Staff at Media Markt-Saturn work more efficiently with Outlook thanks to customized e-learning

Media Markt-Saturn seized the migration to Outlook 2010 as an opportunity to offer its 1700 employees a training course. Xylos developed a customized e-learning application for Media Markt-Saturn, teaching users to utilize Outlook as an aid towards efficient time management.

PrOFiLE
The Media-Saturn Group is headquartered in Germany and is known in Belgium and Luxembourg under the name of Media Markt-Saturn. The electronics chain comprises 23 shops, but this number is still growing. Each branch operates as a separate PLC. There are 1700 people employed in the 23 Media Markt-Saturn shops in Belgium and Luxembourg.

The Media Markt-Saturn electronics chain has 23 stores in Belgium and Luxembourg with a combined workforce of 1700 employees. The request for support to aid with time management came from the employees. The request came primarily from a number of department managers in the shops, says Liesbeth De Doncker, Training Officer at Media Markt-Saturn. They play a pivotal role in the commercial success of the shops, as they are simultaneously buyer, people manager and the person in charge of the daily management of the department. When we were looking for a way to help them manage their time more efficiently, we came to the conclusion that if they could use Outlook in all its aspects, it would be a major step in the right direction. Apparently too many emails were being sent back and forth and users had become accustomed to creating separate agenda items, instead of using a recurring agenda item. We decided to take Outlook as our starting point for changing these habits. We called on Xylos to provide our users with an e-learning course that would give them the opportunity to further increase productivity and efficiency.

ChALLEnGE
The request for a tool to increase efficiency came from the staff. Our department managers want to fulfil their commercial role and their role of people manager for 101%. Freedom with responsibility is an important Media Markt-Saturn value; each employee takes control of their own training trajectory. Learning and development is pivotal within Media Markt-Saturns hr policy.

SOLUTiOn
Xylos built an e-learning application for a more efficient use of Outlook, tailored to the needs at Media Markt-Saturn. The application is available online, allowing users access at any time and anywhere via an internet connection. The commitment and motivation have increased due to the interactive elements and a trusted business avatar.

Working more efficiently promotes commitment


Employees with a responsible job and with busy Outlook calendars will certainly benefit professionally if they know how to use Outlook more efficiently. For others the course can be an asset for their personal development, which will also benefit them outside their work. The results of this project are difficult to translate into figures, but we expect everyone to feel a lot better about their work, have a better overview and deliver greater efficiency, says Liesbeth De Doncker. Even if there is an improvement of just one per cent, it would be a huge advantage, as that would free up time for other things. A department manager needs to focus on the commercial success of the shop, yet at the same time be a people manager. By using a more structured work method he can pay more attention to these issues and everyone will feel more involved in their work and in our company. Ultimately it will result in better service for the customers. Our focus is on our customers and our employees, which is why we continue to invest in training.

Dynamic and innovative company


The innovation that our company emanates, is also reflected in the innovative tools we use for iT and hr. Each time a new software version is released, we are quick to upgrade. That was also the case with Outlook 2010, says Filip van Winnendael, Team Leader infrastructure & Applications at Media Markt-Saturn. Our parent company in Germany also promotes the use of the latest software. This totally fits in with our image as a dynamic and innovative company. Outlook 2010 offers extra features and an even better integration with other applications. in the past Media Markt-Saturn had called upon Xylos for training projects, and this time chose the same partner again. What we appreciate in Xylos is their structured, professional approach and their excellent communication, explains Liesbeth De Doncker. They are creative in finding a solution for our problems, so the collaboration is excellent and very pleasant. Xylos provided us with a customized solution, and the whole process did not take long. The development started in May, and by mid-July the Dutch version of the application was ready. As from October 2011, the new e-learning application will be ready for all in Dutch and French.

Creating enthusiasm with avatar


it is clear from the central Learning Management System, which Media Markt-Saturn uses to manage all its e-learning applications, which members of staff make use of the new Outlook courses. This is only an indication, as some people use a colleagues login or complete the course together with others, says Liesbeth De Doncker. But it is not really our intention to check that. Media Markt-Saturn values freedom with responsibility. This means that each employee takes control of their own training trajectory. We are a decentralized organization and the store manager drives the local training events. naturally, from our support centre, we encourage our employees to complete this module as learning and development is pivotal within our hr policy. it is not always easy to create an active training culture, especially when it comes to e-learning. This is why it must not be too abstract or too theoretical, and hence the reason behind why Xylos has incorporated James into the new e-learning program. he is our avatar that staff members are already familiar with from other courses. With the help of James, who also appears on the training posters, we try to create more enthusiasm for our programs, says Liesbeth De Doncker. The project doesnt end with the delivery of the e-learning content, concludes Dieter Blancquaert. Once you get the first users excited, they can become ambassadors for the application to encourage their own colleagues.

Different learning methods in online application


Staff at the headquarters and in all Media Markt-Saturn shops in Belgium only need an internet connection to start using the e-learning application. The online availability dramatically increases the potential, says Dieter Blancquaert, Learning Consultant at Xylos. We made sure to use various learning methods within the application: not just demos but also simulations, interactive elements and repetition through quiz questions. Students are given small assignments and can view additional information by clicking on certain fields. This involvement encourages students to complete the entire course. The application takes 60 minutes in all, but has been divided into blocks that allow users to select their own chapters.
