LSO allowing bookings after portal Twice now we have discovered that users allowed their portal session time out to time out while on the LSO module. From their perspective, it appears to allow them to complete their booking. However, the system does not record all the information necessary for payment or the workflow if needed.

Be sure to immediately complete Open a booking for a course offered by HRD or LCT through Training Opportunities in the EBS portal. If interrupted before completing the booking, log out of the portal and back in. Completing the transaction some time later may give the appearance that the transaction went through, however not all information necessary will have been saved if the portal session timed out. DTT#3155 - Organizational Groups not showing as Doc Type ORG" "

Currently, all groups that are created/modified in KFS are listed with a Setting up an Organization document type of "Group" because they are RICE/IDM documents. Review for Organization Review However, the Organizational Groups should be showing as a KFS Groups is not working. document type of "ORG" (Organizational Review Group) so that they can be monitored using the Organization Review eDoc and fall within the "OR" document hierarchy. Right now, setting up an Organization Review for Organization Review Groups is not working because of this.

Termination Form Look-Up

When performing a look-up on the employee for the termination form The impact is that any employee the field is not recognizing the suffix. When she searched for Wikstrom, Wikstrom Jr, or John Robert Wikstrom Jr. she recieved the record for John R Wikstrom. John R Wikstrom is a retired employee. The only way to locate Jr's record is to use the pernr. In addition, the form allowed her to submitted on the retired record.

Till the fix is implemented, there Work In are two options. One, use the Progress Employee Information Report to look up the pernr and search using that value; and two, use the wildcard to search (e.g. Smith*Jr.). The second part of the problem should be fixed already. The form now recognizes all of the termination and retirement actions and will not allow a users to kick off a form on a pernr that had one of these actions as the most recent. Closed

DTT #3130 - When using Balances by Consolidation, the application does not drill down to the original document.

The reminder to perform a performance evaluation no longer flows through unit administrators. Instead, it is sent directly to the manager. Unit administrators cannot see this list. The Reminder of Dates report for Unit Administrators does not contain the reminders for PDP, Probation, and Interim Evaluations. New reports were created through Query Manager for this purpose: 670 - PDP Overdue Dates for Unit Reps 671 - PDP Dates for Unit Reps These queries need to have t-codes assigned to them so they can be added to the portal. After creating the t-codes, please reassign to Group "EBS HR/Payroll Team Portal" T-codes are also needed in HT1-250 and HQ1-700. Query open in another session message

It has happened twice in production that a message appears for the user, "Query 'Status Overview' is already open in another session.". This happens when a window is closed unexpectedly or a session times out. It appears to clear itself in about two hours, but a better course of action for users is desired. This is the MSS - Workplace Services - Performance Management screen. The error an be reproduced by opening "Performance Management" twice at the same time in Workplace services, though it appears when an earlier window was closed abruptly.

If a window is closed unexpectedly or a session times out, end users may receive a message " Query 'Status Overview' is already open in another session". The message appears in the MSS tab, Workplace Services, Performance Management screen. It will appear that processing of the form will not be able to continue. The Earnings Statement displays zero dollars in the Total Post Tax Deductions row. This is a display issue only and is being corrected.

Work In The error message applies only to Progress the tab mentioned in the error, typically Status Overview. You can access the information by going through another tab. The evaluation can also be found on one of the other tabs, where (e.g. In Process or In Preparation) processing can continue. Also, the error will clear itself within a few hours. The individual lines display the Closed information correctly. Until this is corrected, users can manually total the individual sums. FIN019 has been fixed Closed

FIN019 is duplicating lines and doubling amounts

Detail in the pcard statement has 3 charges that are not showing on the FIN019 has been fixed statement (created from Incident 183772). The user ran FIN018 and FIN019 for 12/25/10 - 1/24/11. FIN018 is correct, but FIN019 is creating an additional entry for each line item. In the payment screen in LSO we need to add an account lookup, so that employees can search for their accounts by department number. Ideally they would be able to search for their department number if they don't know it. Account numbers need to be validated to prevent incorrect data from being used when booking training. As before, employees are expected to know their account number.

Employee Statement of Earnings and Deductions has a couple of display issues.

Learning Solution Payment Screen MSU department accounts are now 10 digits (including the Chart takes short entries for department Code, like MS, and Account Number itself, like GA123456). The account payment screen accepts numbers UP TO 10 digits, INCLUDING shorter strings. This field needs to check that the account number is exactly 10 characters and return the message "Please enter a 10-digit departmental account number for example MSGA123456)." (Right now it returns the message "Please enter the departmental account number" ONLY if the field is blank.) Because this is not checking for a full account number, incomplete information is being entered, causing extra work for training administrators to clean up account data before closing the course.

Users were entering old account number and other incorrect data. Fix has been implemented.The payment screen is now requiring the department account to be exactly 10 characters. Previously it was requiring that 1) department account not be blank for Departmental Charge and Educational Assistance, and 2) that the account number entered be at most 10 characters. Delivery of orders to campus is delayed.

Users should view reports in Cognos. Document viewer is only for retaining historical reports for record retention purposes. Fix has been implemented

Termination Form submitted on Terminated Employees

The termination form doesn't prevent users from submitting a termination form on someone who has already been terminated. When they do so, the workflow does not know where to route, so is routing to numerous units on campus for approval. We need to add in functionality to the form to prevent users from submitting this form when the position is '99999999' and the status is withdrawn. Also sending out a communication pathway to inform users how to identify that the employee is already terminated.

If you submit a termination form for an already terminated employee, workflow routes to all orgs because the employee no longer reports to a unit.

We will be applying a fix to Closed prevent users from being able to submit a termination form for someone that is already terminated. In the interim, please validate that the employee you are terminating is active. Users can determine this by looking under the Personnel Assignment. The position number for terminated employees will be shown as 99999999 and you will see a (0) which indicates the employee is in a withdrawn (terminated) status. Please do not use the email address in the message. We will have the line removed ASAP. Closed

An end user ran a roster for his org and drilled down on an employee's record. The salary displayed is incorrect and is inconsistent from one day to the next. If you choose the view in Excel 2000 or CSV format and get an error message, please use the workaround.

Time Entry/Approval Security Timimg.

When an employee transfers from one org to another, time entry/approval needs to be allowed for all dates (past and future) that the employee is in that org. Currently security uses system date only to determine access therefore, as soon as the date passes the date of action, the exiting org no longer has access for time entry/approval. Example: A monthly employee changes postions/org effecitve 1/10/2011. The existing Org needs to enter vacation time for 1/7/2011. Since today is 1/14/2011 they cannot because system date is beyond 1/10/2011.

If an employee transfers out of a unit and time needs to be entered retroactively in the previous unit, they are unable to enter it.

Contact the Service Desk (8843000) until this can be corrected, so that a workaround can be explained or action taken.

Redirect Help Icon (in Upper Right Hand Corner of Portal) to direct to the EBS Support Site (versus RWD/uPerform).

Currently the Help Icon in the upper right hand corner of the Portal, takers users to RWD/uPerform to access the teams electronically recorded business processes. It would be more beneficial for us to direct users to the ebs.msu.edu support website, specifically to the training landing page. By directing them to the support site they will have the ability to not only find links to RWD, but they would also be able to access much more "Help", such as frequently asked questions, webinars, updates to overall EBS information.

Users were previously directed to N/A the End User Procedures when the help link. This change will direct them to the EBS site where the End User Procedures are but where other updates to training and information is stored.

In Employee Self-Service (ESS) employees can view their date of birth and social security number under Personal Information. The information is displayed so that employees can view the data to confirm it. It has been recommended to remove this information because of concerns with the sensitive data being displayed. I9 on file or not on file not reading The graduate assistant forms are not defaulting the correct I9 message. Users getting confused due to IT0094 correctly Several forms have come through that state the I9 is not on file even incorrect errors. when IT0094 indicates the I9 is truly on file. FIN032 Prompt page update to support firefox FIN068 Summary table for object level code is missing. FIN002 Needs "no data found" message. Employee Self Service time entry When BI report FIN032 is opened using Mozilla's Firefox browser, the report prompt page is jumbled. BI report FIN068 needs to have the summary page updated with the budget categories to object level code. BI report FIN002 needs to be corrected to reflect "No Data Found" when applicable. Employee Self-Service (ESS) Time Entry is using wrong groupings. In special cases, when an employee has a primary and secondary position, time cannot be entered in the secondary assignment. Users cannot enter a decimal in the employment % field on the FAS Position Create Form. Created from Incident 169361. Mozilla Firefow Browser has a jumbled prompt page. Impacts some central users. No summary table information. No data found message doesn't appear when no data is returned. Certain users unable to enter absence time on the secondary assignment. Users can only enter whole numbers in the employment % field.

Wait for a day for fix to be in Closed place. In case of emergency, call Human Resources 517-353-3720. Use Internet Explorer until this is Closed corrected. Export to Excel and total. Fix will Closed be in on 1/6/2011. Screen will be blank. Fix will be Closed in on 1/6/2011 Contact the Service Desk (8843000) until this can be corrected. Closed

Numerous HR Unit Administrators and HR Unit Time Administrators This issue has been fixed. Reports are availble under the need ability to see reporting relationships. Existing queries will be Unit Adminstrator and Time used and deployed for these roles. Administrator tab. Several people have reported that when they are in the EBS portal and trying to complete a particular task, they click a link and get the blue swirling icon suggesting that some sort of processing is occuring. The icon never goes away and it seems to just freeze up the system and they cannot proceed. This has occurred when conducting people lookups, when trying to do tasks from the EBS Portal Home Tab (HRPayroll Inbox) and other processes within the EBS system. When user goes in Portal... Under ESS tab -> Benefits -> "Add a Family Member or Dependent", some states do not appear in the list. Massachusetts, Arkansas, California, Connecticut, Florida, Montana, and South Carolina are missing. User may experience system or process freezing or locking up.
