EVERGREEN ELEMENTARY SCHOOL PTA BOARD and GENERAL MEMBERSHIP MEETING MINUTES TUESDAY, OCTOBER 18, 2011 Attendees:

Call to order by Traci Davis at 6:03 PM. 2. Secretarys Report Becky Pizzini Approval of minutes from September 2011 PTA meeting. Motion by Beth Lucas to approve minutes from September meeting; motion seconded and so approved. 3. Officers Reports President Traci Davis - Early release day next Wednesday, 10/26/2011. Lunch to be provided for teachers on early release days 11/30/2011 and 2/29/2012. - Volunteers needed for Barnes and Noble Day at Chesterfield Towne Center on 11/5/2011. - Food pantry in PTA office will accept non-perishable food items and gift cards; items to benefit need within Evergreen community. - Evergreen won a $100 American Express gift card in the Great Denim Days promotion by Shop Chesterfield First. Vice President Angie Dudley Need volunteers to work carnival games during the Pumpkin Lighting event on Thursday, 10/27/2011.

Treasurer Dori Burger Updated Budged Receipts and Expenses for the Year Ending 7/31/2012 distributed. 4. Committee Reports After School Enrichment Traci Davis Class assignment notifications go home tomorrow 10/19/2011; openings remain in all classes but Fun with Dogs. Arts & Education Traci Davis Reflections information packets go home tomorrow 10/19/2011. Community Dinners Pam Koth As of October 17 there were 81 orders received for the Pumpkin Lighting dinner on 10/27/2011; Brocks Barbeque and hot dogs to be served. Community Partnerships Melissa Newby Over 1400 Box Tops have been processed and there are many more to be counted. Thursday 10/20/2011 is Evergreens first A N.Y. Slice spirit night; Monkey Joes and Skate-a-Way spirit nights were recently held. My Coke Rewards is matching school points donations made October 18-20, 2011. Food Lion and Kroger customer numbers can be entered online to earn money for Evergreen. Hospitality Kristie Locke Holiday Shop scheduled for December 7-13, 2011. Parent/Child dances to be held in January 2012. Membership Traci Davis 606 PTA memberships to date. The school directory is 90% complete and should be sent out at the end of October or first of November.

Mileage Club Beth Lucas Mileage Club started this week with more than 220 students enrolled. The trail will need repair due to erosion; Cross Creek Nursery has quoted $3,000 fix it. PTA to consider other potential solutions to repair trail. Staff Appreciation Virginia Weinstein Lunch will be provided for teachers and staff on 11/7/2011 (parent-teacher conference day). Teacher birthdays are being recognized with cupcakes this school year. Student Appreciation Deborah Gholson Eagle Excellence awards this year will be based on Chesterfield County Public Schools core values. Student nominations to be made by teachers (Kindergarten not included) with two awards per classroom each grading period. Recognition ceremonies to be held every 9 weeks; parents of applicable students will be notified by administration. The first ceremony is to be held 11/11/2011. Ways and Means Amy Williams Fundraiser packets submitted. The monetary order amount received thus far is approximately $2,500 short of budget projection. A spring fundraiser may need to be considered; PTA will reassess in early 2012. 5. Administrative Reports Principals Report Mr. Maher - New furniture has been placed in the office lobby. - Still some issues with late buses. A new system is in place for afternoon child pick-up (car riders). - First grade teacher Mrs. Trimble left Evergreen to be a reading specialist at Winterpock Elementary. A new first grade teacher has been hired and will start on Monday 10/24/2011.
