Registration Procedures
Application Process: 1. Submit via email a 3-5 minute video of the routine to be performed with the actual dancers who will perform at the competition. No video submitted for consideration can be from a past performance. The performance must be re-done in a noncompetition setting for the Bhangra Blowout XIX Registration Committee. At the end of each video, each dancer must come to the camera individually and state their full name and graduation year. The George Washington South Asian Society reserves the right to claim ownership of all videos submitted for registration. 2. All participants scanned IDs must be submitted via email. These forms of ID must be presented at the venue on the day of the competition. This same step applies for participants from another school, see Rules & Regulations on page 5 rule #2. You may put multiple participants IDs on one page. Scan and email clear, recognizable copies of each participants valid university student identification card. On the same sheet of paper, scan and email clear, recognizable copies of each participants second form of identification. This form of identification must include the participants birth date. This ID may be a valid drivers license, state ID or passport. 3. Obtain a Letter of Recognition from your school recognizing your team as an official organization and submit via e-mail. This serves as another check to legitimize a team as a representation of the educational institute. 4. E-mail a letter from the respective University Registrars office, on official letterhead, stating that each of the participants competing is a registered student at the University for the spring 2012 term (This can be one letter for the entire team, as long as each member of the competing team is listed in the letter). This same step applies for participants from another school, see Rules & Regulations on page 5 rule #2. 5. Pay the $100 non-refundable application fee online via www.bhangrablowout.com/teams. Teams will be reviewed upon receiving the payment. Upon acceptance teams will be required to submit the remaining Registration Fee of $250.00. (NOTE: GW SAS will not waive the Application/Registration Fee for the returning Bhangra Blowout XVIII 1st place champion).

6. Fill out and submit the following forms via www.bhangrablowout.com/teams: Rules & Regulations Form Registration Form Team Roster Release & Waiver Form Selection Process: 1. Only official members of the Bhangra Blowout XIX Registration Committee will have access to the applications. 2. A select committee of Bhangra Blowout Executive Members will evaluate all videos and select a total of eight teams based on the judging criteria (page 12) used in the actual competition.

Notification Process: 1. Teams will be notified of their status by Monday, February 13th, 2012 via phone or e-mail. A team confirmation of participation will be expected no later than Wednesday, February 15th, 2012. 2. Post-registration packets will be sent upon confirmation of participation and will be due on Friday, March 2nd, 2012. Post-registration packets include prop list, information of arrival, accommodations, and any other pertinent information. 3. All teams that are not selected to compete have the option to be included on a waitlist. 4. Teams who choose to join the wait-list are advised to continue practicing until a week before the event without the guarantee that they will perform.

Rules & Regulations

Please make sure all competing members read the following rules. All members must adhere to all guidelines, deadlines, and rules and regulations for the Bhangra Blowout XIX competition. 1. Each member of the Bhangra team MUST have all required paperwork completed and submitted by Friday, February 10th, 2012. If this paperwork is not completed, the participant will not be able to compete. All steps listed on the Registration Procedures page must be strictly followed. Any team that purposely falsifies any information or documentation during the registration process will be automatically disqualified from Bhangra Blowout XIX. 2. Any university or college is eligible to submit a team, as long as the team is recognized by an on-campus South Asian student organization. The South Asian Society of The George Washington University does not discriminate against any college or university. Only one team will be accepted from each university. We encourage that only one team per university applies. (Note: 75% of the team must be from the participating university, and the other 25% can be from another surrounding University as long as that University does not have a Bhangra Team) 3. All members of the team must be full-time, registered students at a university, at the time of the competition. 4. Post Registration Packets must be submitted by Friday, March 2nd, 2012. Any new additions to the team (those not included in the registration packet) must send their information, including a copy of the participants student ID, a copy of the secondary form of ID, and a registrars letter stating enrollment by that date. If this information is not sent in by the deadline the individual will not be allowed to compete. 5. Any possible persons that may be used as alternates for the team in the case of a last minute emergency must also submit all of the documentation that regular team members are required to submit. This information must be submitted no later than Friday, March 2nd, 2012. It should be clearly listed on the registration packet that the alternates are alternate team members, and are not part of the main team. Each university is allowed two male alternates and two female alternates. Unless the alternates actually replace a team member in the case of an emergency, they will not be allowed backstage on the day of the show. So, alternates should buy tickets to the show to guarantee admission, unless they are definitely going to participate on the team.

6. On the day of the competition and team dinner, each participant is required to present his or her student ID in order to enter the venue and perform. Each ID must match the scanned student ID originally sent. Each student must also present a secondary form of ID on the day of the competition. The secondary form of ID must match the scanned ID originally sent. 7. There is a mandatory dress rehearsal on the day of the show. Rehearsals will begin at 8:00 AM and each school will be randomly assigned a twenty-minute time slot. If any team misses their rehearsal time, they will not be able to practice on the performance stage. 8. The track on which a teams performance music is recorded must contain all the music on one continuous track. All breaks or pauses must be pre-recorded into a single track. We will not stop or break your mix upon request. The final mix must be emailed to registration@bhangrablowout.com no later than Friday, March 9th, 2012. We advise teams to listen to the track before sending it, to ensure that there are no problems with sound quality. 9. Teams must make sure to bring at least 2 copies of their final mix and team video to the competition in case technical difficulties arise. One will be handed in upon arrival. There should only be one track on this CD. Any extraneous tracks must be cut from the CD. CDs should be clearly labeled with the name of the university. 10. SAS will permit only one unpaid assistant or choreographer and one instrumentalist per team in addition to a maximum of 16 members. This assistant/choreographer will be automatically designated as the gopher for the team unless SAS is otherwise notified in writing. 11. Due to the confidentiality of each teams dance, no team or persons affiliated with a team will be allowed to view, in any manner, the performance of other competing teams during the dress rehearsal or before the actual competition. 12. On the day of the show, the performers must report backstage at their assigned time. All teams must be dressed and seated or backstage by 5:45pm. Failure to comply will lead to disqualification. 13. The consumption of alcohol and/or use of any illegal substances or being under the influence at or near the premises of the venue will not be tolerated. GW SAS and the venue reserve the right to disqualify and/or expel any participant(s) partaking in, or who is reasonably suspect of, such activity.

14. It is assumed that if a team is selected to participate in this competition, it should be considered a privilege and therefore any misconduct at any of our events and throughout the teams stay in Washington, D.C. is unacceptable. Please make sure that all members of your team respect those in charge and also other teams who are competing in the show. Displaying any physical or verbal aggression will lead to a disqualification and all prize money will be taken away. 15. No team is allowed to use glitter, place any tape on stage, or in any way change the stage floor of the venue either temporarily or permanently. Any props that leave a mess on the stage will not be permitted. In addition, no team will be allowed to use any props that may leave indents or cause any structural damage to the venues stage. Banging sticks or swords of any kind on the stage floor is prohibited. Any team that violates this rule will be subject to both point-reduction and financial penalties. GW SAS reserves the right to deny the use of any props that may violate these conditions. Once teams are selected they will be notified of the venues rules. Teams will be subject to financial penalties for non-compliance of venue rules. 16. No oversized props will be allowed on the stage. If props take longer than 2 minutes to set-up, then they will not be allowed in the performance. A prop list must be submitted to the Registration Committee Chairs by Friday, March 9th, 2012. All props are subject to approval by the Bhangra Blowout XIX Registration Committee Chairs. 17. Dances shall be no longer than 8 minutes. If any team goes over the allotted 8 minutes, they will suffer a 5 point deduction. 18. Each team must have no fewer than 10 dancers and no more than 16 dancers. 19. The order of the competition will be revealed the day before the show and will be chosen using a point system. Points are to be determined by the order in which PreRegistration packets and Post-Registration packets, are received by invited teams. More details will be provided in the Post-Registration packet. 20. Unauthorized audio/visual recording, or any combination thereof, is not permitted at anytime, inside or on the venue premise on the day of the event. 21. Any rules, outlined previously and presently, that are violated may lead to an individuals or the teams disqualification, depending on the nature of the action. These decisions rest in the hands of the Bhangra Blowout XIX Executive Board. Please make sure all members are aware of all the aforementioned rules.

22. The GW SAS reserves the right to add new and updated rules and regulations that it deems necessary and appropriate with regards to the venue and the competition itself. Team contacts will be notified via email of all changes and/or additions. On behalf of the team I agree to the above Rules and Regulations. ________________________ Print Name ________________________ Date

Note: There will be a panel of well-qualified, unbiased judges present at the show. Please be aware that the judges are evaluating each performance to the best of their abilities and are not affiliated with any teams coming into the competition. We understand that judging is the most critical part of the competition and every effort is being made to keep that in mind for fair judgment for all teams. ATTENTION: This year competing teams will be given an opportunity to earn up to 2 extra points to their overall score. Teams will be asked to partake in the Iron Bhangra Challenge. Each team will be given the same song from the 90s and the task is to incorporate TEN seconds of the song into their routine. There are no limits as to how you use the song, but to earn the points you have to incorporate it in some way thats apparent to the judges. The challenge is to pay contribute to our competitions legacy, as the longest running collegiate Bhangra competition in the nation. Please note that this is only for accepted teams and not auditioning ones. Furthermore, it is NOT a requirement for teams; it is merely an opportunity to earn more points. Points will not be deducted from teams that choose not to partake in this challenge.
