security. Lets say the customer have a category named Invoices. The customer probably dont want all users to be able to enter these documents. Therefore ADOS allows for setting up access rights to the individual category.

Indexing
However, having created document Categories is not enough if you want to find a specific document among thousands of documents. For this purpose we need to create indexes. Indexing consists of a number of data fields that are setup in the system and used when saving the document. Typical index fields would for example be:

Storage
Once the document has been categorised and indexed it is ready for storage. However, since we have attached index data to the document, ADOS creates a new compound file before storage. The compound file consists of the original document plus the index data file used for search and retrieval plus some meta data created by ADOS.

These three elements are hence combined into a compound file, which finally will be locked with a certificate. The certificate prevents unauthorised access to the file. Finally, the document is stored.

ADOS Navigator
The Navigator is the main application for retrieving documents. The application window is split into two sections where the left hand section shows a tree-like structure of the documents. Here the user will have access to the various Categories, create and save queries for quick document retrieval and get access to information about workflow process status. The latter means that a user can track a document in a given workflow to see where it is located in the process. It is also possible to go to certain stages in a workflow and see how many documents are pending for a given action.

When a user is looking for a document, he or she will enter a category and execute a query. The list meeting the criteria will then be displayed on the right hand side of the window after which it may be double-clicked and opened.

ADOS Viewer
The ADOS Viewer is as the name indicates a tool where the user may view the document. The left hand side of the windows shows a miniature of the document pages, and the right hand side the selected page.

Besides viewing the document it is possible to make annotations, add or delete pages, print or send it etc.

ADOS Capture Client


ADOS Capture Client is an application that allows for capture of paper based documents. Once a scanner has been setup, Capture Client will use TWAIN, ISIS or KOFAX to scan the document. Additionally, it is possible to import batches of TIFF files if scanned documents already exist. After scanning the categorisation and indexing may be done after which the document may be stored.

To make the scanning process as efficient as possible, the user may create and apply scanning profiles. A scanning profile includes all necessay elements to automate the scanning process. This includes settings for file format and size, document quality (resolution, colour etc.) where the document should be saved, indexing based on barcode scanning or OCR recognition. It is hence possible to specify where to look for certain index fields on the scanned page. A barcode may for instance be placed on the top of the page, which may be used to identify a supplier and / shipment, the date may be placed elsewhere on the page and an amount a third place. Using the scan profiles it is possible to have the system look for this index data and convert the data into readable index data. In this way, the user simply have to feed the scanner with documents and everything else will be done automatically.

ADOS WEB Access


ADOS Web Access simply allows for using the system without installing the client software. The functionality corresponds to ADOS Navigator and Viewer. It is however still necessary to acquire a lincense. Supported browsers include Internet Explorer 5.5 or higher and Mozilla Firefox 1.04 or higher.

ADOS Office Links


ADOS Office Links is used for indexing and storage of all Office and Desktop links.

ADOS Solutions Designer


The ADOS Solution Designer is the central application for the Administration of ADOS. This includes the creation and design of categories, indexing, user data, workflow processes and connectors (e.g. SAP, Exchange, COLD).

The Solution Designer defines security policies that restrict user actions when they perform operations in ADOS (e.g. execute a query, modify a document). Other operations include maintenance of the product license and defining the storage policies which determine what physical media (e.g. Jukebox) will be used by ADOS to migrate documents to.

ADOS COLD Administrator


The COLD Administrator is used to design and setup the customers mainframe data storage.

ADOS Console
The ADOS Console controls the system activity and processes. It is hence possible to view activity statistics and staus, which users are currently logged on, what storage volumes are mounted, if any COLD processes are running etc.

Editions & Scalability


ADOS is available in four different editions: Personal Edition Workgroup Edition Standard Edition Enterprise Edition These editions are different in a number of ways but the differences are typically related to the need of the customer, which typically relates to the size of the customer, the complexity of the customers document workflow and the need for system integration. When this has been said, it should however also be mentioned that ADOS is targeted at all types of businesses, from the small or medium organisation through to the multi-national Corporation indeed any business that needs to archive information or make paper documents instantly available at the desktop. The four different editions make the customer solution completely scalable since one version may be upgraded to the next with only few efforts.

ADOS Personal Edition is a complete stand-alone archive solution. The user environment is hence single users in typically small companies / organisations. Personal Edition is sold with a single PC Licence (one Search & Retrieval, one Capture Licence). The modules can only be installed onto a single PC and no file sharing capability exists.

Microsoft SQL Server 2005 Express edition is included. This edition allows for scanning of paper documents using barcode and OCR and import of all Microsoft Office and Desktop files.

Workgroup edition
Since ADOS Workgroup is able to operate in a non-Domain environment, it is ideal for the smaller customers with limited IT support and who do not wish to invest in Microsoft SQL Server. The user environement will hence typically be Departments and Workgroups. The product is sold with: One ADOS Server 5 Named user Licences MS Desktop Engine Navigator & Viewer 1x Capture Client 1 x eCopy Connector Office Link and Web Client The customer has further options to purchase 5, 10 or 15 additional user licenses, up to a maximum of 20 users per Workgroup system. The edition allows for scanning of documents with barcode and OCR function plus import of all Microsoft Office and Desktop files. Documents can be migrated to magnetic or magneto optical media, which is not possible with the Personal Edition. Web access is also available.

Standard & Enterprise edition


ADOS Standard and Enterprise editions offer the same functionality. The only main difference is ADOS Standard Edition is limited to one server, where ADOS Enterprise Edi-

tion offers unlimited server support for a true decentralised system. The Standard edition is targeted at medium and large sized companies / organisations that needs to make paper documents available at the desktop to their staff. The Enterprise edition would typically apply to large decentralised organistaions like Government Departments or the national offices of International Companies. For example, a Regional or National Health Service might store patient records at each major Hospital. Supported databases for Standard Edition and Enterprise edition includes Microsoft SQL Server, ORACLE, IBM DB2. Both versions support an unlimited number of users.

Integration
Previously we have mentioned the importance of being able to integrate to the customers current IT setup in order to make the Document Management system as efficient as possible. As we have already desribed during this manual, ADOS offers quite a number of integration possibilities. The below list summarises these options as well as the various utilities and shows which module / utility is supported by which edition.

Security
ADOS uses single sign on. This ensures the identity of the user is always validated via Microsoft Domain log-in security. The ADOS Solution Designer can restrict a users rights and permissions to specific Categories of documents (for example can deny access, allow Read, allow annotate, allow modify etc) or even deny access to documents based upon the values in some specific Index field (such as Owner or Salary). ADOS has built in Version Control (all old versions of a document are saved and can be accessed) and can maintain a complete Audit Trail of all user activity and document access. This allows its use in secure application areas where access to documents must be monitored and controlled.

User Licenses
Three User License dimensions are present with an ADOS installation: Users Connectors Devices (Scanners, Canon MFP, Jukeboxes and ADOS Enterprise servers) This means that the customer will pay for number of users, the connectors needed for integration to other applications and finally licenses for devices. Licensing for devices are required because there is a cost related to developing interfaces, drivers etc for the hardware. The same goes for Connectors. Regarding user licenses, there are three types of licenses: Named users

Concurrent users Mixed A named user license will apply to a specified computer / user only no one else may use this license. A Concurrent user on the other hand may be used by several persons i.e. if one user logs of the system another person may log on and use it. Finally, there is a mix of named and concurrent users.
