Functions And Characteristic Of Communication

The term communication is freely used by everyone in modern society, including members of the general public, scholars and management practitioners. Communication is defined as the interaction, giving and taking of information,sending and receiving of messages through verbal and non verbal means. Functions of communication varies as one must determine the function of the communication. Known as the primary function and in certain circumstances the situation or position may have one, two or three other secondary functions.For example,informing,controlling,persuading and co-ordinating. Inform functions: An organization needs a vast amount of information to function and operate a business. The top management would require timely and accurate information for the various departments to make effective decisions. Control functions: The management of any organization will always have plans with long, medium or long term objectives for the months and years ahead. To achieve these objectives, the daily & monthly activities must proceed as planned in order to achieve the objectives for the period. Persuading functions: Persuasion usually involves the selling' of an idea, product or services to a person or group. Persuasive words or actions, there is a better chance of the person or group accepting it. Will result in voluntary compliance. Co-ordinating functions: Every employee plays a part in controlling inputs, outputs, job scope and head count. Has to be well-coordinated. In Any form of communication, there is a sender and receiver of the message. The question of whether the message is sent and how the message is received is of vital importance in communication. Communication is successful only when the receiver receives the intended message of the sender. SENDER ---> ENDCODING ---> MESSAGE ---> DECODE ---> RECEIVER ---> FEEDBACK The above is the communication process which has to be repeated until both parties finish expressing themselves.... ----Communication means connecting with people, getting along and trying to get your message across to the other person. Communicating involves some important things like for example : listening, asking questions related to the subject, making observations, smiling, talking slow and clear etc. Communication is of two big important types: verbal and nonverbal.

Verbal communication consists of talking, is about the spoken communication we all love and in here we can add also the written communication made through letters, notes, or emails. The non verbal communication means communication through body language. Because communication is about sending and receiving information, and of course it needs a message, people send certain messages also through their body language. Here we have : gestures , posture, face expressions, appearance, eye gaze and many other things that come involuntary to us but they can give the wrong impression. The Speech Communication we also know, is more pretentious and has to be well thought because you are talking to a group of people that need to hear and understand the same message. One of the Principles and Types of Speech Communication is to always talk loud, rare and clear. The message you send has to be understood, has to capture the attention and keep people listening until you are done. A speech has to have a beginning a middle and an ending. A speech needs to be well structured so that people won`t get confused. Keeping a speech is actually nerve raking. If communicating with strangers means a lot of stress , think of talking on the microphone in front of a group of people that are all eyes and ears. Any mistake, any gesture could be a disaster. Speech communication involves all the things we know about communication. First of all the person that has the speech needs to be relaxed, to smile if its the case, to talk relaxed and the body language has to show the same attitude. People can sense fear and emotions so, try to not let it show. If you have started to talk then keep a rythm, and talk with intonation so that everyone can understand. Communication has some barriers that can make a speech unsuccessful like not paying attention, misunderstanding and talking like you whisper. The great orators of the world, have many things that they can teach us. It`s a great achievement to talk in front of thousand of people. The greatest principle of keeping a speech is to know what you are talking about, to talk from the heart, to mean what you say and to be confident. People are impressed by those that actually believe in what they are saying. In the end, Speech Communication is one of the hardest communication ways ever . Those that need to keep a speech should leave emotions behind and go for it. The pressure is big, but you have to imagine you are alone in a room full of empty chairs.
