1. Introduction 1.1. Purpose


The purpose of Software Requirements Specification document is to discuss the functionalities of the COMSIS. It also takes into account the various requirements needed for this system. Intended audiences for this document are the Management of CIIT Abbottabad with online information about all the academic activities, student and their parents to view the academic progress, to facilitate the Registration & Examination Section in maintaining the Electronic Examination Results of students with highly accuracy. This document will also serve as a guide for the programmers during the development phase of this project.

1.2. Scope
The scope of this document is to fully document the Software Requirements Specifications for developing Student Information System. This system manages students previous academic record, current academic record as well as recording the students attendance, course registration (Manual + Online), quizez/assignment/lab/sessionals/final Marks, students feed back, results and curricular activities. It generates various types of reports and notifies students on academic related activities.

1.3. Overview
The main objective of COMSATS Student Information System (COMSIS) is to provide a robust, comprehensive and integrated solution covering all student related tasks carried out at CIIT. This would enable better decision-making, provide more efficiency in servicing Customer demands, and bring in more transparency. COMSIS is composing of six modules/consoles that are connected with each other & detail is given below; The Registration Console/Module Examination Console/Module The Management Console/Module The Faculty Console/Module The Parent/Student Console/Module The Coordination department Console/Module

2. Registration Module/Console 2.1.

Purpose

The registration Module will enable the Assistant Registrar (Academic) to manage the records of the students. Collect personal files, add student record, maintain student database, handle departments, programs/discipline, add faculty members, add courses, handle course scheme, offered courses against faculty members and course registration of the entire student. It will allow user to perform the functions of adding, editing, deleting and searching a students record, viewing the list of students. This module will enable the AR (A) Office to generate different kinds of reports.

2.2.Input Forms
Form Name Description Screen Add New Department This input form will be used to add department name (e.g. Computer Science, Electrical Engineering etc.

Add Program/Discipline This input form will be used to add/edit/remove program name (e.g. Computer Science, Electrical Engineering etc. By clicking on this Menu, a Dialogue Box appears which enables the user to add an offered program to the database. The entries that are required to add a new program include: Department Selection: The name of the department will be selected against the program which is to be added. Abbreviated name of Program: The abbreviated name of the program is added here. For instance, BCS for Bachelors in Computer Science. Program: The title of the program is added over here. For instance, Bachelors in Computer Science. Number of Semesters: The number of semesters that are required to be completed in a program is added here. A drop down box facility is provided, by which the user can select the number of semester that are set in a semester. Detail & Notes: The description of the program or any other 6

write-up/notes can be added here. Screen

Edit Program/Discipline In this form a Program/Discipline record, can be modified. For instance, if the abbreviated name or no. of semesters of any disciplines changes, it can be modified accordingly using this facility. The screen or form outlay for modifying the program record is same as that of Add Program/Discipline.

Remove Program/Discipline This form e.g. in case an entered program is not offering and the data needs to be removed, it can be permanently deleted from the database. The authorized user for this action will select the program name to delete the programs record permanently.

Add Faculty Member This input form will be used when a new faculty member joins in, the essential information is added using this dialogue box. The essential information about a faculty member comprises of: 7

Edit Faculty Member A Faculty Member record can be modified from this form. For instance, if the email etc. of any faculty member changes, it can be modified accordingly using this facility. The authorized user for this action will select the Faculty Member Name to modify the record. The screen or form outlay for modifying the faculty member record is same as that of Add Faculty Member.

Remove Faculty Member This form is used to delete faculty member permanently from the database. The authorized user for this action will select the faculty member name to delete the faculty member record permanently.

Add/Edit/Remove Courses 8

Description

When a new semester starts, compulsory and optional courses are offered. These courses can be added through the add course Menu. The following entries are required for adding a new course. Course number: Each of the courses offered is assigned a code, which is added in this field. Title: The title of the course is the name of the course offered. For Instance, ISO 9002 Techniques Abbreviated title: The abbreviated title, for instance, OS for Operating Systems course, is added over here. Program: The program in which the course will be offered is added over here. For instance the course of Operating System is offered as part of the BCS program. Credits: Courses offered are of different credit hours. For instance, the course on Operating System may be of three credit hours. The credit hours of a particular course are assigned here. Semester: The number of semester in which the course is offered is added in this field. For instance, the course on Operating System in the BCS program is offered in the 4th semester. .

Add/remove Course prerequisites When a course is offered which has certain prerequisite course(s), then the prerequisite course(s) can be set through this form. For instance, for the course of Automata Theory, the course of Discrete Mathematics can be set as a prerequisite through this Menu. The user has to first select the course to which any prerequisite course is to be added, followed by the selection of the prerequisite courses.

Add/Edit Sessions This form will be used to add sessions. The following entries are required to add session. Short Name: The short name of the session will be required e.g. if year 2008 fall session is required to be entered itll entered like FA08. Session Title: The session title against FA08 can be fall 2008 this will be entered in session title field. (e.g. SP08, FA08 etc.) Is Current/Is Closed: If the entered session is current session then 10

Add/Edit Course Scheme This form will be used to add course scheme. The following entries are required for adding a new course. Course Scheme Name: The course scheme will be used to assign program and session for which the student of specific session will be study those courses. Session: Select Session of the course Scheme (e.g. SP08, FA08 etc.) Program: Select the program for which the scheme is creating.

Course Scheme Name: The course scheme will be selected from the dropdown list of course scheme. Course: The course will be assigned to the selected scheme from the drop down list.

Select Program: The program will be selected from the dropdown list against which the course is offer. Select Course Scheme: After selecting the program all the course scheme of the selected program will be displayed and user will select the course scheme of the specific session.

Add Course Q/A Type This form will be used to add course q/a type (e.g. quiz, assignment etc.).
The following entries are required for adding a new course marks

type: Type Name: The name of the marks type (like quiz, assignment Lab.) will enter here. 12

Detail: Any further detail can be added relevant to user type for identification. Deadline: The deadline will be mention for the entered q/a type e.g. after how many days the modification of quiz assignment or lab etc. will be blocked for the faculty member.

Edit Course Q/A Type In this form a Q/A type can be modified. For instance, if the entered type is not correct or user wants to change the deadline it can be change using this facility. Select Marks Type: The Marks type will be selected from the dropdown list to modify the marks type. The Dialogue Box outlay for modifying the q/a type record is same as that of Add Course Q/A Type.

Add/edit Courses Marks Scheme Detail This form will be used to assign a ratio by selecting marks scheme and marks type e.g. (15% ratio assign to quiz etc.). The following selection will required for adding courses scheme details: Select Course Marks Scheme: The course marks scheme will be selected from the dropdown list against which the ratio is assign. Course Marks Type: The course marks type e.g. (quiz) will be selected from the dropdown list against which the ratio is assign. Ratio: The ratio will be assign against the selected scheme and type e.g. (15% ratio assign to quiz etc.).

Add Course Offering This form will be used to assign courses to a faculty member. the following selection will required for adding courses scheme details: Offer New Course: After selecting the course scheme the next form named (Offer New Course) will be displayed. Select Course: Course will be selected from the dropdown list course list contains (semester no. ,course code, course title and credit hours) Select Faculty Member for the Course: The faculty member for the selected course will be selected from the list. Select Course Marks Scheme: If there are different course marks the specific course marks scheme can be selected from the list. Select Course Credit Hours (in case of Lab course): This 16

selection is required for that course which having lab as well. Select Session: By default current session is selected if user wants to offer course for previous session he/she can also offer the course by selecting previous session. Section: If the course is offered for a class having two sections e.g., (A, B...) by entering the specific section class or students can be identified by these sections. Screen Description:

Edit/Close Offered During the semester and at the end of each semester the offered courses are to be closed or changed. These courses can be closed using the Change offer Menu. It should be noted that by closing the course, new attendance, on course or marks cannot be further added against that particular course. The user has to first select the Program and session from which the course has to be closed and replacement of faculty member required etc. followed by selecting the program from the list of already offered courses as shown in the figure below.

Step2 Add Student The essential information about a student can be added /updated through in this form. The essential information comprises: Students unique registration number, name, contact information and the students previous academic record. The assignment of a unique Registration Number to a student is necessary. This enables the administration in keeping a track of the students attendance, academic achievements and any other related information. The information about a student that can be added is: The students Details Contact Information Previous qualifications details

These include SSC, HSSC, Graduation, Post Graduation and any other qualification that the student may hold. Screen

For instance, if the address of any student changes, it can be accordingly modified using this facility. The Dialogue Box outlay for modifying the student record is same as that of Add Student. Remove Student This form e.g. in case a student leaves the Institute and his/her data needs to be removed, it can be permanently deleted from the database. The authorized user for this action will enter the Registration Number of the student to delete the students record permanently. 22

Student Course Registration A student registers a particular number of courses in the semester. Among the offered courses, the students have the option for registering of different other courses. The courses registered by a student can be added in database using this form. The user has to select the: Program Session Class Course status Course to be registered And followed by the name of the student(s) to be registered. The set of dialogue boxes appear as shown in the following figure.

Modify Student Course Registration The registration status of a course registered by a student may change. The status can be updated using this form. For updating the registered course: Select the Program, Select the course and the concerned student

Delete Student Course Registration A student may drop a course during a semester or if user wants to delete 26

the course due to any reason. Using this form, the user may delete the registration for a particular course. The user will first select: The student by his/her unique registration number. A new screen appears. The new screen showing, the list of current registered courses for that particular student. The user may check the check box for deletion for one or more of the registered. Assign Advisors This form is used to assign advisors to a specific class. The following selections are required to assign advisor for the class: Advisor Name: The advisor name (faculty member) will be selected from the dropdown list. Class: The class will be selected from the dropdown list for the selected advisor. 27

Section: The section will be entered in case of class having two sections. Session: The specific session will be selected from the dropdown list.

Modify Class Advisors During the semester advisor can be changed. The following selections are required to change advisor of the class: Session: Particular session will be selected in which advisor has been allocated, be selecting the session list of all advisors will be displayed. When the advisor list has been displayed, to change advisor just click on advisor name another form will be displayed, where u can change current advisor with some other advisor. As shown in the figure below.

Step 3 Delete Class Advisors Advisor can be deleted during a semester or if user wants to delete the advisor due to any reason. Using this form, the user may delete the advisor for a particular class. The user will first select: Session: Particular session will be selected in which advisor has been allocated, be selecting the session list of all advisors will be displayed. The new screen showing, the list of current advisors for that particular session. The user may check the check box for deletion for one or more of the advisors. The dialogue box for deleting advisor(s) appears in the following figure.

Credit Pass Courses This form will use when pass courses of a particular student credited or transferred from one registration to another reg. no. The following selection will be required for credit pass courses the user will first select: The student by his/her previous registration number. A new screen appears. The new screen showing, the list of previous registered courses for that particular student. The user may check the check box for transferring credits for one or more of the registered Courses. A new screen appears. in new screen, following selection will required: particular student will be selected. Select Session: Session will be selected from the list in which courses being copying. Select Course Status: The course status will be selected as CPC (credit pass course). Credit Semesters: The no. of credit semester will be entered here e.g. if 21 credit hours being credited the 1 credit semester will be given if above 21 credit. Hours. being credited then 2 credit 30

Step 3 Course Codes Correction This form is used in case of course code of the registered course of student(s) is not correct and registrar office wants to change that course code with the correct one. The following steps are required for course code correction: Select Program: First of all user will select the program in which 31

he wants to check that the corrected course is offered in a particular session or not Course Code to Search: The correct course code will be entered to search in the selected program. . next screen will be appeared In this screen if the course already offered in the particular session then no need to offer again otherwise click on Offer New Course to offered course Screen

Step 2 Course Codes replacement After checking that particular course code now user will change the correct course code with the incorrect course code. The following selection will be required: Select Program: The program will be selected from the dropdown list against which the course is replaced. Select the Course to Register: The user will select the correct course code from the dropdown list. Select the Course to replace: Now the user will select the incorrect course code from the dropdown list (in which students are registered) and click on continue button. The next screen will be appeared. 32

User Type: User type will be selected from the dropdown list i.e. user is (administrator, manager, HOD etc.) Password: The password will be entered for the user. Confirm Password: The password will be re-entered for the confirmation.

Select User: The user will be selected from the dropdown list to modify the program by continuing the next screen will be displayed, showing the program for list assigned to the selected user now if change is required in any assigned program by clicking on the program name it can be change.

3. Examination Module 3.1. Purpose The main purpose of Examination Module is to manage detail record of exam (e.g. quizzes, assignment, Sessional, final etc.). Other main purpose of this module is to generate different reports for supporting examination activities e.g. award list, result notification, transcripts etc. and multipurpose report required by Higher Management Authority.

3.2.Input Forms

The System Administrator, with HODs Privileges gives a HOD a login. This enables the HOD to get into the Console especially designed for the HOD. 6. Examination Module Students/Parents Module/Console 6.1. Purpose The Student/Parent end of the COMSIS facilitates the student and displays all of his/her academic activities. This includes the scores obtained in quizzes, assignments, and sessionals and in the final examination. The Students and their parent remain informed about the daily attendance in each of the conducted classes. The system provides this information online to the students and their parents. Each of the student and his/her parents are given a unique Login & Password. A student (and the parents as well) can only view his/her information and it is not possible for them to view the information of other students.

6.2.Input Forms
Form Name Description Students Login Each student is provided with a unique Login & Password. The login is the registration number of the student. The default password is set to 123 for students. The parent of the student is given a different password. The password can be changed once the student logs on.

Description

As the system authenticates the user, a new screen appears showing the students registration number, name, and program along with the list of all the registered courses. The screen also shows the attendance history of the student. On clicking on a particular registered course, an orange color bar appears showing the particular course that has been selected. Now the user can select one of the available menus - Class proceedings, Q/A Marks, Sessionals/Final Marks, Change Password, Login History and Sign Out.

Class Proceeding Menu After selecting a particular course, an Orange Bar appears thereafter the Class Proceeding Menu can be clicked to view the attendance and the On Course (topics covered in class lectures) in detail. The letter Pdepicts the Presence, while A indicates absence. A color Bar Graph also depicts the overall attendance of the student in that particular course. 7. Department Co-Ordination Module/Console


7.1. Purpose The department coordination records the academic routine activities of the Institute. These academic activates comprises recording of attendance of the students from the Sheets to the Online Student Information System. The record that the coordination department maintains is explained in the next sections:

Form Name Add On Course Description The On Course comprises of the topics covered in the class along with the scheduled time of that class, and the actual observed time of the class conducted. When a scheduled class is conducted, the topics covered in that class, and other essential information about the class is added in the On Course field. For adding the On Course information, the user has to select the Program, followed by selecting the particular Course. The User Interface for adding the On Course is shown in the following figure. It should be noted that the Time format is 00:00 hrs to 23:59 Hrs

Form Name Add Attendance Description After entering the On Course for a class conducted, the attendances of the students are entered in the database. It should be noted that the entering of On Course is mandatory before entering the attendance for any class. The user has to select the Program, followed by the course, then marking attendances of the registered students of that particular class. For marking the attendance, the list of all registered students appears, in which the check box is checked by default. The User has only to uncheck the check boxes for absent students. If a student does not get registered on time for a course, and where the student may have attended the previous classes, the user may use this option to insert the attendance at one time for all the previous classes for that particular student. 8. Faculty Module/Console
8.1. Purpose This module or console is provided for the use of Faculty Members conducting the courses. The Faculty Members can view the academic activities pertaining to their own class only. This includes: To view the daily attendance of the students in the class The On Course of previous class lectures The marks students obtain in different Quizzes, Assignment, Sessionals Test and Final Examination. The Faculty Member can also view the attendance or the academic achievement of a particular student.
